There are two that everybody tend to miss: 1) The first productivity super-charger is to understand that tomorrow begins today. Planning ahead and setting your path is vital to reach your desired outcome. 2) The second takes a few minutes in the morning before you get busy. The goal is to ground yourself, review your day's plan, and reaffirm what must be done. There's one more that is even more important. Every day has "Non-Optional Activities" that take more time than you think. Non-Opts are taking care of personal needs, like eating and sleeping. They are traffic delays—someone walking into your office or calling you for advice. Non-Opts are always present and they sap your productivity by robbing you of your time and focus. Your work is making them both work. Wednesday warrior Mars, thoughtful Venus, and deep diving Pluto are all ready to figure out what needs knowing. Stuff comes from the deep dark depths to bring to awareness why life is as it was. Knowing this opens the door to the next level. We are brave enough to level up. The energy of Chiron conjoining the North Node amplifies this healing theme. We are meant to heal. What we feel we can heal. Observe dont' absorb the energies around you. Stay in the center of any emotional storms. Mercury joins the sun in Pisces on the 23rd, lighting up your mind with inspiring thoughts, mystical encounters and really deep compassion. When the sun and Mercury share space purpose is clear- But in Pisces, where nothing is as it seems, clarity is a fuzzy concept. Allow art to happen. Clear space to lie still and stare at the stars. Suddenly, your podcast has turned into a time-sucking monster. Let's tackle the common woe with my top 5 podcast productivity tips. Finding efficiencies and production hacks comes up from time to time with our clients so it was no surprise when one of them (who recently ushered a tiny human into the world) as for some tips. Juggling everything with her business, parenthood, and podcasting was suddenly feeling like too much but there was no way she was giving up her best lead generator. The solution? Amping up efficiency. Here's the good news — don't need to be sleep-deprived from baby duties to benefit from a sleeker production process. Here are my top 5 tips for improving podcast productivity: 1. Plan More and Better Our first stop on the journey to podcasting efficiency: planning ahead like a seasoned pro. I've got a gem for you – a 90-day content calendar. Imagine having a roadmap for your podcasting escapade, knowing precisely what lies ahead and when. This isn't just about rescuing time from the clutches of chaos; it's about tapping into a wellspring of creative energy. When you're not grappling with last-minute decisions, your creative juices flow effortlessly, like a river surging after a spring rain. 2. Embrace The AI Revolution Ah, AI – the contemporary magician of efficiency. Embrace AI as your trusty sidekick. This technological marvel isn't just for whipping up recipes with your pantry staples (though it's surprisingly good at that). AI can propel your podcasting game to unparalleled heights. Use AI to brainstorm topic ideas, craft script outlines, suggest interview questions, and even handle post-production tasks like show notes, transcripts, and social media content. Can you tell if this was AI-generated? For a deep dive into this AI wonderland, don't miss episodes 175, 176, and the AI-hosted episode in between. 3. Unleash Your Inner Producer It's time to channel the producer's mindset. It all starts with pre-interview preparation. The time invested here translates into time saved during the interview and editing. During interviews, start a clock when you hit record then, armed with a trusty pen and paper, jot down notes – what to keep, feature, chop — this will streamline your editing process. Even for solo shows, this rule still holds – production notes are your best way to track pickups, best takes, and even promotional snippets. Doing this will save you a mountain of time during editing and promotion. 4. Have Systems, Dammit. Life is simply more beautiful with systems in place. I could do a whole episode on this topic alone. (Interested? Let me know!) But for now, here's a sneak peek. The crown jewel of systems is your file management. Every file has to have a home. Create a folder system that houses each show, its assets, and all recorded elements, each episode basking in its well-organized haven. And don't underestimate time blocking; it's not just for the corporate realm. Block out your schedule, set deadlines for pivotal production components, and establish a hub for seamless team communication. And don't forget templates! Whether it's your production blueprint, episode outlines, show notes, or even email and social media templates – they're the secret to saving time and maintaining consistency. 