Hey there, welcome to another episode of the podcast that teaches you how to be a ridiculously good virtual assistant. Today we are going to talk about what you should be sharing with your VA clients and what you don't have to share. Now I don't mean personal stuff or what you talk to them about - I'm talking about how you actually do the work you do for them. You'll see what I mean. Quote: It doesn't make sense to hire smart people and tell them what to do; we hire smart people so they can tell us what to do. Steve Jobs This quote is for our clients again. Hire smart people. That's us, the VAs. Then let us do what you hired us to do. Micromanagers need not listen to this episode (or maybe they should!) Let's go!   This will be a short episode today because it's pretty much to the point! I want to talk about what you be sharing with your clients versus what you shouldn't be sharing, or what you don't need to share with them. Because we work virtually, there are certain things that our clients need access to. But sometimes the lines get blurred, especially when the client requests something from us, and we aren't quite sure what the right thing to do is. So let's start with what you need to share with them. Their files. Any of their own files you should be sharing with them. They need access, and you do too, but anything that is theirs should be theirs. Set up a Google folder or a Dropbox folder or whatever you use, and create a simple filing system so they can find what they need when they need it. If you do use Google, make sure to make the client the owner of the folders and files even if you create them. It makes it easier at the end of your relationship if you do that as you go along. Their CRM. The information that comes in through a client's CRM is theirs, and you should have their own account set up for it. Same with e-commerce stuff. You should never be setting up CRM, email or bookkeeping systems and then adding your client and their info to yours. Anything they require to run their business should be paid for by them and updated in their own systems. Then you get access, preferably with your own login and password. There are liability issues if you don't, of course, but it is also simpler when you stop working with them to extract yourself from their stuff rather than move it all somewhere else for them. Their passwords. This is important as well. Anything you use to help them should have a password for each of you if possible. But they definitely need password access for whatever you do for them. Using a password manager like Roboform or LastPass can help you keep all of that stuff safe and secure. Pretty standard stuff. There are probably other things that you need to share with them, but you get the point I think. So let's move to the other list! What do we not have to share with them? Step by step instructions on how to do everything. This is the big one, and the basis of this episode. Your clients are paying you for your expertise. You do not have to teach them how to do what you do. Some will ask. You can say no. In fact you may find yourself replaced with someone cheaper if a client has step by step instructions to do the things you do. Now ... if they have provided you with those instructions then it's fine to update them when necessary. But if you have created them, you don't have to ever give them access. If you do have a client who insists on you creating videos or writing down all the steps, you can decline. politely if you like. To me that client is a micro manager and I would let them go. They don't need to know how you do it, or be able invite anyone off the street to do it. They are paying you to make sure it gets done. And they might also be able to tell you what steps not to miss(ie SEO in a blog post) but if they want to do your tasks they can learn how to on their own. And if they want to hire someone else they need to find someone qualified. What I have done for clients in the past is to give an overview of the task (ie create newsletter, update subject line, update content, images are found or created here, links are found here, send a test email to check all, schedule to send) etc. This is not a process that someone off the street could complete (like click file, click open, click on subject line, update it, etc) The person taking over had to know what they are doing. I think those processes are okay to share. But not writing down everything you know for them. So that is step by step stuff. You also don't have to share your processes with them. Like how you do things or create them or research them. Again, they are paying you for the deliverable - to get something done. So that's what they get. Collaboration is essential so you need to define everyone's roles. What do they have to do, and when, and how does that fit in with or affect timelines, deadlines, and other people's work progress and pace? Processes are important from a team standpoint, but not for the work you do on your own. Content creation does not have to be shared. They may have their own Canva account, and that's fine, but it is not necessarily something they need layered access to. That might surprise you but again they are paying for a deliverable, the completed image presumably, so draft stuff doesn't matter..You can do their work in your Canva account (though I still prefer for them to pay for their own). Use their brand colors and fonts and create templates to make it easy to create their stuff, but still only deliver the final images unless they pay you for some templates. And finally strategy. This is a touchy subject for some VAs because they feel like they should be charging more for giving a client advice or strategy around the work they do. You don't have to share anything with them unless you want to. And it should be billable (I won't talk about you having just one billable rate today but you should only have one). Just because you work with clients who do podcasts, doesn't mean you should be giving your client advice about where to market theirs. Doesn't mean you can't, just saying podcast support does not have to include strategy. It's one of the 'you don't have to do this just because a client asks' tasks. There you have it. What do you need to share with a client? Their stuff. What