On today's episode of the podcast I talk with Melissa Houston, CPA and financial strategist for CEOs, about the importance of profitable businesses and increasing your networth. Melissa helps successful business owners increase their profit margins to keep more money in their pocket and increase their networth. she is a columnist at Forbes and host of the Business Society podcast. Small businesses benefit from a fractional CFO, a part time CFO for your small to medium-sized business (solopreneur to 10-50 employees with 7-8 figures a year) important to do your financial planning. A different look at small and medium sized businesses than the tax code that typically defines a small business as under $25 million in revenue. Too often business owners are focused on revenue, but if you're not bringing in and growing your profit, you're not going to last. 82% of businesses fail due to financial mismanagement because either you're spending more money than you're making or you have cash flow issues. Money is a vulnerable topic and we can carry money stories from as early as childhood with us as we grow our business. For example, if you struggle with pricing your products, that's a money mindset issue. You need to price your services to your value. Cash is queen! We often think about the importance of having an emergency fund of 3-6 months of expenses, but that also applies to our business because we all experience ups and downs in our business. When things are great, you need to think about the amount of cash you're putting aside when times get leaner to make sure there is more longevity to your business. When you are assessing your cash situation, let's say things are going well and you're saving money in your reserves, you need to plan ahead. You also have to consider lines of credits where you can pay interest on what you're borrowing, or loans. These are harder to get in the leaner times than it is when you have more money that can back them up. Post-COVID, it won't hurt you to have 6-12 months of savings, including owner's salary as a business expense. Too often Melissa sees business owners paying themselves with what's left over as opposed to budgeting to pay yourself regularly because everyone has personal expenses. It's also okay to reinvest in things that will make the business more profitable, but you need to keep ahead of it so that you stay profitable. You should include your salary before considering your profit margin because you have to pay yourself. Braden refers to profit before salary your owner profit and your profit after salary your business profit because that's what goes on your taxes. Profit can often look like a bell curve. In the beginning of your business your profit is kind of low because you may have expenses with little to no income. Then as the business grows you become more profitable, and then as it grows even more, you may hire more employees which may help increase revenue but make your profit go down, though 20% profit on 1 million dollar is still more money in your pocket than 50% profit on $100,000. It all depends on the business. Sometimes it's not the case to hire before you're ready, it depends on the workload you're dealing with, how it will increase your revenue, and how that increase and revenue and paying your new hire(s) will impact your profit. What do you need to show before you're ready to hire? If it's between a) Three consecutive months of profit to hire a person without an immediate ROI or b) I have enough saved to hire and pay a person for six months on top of my emergency savings. you'd want b. Having a 6 month runway is helpful, but it's still important to punch the numbers to see how it all works in the larger financial plan. Melissa advises even if you have in-house accounting support, you should always outsource your tax accountant. Not all CPAs are tax professionals, some are focused on other topics like profit optimization. It's also great to have a second set of eyes on your books. Your bookkeeper is not your CFO. Jonathan: "It's so important that we work on ourselves personally to be able to grow our businesses. If we aren't growing ourselves personally, then it's really difficult to grow our businesses."Jonathan: "In my business, we say revenue is vanity, profitability is sanity and cash is king. You can have a really successful business, make really good money and be really fulfilled at much lower levels of revenue volume than you think."Melissa: "Look at a small business owner, who maybe is making, let's just say 300,000 a year, and their profit margin is really high even after they've paid themselves and they're still pulling in 150,000 profit every year. If you've got a 7-figure business that's not even making $150,000 of profit, which believe me, happens quote often, who's better off?"Melissa: "The expression of, you can't fill a leaky bucket, it applies to business. If you're just going out there to generate cash and hope that that's gonna solve your cashflow problem, you need to understand that analogy, you can't fill a leaky bucket. If you've got leaks in your business that you haven't looked at, checked up on, and filled, then bringing in cash is just gonna leak right out of your business." Melissa: "The thing that I find people often misunderstand is the difference between a financial strategist CPA and a tax accountant CPA. Not all accountants are created equally. You will never find me sitting behind a desk doing tax returns, because to me, you might as well kill me slowly."Melissa: "Having that plan of growth, and projecting what those growth numbers are going to look like, and ensuring that your profit margins stay tight as your profit grows, that is really important to monitor." Melissa: "Fractional CFOs means that you're hiring that expertise that you would get from any full-time CFO, but you're hiring them on a part-time basis on a retainer basis. So they're accessible to you. And depending on the agreement that you've worked out, you set your terms of agreement for working together and you can be in regular contact with them throughout the month." Melissa is a columnist at Forbes.com and the host of The Business Society Podcast Melissa started her journey as a social worker and worked in that sector for five years and realized that long-term it may not be the best fit for her. She then went back to school and chose to account as it was the “responsible, reliable choice” but then realized that something was missing and that was her interaction with people! It was at that time that she decided to go out on her own and combine her social working skills with her in-depth knowledge of money! For Melissa, it's wonderful to be able to help women entrepreneurs in every aspect of their business to ensure that they are setting their business up for financial success! There was a period of about a decade where Melissa suppressed her feelings of wanting to go into business for herself. Suppressing and not dealing with her feelings meant they came out in other ways and self-sabotage ensued. She ended up being in a