Facebook groups work.Early on in business, you're trying every tactic under the sun to drum up business. Me? I started off doing a ton of research into Facebook groups and what the best practices are within them. During the same time of all this research, my dumbass was trying to create my own MailChimp campaigns. I'd gotten to the point with MailChimp where I'd screwed it up so bad; it just wasn't functioning or firing properly. In a moment of rage and pissed-off-ness, I let my guard down and put a post out in a group of veterans asking: “Can anyone tell me how to use MailChimp…I've completely broken it.” As soon as I put that post out there, the sharks started circling. People were jumping on my post and pitching themselves/their companies to me. But there was one guy who didn't pitch at all. Instead, he wrote this 12-page freaking dissertation explaining the many ways that I could fix my MailChimp. It was so fascinating to see someone tell me how I could fix it without even having to hear any sort of pitch. So I slid into the guy's DM's and said, “Alright dude, let's jump on a Zoom call!” We spoke on Zoom and some of the first words out of the guy's mouth were, “Hey– I don't do MailChimp. I use another program called Ontraport.” He helped me figure it all out. I thought I was ready to take it from there…aaaaaand six months later I had it all screwed up again. I reached back out to the guy and felt like I had no choice but to hire his butt to come in and save mine. Who was that dude that helped me? My now good buddy and genius of a partner. Kevin Snow. Welcome to episode 6 of The Automate & Delegate Podcast! Thank you so much for coming and attending this episode of the Automate and Delegate Podcast, where we are talking all about fast, portable and flexible ways to grow your life, your business and relationships. I am your host, Brad Stevens and today I am super excited to be joined by Richard Andrew Mellen. In this episode, we have invited Andrew Mellen. He is a professional organizer, trainer, and coach who is passionate about creating exceptional results for his clients. For 24+ years, he helped individuals, entrepreneurs, B2B businesses, and organizations get organized and simplify their operations—eliminating redundancy while increasing productivity and profitability. Today, Andrew guides us through his experiences in scaling his business, some project management tools, and how we can be remembered by our customers. Scaling Challenges [7:00] Andrew and his team built a beautiful program that people weren't buying because it was self-delivered. They discovered that their avatar was disorganized, has a short attention span, and they're easily distracted. [7:15] A drip-delivered, automated class without any accountability is not a good fit for them. They reconfigured the program to make it high touch, high experience for the customer and teaching it to live instead of pre-recorded and raise the price accordingly. They also built a funnel so that with a free five-day challenge at the front end of it, people were really immersed in their content and philosophy. [8:24] No all-in-one platform is perfect. Ontraport allowed Andrew to scale because it's CRM, landing pages, email campaigns, funnels, it's everything all in one. While none of the functionality is completely top drawer because they're doing all things, all of them are better than average.  They have very little mechanical failure as a result. Being on those platforms for a small business, trying to both market in a big way and deliver high touch, easily interactable experience was a solution for Andrew. [10:42] People will never argue with themselves. They will argue with us all day long because they think that they're the exception. People think that if we understand why they are special, we would cut them some slack and allow one of their 200 lies to be true.   Generosity, Thoughtfulness, and Open-Heartedness [12:00] You're never going to not benefit from being generous, thoughtful, and open-hearted. It's just never. Being miserly and mean-spirited is going to typically harm you either in the short term or the long term.   Nurture Wheel [12:21] Marketing now is going to be education-driven. You got to put value out there and produce content at scale. [12:39] If you stay on a person's nurture wheel and you earn the right to stay in their life and inbox to add value with content and nuggets, you're keeping the content to stay in front of them. When that business event happens in the future, you've earned the right to be in their inbox, and they will remember you.   Foundations of Scaling [15:08] You have to pay attention to when you're laying down the infrastructure. If you're cutting corners, if you're not finishing out your SLPs, and if you're not laying systems out, every one of those is going to be a chink in your armor as you go to scale. [15:43] You have to have an integrator, you've got to have a CEO, you've got to have somebody who's focused on operations and systems because everything about scaling is built on that. It doesn't matter how fast you're accelerating or how brilliant you are. As a visionary, you got to have that structure under you.   The Game Changer [16:20] Emails are a game-changer when we think about infrastructure. At every scale of his clients, Andrew gets internal communications out of the inbox. It doesn't matter which tool you use. Ceasing internal communications via email is a game-changer.   Subject Lines and Threads [18:36] Inside Slack, make sure that you respond inside the thread. Otherwise, it's going to be a never-ending conversation, which is akin to an email thread where the subject line never changes. If you are responding to somebody outside, and it's a new idea or a new meeting, change your subject line. You need to break it so that things are searchable and you're not looking for old information or confusing an old thread with a new thread.   Rocket Fuel [22:07] If you are the visionary, you are not going to be the integrator for your own company, even if that's a role that you play for your clients or your customers. If you provide that degree of executive function for your people, you are not going to be able to do that for yourself. Teaching others to do the work [24:17] Take the time, make a plan, teach somebody the plan, and then take your hands off of it. Let them fail and correct them and until they get it right. Once they own it, you're out of the equation. You got to get your fingers off of operations. Management Tools [26:16] If you're ever at looking at any of project management and team management tools, make sure to do a trial and push yourself through all the scenarios in your business.   