Welcome back to another episode of the Business Journey Podcast. Today's episode is really important to me because it's something I did wrong my entire first year of business. I learned quickly afterwards that I didn't want my business running on a trajectory that put me in a space of exhaustion and burnout. So, today I want to share some tips that are super practical to help you avoid burnout and tackle your busy season. These tips will help you feel in control, fresh, and ready to keep working! Learning to work from a place of rest.I learned this from Ashlyn Carter. She's a copywriter and she's always helped me believe that it is possible to work from a place of rest and not hustle. It seems like so many people in our industry are always pushing and "hustling". The truth is that you don't have to work from that pace to be successful. Sure, working from a place of rest might take you a little longer, but it will be more fulfilling in the end. My first year in business, I photographed over 100 families. By the time the fall ended, I was burnt out. I wanted to sleep for a whole week and I couldn't. Life kept going on around me. And I decided in that moment, I couldn't do that again. The tips I'm about to share will help you find this margin and breathing room, too. It's such an amazing feeling! Write out your processes ahead of time.Anything you do for your clients from the session, editing, or post-processing, write it out. I know you think you know it and you have it all in your head, but when you're in the middle of a busy season... something is going to be forgotten. And even if it's not, you're going to just feel crazy overwhelmed. So these written processes are what you come to lean on when the crazy hits. Our checklists help make sure every single client is given the same experience, no matter how busy we are. Our team uses http://www.trello.com (Trello) and if you're in Behind the Lens, we actually talk about our exact system and process for this software (plus you'll get a template for our workflows!). Know your capacity and stick with it.One thing that's important in avoiding burnout is to know your capacity and to stick with it. It's one thing to know you've reached capacity, but it's another entirely to actually stick to it and tell people "no". Just because there's white space or margin in your calendar and life doesn't mean you need to fill it with bookings. Being completely overwhelmed because you can't say "no" doesn't help anyone. It leads directly to burn out and if you're running at 120% all the time, you're never going to have time to recover. Frankly, it's not sustainable or healthy for you or your business. Automate and outsource what you can.I probably sound like a broken record because we talk about outsourcing and automation a lot, but I truly believe and am passionate about both! Look through your client experience and see what you can automate in your CRM (like Dubsado). After you've done that, determine what you can outsource to someone else. I know it can be hard to let go of your editing or writing, but if it saves you time and someone can do it just as well - if not better - than you, why wouldn't you let them help? Last year I spent over $20,000 on copywriters. That is a lot of money by the standard of any small business, and it was a very significant chunk of my expenses last year. You might think that it sounds crazy to spent $20,000 on copywriting services. But consider this: if you're earning $50k with a 1% conversion rate, you could bump it up to just a 3% conversion rate and generate $150,000! That's a really big increase! By improving my copy-–and increasing my conversion rate–by even a small amount, I can generate significantly more revenue and profit for my business. Ashlyn Carter is a baller at marketing, copywriting, and productivity hacks. A lot of you have had questions like “how do I stay productive in my day to day life?” “how do I pursue my side hustle?” and “how do I work from home and stay motivated?” Well, there is no better person to guide you through this than the one and only: Ashlyn Carter. How She Got Started “This job that I was in was never going to be okay with me taking rest.” Out of college, she worked in marketing and then in PR. When she made an effort to keep Sundays free from work, her boss told her she was in the wrong industry! She began to focus her control on her body and her eating and ultimately recognized she was suffering from anorexia, anxiety, and depression. After her wedding, she took steps toward healing and spent three months hospitalized. Soon after, she decided she wanted to work for herself so she started her own business. The Turning Point Mindset is critical when you are starting a new pursuit. “I looked at my new job as a business owner not a freelancer.” “It’s never been a better time to start a business, but at the same time it’s never been a noisier place.” Ashlyn used what she knew from marketing to excel in her new business. She would reach out to people who needed help, and slowly began to make a dent in the industry. “I found the Ashlyn-sized gap in the market.” Being Organized As An Entrepreneur Ashlyn got obsessive about her work because she was determined to not go back to her old job. Because of this, she found herself back where she started working 7 days a week. She wanted to set up a business that could run when she couldn’t work so she began “Ashlyn-proofing” her business with outlines and structures. It’s not going to change if you don’t make it a priority. Productivity Hacks Get a Parking Lot It’s important to have a constant space where you can put any idea in your head and know that it is logged and captured. This helps fight the shiny object syndrome. Make Lists At the end of the month, she looks at her to-do list and asks herself what felt like a “to do” and what actually was a “to do.” When it comes to realizing the difference, she sets annual goals and re-reads them every single week. Seeing these big goals alongside her daily “to do”s helps her to choose well. “What is actually