5. Master the Art of Batch Recording Imagine if you could get the savings of a Costco spree, and apply it to your podcast production time. That's the power of bulk, baby. In the podcast world, it's called batch recording. When you're not operating from a permanent studio, this technique is pure gold. Record multiple interviews or solo shows in a single session. Here's a pro tip: sync this strategy with batching other production elements like script outlines, research, or email outreach. Your vocal stamina might be the only limit, but you'll soon find your groove. That One Shortcut That's a No-Go Now, let's talk about a contentious shortcut: AI-driven editing. I'm not on board with this one. AI-edited content often feels robotic, with every breath and natural pause scrubbed away. Real people breathe, they hesitate, they say 'um' and 'ah.' If you're considering AI for the heavy lifting, that's fine – as long as you or your editor fine-tune the results. After investing so much time and effort into your show, the last thing you want is for your listeners to question your authenticity. Whether it's a newborn or just life in general that's sucking up your time - efficiency is your trusty ally. Apply these tips: craft your plan, welcome AI, embrace your inner producer, build solid systems, and wield the art of batch recording. Frank has over 25 years of experience as an entrepreneur and executive in the enterprise software industry. Frank served as CEO of ServiceNow from 2011 to 2017, taking the organization from $100M in revenue, through an IPO, to $1.4B. Prior to that, Frank served as President at EMC following an acquisition of Data Domain Corporation, where he served as the CEO, leading the company through an IPO to its acquisition by EMC for $2.4B. He's also the best-selling author of Amp It Up. Notes: Frank's work ethic was developed as a child in the Netherlands. In his teens, he had summer jobs harvesting tulip bulbs and walking behind a tractor ten hours a day. He also cleaned factory toilets one summer in the plant where his dad worked. “The Man In The Arena” Theodore Roosevelt – Frank put this at the beginning of Amp It Up. After retiring from ServiceNow in 2017, Frank had no intention of taking another CEO role, but people like him “have a hard time leaving the arena.” It's exciting to be back in a CEO role with Snowflake. Hiring -- “Hire people ahead of their own curve.” Hire more for aptitude than experience and give people the career opportunity of a lifetime. NO MBO -- “Another source of misalignment is management by objective (MBO). Which I have eliminated at every company I've joined in the last 20 years.” Push the pace -- Leaders set the pace. “Instead of getting back to me in a week, I asked, “Why not tomorrow?” Change the cadence. Push the pace. The leadership "must-have" qualities: A need to prove something Unbalanced They want to show the world something... They have passion High trust Need some ego, but it has to be in check Legacy? "I don't think about legacy much. When you're dead, you're dead." Frank's leadership team: We are not balanced, we are available to each other 24/7. Drivers vs. Passengers -- “Passengers are people who don't mind simply being carried along by the company's momentum …They are often pleasant, get along with everyone, attend meetings promptly, and generally do not stand out as troublemakers … While passengers can often diagnose and articulate a problem quite well, they have no investment in solving it.” Frank wants front-seat drivers who'll take ownership, make trouble, and help navigate. Raise Your Standards -- Push for insanely great. A leader must always push the standard higher. Focus -- “Founders don't have a mindset around operating companies. Focus is one of our number one things. You need to learn to have extreme, machine focus, and most people don't even know the beginning of what that means. They think they do, and they don't.” “I'm more of a Patton than an Eisenhower,” he says, known for constantly driving the troops forward. Sequoia's Carl Eschenbach remembers, “When we brought Frank into Snowflake, at our first board meeting he said, ‘Let me tell you how I'm running the board meetings and how you're going to participate. We're going to keep this very simple. I'm not even gonna tell you anything about the good stuff that's happening because you already know that—I'm going to dive into the shit that's broken and how we're going to fix it.'” Very Brief Retirement -- In 2017, Frank spent time regatta sailing, winning the iconic ocean race, Transpac. Race from Los Angeles to Oahu. (To win, “We focused on recruiting talent”). Put The Success of The Company Ahead of Your Own – If you want to build a Snowflake-sized company, you can't be about the celeb-CEO lifestyle. “That's not real life. Real life is you're terrorized and uncomfortable every day of the week. People always ask me, ‘Is this normal?' I'm like, yep.” Snowflake - Hit the ground running on April 26, 2019. Good news: They were on already on a tear. The bad news: “The company was quite impressed with itself.” Growth in all areas (revenue, retention rate, total customers, $1m Customers, Forbes Global 2000 Customers, Customer Satisfaction). The first 90 days as a new leader. It's a combat zone. You must quickly assess what's working, and what's not. Who should stay on the bus, and who should get off?