The 20% [27:22] If 20% of your best work drives 80% of your revenue and output, if you doubled down on that, you're doing 40%. It's 160% of your output.  You can blow off the rest of the other 60% of your workweek, and you doubled by 100% on your output. Once you home in on that 20% that drives your high-value activities, know where your focus should be, and then just do more of that. It's built on that architecture of systems. Immediately, you're at 160% of output. It's mind-blowing what's possible if you have that degree of focus.   The Stuff behind the Stuff [29:04] What Andrew and his team are really solving is all of the stuff behind this stuff. That's where people get stuck. The stuff on the surface or whatever that disorganization is, that's a superficial symptom of something under it. You are curing that the stuff on the surface magically rearranges itself. That's where you want to go and taking the time to actually look at it and solve it. Figure out your high-value activities, figure out your 20%, and then double down on it and get everybody to give you the space to do that 40% of your week. You'll get amazing results.     The Fours and Fives [32:39] Things that are on your to-do list that are fours and fives are the things that need to be crossed off because you're never going to do them. You either need to delegate them or just set yourself free. Just acknowledge because there will always be new ones, twos, and threes. It's seldom that something that is currently a four or five by the absence of everything else suddenly rises to the significance and becomes a one. It's a four or five now for a reason, so delegate it or cross it off your list.   The Formula [33:56] The winning formula is a combination of tenacity and some form of open-heartedness, willingness, a soft heart, and a hard head.   Another Day, Another opportunity [35:10] If you're in the game to play the game and to win the game, the reward is that every day, you can put your head on the pillow knowing that you played full out, you showed up, you did your best, and you made enough money to be able to keep the lights on and do it tomorrow. Tomorrow's another opportunity to scale to grow to have a bigger impact, to live in alignment with your values to support other people in doing the same thing. [35:45] We're so fortunate to build our own lives in the way that we want to. We want everybody to have that privilege and opportunity, and if that's where we're driving, then it just keeps returning to a sense of gratitude and tenacity. 095: Outsourcing to TECH for a Boost in Productivity with Amber De La Garza

Today on the podcast I'm sharing with you a conversation I had recently with none other than Amber De La Garza, the productivity specialist. Amber is the host of Productivity Straight Talk and she lives in Las Vegas, Nevada. I love going to Las Vegas! Yet every single time I go to Las Vegas, Amber is busy. So let's put our good magic together and hope that next time I go to Las Vegas, I will have the opportunity to see Amber in person again. It's been a year since I last saw her and I cannot wait to catch up. Before I go off on talking about my friendship with Amber, I want to make sure that you know that we have a full transcript of this episode at techofbusiness.com/095/ so that you don't have to sit there and take notes. I was starting to pull out some of the highlights of this episode. And my notes themselves got longer than I wanted. I decided to scrap that and just point you towards the show notes because that's where you're going to get all the juicy nuggets and make sure that you don't miss anything that Amber has to say. Now let's get into this episode and you are going to be blown away. I wanted to bring Amber on to the podcast to share kind of where technology and outsourcing help with productivity. This is something that people come to me all the time with. They're like, “Okay, so I want to use this new tool.” And my first question is, why? Why do you want to use this tool? And if the answer is, “So that I can be more productive.” I start to look and see if Amber has something in her podcast vault that I can send them to. That's really the true reason why I wanted to bring Amber on today. Tech and the relationship of productivity can be kind of a gray area. Amber was really excited to really define how they meet and how do they actually serve each other. Amber thinks that there are a lot of people just jump to, “If I get the right program or the right app or the right this or this, it makes me productive.” Because of this she was really excited to talk about how it actually does help us be more productive. I think that even myself, and probably Amber too, we've implemented technology, and it's made us less productive, either short term or long term. There are a lot of different variables. Sometimes it's even get a piece of tech working and have someone on your team do it or have someone get that piece of tech working and bring it back to you ready to go. So I realized that we never really said what Amber's podcast is and what she is actually a genius at. Amber De La Garza is the productivity specialist. She specializes in productivity for small business owners. And she does that in many different ways. One of them is the podcast she has called “Productivity Straight Talk.” She is also a coach. So she offers group coaching programs, one on one coaching, and she also speaks and trains. So just about any method or modality of sharing the message of why productivity is so important for businesses in our lives, she;s just sharing all the good stuff. So let's talk about when someone says that they want to be more productive. Where do you start with them? Do you start with asking what their day looks like? Do you start with what does their tech look like? Where do you start with that part of the conversation? Amber shared this great example. Let's say she has someone on a discovery call, and they're like, “Oh, I don't know where to start with you. I'm not quite sure.” She makes sure that they're on the same page with how they define productivity. Because if they don't define it the same way, then Amber says that she's not the right person or coach for them. So the very first place she starts is to define it. So how does Amber define productivity? According to Amber… “Productivity is simply when we are investing our best time into our best activities. And that's really, really important because you didn't hear me