don't you have to share? Your stuff. Your intellectual property, your processes, your training and expertise, your advice or strategy. Clients will ask. You can refuse. Remind them that they are paying you for the deliverable ... to get the stuff done ... and that's what you will deliver for them. Our clients need to remember what Steve Jobs says! Hire smart people (VAs) so they can tell you what to do. They don't need to learn what we know. They don't need to teach others what we know. They need to stay in their lane and work in their brilliance. Anything less, to me, screams cheap. They are looking to stop spending the money they knownthey need to spend to have you help them. So if you think a conversation about NO will be uncomfortable, think about giving it all away and then losing that client anyway. I choose NO every time! ‌ This is exactly what I help VAs do. Starting a service business like your VA business is relatively easy, because there isn't a lot of startup cost, but let's see how much of a shoestring you need. Let's go! I like a bargain. I check prices when I grocery shop. I look for ways to save money on things that maybe others don't. I'm not afraid to admit that I am cheap. With some things. My husband and son tease me all the time about some things that I save money on. But I also know when I have to spend money on something. So, this is definitely a podcast episode about starting your VA business on a shoestring - as the title indicates. I'm not baiting and switching you, I promise! I do tell Virtual Assistants that service businesses can be opened relatively easily - and you don't need a huge startup fund to get going, but what I'm going to talk to you about in this episode is the following: what you need to have to start professionally what you will need to plan for down the road what you may never need and what you need to prioritize. Need to Have cell phone internet office software dropbox account time tracking software paypal or other online payment option password manager social media accounts social media scheduler You must have a dedicated space to work as well as dedicated equipment to do so. Although you work from home and people may know that you have children, you want to keep business business as much as possible. Yep, I said it … keep your kids away! No matter what age they are. Don't share computers, don't share space. In order for you to maximize your work time, you need to not be distracted. Time is money for your clients, and if it takes you 3x as long to get their work done because you are getting distracted, they will soon move on to someone else who can things turned around faster, or who charges them less for the work being done. If you truly want your business to work, make it a huge priority. That means your own cell phone, your own computer, your own desk and office space, with a door! You also need high speed internet access. I probably don't need to say much more about that, but there ya go. A strong and stable connection will help you get your work done efficiently. If you waste time because you lose connection or because your speed is slow, once again that is your client' money you are wasting. You will inevitably need office software like Microsoft 365 which I find well worth the low monthly price. I can access all of my files and work from my phone or other devices as I need to. You can also look at Zoho office or Open Office, but being that most of your clients will be using Word or something like that, you should be sure to pay for an annual subscription. Cloud sharing is really important so our clients can find what they need when they need it. Dropbox is a great option - as is Google drive. Also if you are working for someone as a sub, they may require you to have access to one or both of these to share work. So just set it up when you start. Time tracking software is essential and there are a lot of free options. Even if you don't want to work by the hour (it's pkay to do this) or give your clients detailed billing (please don't do this) you still need a way to track your time so you know what you have spent your time. One of the biggest problems VAs come to me with is not knowing how their monthly billing is so low when they feel like they work all the time. They are not managing their time well, that's usually the big issue. So track yours, so you know. It's not about working fast, it's about working efficiently. PayPal is a great way to receive client payments. Your clients can use a credit card to pay you easily without you setting up a merchant of your own. Yes there are fees associated with PayPal, but that is true about any online payment option (and they aren't always that much less than Paypal). The fees are a business expense deductible for you, so work them into your rates and you won't even have to think about them. You should be setting your rates covering all of your expenses anyway, but if you are wondering what you might incur, 5% should more than cover it. Usually a merchant will charge you 2 or 2.5 and sometimes a transaction fee on top of that. Paypal is on the higher end at 3% but again if you are using it, charge for it and claim it. And PayPal also allows to send and receive money in many different currencies. Online payments are a convenience worth paying for. EFTs are an option in Canada but a US client can not pay you with one in Canada. A password manager is essential for your VA business. If you are logging in to your client's accounts, you need a safe way to do that. There are lots of options, some are free. All are cheap. I use Roboform and I love it. I have one master password to access my list of passwords, but each password in the system is unique and can be changed at any time. I can access all of my passwords from any device I have and that makes it easy to never have to remember anything. You will need social media accounts, and yes those are free. Figure out where you need to be and what you want to use each for. I always suggest Facebook and Linked In for sure. You don't need to use your personal FB profile for your business. I don't. I don't friend business acquaintances or clients. I join groups with my profile but that's it. Anyone who wants to connect with me on FB does so through my page and my