situation where she was spending money recklessly to make herself feel better about what was lacking in her life. She continues to share this season with us and the impact that it had on herself and her marriage. At that point she stopped and took a look at herself and that she was not being true to herself. Melissa learned a lot about herself during this experience which helps her assist other women in a non-judgemental approach. She's been there and done that! Messing up and feeling shame doesn't define who you are, it's just part of the experience! Melissa was in her late forties when she made this pivot in her career so it's never too late! In our conversation we dive into, How do I even know if I need a money coach? A lot of that surrounds knowing if your business is profitable or not. So often business owners will only evaluate their business on how much money they have coming in the door. So if you don't know if you are profitable or if you don't have a financial plan for your business moving forward then you are a business without a direction. The purpose of being in business is to make a profit and if you are not operating at a profit eventually you will go bankrupt. Sadly 82% of businesses fail due to being financially mismanaged. If you can understand how to manage your finances you can eliminate so much of that problem! Let's say you are ready to hire a financial business coach! You may be wondering what it is you need to think about? How do you know if you are picking the right team member? We dive into all those things that you will want to consider moving forward. This week on The Millionaire Choice Show, Tony talks with Melissa Houston, Founder of thebusinesssociety.co, which is an educational website and resource for entrepreneurs who are looking for personal finance, business finance, and all-around business information.About MelissaI’m a Certified Public Accountant, but not the kind you find in a sterile office building, wearing a drab suit, handing you cold coffee in a styrofoam cup.I’m also a Certified Life Coach and woman entrepreneur, just like you.I understand the tightrope of bringing in revenue, and needing to spend money to make that money. Just like a houseplant, businesses need water (aka: dollar bills) to grow. But when those dollar spills start spraying everywhere like a broken hose - leaking away into expensive masterminds and programs and Facebook ads and fancy branded websites and team members you kinda-but-don’t-really need - then you’ve got a PROFIT problem.I know what it’s like, because even as a money professional - I once dug myself into $100k of debt. And now my mission is to help women entrepreneurs like you keep more of the money they make, and manage that money wisely and powerfully. How did a CPA get herself into $100k of debt??? Gulp. Here goes. Let me start by saying that I’ve been helping people manage their money for more than 20 years. Yes, I said TWENTY. I’ve devoured every personal finance book. My husband and I followed our financial plan rigidly, for years. And then… it all fell apart. It didn’t happen overnight. It was a slow unraveling, and likely why it was so difficult for me to see the problem. It began with the weekend shopping trips with the girls to buy stuff I didn’t really want, or need. A handbag here, a piece of jewelry there. Individually, the purchases were fine. Splurges, but nothing to be alarmed about. But over time that dollar amount climbed into red alert territory - blossoming into a full-blown spending spree from hell—with lots of baby steps (and purchases) in-between. But my shame and anxiety didn’t cause me to stop. I decided to suppress those uncomfortable feelings with… more shopping. Pinterest became my new addiction. I spent many sleepless nights scrolling all the beautiful boards, searching for ways to upgrade my home decor. In a particularly devious move, I even convinced my husband we needed a pool for the backyard. We didn’t. And large renovations mean spending mountains of cash, and this renovation didn’t add any value to our home. A sunk cost, indeed. The risky behavior continued. That jolt of excitement, the sugar candy high I’d get from shopping was too much to resist. And then… the credit ran out. I could no longer hide my shameful secret from my husband. My financial infidelity was exposed, and all of the “highs” I experienced through shopping felt so inconsequential. Facing my husband’s disappointment made me realize that I never wanted this to happen again. But I couldn’t lean on the old financial advice - all of the things I already knew, yet still got myself into this position. I needed to find a different kind of support. I hired a health coach, not to help with my crushing debt - but to work on my weight. While I expected to shed some pounds, what I didn’t expect was that I was really shedding toxic emotions and feelings. And then I realized that my excessive spending wasn’t about the money, or the weight. I was overcompensating for other things I didn’t feel good about. My life seemed “okay” from the outside - great husband, kids, job, friends. Nothing was “off,” yet something was definitely off. I realized after a lot of reflection and deep coaching work that I wasn’t living my purpose. I’d always wanted to start a business, and now I had a mission - wanting to help women just like me to take control of their finances and their emotions around money. But I wasn’t able to do that trapped in a job, working for someone else’s mission.SO I BEGAN A NEW CHAPTER.Today, I work with women entrepreneurs and help them manage their money and profit more. My guidance and advice has been featured in Forbes, Entrepreneur, and other high-profile spaces. “But most importantly, I help women entrepreneurs deal with their deep-seated emotions around money and their relationship with money. I love creating a safe container for these conversations, a place where women don’t feel judged.” I know what it’s like to hold onto shame around money, and I know how powerful it is to release that shame. “If you've had weaknesses, it's just time to fix them up!”— Melissa Houston. July 1st marks the middle of the year for businesses, if your fiscal year marks the calendar year. I'd love to wish you a happy kick-off for your Q3, but I'd also like to remind you to check in on the financial performance of your business. This episode is your Q2 check-in — I outline all the steps that you can take right now to keep your business healthy and on the right track! Too many business owners rely solely on the fact that sales are coming in to let them feel good about the way that their business is running. But just because you're selling, doesn't mean that your finances are in good shape! These same owners tend to ignore their numbers, only to discover an unpleasant or even shocking surprise later on. If you're not checking your numbers on a regular basis, then the truth is that you really do NOT know how your business is doing — and as a business owner, that should make you very nervous! I've got some real sh*t to share with you.
