El four: I often hear Stacy say to keep money in cash. I don't know what that means. I know you don't mean to sock it away in a sock drawer, but do you mean it should be in some type of precious metals ETF, a low-interest money market account, or what? I have money in a brokerage "settlement" account that I guess earns more than at my bank (0.06%), but is that the best place to put "cash" right now? Thanks. Frustrated Wife: So, my husband refuses to save any of his money. He is 71 years old, is retired and has high blood pressure, diabetes and fibromyalgia. He is currently living off of his Social Security with no other savings and believes that his money is to be spent to enjoy life and not to have to save it. I am 71 years old as well and work full time. I've run out of reasons to give him as to why he should be saving his money as he grows older. This month, our (belated - sorry!) show is all about MONEY. It's a bit of a different one. Our chapter book is non-fiction, and it's called Cash: How to earn it, save it, spend it, grow it, give it, by Rashmi Sirdeshpande. This book was chosen by our very special guest, the wonderful author Lisette Auton. The theme took us on a more freewheeling discussion than usual, about our own educations around money growing up, things we saved our pocket money for, and what Lisette did to make a little extra with her cassette player as a kid! We also had a chat about creative method and writing, and learning how to learn.   You can find Lisette's website here and make sure to check out our episode about her debut, The Secret of Haven Point. Lisette also recommends #WriteMentor, who she does some mentoring for. Our picture book is Those Shoes by Maribeth Boelts and Noah Z Jones. This story is a perfect encapsulation of some of the themes covered in the chapter book. It's about wanting something very very much, not being able to afford it, coping with the feelings that arise and finding solidarity for others. It's a really, really great story about Jeremy, who wants Those Shoes he sees advertised on every billboard. This Podcast Is Episode Number 0390, And It's About Contractors Need KPI, Not Get-Me-By Being in your own business can be the best time in your life. Alternatively, the worst time! No one starts a business, especially a contracting business, and have it rolling perfectly with a profit every step of the way. Between regulations, economic uncertainty, and other outside forces; always a learning curve. Picking a Get-Me-By Contractor's Bookkeeping Solution in many cases is using an Excel Spreadsheet and a shoebox, file folders all dumped into a file box and looking at the Online Banking once in a while. This accounting method is the "I still got money, so I must be okay." When you use today's Job Deposit To Pay For the material, labor, and subcontractors from the last job, it is also known as "Rob Peter To Pay Paul." Cash flow is never a problem until the sales stop; then it doesn't matter if it is the economy (your customers get laid off), domino effect (their customer didn't pay them), or you are unable to work due to being hurt on the job or get sick (flu or more serious illness). Problems Arise When You Want To Do Any One Of The Following: Get a Line of Credit at the bank to expand or buy equipment Attempt to get a commercial lease for equipment Setup a 30 Day account at a major supplier Buy a new vehicle for personal or for the company Buy a new house or Refinance existing home Answer questions on Liability Insurance Audit The Insurance Audit The insurance company may want copies of quarterly and monthly tax reports. The Low Premium is based on "low sales" and "low payroll"; at audit time, it is the adjustment in the "Actual" Premium. If all the numbers are equal or less, there is not usually a credit. To verify income, Insurance companies will want to see copies of State Revenue Reports and payroll reports.  State Agencies May Want To Do An Audit On Your Business Some states suggest you get a "Voluntary Review." Depending on the auditor, this may go smoothly. In other cases, it can turn into a full-blown audit. The audit can have a date range of several years, not just the current or previous year. In addition to Quarterly Tax Returns, you, the contractor can be asked to provide the Check Register, Customer Invoices, Employee Timecards and Paystubs, plus the State Revenue and State and Federal Payroll reports. In other words, they want everything to cross-check what you told one agency over another. State agencies are looking at your customer and vendor list to add to their companies' plans to go after next. Banks Want Detailed And Summary Financial Statements Bank wants current and Year to date financial statements and previous Year's tax Federal Tax Returns. In most cases, the loan officer will ask for the application, and financials be provided even when they know that the bank is not lending to anyone for whatever you are asking for. (Example: Working Capital). See Unique Construction Company Financing Secrets Revealed. The Application Process Can Be Many Pages Long And they can feel very intrusive. Before you invest time and energy - verify the bank is lending to contractors. Then ask if the bank is lending for Working Capital, Vehicles, Equipment, or Whatever you need the loan for. What is the debt to income ratios and more? Don't Be Afraid To Ask: What is the bank looking for to say YES! Tax Accountant Uses Your "Get-Me-By Documents." When your Construction Company is small, you may find a tax accountant willing to take your "Get Me By Documents" and do a workaround to file your taxes. Don't expect them to do that Year, After Year, After Year when suddenly you have grown to make over $100,000 in sales and above. They have the reasonable expectation that you are getting it together, and if you don't, then the burden of finding all of your deductions is not on others. Every missed receipt may be a business deduction missed and causing you, the contractor, to pay more taxes than necessary.  