groups (and any groups I have joined). Set up a page for your business. That's what you will need on Facebook so people can check you out. Then link that page to your profile so that when people go to check you out, they can see your business page where they can follow you with a click. LinkedIn is also a good place to be because it's all business. It is a great place to find VA clients. You should also have a way to schedule posts on social media so you don't have to physically be going online all the time to post content. Scheduling also helps you to plan what you will post better, which is part of your time management. I use Metricool and it's free! That's all for what I think you need to have to start out. Pretty decent list and it's very reasonable. Plan For What about what you should plan for? Scheduling software - this will save you lots of back and forth with clients and potential clients. There are reasonably priced options that send reminders, work with Google and iCal. It is professional and easy for clients to get into your calendar. Calendly is what I use, there is also Acuity and many others. Graphics software - Canva is by far the most popular. There is a free version but the paid version allows you to do so much more for about $15/month. Website - while you don't need a website to get started, you should plan for one. A hosting plan can run you $100 a year for your first year, and maybe beyond too. Some companies offer a very cheap first year to get your business. One caution, you do not want to be moving your website every year, so budget for the cost of the second year from the start. And take the discount the first year. Other than hosting, design is the other thing. If you are not offering website creation as a service, it makes the most sense to have someone else set up a simple site for you and then learn on your own time to add to it and adjust it as necessary. That doesn't have to cost thousands of dollars, but it will save you hundreds of hours of time if you try to learn it yourself. I'm not even kidding. Backup software - whether you use an external hard drive or a service like Carbonite for $60/year, it is well worth it to make sure you back up your documents files, programs and more. Project management - you may be able to manage your work without a project management system. If It's just you and your client, you can use email and dropbox if you like, but it sure helps having checklists and stuff to keep everything organized. For $10/month Asana is a great option. Trello is free if the visual layout works for you. Bookkeeping software - makes things easier than doing it all manually! Quickbooks Online is a great option for about $25/month. Training - you will inevitably take training to improve your skills or business. Budget for it and plan to implement what you have learned asap to make the most of your ninvestment. Coach - because you know you want to work with me! The fast path to your goals. Insurance - business insurance is not mandatory for VAs but it is a good idea if you are working with sensitive information of your clients, or managing their reputation, or accessing their client data, and and and.. Plan for it as early as you can afford it. Taxes - plan for your taxes, because you will have to pay them! Save at least 30% and then plan for as many deductions as you can. May Never Need website project management bookkeeping software You may never need these but if you budget for them and set your billable rate accordingly, you can have them and your business will be more professional and efficient! Prioritize This Finally, what should you prioritize as expenses? Dedicated workspace and equipment Help with what you don't know Time management stuff Security for your client's data and info, and yours I'm going to leave it here for today … I could literally go one for hours about how to set up your VA business, run it professionally and efficiently! I know I covered a lot, but look at all the time I spent on what you need that isn't going to set you back tons of cash. Not too much expense, eh? We simply click the Forgot Password link to have reset instructions sent to our recovery email address. But that's not how it works if you lose the password to your Bitcoin account. The world's biggest and best known cryptocurrency has no recovery process. If you lose your Bitcoin key you lose access to your account. It's estimated that 20-percent of all bitcoins in existence today are trapped inside accounts with lost or forgotten passwords. That's around $140 billion worth of assets that the owners can't touch. As more and more financial transactions are done online the number of passwords we have to keep track of these days continues to grow. It's the rare individual who doesn't lose track of a password occasionally. In fact, a recent survey revealed that25 percent of usforgetapasswordat least once a day. Using a weak password will put your privacy and finances at risk. Password managers are special apps that create random passwords for each of your accounts. This is especially valuable if you're in the habit of using one password on several accounts. As the world re-opens and you begin to stretch your legs, ALPS Risk Manager Mark B tells some true tales and offers some tips for safeguarding your client data and maintaining your firm's cybersecurity from your phone, Airbnb, or the wide-open road. Transcript:  Mark Bassingthwaighte: Hello, I'm Mark Bassingthwaighte, the risk manager with ALPS, and welcome to another episode of ALPS in Brief, the podcast that comes to you from the historic Florence building in beautiful downtown Missoula, Montana. It is a pleasure to have the opportunity to visit again via podcast. Before I get into the topic of this podcast, I'd like to share story and some information about what's going on and in my life as a way to set up where we're going to go.                 