In this episode we are going to talk about how to operate from a zero inbox mentality in our digital lives. I have had the opportunity to work with some amazing people in my time and I have also had the opportunity of seeing some of the craziest email inboxes! Some are super organized and operate at an organization level to rival the Gods! Some however have literally thousands of messages in their email inbox! Depending on your role in education you will get either mountains of emails daily or just a few. Most of the time we don't get tons of spam email directly to our inbox and so most email requires at least some of our time and attention. This is just the way our world of communication works and we need to be okay with using email to communicate. If we fall into the group though that has hundreds or thousands of emails in our inbox then we are never going to be as productive or efficient in our lives. I propose that we operate in a zero inbox mentality in regards to our email. This is a reflection of our minds much more than we know. Our ability to actually manage and complete tasks or discern what is important and what is not are some of the most valuable productivity tools we have. Our ability to manage our minds is the greater resource we have in education and the ability to manage your inbox is simply an extension of how we manage your mind. With a zero inbox mentality we set very specific boundaries about how we manage our email inbox. Our goal is to clear out inbox every day and not have tasks left over to the next day. In reality there might be certain things that need to expand beyond a day but they shouldn't be hanging out in our inbox very long. In order to actually accomplish this I would set at least 2-3 very specific times to process your email tasks and messages. One of these should be at the very end of your workday to make sure your inbox is clear before you leave. I have heard of different ways to actually separate and discern what to do with your email messages categorically but ultimately this comes down to how you manage your mind and want to approach this. If we are able to really clear our inbox and in turn our mind each day we are much better able to show up as the best version of ourselves without all the extra emotional stress of knowing there is a bunch of tasks hanging over our heads. For some of us with thousands of messages we might need to start fresh with a clean sweep and others will just need a little refreshing. There are two types of people in the world. There are the people that have a Zero Inbox (or just a couple), and then there are the people with 8,497 emails in their inbox — all unread. Email has quickly become one of our primary forms of communication and man is it a slippery slope. Tone can get lost, details can get overseen, and it can create a disconnect between people. Today we're going to talk about the crippling need to answer our emails at any given time of any given day. When I first started Worx back in 2007, I felt like I had to answer emails all day and all night. I mean, people needed something from me, right? They were sending me a message, which meant that they requested a response from me. And in my head, I assumed they needed it. In that instant, I thought I was being a better business person. I thought I was a better communicator. And I thought that I was helping them. Turns out what I was actually doing was training them on what they can expect from me, and that was an immediate response. So then when I would go a few hours — or heaven forbid a day or two — without responding to them: What's wrong is something going on? Why haven't you responded to me? It created anxiety and stress for both of us. It actually took me a couple of years to undo that training I did with those clients and create a new standard for myself and the way I communicated. I set up a new expectation by not answering people immediately, by not answering them at nighttime, and most certainly not answering on the weekend. If you're in the type of business where it's required for you to be on email over the weekend, for instance, if you're on call, then yeah — you're probably gonna need to be checking your emails. But if you're running a business or working within a business that is not requiring that of you yet, you have created that standard for yourself. You have inflicted a lot more stress on your life than is necessary, and guess what? The beautiful thing is you have the power to change that. This week, I want you to take your power back by turning off the notifications on your email, on your phone, and not checking your email at nighttime or on weekends. There's an anxiety that comes with it: Am I missing out to somebody who needs something from me? But after a few weeks and doing this on a regular basis, it became the new norm. I undid a habit that I had created myself. And you want to know something? It is so freeing to not be bogged down with the need to check email. Keep in mind if it's THAT important, someone will pick up the phone and then you can handle it if that scenario arises. The easiest way I have found to not feel like I have to check those emails day and night, night and weekend, is simply by turning off the notifications. When it's not dinging and binging, when it's not popping up while you're in the middle of doing something for dinner, the feeling of urgency starts to go away. Er möchte allen Menschen helfen, im Umgang mit den neuen Medien besser zu werden. Christoph hat Kooperationen mit Schulen und gibt Kurse an der Volkshochschule in Bremerhaven. Role #1: Protect their time: This is all about managing their calendars, being proactive to know when they operate at their peak performance, and learning about the Goal of Zero Inbox. Role #2: Protect their confidence: I explain how taking tasks off your client’s plate that you know they’re not good at, or handling a problem before it needs to cross their mind, is all part of protecting your client’s confidence. Role #3: Remove obstacles: When you put in extra effort at the beginning of the relationship to learn your client’s preferences, or to get the most information at the beginning of a project, you can really make an impact and exceed their expectations. Da ich E-Mails für eine sehr antiquierte Art der Kommunikation halte, viele Menschen aber nicht davon abzubringen sind, habe ich für mich ein paar Regeln zusammengestellt wie ich mir den täglichen E-Mail-Wahnsinn ein wenig erleichtere.
