In this episode, Dale and Val get into project management technology with a man who needs no introduction to the world of project systems, Dr Dan Patterson. Critical Path Methodology (CPM) - getting really long in the tooth - there has to be a better way! Perhaps a better approach is to plan in a hierarchical manner - recursively break down into chunks instead of such a highly linear approach. Dan touches on his vertical scope based approach. We talked about knowledge-based planning and utilising non-linear methods or time-chainage type arrangements but not reliant on CPM. We talk about the arrival of AI and what that could mean for jobs, workload and the way in which we plan projects. Antonio is the co-founder of the Strategy Implementation Institute, and his day job is as director of the Program Management Office at GlaxoSmithKline Vaccines. He is also a former chair of PMI. He has vast global experience leading complex projects, and previously worked as Head of Project Portfolio Management at BNP Paribas Fortis.  Antonio spoke to us about why and how project management and project managers need to become more strategic if they are to innovate. Projects are the future of organisations, but project managers need to sit at the top table, he argues. CEOs need to accept project management as part of the strategic conversation within their organisation, and project managers need to learn new skills and think about their role differently in order for this to happen. Antonio kindly shares his thoughts on how this can be done.

Andy: I think there is a lot of good stuff that has been done with portfolio management and PMOs have been at the heart of that. But there is still a long way to go. Fundamentally a lot of organizations don't quite have the right grasp of what portfolio management should be, and I think PMOs can help solve some of those problems. Laura: Why don't we give some perspective here and talk a little bit about what do we mean when we're talking project portfolio management.? Let's go a hundred thousand foot view and then maybe we can talk a little bit about what's working, what's not working and the role of the PMO and all of that.  Andy: Sometimes the easiest way to think of what project portfolio management is to think about what it isn't.  It's not a roll up of projects and programs that you just so happen to be doing right now. The portfolio has to come first. The portfolio is the vehicle by which an organization executes on strategy. So if the executives say, “all right, this year we're going to increase our revenue by 5% we're going to reduce our costs by 10% we're going to increase customer satisfaction by three points,” whatever it might be. Those are the goals and objectives. The portfolio is the vehicle we use to actually deliver on that.  We'll have projects that sit within that portfolio, but those projects can come and go. It's the portfolio that's key and we have to make sure that the portfolio delivers results. Delivers results is the key piece here. We're not interested in delivering projects. We do, but we're interested in delivering business outcomes as a result of those projects. We're interested in improving revenue, decreasing costs, increasing customer satisfaction. That's the measure of success for the portfolio. Laura: Yes. I'm so glad you said that because I feel like I am constantly talking about we've got to stop emphasizing so much the outputs we're creating and shift our focus to the outcomes we're driving. As PMO leaders, it is super important that we help facilitate that mindset shift in our organization. Often times, PMO leaders will get so caught up in the “how manys”  and the “how much” versus the IMPACT they're making. When if we think more about the outcomes we're creating for the organization and driving towards those outcomes, we will be so much more aligned with where the organization is trying to go and where they're thinking. Andy: Absolutely. You know, if you're an investor in an organization, if you own shares in a company, do you care that they did 10 projects this year or a hundred...

Two recent client exchanges are worth sharing. The first was a visit to Tesla’s Gigafactory site in Nevada, the second a series of conversations with a director at a major health care consortium. Both on the drive to the Gigafactory site with a client and as a passenger on numerous Uber trips in Reno, discussion about the local area centered on the tectonic transformation occurring in the Reno/Sparks area. Viewing the corporate infrastructure footprint of not just Tesla, but other companies such as Amazon, Apple and Switch makes one think of the vision leading to this transformation. On the other hand, my discussion with the health care director focused almost exclusively on the process of implementing a single Project Portfolio Management software tool. Interestingly, the director mentioned concerns about internal survey scores and how to compete for talent in the Silicon Valley area. Not a word about improved lives through healthcare or any mention of people. Robert Sutton and Huggy Rao’s book Scaling Up Excellence came to mind, especially chapter three which focuses on finding the “hot cause,” or overarching purpose that must be driven through an organization. Not just words on a poster in the lobby, but relentlessly demonstrated as the core mission and even better aligned with one’s Personal Leadership Philosophy. Think about that. How well and how frequently do you communicate the big picture rather than the immediate project at hand to your team? Leaders share vision and purpose.

