The Get Paid Podcast: The Stark Reality of Entrepreneurship and Being Your Own Boss
Do you know if your business can afford your next investment or are you hoping it all works itself out? Today, Steph Crowder and I break down how to create a financial safety net in your business using nothing more than a spreadsheet. This is how you can relax a bit more and know you're making pretty smart, grounded investment decisions. (No buyer's remorse afterwards!) This is how Steph went from “there's no way I can afford that!” to realize she was more than fine (even in a worst-case scenario). This Week on the Get Paid Podcast: The exact spreadsheet Steph used to project revenue and expenses (without overcomplicating it) How she realized she was running a $450K/year business…with almost no profit What happened when we cut her projected launch revenue in half and she was still OK Why projecting income + expenses is more regulating than just having 6 months of savings What to include in your projections (especially if you still have a job or multiple revenue streams) The mindset shifts from “can I afford this?” to “what needs to be true to make this work?” Mentioned in this podcast: Gusto (payroll software) Claire's spreadsheet template (coming soon—DM me if you want early access!) Now it's time to GET PAID Thanks for tuning into the Get Paid Podcast! If you enjoyed today's episode, head over to Apple Podcasts to subscribe, rate, and leave your honest review. Jean Zhou's journey defies every linear career chart. After starting in accounting and dabbling in venture capital, she found herself chasing something spreadsheets couldn't capture—emotion. That led to Wind Entertainment, a bold bet on storytelling rooted in sociology, psychology, and a lifelong obsession with television. In this episode, Jean reveals the early frustrations that sparked her producer dreams, why she believes storytelling is a survival skill, and how her sociology background became the secret sauce to building character-driven dramas that resonate worldwide. This is the story of how data met drama—and lost.Key Highlights of Our Interview:How Bedtime Curfews Sparked a Creative Fire“Growing up, I had to go to bed at 9 p.m. while TV programs ran until 10. It wasn't fair—and it burned into my brain. One day, I wanted to be the person who decided how stories end.”From Sociologist to Storyteller“Sociology gave me a backstage pass into human behavior. Understanding people—not just markets—is what powers great storytelling. It's my foundation, even in business.”Wind Entertainment: Building Stories That Travel“In 2019, I launched Wind Entertainment to nurture writers. By 2020, we were producing our first TV drama. That show, The Starry Love, aired on four stations and sold in over 30 countries.”Why AI Can't Write Your Script“AI summarizes the past. It can't write to surprise, or break molds. A drama needs rhythm, tension, and emotion tailored to the buyer—it's art, not automation.”Finding the Market in Emotion“In venture capital, I was taught to find value through data. In storytelling, I learned to find it through emotion. A great script isn't just written—it's felt.”_________________________Connect with us:Host: Vince Chan | Guest: Jean Zhou --Chief Change Officer--Change Ambitiously. Contractor Success Map with Randal DeHart | Contractor Bookkeeping And Accounting Services
This Podcast Is Episode 630, And It's About Small Business Administration - Essential Strategies for Contractors Running a small business is exciting, but let's be honest, managing the admin side of things can feel overwhelming. Between keeping financial records, looking after daily operations, and ensuring compliance with tax laws, it's easy to feel buried under endless to-do lists. But here's the good news: with the right strategies, small business administration doesn't have to be a headache. Here are some practical steps to streamline your business admin, save time, and boost productivity, leaving you with more energy to do what you love – whether it's working at the jobsite or growing your business! Why structure is the foundation of success Think of admin tasks as the backbone of your business. If these tasks aren't handled regularly and properly, things can quickly spiral out of control. Staying on top of your admin enables you to see how your business is truly performing, reduce legal risks, and ensure everything runs smoothly. Here's where accounting software can make your life easier: Automated Bookkeeping: Track income and expenses without lifting a finger. Payroll Made Simple: Handle staff payments quickly and accurately. Real-Time Insights: Monitor cash flow and performance at a glance. Popular tools like Xero or QuickBooks are ideal for small construction businesses seeking to streamline administrative tasks. And the best part? They store everything digitally, ensuring you're audit-ready at any time. Go digital with your records. Paper receipts and ledgers are so last decade. Not only do they accumulate unnecessarily, but they're also at risk of being lost or damaged. Transitioning to digital records is a crucial step toward administrative efficiency. Here's how to make it happen: Scan and Upload Receipts: Use mobile apps to digitize paper invoices. Cloud Storage: Securely store records online for easy access and backups. Spreadsheets or Software: Use spreadsheets for basic tracking or invest in platforms that allow you to tag and code transactions instantly. Digital records reduce clutter and make year-end tasks, such as taxes, much