Get You By Contractor's Bookkeeping Can Be Easily Solved We have clients who are Brand New Companies: Weekend Warriors, Handyman, Trade Contractors, and General Contractors. In this economy, many seasoned contractors had larger companies and are now starting over. The staff that used to be there and the specialty software to run their business is gone. QuickBooks Desktop is an excellent program to meet the needs of Contactors. The Five KPI (Key Performance Reports) You could spend all of your time seeing a report in QuickBooks and trying to find the way to populate numbers in the report. Many reports are designed for specific things. Take, for example, the view of the Home Page. Just because the feature is on the Home Page in QuickBooks does not mean it is useful for every contractor. 1. Cash How much cash is in the bank? Why - because you have bills to pay, material to purchase, and upcoming expenses.  2. Accounts Receivable How much work have I completed and billed the customer? Contractors get confused and think that the signed contract is for "X Amount," Therefore, they have that much coming before the job starts.  3. Accounts Payable What bills do I have coming up? Accounts Payable is where you track all your supplier invoices and match your subcontractor bills' month-end statement. It is not the place to track your monthly payments to your credit cards, payroll, or other tax payments to State and Federal Agencies. These items are in different areas as liabilities in your QuickBooks file. Please Note: All transactions on your credit cards need to be entered into QuickBooks (not just the month in balance with payment due).  4. Profit and Loss Profit and Loss track your income and expenses and reflect the Gross Profit and Net Profit of the business. This report is date specific. Please Note: Expenses are broken down between the Cost of Goods Sold (direct costs to jobs) and Expenses (which tend to be overhead related). QuickBooks, by default, is on the accrual method. Reports are converted to the Cash Method for Sales Tax and Federal and State Income Tax Reports. 5. Balance Sheet The Balance Sheet is tracking the overall health of the company. Assets include Cash, Accounts Receivable, Undeposited Funds, and Inventory. Yes – the Government treats those piles, boxes, and pallets of unsold material as an asset. (Which increases profit). Unless you have magical skills, it is impossible to trade that box of treasures for a gas tank, lunch, bag of groceries. Having a good relationship with your suppliers is critical. Suitable suppliers will encourage the return of material. Even with a restocking charge – Cash is more useful.  Final thoughts QuickBooks can be set up to do many things. QuickBooks can have as much detail or as little detail as the user wants or needs. It can be used as an electronic checkbook to a simple accounting program with reports. The goal is to have access to useful information you can read and interpret before making any decisions. Making decisions and being adaptable happens every day when you are in business. Welcome to Finance and Fury, The Say What Wednesday Edition.  Where each week we answer a question from you. Hi Louis, I have a questions about portfolio construction and asset allocation. I am 36 years old and am trying to understand what is the most appropriate asset allocation to have. There is so much material out by I am looking to build a portfolio that is skewed towards reliable income paying stocks through dividends even in down times and hence have favoured the larger Aussies LICs and ETFs. I am 100% in equities with 80% Aussies Shares (LICs and ETFs) and 20% international (ETFs US and Non US) however trying to understand what does a good portfolio and asset class look like and what are the things I should be further considering. I am looking to maybe add Gold (direct through direct ownership and Gold ETFs) and Bonds as I keep hearing these are good to have for assist in downtime but the income on these are very poor but then also thinking should I be having more international exposure / alternative asset classes like A-REITS/ emerging markets etc however as mentioned I am more focused on ongoing incoming paying stocks.  Would love to hear your overall high-level thoughts and views. What do you need to achieve? Long term growth – Trying to maximise the balance Short term stability – Well diversified portfolio with low exposure to growth Drawing an income or reinvesting – Type of investment held How much time you have? Longer timeframes allow for more planning and take advantage of the long term growth Being 36 and assuming you won't need this for 20+ years, the volatility And how much risk you need? Returns come in two parts = Income + Growth If there is growth to the equation, it can lose value – Enter risk – But it can help long term Bonds – do provide some incomes but yields are low due to higher prices -   Portfolio construction – What you need to know for achieving needs – Three more questions from this What asset classes you need and how much of each you will need? What investments within each will you need?   