going to inch me towards who I want to be at the end of 2019?” Be Nosy Pay attention to how people are spending their time. Be curious. Try new hacks out. Keep it if it works. If it doesn’t work: throw it out. Weekly Review “You don’t get rewarded for what you intend to do; you get rewarded for what you DO.” Every week Ashlyn asks herself these 4 questions: What worked and didn’t work from this week? What lessons did I learn? What obstacles did I run into? How am I going to adjust moving forward? Batching Divide your business into five big topics you need to get done. Assign each big topic to a day of the week. i.e. Marketing, meetings, finance, client work, etc. This brings back the structure that encourages us to get work done. All right, so, Ashlyn, I think a good place to start is with your story, of course, and how you ended up getting into copywriting! Ashlyn: Yes, so it turns out that if you chronologically file magazines under your bed growing up, you’re a shoe-in for a journalism major, so I went into college, like, no doubt what I wanted to be. I wanted to work in magazines. I wanted to do editorial stuff. So I was a print major in the journalism school in 2009, which, I’m sure all of us who work in this industry—that was a tough year for publications. So I promptly went back from my senior year, switched to the publications track, and knew that that’s what I wanted to do. Right out of college, I worked as a traveling consultant for a women’s organization. I worked the ultimate dream of working in—I grew up in Alabama so the big city of Atlanta is where I wanted to be—I wanted to work an agency life in Atlanta, so I did that! And was in agency for about four years all together and worked as a publicist as well for a chef and his slew of restaurants and then I moved on to working on my own! There are a lot of ups and downs and valleys but that, in a nutshell, is what happened.

And no matter what rules you try to write for your life (“that could never happen to meâ€ÂÂ), sometimes you find yourself at another crossroads … one you never saw yourself at. In 2015, Ashlyn Carter was diagnosed with and partially hospitalized for an eating disorder, generalized anxiety, and depression. Soon after recovery, she realized that something had to change, and she left behind her fast-paced career in big city PR to start her own business. Calligraphy turned into copywriting and before she knew it she was working with creative industry leaders like Jenna Kutcher, Hilary Rushford, and Heather Crabtree. The adrenaline rush of hustling can be insatiable. The payoff even more satisfying. But how much longer can you go? Do you know when to take a step back? Ashlyn Carter, founder of Ashlyn Writes, became very familiar with the adrenaline rush of hustle. Her previous career in corporate PR, and her type A personality, had always pushed her towards perfection. But when the stress from her job as a publicist, coupled with planning a wedding, led to her developing an eating disorder, she knew she had to make a career change. She became inspired by Lara Casey's book, Make it Happen, during her recovery time, and was introduced to the online world of creative female entrepreneurs. Already in love with working in female dominated work environments, due to her time as a traveling leadership consultant for her sorority, Alpha Delta Pi, she knew she wanted to be surrounded by that positivity again. She also had a immense desire to help the careers of female entrepreneurs and get their feet off the ground, and the specialization of creative entrepreneurs online added an exciting twist to the mix. However, when she returned to the work force after her leave of abscene, she went right back to her demanding job as a publicist. With her stress, anxiety, and depression on the rise just two months after coming back, her fiance gave her the extra push that she needed to leave her corporate job once and for all. With a journalism degree under her belt and a talent for calligraphy, Ashyln Writes was born in February of 2016. In her role at Ashlyn Writes, she acts as a copywriter and calligraphist, and specializes in helping creative female entrepreneurs with launch pages, sequence mapping, and sales page copy; with her primary customer base being small wedding businesses. When Ashlyn Writes first started, though, it did not have a specific direction. She was taking any work that she could get. From doing marketing work for corporations, ghost writing for people in Atlanta, writing editorial pieces, and calligraphy work, Ashlyn did it all. She loved the work that she was doing, but she soon got overwhelmed and her business struggled to find its identity. What made her business into the polished organization that it is today was the Illume Retreat in Austin, Texas. The retreat was geared towards creative female entrepreneurs, and acted as a networking event, and helped them relax all while connecting, and learning from professionals in a variety of fields on how to grow their business with intention. They also learned to infuse their story and heart into their business's message and brand. It was here where she gained a lot constructive criticism from these seasoned professionals, and made the ultimate connection with Jenna Kutcher; a wedding photographer and blogger, artist, and educator. Jenna became a significant impact on Ashlyn's business by asking her to design her launch copy and email sequence for her online course, and because of the great job she did, Jenna recommended Ashlyn Writes to almost everyone in her network. From there, Ashlyn became the go-to-girl for launch copy and all that her company specializes in today, and gained her niche audience which allowed her company to grow and mature. One of the greatest lessons she's learned along her journey, though, is knowing when to step away from the hustle, and work from a place of rest. Since she naturally is a high strung person, who truely loves to work, she has to remember take that time away to regroup mentally so she doesn't run herself into the ground.