easier. Organize the administration with task breakdowns. Breaking admin tasks into daily, weekly, monthly, and annual routines will make them feel more manageable. Treat them like habits – they may be small tasks, but they add up to make a significant impact. Daily Tasks Devote just 15–20 minutes a day to knock out small but essential tasks like: Checking emails and responding to client queries. Logging sales and expenses into your accounting software. Scanning new receipts or invoices. Weekly Tasks Dedicate time weekly to review your business's operational health: Pay suppliers and review outstanding invoices. Reconcile accounts to ensure everything has been logged correctly. Schedule social media or post updates to engage your audience. Monthly Tasks At the end of each month, set aside time for: Payroll processing (if you have employees). Reviewing inventory levels and replenishing stock. Analyzing your profit margins or hitting sales targets. Annual Tasks The big picture matters, too! Annually, focus on: Preparing your taxes (or outsourcing them). Reviewing your business plan and setting goals. Evaluating ongoing contracts, insurance, or subscriptions. Breaking tasks into bite-sized chunks will help you stay on track and avoid falling behind. Tip: Set calendar reminders to stay on track! Pro Tip: Ask us about our "Five For Five at Five" When to consider outsourcing? If the admin is still consuming too much of your time, outsourcing can be a game-changer. Hiring a virtual assistant, part-time administrator, bookkeeper, or accountant can free up your schedule for high-impact tasks. Here are some options to consider: Virtual Assistants can handle tasks such as appointment scheduling, data entry, and email management. Accountants and bookkeepers can ensure accuracy and compliance with tax laws, saving you from costly errors. Freelancers or part-time administrative staff can step in as needed without the cost of hiring full-time employees. Outsourcing doesn't just reduce your workload – it also gives you peace of mind that specialists are handling complex tasks. Important Consideration: Specialized accountants understand the nuances of the construction industry, including project costing and compliance with tax regulations, enabling them to provide tailored financial solutions. This expertise is crucial for navigating the complexities associated with managing construction finances and ensuring that your financial records are accurate and compliant with applicable laws. Moreover, outsourcing minimizes the risk of errors that can arise from doing-it-yourself (DIY) accounting. Experienced specialists leverage advanced accounting software to track expenses, monitor cash flow, and prepare detailed financial reports. This precision not only aids in effective decision-making but also helps identify areas for cost savings and revenue growth. By having accurate and timely financial information, you can make informed decisions that positively impact your bottom line. In Summary Build a Sustainable Routine The key to effective administration in your construction business lies in consistency. Use Digital Tools: Leverage technology to stay organized and automate repetitive tasks, from invoicing to document management. Establish Routines: Make your administrative tasks part of your daily or weekly habits to prevent them from piling up. Seek Expertise: Don't hesitate to get help when necessary. Whether through software or professionals, utilizing available resources can free you to focus on your core business. By implementing these practices, you can establish a foundation for efficient operations and enhanced profitability in your construction business. If you're looking for assistance in streamlining your administrative processes, don't hesitate to reach out! Whether you have questions about your finances or need guidance on better practices, I am here to help. It's time to work smarter, not harder. About The Author: Sharie DeHart, QPA, is the co-founder of Business Consulting And Accounting in Lynnwood, Washington. She is the leading expert in managing outsourced construction bookkeeping and accounting services companies and cash management accounting for small construction companies across the USA. She encourages Contractors and Construction Company Owners to stay current on their tax obligations and offers insights on managing the remaining cash flow to operate and grow their construction company sales and profits so they can put more money in the bank. New horror subclasses just dropped, and we're here to reanimate them, roast them, and regret reading the action economy aloud. Support our friends at DungeonFlow, because your dungeon shouldn't look like it was sketched during a Zoom call. Unearthed Arcana: Horror Subclasses Show Notes In this episode, the RPGBOT crew proves that horror isn't just for the subclasses—it's also in trying to sync microphones. After wrestling with some haunted audio gremlins, the hosts dive headfirst into the latest Unearthed Arcana drop from Wizards of the Coast, which brings a trio of spooky new subclass options to the D&D table. First up: the Artificer Reanimator, which asks the important question, “What if your sidekick was a science experiment?” With mechanics that feel like equal parts Frankenstein and Excel spreadsheet, the gang unpacks the subclass's vibes, power level, and general corpse-hugging potential. Next, they dig into the Hollow Warden Ranger, a subclass so reliant on Hunter's Mark that it might as well come with a branded tattoo. Spoiler: there's one way to build it, and WotC really wants you to take that path. The group debates its narrow design, interesting healing mechanics, and whether you can actually play it without needing a second concentration slot stapled to your forehead. Then it's time for a séance with the Grave Domain Cleric and College of Spirits Bard—both bearing mechanical changes that sparked nostalgia, mild rage, and Bardic action economy debates worthy of a dissertation. Turns out when you nerf old faves, the ghosts of playtesters past come back to haunt you. The discussion also wanders into Ravenloft's LaMortia, Van Richten's Guide, and the tragic identity crisis of the Hexblade Warlock, who still isn't quite sure what they're supposed to be when they grow up. With a healthy dose of snark, love, and grief over lost subclass features, the crew gives their full take on what works, what doesn't, and what still smells faintly of necromantic glue. Key Takeaways The real horror was the audio levels we fixed along the way. The Artificer Reanimator is what happens when a necromancer raids Home Depot. Reanimator gameplay is cool and crunchy—but don't ask how it stacks up next to Necromancers unless you want a debate. Ranger's Hollow Warden is basically "Concentration: The Subclass." There is exactly one way to build it—and if you deviate, your damage goes to a farm upstate. Players are not thrilled about the subclass being chained to Hunter's Mark. Healing-through-hitting is a new mechanic that kind of slaps, literally. New auras = new damage toys. But still… it's all wrapped around Hunter's Mark like clingfilm. Grave Cleric and College of Spirits Bard have been redesigned, and not everyone's happy about their new wardrobe. The action economy is still Bard's greatest horror story. Hexblade Warlock is having a full-blown identity crisis and might need a long rest… or therapy. Undead Warlock is both buffed and nerfed, which is somehow the most D&D thing imaginable. Ravenloft still slaps. LaMortia is creepy, cold, and full of subclass inspiration. Player feedback is a literal mechanic now—give it, or don't complain when your subclass becomes unrecognizable. Game design needs to stop making subclasses feel like assembly instructions from IKEA. Weapon Mastery and auras may help salvage narrow builds, but only just. Multiclassing into Nature Cleric can make your Ranger feel like it got invited to the cool kids' table. We are joined by Srikar Chinam, CEO of KarmaSuite, for a conversation that flips conventional grant thinking on its head. While most nonprofit leaders pour their energy into winning grants, Srikar urges the sector to focus just as hard—if not more so—on what comes after the win: post-award grant management.Srikar explains that managing grants isn't just about compliance; it's about aligning multiple stakeholders, vocabulary sets, and reporting requirements—all while staying within highly specific timelines and budgetary restrictions. “It's absolutely a spreadsheet nightmare out there,” he says, describing the all-too-familiar scenario of finance teams scrambling to reconcile expenses manually in donor-specific formats. For organizations juggling five to seven grants or more, the administrative load becomes unsustainable! The conversation digs into why nonprofits often find themselves underprepared for this reality. “If you leave money on the table, that means the donor has missed their impact goals because of you,” warns Srikar, pointing to how such gaps can erode credibility and diminish future funding opportunities. From federal grant freezes to the internal silos between development, finance, and programming, the conversation paints a vivid picture of a sector straining under outdated processes. Srikar shares that Karma Suite is designed not to replace accounting systems, but to sit atop them—removing 75% of the manual work currently managed through spreadsheets and late-night email chains. One of the most impactful observations in the episode? The disconnect in language between departments and between nonprofits and funders. “Programs control the spending, but they're not finance experts—and finance teams don't always have the program context,” says Srikar, emphasizing the importance of connective tools that unify these voices. From fiscal uncertainty to renewed donor expectations, the stakes have never been higher. But KarmaSuite's tech-forward solution feels approachable, logical, and needed. With user-friendly integration and swift onboarding, it's a promising answer to a huge overlooked problem.00:00:00 Welcome and guest introduction 00:01:49 What is Karma Suite? 00:03:03 Why grant management is more than getting the check 00:04:30 Restrictions, expiration dates, and manual allocation 00:06:38 Spreadsheet overload: why current tools fall short 00:11:02 Disconnect between finance, programming, and fundraising 00:13:51 Grant mismanagement: how common is it? 00:16:21 Understanding funder expectations and impact goals 00:19:01 Software, process, and people: what's missing 00:22:23 Federal funding freezes and reimbursement delays 00:24:56 Accuracy in reporting matters more than ever#GrantManagement #NonprofitFinance #ImpactStrategy Find us Live daily on YouTube!Find us Live daily on LinkedIn!Find us Live daily on X: @Nonprofit_ShowOur national co-hosts and amazing guests discuss management, money and missions of nonprofits! 12:30pm ET 11:30am CT 10:30am MT 9:30am PTSend us your ideas for Show Guests or Topics: HelpDesk@AmericanNonprofitAcademy.comVisit us on the web:The Nonprofit Show