First) Asset Classes – Selecting the correct mix of Income and Growth Go through five big ones – Core to most portfolios (Doesn’t include direct property) They can be broken down to their purpose - Example – If you need to draw a consistent income, you won't want much volatility Asset classes - No growth – Low chance of capital loss (Defensive) Cash – Interest Fixed Interest – Coupon payments (FV back at the maturity) Debt instruments – not all bonds – higher-yielding such as notes but the higher yield is paid due to risks Asset Classes - Growth – Has a chance of capital loss (Growth) Australian Shares – Dividends and Price gains (Generally higher Dividends than International shares) International Shares – smaller dividends and Price gains Listed Property and Infrastructure – Dividends and Price gains – but more volatility and leveraging risks   Second) How to determine the allocation to each class? The traditional way - Risk Profiles (Outlines but remember, not perfect) – But if income is the goal – focus on asset classes which have more income – Australian Shares High Growth – 100% to Growth – Longer-term 8+ years Growth – 80% to growth – Longer-Term – 7+ years Cash, FI of 20% Third) Selecting the allocation to each asset class Even though something is defensive it can be income focused. Defensive – Generally for either income or capital protection Cash – How much income do you need? Need for reserves? Fixed Interest – Australian or International. Credit, alternatives or Bonds Higher risk (Corporate debt) – higher yields Growth Australian Shares – Market caps – Selecting a good weighting between asset classes – focus on higher Div paying shares ASX50 – Large Cap allocation Small-cap ETFs – Issue is when they are passive Income paying investments – can focus on higher Div paying/high yield ETFs ETFs – VAS = 4.1%, VHY = 5.3% but 7.3% grossed up International Shares – Countries and Market Cap of countries – some countries don’t pay dividends like Aus Van USA = 1.8% yield – Int Index = 2.4% yield – Average fixed interest index pays higher – Aus FI 3.8% The aim of each asset allocation: Trying to do a balancing act to determine your risk tolerance Risk – Volatility – Potential movements in price around a mean average High potential for movements, considered higher risk Speculative risk – Can become absolute risk (i.e. losing everything) but can be avoided (Diversification – the whole point of asset allocation) – could buy a few shares that payout 7% Dividend, but volatility may be a killer of returns Income Focus of returns – want more Div paying companies- So might be overweight to Aus FF shares – while being underweight to USA lower div paying companies Back to the Question: Ideal Weighting for an income focus - general information only – not advice as haven’t taken personal situation into account What is the purpose, timeframe and return needed? Purpose is to invest to generate a passive income while trying to minimise volatility You want to achieve a better income return than cash Allocation – Growth – about 80% Between shares and infrastructure – 20% bonds/fixed interest – pays higher incomes that US ETF Alternatives like gold while providing diversification and capital stability – no income so may not be appropriate What to watch out for? REITS – leverage and income payments can come from capital gains - which dry up in downtimes Large Caps – Mostly Banks/Financials picking up the slack – their incomes may struggle over the next few years Emerging markets – Likely volatile and may not pay out incomes Yield trap – prices that drop can reflect a higher yield – without the dividend being paid Example - $100 share, $5 div = 5% yield – price drops to $50, looks like 10% yield – but may be a reflection of future income losses Finding the right investments – ETF structure – flow-through of returns – take what you get, so selecting correct underlying holdings is important LICs – not flow through dividends – but selected dividends like any normal company – can work in your favour for stability but at expense of growth as gains are reinvested but can be paid out Select what yields you are after 5-6% – make sure they are high quality Thanks for listening to today's episode.  If you want to get in contact you can do so here: https://financeandfury.com.au/contact/

Linus asks, ‘I was just wondering what you think the ideal weighting of Australian (ASX200) ETFs, similar international ETFs and Bonds is in an investment portfolio? Love the show, thanks.’ There’re a few things to cover off here! The ideal weighting of Asset allocations; that is, how much you have allocated to Australian Shares, to International shares, to Bonds, etc.   To determine the ideal weighting there are 3 questions that need to be asked: What is the purpose of the investment portfolio? What are you trying to achieve? Long term growth – Trying to maximise the balance Short term stability – Well diversified portfolio with low exposure to growth Drawing an income or reinvesting – which determines the type of investment held How much time do you have? Longer timeframes allow for more planning and take advantage of long term growth How much risk do you need? Returns come in two parts = Income + Growth If there is growth in the equation, the investment can lose value – this is where risk comes in. But, it can also help long term. Portfolio construction – What you need to know Which asset classes you need? How much should you allocate to each of these asset classes? Which investments should you choose within each asset class? No. 1. Asset Classes Selecting the correct mix of Income and Growth Five main asset classes – the core to most portfolios (doesn’t include direct property) Each has their own purpose For example, if you need to draw