Let's start with a call that I took earlier this week, and it came from an attorney who really wanted to understand if what he was doing in terms of security with his system was sufficient, if there was other things that he could do. What prompted the call is he went through an experience somewhat similar to what happened to my wife and I a number of years ago, he was the victim of identity theft. Had a tax return filed, fraudulently filed, obviously, in his name, and some other things had occurred. One of the mistakes he made, however, was using a complex password. Now, that was not the mistake, that's a great thing, but he used it on multiple accounts. And as a result of getting his personal information, they were also able to get into his work computer. Some email was being sent out from his computer under his name, trying to scam clients and some businesses he works with out of funds. And so, that was a bit of a mess.                 The other situation that's going on in terms of my own life is, and this is all good, but my wife and I are currently in transition. We are going through something I think a lot of people are going through in these crazy times, and it has to do with moving. Long story short again, the timing of moving out of one home, which has been sold, and into a new home, which is currently still under construction, did not line up as close as we might have liked, so we are currently in transition, living in a temporary apartment until things settle down and get finished. You know, it's quite a change. Most of our belongings are sitting in storage. We kid around that at some point when we finally get settled, and the truck unloaded and start unpacking, it'll be like Christmas. We'll say, "Hey, I had no idea we had this stuff." So it's got to be fun.                 But I began to realize, although I've been telecommuting for many, many years, and will continue to do so, this transition into a corporate apartment, and by that, I simply just mean it's a small furnished apartment, sort of struck me as I'm going through an experience similar to what I think a lot of people did when they had to rapidly transition from the office to working from home in the early days of the pandemic. There were some things here, that as I started to set up and figure out what was going on, I realized, "Oof, wait, there are some security issues that really need to be addressed." I thought it's worth talking about some of this. The lawyer that called, it was about best practices. You know, "What am I doing wrong? What am I doing right? Is there anything else I could be doing?"                 And we had a good discussion, and it turns out there were a few things she could do to further secure what he was doing. And again, I sit and think, "Okay, boy, I didn't realize, just wasn't thinking about how much I take for granted given my old situation and then transitioning." So let's talk about what we can do as individuals to make our systems as secure as we can to help protect the competences, the property, the identities of our clients, and of course our own personal information. This discussion is not about everything that we can do to secure an office network. It's more focusing on the day-to-day basics, the day-to-day things we should all be thinking about that can help. IT, at our firm, keep us secure as a firm, and keep our information and the information of our clients private and confidential.                 That's look at this, and I want to start with just the basics, and then we'll kind of explore some other things. But the basics, it is extremely important that we keep the operating system and the applications that we're running on all these devices current in terms of security patches. Now, when I talk about devices, I'm talking about the laptops or PCs that we have at home, but even the mobile devices we travel with for vacation or for work trips. You know, smart phones, tablets, all of these things we need to keep current. Sometimes we may even need to go out and look for patches. I have to do that occasionally on applications on our cell phones. But these patches are being issued for a reason, and they are often bringing additional security features or updates to close vulnerabilities that have been discovered in prior versions, so absolutely essential.                 Now, one of the things that a lot of people do, and we all spend all kinds of money nowadays on these smartphones, and there's some crazy awesome phones out there, but we treat them as phones. We're not always thinking about the fact that this is a pretty robust computer. So we need to make sure that every mobile device and every device in our home that we are using for work has a internet security suite running, and it too should be kept current with all patches. One side note here, do not rely on free security programs or free VPNs. There's lots of free stuff out there, even in the security space, and you get what you pay for, which is very little when it comes to security. Now I'm not suggesting that the security software, these free VPNs, don't do what they say they're going to do. A free VPN will certainly encrypt your data stream so that anybody that tries to intercept this data stream won't see it.                 But the company that gives you this free product, there's an exchange, and the exchange is they get to monetize and monitor all your doing, and so you are what they are making money off of. That's not acceptable. And for a lawyer who is practicing law in terms of using these devices in the further and the practice of the law, because that information, just no. So you need to spend the few bucks that it's going to cost and be a bit more secure about it all.                 Turn on full disk encryption. You know, in this day and age, when it's one setting on a phone or a laptop, turn this stuff on. I consider it unethical, I truly consider it incompetent, not to take the time to turn this stuff on. Full disk encryption is typically once you turn your device off and somebody tries to turn it back on, if it's lost or stolen, if they don't have the password to decrypt, your data is protected and your client confidences are protected. So turn that on.                 Set up the ability to do remote wipes if a device is ever lost or stolen. I mean, doesn't that seem like a no-brainer? Take the time to do that. Again, it's so simple and easy to do. Use strong passwords, long pins, and never use the same password or pin on different devices or accounts. The story I just shared with the lawyer who called me, that was the mistake. He was using a very complex password, which was great, but he was using that same password on multiple accounts. You know, if they get one, they have now access to everything. That that makes no sense.                 