MISSION: If people have a business, they should want to have an organization that they want to grow. Having people that will be loyal to them consistently. Meaning having a positive attitude of employees which relates to the culture of the company. The key learning here is discipline. People need to have a clear vision or a clear track of where they want to go. They need to look those three things. People have to step back and visualize “What do we want our culture to be?”.  One way to do that has the business owners ask their customers since they know their clients and what they want. These questions will be your core values which are going to help business owners implement into their system, whether it’s integrity whether it’s customer service first, whether it’s excellence in each branch certifications, these are the things that customers admire and what business owners will have to live for. At times it does call for some challenging times where business owners have people on their team that doesn’t realize they don’t live according to these, sadly they would need part ways with these set of people in order to maintain the vision, values, and mission that they have for their company.  Critical decisions are made because everything needs to be aligned to really make a difference. A good company culture takes work to build an anchor for a long-term sustainable business. In terms of hiring, a company needs to be able to hire people that  fit into their culture. Meaning they could already see that the person is able to transform after developing the skills they have and understanding the story behind the company. They understand the vision, the values that the owner has for the company. It doesn’t have to be complicated, each of them should be able to share their best practices.  The proper mindset to be able to do the job. Because companies want to be set by people who can tough it out but at the same time will always have the same mentality in understanding the main vision and values of the company. And that is their accountability. He provides leadership, establishes policy, and maintains oversight of DOE’s annual $2 billion investment in information technology (IT), at more than 25 National Laboratories and Production Facilities, to enable urgent missions that span from open science to nuclear security. Mr. Brese is also a leader in the U.S. Government’s cybersecurity community and a key contributor to the Administration’s efforts in legislation, policy and technology research, development, and deployment. Gerald and I talked about his book The Complete Project Management Methodology and Toolkit specifically and project management generally. A ton of good advice on instituting project management methodology in any organization.   Gerard Hill is the Principal of Hill Consulting Group, and has more than 25 years experience in project management practice design and implementation, information systems integration, and business process engineering.  His specialty is enabling businesses to gain and sustain a competitive edge through development and implementation of total-practice project management solutions.  He has conceived and constructed processes and practices that have enabled Fortune 100 and other client organizations to realize maximum benefit from their investment in project management. Prior to introducing Hill Consulting Group, Mr. Hill was with ESI International, where he served as Vice President of Technical Services.  His work included responsibility for international consulting programs, technical product design and development, and knowledge management. Mr. Hill has led or contributed to the design and development of project management methodologies currently deployed by organizations around the world.  He is the architect of capability and maturity assessments for business and project management.  He also has particular expertise in designing and developing practical Project Management Office (PMO) solutions.  His recent work includes development of the new matrix-based, ProjectPRISM™ Project Management Methodology, and this has been introduced in his new project management methodology publication.  He has refined an approach to “PMO design and implementation” in a workshop based on the content of his first PMO Handbook publication. In recent years, Mr. Hill has chaired two annual and national-scope Project Portfolio Management conferences in the U.S., in 2008 he was an invited keynote speaker and presenter at two professional conferences in Milan, Italy; and in 2009 he was a keynote speaker and presenter at the National PMI Project Management Meeting in Rio de Janeiro, Brazil and at the Greece PMI Chapter Congress in Athens, Greece. Mr. Hill’s broad competencies are based in an extensive educational background that includes a bachelor degree in Applied Mathematics (NC State University), a master degree in Human Resource Management/Organization Development (Pepperdine University), and completion of the Advanced Management Program for Executives (Duke University, Fuqua School of Business).