a consistent income, you won’t want much volatility Defensive (No growth) – Low chance of capital loss, don’t increase or decrease in value over time Cash – earns interest Fixed Interest – receives coupon payments (receive the Face Value back at the maturity) Growth – Has chance of capital loss (riskier) Australian Shares – Dividends and Price gains (generally higher dividends than International shares) International Shares – Dividends and Price gains Listed Property and Infrastructure – Dividends and Price gains No.2 Risk profile To determine the allocation to each class, you need to determine your capacity to deal with risk. The traditional way - Risk Profiles (which provides an outline but is not a perfect science). These help to get an idea about how much growth is acceptable. High Growth – 100% to Growth investments like shares and property – Longer term 8+ years Growth – 80% to growth – Longer Term – 7+ years Cash, Fixed Interest of 20% Balanced – 65% to growth – Min timeframe of about 6 years Cash, Fixed Interest of 35% Conservative – 50% growth Cash, Fixed Interest of 50% Defensive – 30% growth – Good to minimise volatility, shorter term investments or those from which you’re drawing an income Cash, Fixed Interest of 70% No.3 Selecting the investments within each asset class Defensive Generally for either income or capital protection Cash – How much income do you need? Do you have a need for reserves? Fixed Interest – Australian or International. Credit, Alternatives, or Bonds Higher risk (e.g. Corporate debt) - higher yields Growth Australian Shares – Market caps – Selecting a good weighting between asset classes ASX200 – Large Cap allocation Small cap ETFs – Issue is when they are passive International Shares – different countries and market cap  Balancing your desired return with how much risk (volatility) you can afford Risk - Volatility - Potential movements in price around a mean average High potential for movements, considered higher risk Speculative risk - Can become absolute risk (i.e. losing everything) but can be avoided through proper diversification (which is the whole point of asset allocation) Returns - The higher the levels of volatility, the higher the expected return should be Risk-return relationship – Less invested in assets that can lose value, lower the allocation to assets that don’t grow in value If something can’t gain value, it is harder for it to lose value Back to Linus’ question: Ideal Weighting / Perfect allocation What is the purpose, timeframe and return needed? Example #1 – purpose is to invest for the long term to maximise wealth, investing every few months You are tolerant to risk (not spooked out by volatility) and have about 20+ years to invest, plus you’re going to make ongoing investments Allocation – Growth to high growth may be appropriate. For example, 0-20% Fixed interest (cash can be minimised) Allocation: 20% to FI, 20% to LargeCap Aus shares, 10% to MidCap Aus shares, 10% to Smallcap Aus shares, 20% to LargeCap International shares, 10% to Emerging Market International shares, 10% to Infrastructure What this is looking to achieve – Large long-term returns, leverage volatility to take advantage of ongoing investments, have best chance of maximising the balance Example #2 – Purpose is to invest to generate a passive income with minimal volatility Pretty scared about volatility, you want to achieve a better income return than your cash, but don’t want to see portfolio drop more than 15% Allocation – Conservative – Over 50% Defensive (depending on timeframes) Allocation: 20% to Aus Fixed Interest, 30% to Int Fixed Interest, 15% cash, 30% to Aus shares – mostly large cap, 15% to International shares – again, mostly large cap What this is looking to achieve – Greater return than cash, likely to not drop below 15% loss overall Conclusion – First just ask what the purpose of the investment is What you will need out of the investment? Growth, stability, income? – Determines the Income/Growth Relationship What investment mix will achieve this? i.e. how much to growth or defensive (Risk profiles) Long term high growth – Greater amounts to growth investments Capital stability – More in to investments that don’t lose much in value historically What allocation within each asset class is needed? Fixed Interest – High yield or safe AAA rated bonds Shares – Emerging markets or allocation to smaller cap allocations Does this suit my risk tolerance? This Podcast Is Episode Number 0235 And It Will Be About Key Reports For Your Contracting Company Explained QuickBooks has over a hundred reports that can be viewed on a regular basis You could spend all of your time seeing a report in QuickBooks and trying to find the way to populate numbers in the report. Many reports are designed for specific things. Take for example the view of the Home Page. Just because the feature is on the Home Page in QuickBooks does not mean it is useful for every contractor. Five Key Performance Indicators Every Construction Company Needs To Survive And Thrive! It is not practical or recommended for the Small Contractor or Handyman to track inventory. For most contractors, the material goes from the supplier directly to the job which is not the definition of inventory. Inventory is what goes into the warehouse and stays, and stays and stays. Most contractors do not have the money to invest in inventory. Your supplier is just down the street.  They have on-demand inventory – what you need when you need it.   