Now, what is a complex password? Well, best practices would say 16 characters. We're rapidly approaching 20, a number of people that I work with and know in the security space really are saying 20. I routinely am using 20 to 24 on a number of accounts if the device or the application will accept that. And when we say complex, so in my case, we have 20 characters on some of this stuff. It's upper, lower case letters. It's symbols. It's numbers. And it's going to be very, very hard to guess. You know, there's no dictionary words here that that would be easy for a hacker to try to figure out. A lot of pushback that I get on this is, "How can I remember all of this stuff? Good Lord." You know? "I have trouble remembering what I had for breakfast yesterday, Mark."                 Well, I am not kidding you when I say that my wife and I probably manage between 200, 250 complex passwords and different usernames. I never repeat. I never use them on multiple counts, this kind of thing. What have I done differently? I use a password manager. Personally, I use RoboForm. There are a number out there that are quite good. Dashlane would be another example. But these programs store and manage all these complex passwords for us. And if I need to change a password, it will even do that for me and randomly generate a new complex password, and memorize it for me. So all of my wife and I need to do is remember a very complex, and this is a long one, but a very complex passphrase, and that's the keys to the kingdom. It's not written down anywhere. We remember it. There's no stickies, it's all easy. But we have the ability now to use complex passwords in every aspect of our life, on any account and device that it'll work with.                 Turn on or utilize two factor authentication on all accounts. Don't make it easy. Two factor authentication, we're talking about authenticator apps or sending a pin as you try to log in your bank account. You get the code, a six digit code, typically, on a text message. You don't want to make it easy. If somebody happens to figure out what the password is on, heaven forbid your IOLTA account, and they're trying to steal some money out of them, well, when they're logging in, if they don't have your phone, the text message isn't coming to them. It's just one extra level of protection. And I'm telling you. Now, TFA, you can hack it. Using that doesn't mean you're 100% secure, but you are exponentially more secure than not using TFA, so absolutely use that on every work personal account that you can in terms of if it's available: email accounts, financial accounts, in terms of investment, bank accounts, those kinds of things, are obvious key places where you would want to do that.                 Install a VPN. A VPN, and that stands for virtual private network, and it is a software program that will encrypt your data stream so that if you are, well, I'm going to talk about this a bit more in terms of wifi momentarily, but it just makes sure that the sessions, when we are on the internet, that the data stream is encrypted. Again, we're trying to make it ever more complex.                 Those are some basic things to think about. But now I want to shift gears a little bit and explore. You know, as lawyers, we do take vacations and we travel for business, and there's some exposures that come up here as well. It could be staying in an Airbnb, in a hotel. The list goes on. So a couple of quick behavioral comments, things that we can do. Never use a public computer. I'm thinking about the business center at the resort in Cabo, or at the hotel in DC, whatever it might be, or even local libraries. There's all sorts of places where public computers are available. Absolutely not acceptable in terms of practicing law, communicating with clients. These things are very, very difficult to keep secure. Anybody can come in and do all kinds of stuff, so I would just not use them at all.                 Literally, if I had my own firm and was in charge of things here, I would have one warning, and do it twice you're fired if somebody, anybody, were using a public computer for work. It's that high risk. No public wifi. No open. You know, I'm talking about the airport, I'm talking about the signal at the hotel, I'm talking about Starbucks, those kinds of things. We absolutely cannot use this if any alternative exists. And there are alternatives. I won't get into what all the risks are, but it's very, very insecure and very high risk.                 So what's an alternative? Well, when I travel, a lot of times what I will do is connect my laptop to my smartphone. I'm using my smartphone then as a hotspot, and so the data stream will be sent using the carrier signal, AT&T, Verizon, whatever carrier you have. Far more secure than the local wifi hotspot.                 If however, and I can appreciate at times there are some circumstances where it may not be an option and you really must use wifi, there are some interesting ethics opinions out there that talk about this, but it is an acceptable risk with certain conditions. The two big wins are this, make sure that you know what the legitimate signal is. If you're at an airport and you're turning it on, you're trying, and it says, "Oh, here's Free Jet Blue wifi." "Oh, I love Jet Blue." Jet Blue has never made wifi available. Okay? But that signal has been out there. People will just create names that they think people will log into. If you're at a Hilton Hotel and you see Free Hilton, it's not Hilton. That's not what they call their network. Make sure you know. Ask the barista, ask the person at the front desk at the hotel. "What is the name of the network that you have set up that's the legitimate one for me to use?" So now which one to connect to.                 Then the other thing is, and this is not optional, as soon as you log into the network, initiate, use the VPN. Encrypt your signal. Is this risk-free? Absolutely nothing is risk-free. But this is going to be a little bit more risky than using the carrier signal, but you're taking reasonable precautions to do what you can in light of the circumstances to be as secure as you can. Those are two key things to think about.                 Some other things, don't leave devices on and accessible if you step away, and you have a conversation with somebody, if you're outside working around a pool on vacation, trying to just get a little sun. Don't leave your laptop on at some table unwatched. Have it automatically timeout and log off, or in 10 minutes, or whatever it might be. If you want to run down to dinner in your hotel room, again, log out, or better yet just turn the thing off until you get back up there. But take some steps. Again, it's all about making sure. We don't want to make it easy for others to get into our systems. So there's a couple of things to think about in terms of vacations and travel.                 Next, I'm thinking about the move here, and stepping in. My big concern, and I'm using this as a parallel or a corollary to the work from home struggles and that transition. My immediate concern was the router. You know? I have the instructions here. The username is admin. Okay, that's the default. A lot of them are named admin. The password that they had set up was easy to guess and just, you know. You look and say, "Okay, I don't know what they've done with the settings." That's completely unacceptable. I cannot and would not put myself at risk using that signal, let alone ALPS.                 Now, I may be a little crazy at times, I don't know, but I kept my new router, my personal router, I had that with me. Now, I don't travel with a router all the time, although if I'm going to start traveling and I may stay put for a couple of weeks somewhere, I actually might start doing that. I'm very sincere in saying that. But I'm able to trust the signal and be far more secure. I'm not suggesting now, again, that you take routers with you on your travel, but I am suggesting, hey, in your home, if you've not thought about this and taken steps to secure your router, now is the time. There are all kinds of exposures that can come into play here. The purpose of this talk is not to really explore all that, but it's just to say you need to do something. Let me go through, I have a short list here of things from an article I wrote about this, but I want to talk about some of the basics.                 You need to understand that the usernames and passwords, the default ones, are available on the internet, they're often standards, and that they need to be changed. So again, think about the complex password. That's have a very complex password for the router, and that's change the username from admin to something that is a bit more unique to you. Change the network SSID. Again, the name of the network. Every router comes with a default name. That has to be changed or something that's unique to you, but don't make it something that's obvious as to who you are. You know, Mark at 2022 Front Street. The neighbors all know, "Hey, that signal's Mark. And you know, no. You want to make it, "I don't know who this is," kind of. Okay?                 Set up a guest network in your home, with its own network name and your unique password, so that guests have access to a network. I trust our kids. They're all good kids. They're all adults. We're empty nesters. But when they come home, none of them are allowed on the home network, because it's used for work, and there's a lot of, you know. It's personal information. I don't want to expose my stuff to there, and vice versa. But you know, if they're doing something they shouldn't be doing on the network, it's separate. I just strongly encourage you to do that. Because when kids come into the home, and friends of your kids come into the home, and they're gaming, and doing all kinds of things, if they're on your network that your work computer, and your personal devices, and everything's on, you're risking. They bring this new level of exposure that we're not necessarily thinking about. So block that. Set up a separate network.                 If the firmware version of your router isn't current update to the most current version available, it's all about security patches. Routers need to be updated as well. If it's an auto update option, check that to make sure. If you can't tell or it looks like there's been no update even released in the last 12 to 18 months, throw out that router and get a new one. And I'm not kidding around. These routers need to be able to be updated automatically, and the updates, a lot of routers, they stop ... I had an older router and it was two years out of date before I finally realized, I'm going, "Well, that's not good." So get rid of it and get something current.                 Confirm that the network authentication method, and what we're talking about is in the encryption that the routers using, is set to WPA2 personal, or even better, WPA3 personal, excuse me, if that option is available, WPA3 is simply just more secure. If neither option, WPA2 or WPA3 is available on the router, it's old, toss it, get a new one. Not kidding. And finally, turn off universal plug and play. That's sort of the functionality that makes it very easy to connect new internet of thing devices and whatnot around the house. I know that it makes connecting new devices when you introduce them to the home a little less convenient, but leaving it on provides hackers easy access. That's just not acceptable.                 I mean, if you want to do that in your own life and nothing in your home is connected to the office network or you're doing nothing for work, okay. Have at it, I guess. But when we are using devices, the network, for work, that's got to be turned off. That access avenue, for lack of a better description, has been used even to insert programs like banking Trojans that try to capture your login credentials to your bank account or to your 401k. Not good. We need to address that.                 Set up a defined work space. Part of this is a wellness thing for me, part of it is just establishing boundaries in a home, perhaps with children, but having a defined workspace that you can enter and exit from and others can learn to respect can be a huge difference. No device sharing. Absolutely no device sharing. Confidentiality is in play and there's no pandemic exception. You know, if you are using devices: work computers, personal computers for work, smart everything. The kid's, family, if they are not members of your firm, cannot and should not be on these devices.                 