Plumbers, Electricians, and HVAC Contractors tend to have a certain amount of inventory, and it is better to do a physical inventory a couple of times a year. (End of year and maybe mid-point of the year and enter as bulk numbers) There are specialty programs that are an add-on to QuickBooks for those larger companies who need to track inventory. Most inventory programs only work with QuickBooks Enterprise. Trying to keep track of each item in the job can be overwhelming and not practical for smaller jobs. If it is a Cost+ or Time and Material job then be sure you only purchase what you need and assign that receipt to that specific job.      Five Key Performance Indicator Reports that are useful to every contractor regardless of their size. #1 Cash How much cash is in the bank. Why because you have bills to pay, material to purchase and upcoming expenses.   #2 Accounts Receivable How much work have I completed and billed the customer? Contractors get confused and think that the signed contract is for “X Amount” and therefore they have that much coming before the job starts.   Accounts Receivable is for completed work that you bill your customer or client. In other words, how much can you expect to pick up a check for today? From someone doing their accounting, it seems simpler to create an invoice for the whole job and then takes payments on it. The problem is that the balance is aging nicely and give a false impression of the company’s financial position. Add the time it takes to determine what is owed to you. After a short while, QuickBooks becomes a real MESS. Then your banker asks for financials, and you are trying to explain to the Banker that your Accounts Receivable includes work not started or completed. Bankers want to know How Much Money can you expect to collect today!           #3 Accounts Payable What bills do I have coming up? Accounts Payable is where you track all your supplier invoices, match against the month end statement and your subcontractor bills. It is not the place to track your monthly payments to your credit cards, your payroll or other tax payments to State and Federal Agencies. These items are in other places as liabilities in your QuickBooks file. Please Note: All transactions on your credit cards need to be entered into QuickBooks (not just the month in balance with payment due).   #4 Profit and Loss Profit and Loss are keeping track of your income and expenses and will reflect the Gross Profit and Net Profit of the business. This report is date specific. Please Note: Expenses are broken down between the Cost of Goods Sold (direct costs to jobs) and Expenses (which tend to be overhead related). QuickBooks by default is on the accrual method. Reports are converted to the Cash Method for Sales Tax and Federal and State Income Tax Reports. #5 Balance Sheet The Balance Sheet is tracking the overall health of the company. Assets include Cash, Accounts Receivable, Undeposited Funds and Inventory. Yes – the Government treats those piles, boxes, and pallets of unsold material as an asset.  (Which increases profit). Unless you are have magical skills, it is impossible to trade that box of treasures for a tank of gas, lunch, bag of groceries. Having a good relationship with your suppliers is key. Good suppliers will encourage the return of material.  Even with a restocking charge – Cash is more useful.   Liabilities is tracking the amount that is due to others. Short term is Accounts Payable and Credit Cards. Long-term is your Truck Loan, Equipment Loan, Loans to yourself or others.   Please Note: Track all money you lend to your company. You cannot get it back out without it being considered income unless you document you put it into the company. Startup costs by nature are funds lent to the business because unless a contractor has been doing “side work” the business did not have any income before it began to cover the initial costs of setting up your contracting company.   Equity is the value you have into the company. The net difference Assets – Liabilities = Equity. I recommend you take as little as possible out of the company. It is designed to grow and take care of your needs. Think company first.  Many expenses are company expenses that as an individual you were paying personally. It is much easier for the company to pay for all business expenses. Your tax accountant can easily review and assign a percentage that may be personal. (This is better than the mad scramble of finding missing receipts at tax time). Contractors Favorite Job Costing Reports Job Profitability Reports are the easiest and most practical to track. Contractors can see job by job; did these jobs make a profit? From this report, you can drill down to more specifics about the job. Because of every small job, every remodel is different and knowing how much the plumber, the electrician, the framer charged is not always relevant.   It gets back to over tracking versus practical information you can see and process at a glance. Which jobs made money and which ones did not. Was it the material costs? What is the timing of the job? Time spent on the job? Lack of Signed Change Orders? Fuel costs have increased everywhere due to recent Hurricanes (if they didn’t work in your area – you are one of the lucky few). Estimating Many contractors are finding it is helpful in bidding the jobs to use a detailed estimating program. Some Estimating Programs link to industry-specific cost codebooks. Please Note: If your estimate is several pages long it is not practical to enter this type of estimate in QuickBooks line-by-line. QuickBooks can be set up to do many things. QuickBooks can have as much detail or as little detail as the user wants or needs. Can be used as an electronic checkbook to a real accounting program with reports.