And the final thing that I want to talk about is just behavior in general. There's really been a couple of interesting studies of late looking at this, in terms of some security studies, looking at behavior. I find it absolutely fascinating. Part of it has occurred because of this massive work from home thing, but it's true, this has been true pre-pandemic and it's going to stay true post-pandemic and vacations. When we use our own devices, as opposed to a work-controlled device, a work-issued device, and when we are outside of a formal office setting, whether it's vacation, at home, et cetera, we actually, in terms of just seems to be inherent to the human race, I guess, but we seem to be inherently less vigilant, less diligent. We just get far more casual. So we are more easily tricked, or you know, falling prey for a phishing attack or clicking on something we shouldn't be clicking on, not just paying attention, not turning things off, sharing devices. We just get very, very casual.                 We can't. Stay sharp. Think before you click. Don't get too comfortable with the casualness. Don't get too comfortable with this new normal. I understand that for many of us, as an example, we had to transition very quickly to a work from home setting, and it was about making sure the tech works so that we keep moving forward as best we could. And little thought was given to the security of side of this. And then we get comfortable with it and we don't even think about it. That's what I'm trying to address, in part with this in terms of work from home with this, but I want you to think about it in all assets. It's not just the pandemic, it's not just working from home. It's when we're traveling, when we're on vacation. We need to stay vigilant and we need to periodically just take a few minutes and sit down and think. "Wait, is this a responsible thing to do?" "Wait, have I taken all the steps that I should have taken earlier on or I should be taking now?"                 I certainly haven't covered everything that you can do, but these are key things, and important things, and basic things that I think we should all be thinking about, and that should be on your radar. So that's it. I hope you found something of value out of this short discussion. 3 must-have tools that you absolutely need, to help secure yourself, as well your web site. TIP #1) What is the first WordPress plugin I install on every new WordPress site I create? Nope, it's not DAP. It's Wordfence. It's the #1 security plugin for WordPress, and I will not do anything with a new WordPress installation, until I've installed this plugin. And the makers of the WordFence plugin have discovered a vulnerability in the Ninja Forms WordPress plugin. So if you're using Ninja Forms, make sure you upgrade to the latest version. Takes just 1 click to do from the WordPress plugins section of your site. And if you are not using Ninja Forms, then you should consider switching to it, as it's a fantastic contact-us form plugin, with a lots of features like support for the new captcha from Google, auto responses, storing the emails online in the plugin's settings, just in case you don't get the actual email delivered, and so on. I'll have links to all the relevant articles in the shownotes at http://SubscribeMe.fm/30/ TIP #2) And do you know what is the 2nd plugin I install on every new WordPress site I create? Nope, it's still not DAP. It is iThemes Security. Formerly known as WP Security. And there are a few features that both of them have, so you have to be careful not to turn those features on in both plugins at the same time. So here are some of the easiest ways to protect your WordPress installation: * Be alerted when an unauthorized user tries to log in to your web site: Like someone trying to log in as admin, or trying to use a username that doesn't exist, from an IP address that's not authorized, etc. * You can lock down the admin part of WordPress so that only certain authorized IP addresses can log in as admin * You can change the location of the WordPress admin login page to a secret page * Scan WordPress files - like plugin files and theme files - against the WordPress repository to see if anyone of them have been modified, because that's one of the easiest ways your site can become the target of a phishing scheme * Scan file contents for backdoors, trojans and suspicious code * Scan posts and comments for known dangerous URLs and suspicious content * Scan files outside your WordPress installatio * Lock out after how X number of login failures or remind-password attempts * Block IP's that access URLs that no one is supposed to access - like certain internal URL's * Hide the WordPress version * Change location of the WordPress admin login page * If you have the default username of "admin", then you can change it to something else with a couple of clicks * Change your WordPress database prefix - which is good to prevent an automated database hack-attack, especially if you have used an automated installer to install WordPress - these installers are usually provided by most hosting companies, and the default settings they use are not very secure. So there's a whole bunch of settings that these two plugins provide - WordFence and iThemes Security. And I'm in the process of creating a video that shows the entire set up. And then, there's one CRITICAL CRITICAL line of code that you need to add to your .htaccess file on your web site - this one is so critical, that without having this line, our web site DigitalAccessPass.com got hacked a couple of times a few years ago. BUT... if you want to know what that one line of code is, all I ask from you, is that you join my list, by going to subscribeme.fm, and wait a few seconds, you'll get a popup, enter your email there, and you'll be on my list. TIP #3) You should IMMEDIATELY change your password to all your webmail accounts - like Google, Yahoo, and Hotmail and your bank's web site. For 2 reasons. First one is that a guy named Alex Holden, who is the founder and chief information security officer of Hold Security, discovered that hundreds of millions of web mail accounts were recently hacked, and the hacker is selling these off online. Link in the shownotes at http://SubscribeMe.fm/30/ TIP #4) Use a browser tool called LastPass. There are a few similar ones - like 1Password and Roboform. If you already use one, then that's awesome. But if you don't, then it's really important that you use one - and I personally use LastPass. It's a free online service that stores your passwords in the cloud. Now, before you freak out, remember that all of your passwords are one-way encrypted with super-strong encryption, and the key to opening this encryption, is stored on your computer. So every time you ask their system for a password, this secret key stored on your computer is required before your information can be unencrypted. So even if their service gets hacked, the passwords they get will all be worthless without your secret key. There's a lot more to this, but explaining the technology is beyond the scope of this podcast. So just go with my recommendation - use LastPass. Do not store passwords in your browser. LastPass is available as a plugin for Chrome and Firefox and Safari. So even if you're switching browsers or using multiple browsers on your computer, like I do, then LastPass will help you secure and remember all of your logins and passwords for all of your web sites. One of the biggest issues I see when I do 1-on-1 coaching and membership site set up calls with DAP customers, is a lot of them will spend a whole bunch of time looking for logins and passwords. It is amazing how much time people waste trying to find their log in information for various web sites - like Paypal, Stripe, ClickBank, Aweber, multiple WordPress sites, Godaddy, web hosting control panel, and on and on and on. And using LastPass, you can share passwords securely with other people on your team, like your business partners, virtual assistants, developers and designers. And you never have to send such information by skype or email or any other insecure method. You just share a password from your vault with another LastPass user, and that's it. They get it through the cloud. Super simple, and secure. And the cool thing is, LastPass also has a location to store secure text information. So if you have other secure information that you would normally write on a piece of paper and keep in your bedroom locker, now you can securely keep it in your LastPass account, and now all your kids and spouse and lawyer needs, is the secret key to your LastPass account. That's it! Just one password to remember for all the important people in your life, just in case, you know. So get LastPass, and you will save a CRAZY amount of time, effort and frustration by using LastPass. And no, I'm not affiliated with LastPass and I don't get a single penny from recommending them. Same thing goes for WordFence and iThemes security. So those are the 3 major security tools that I highly recommend you install and use right away: WordFence and iThemes Security for your WordPress sites, and LastPass. And don't forget to change the passwords to every single online service - especially because May 5th was world password day, and it was created to remind us that passwords to mission critical services must be changed every now and then. When we run our own businesses and don't have a "boss" to answer to, it can be easy to fall back into old habits of goofing off. It's easy to fall back into the habit of filling up time because when you worked at your "day job", the objective was to fill up 8 hours a day. Today, we're going to talk about getting all that clutter that we're used to from a day job out of the way. Quick Computer Programs Everyone Can Use to Improve Their Productivity Online Stopwatch: Use this to time yourself doing a task so that you truly commit to getting it done in a certain amount of time, i.e. knock out a blog post in 10 minutes instead of thinking about it for an hour. Camtasia: This software can record everything you're doing online. This is excellent software for recording tutorials, software walk-through demo's, etc. You can simultaneously record your processes as well as your spoken audio. We'll talk more in depth regarding Camtasia a little later in the episode. Google Calendar: This is free and you already have it if you have a Gmail account. If you don't, you can just go to www.google.com/calendar to get it. It's great because you can synchronize it to your iPhone and iPad as well as share it with other users, such as spouses and business partners. It will send you popups/emails for upcoming appointments. Don't schedule EVERYTHING you do on your calendar-you'll just end up creating a glorified to-do list. Use it for essential appointments, such as meetings and webinars, etc. Don't forget to check out Robert's Book, 100 Time Savers for more useful advice. Essential Software/Programs for Internet Marketers Camtasia Studio (again): You can record a full video and save that but also have the option of saving just the audio portion. You could use the audio for doing something like a podcast. You can even record tutorial videos or "helper videos" just for yourself. If Robert has a particular process he has to go through, that he doesn't want to forget, he can record the entire process and then post that video to YouTube. WordPress Most all other things that Robert needs to accomplish in his business can be taken care of through WordPress and various WordPress plugins. He uses a plugin called Paper Template to create landing pages, opt-in pages, download pages, thank you pages, etc. He uses a WordPress plugin called Member Genius to take payments in combination with PayPal. Then, he uses a plugin called Backup Creator to back up his WordPress sites and if you back it up to another place (i.e. your hard drive, etc.), you've now cloned that site and you can use it over and over (with editing) to produce multiple sites. These are all plugin's that Robert has created and you can get all of them in one package by joining Income Machine today. Additional Software/Programs You'll Find Useful GoodSync: Developed by the same creators of RoboForm, it allows you to synchronize your folders with FTP websites, Dropbox or Amazon S3 buckets.