say an organized desk or color coded calendar or file folders that are completely alphabetical and organized and every paper has a place. I also didn't mention tech. I didn't mention programs. I didn't mention the next project management program. It's with investing your best time into your best activities.” - Amber De La Garza Now, when we say things like, “I don't have enough time, there's never enough time to do those important activities like sales, marketing and visibility, and getting out there and letting people know what you can do servicing your clients.” Then that's you need to be focused on figuring out how can you be more effective and efficient by using tech. How can you be more organized and efficient by being organized, so that you reclaim that time to now focus and show up your best as the business owner? That means doing the things that actually create revenue for your business. So that's how it's all tied in. And yes, we talk about tech and apps and an organization, but those are tools you use to leverage your time so that you show up your best in your business. I love that because there is never a good tech tool that costs you time, energy, or whatever it might cost you that is going to stay in your business if it's not giving you that time back. So when I'm thinking of how to get more time out of the day, that's really where structuring your day and structuring how you're using the technology is important. Simple things like what time is my project management tool going to let me know that things are due. Are they due at two o'clock in the morning? Or are they due at seven o'clock in the morning? Are they do at 10 o'clock at night? Amber can definitely speak to why you may want to use one of those or another based on your most productive time and most productive efforts. Amber thinks that when technology is leveraged correctly, it's actually like a silent employee. One that doesn't talk back and it's working for you behind the scenes. There is an investment, but the investment means you're getting a return on that. So if you create or set up a project management program, that when you put in information it now organizes it and spits it back to you, it now becomes kind of like your boss or your executive assistant. And your calendar can the same thing. You can have your calendar do notifications and say, “Hey, it's time to transition you're going on a podcast.” Or “Hey, this project is due or this task is due.” If you have systems with through automation and technology that you trust that are set up, then you actually create bandwidth space in your head to really focus on CEO things like a bigger vision. You aren't necessarily focusing on what's next on the task list. And so that's how Amber sees that it can be very beneficial if you're looking at setting up the tech, you want to make sure that it can actually feed back information to you in a way that you trust. Oftentimes they're more organized than you, too. So say you're leveraging a project management tool. They're consistent. You set it up once. And you put in the information correct. They're consistently showing up for you. And that can almost be better than you can count on employees sometimes. So that's why Amber sees that tech is a really, really cool thing. I do love the idea of outsourcing to your technology. I think that's a really valuable thought process. If you give this tech tool something and it's outsource properly, it's going to give you back what you need. So one of the pillars that Amber teaches is how to leverage through people. Her method “The Stop Method.” And that's how to leverage yourself, your time, organization, and people. What's interesting is that if you are not the tech person, if you're pulling your hair out dreading it, pushing that project off, it's never getting done, or you simply don't understand it, then that is not a hat that I believe you should be wearing. Because now you're stealing that time of when you're wearing that hat for time from when you could be really doing things that are going to move your business. So when Amber looks at building a dream team, she thinks it includes not just employees, but also independent contractors and such. You're using them for project based things like getting website up. Or maybe you're not a graphic designer and you need new business cards. You could probably do that, but it's probably going to take you three times as long. Another big place that Amber thinks a lot of business owners need help in is setting up systems. Either their brain doesn't think that way or they're just plain not good at tech. That's totally possible. And then it's a project. You're set up and now you get to utilize the benefits of that tech after somebody, like me, is serving it up and figuring it out. Working out the bugs and the kinks. To me, this made really good sense. So what I heard Amber say, is that just because you may not be, as a business owner, the most technology savvy person, that doesn't mean you can't still outsource good things to tech. It just means that the project of bringing that tech on is something that you will probably hire an independent contractor or me or things like that into the business. Amber shared that even if you are good at tech, you should think about outsourcing it if that's not the primary way that you make money and serve your business. For example, Amber loves tech. She's that person that is watching videos about Ontraport or the next new website thing. That's what she would actually do in her spare time for fun. But at the end of the day, she brought in an entrepreneur consultant. Because at the end of the day, it takes a lot of time, energy, and focus and it's not the best use of her time to grow her business. What she has, because she understands it, is an ability to be really clear about what she wants the program to do. And so she thinks that it's also beneficial for people that do get it. If you get it, that's cool. You can probably more clearly state what you want the program app or tech to do. But sometimes, you just have to get out of the way and let someone that that's their zone of genius to do so that you're reclaiming time. The time you need to do the things that only you can do. So if you don't have a sales person in your company, you're doing sales. That's not something you can project-based outsource, but you can outsource tech setup. I say that all the time that tech is outsourceable. Why not leverage that ability so that you can do something that is in your zone of genius? So that you can spend time on something that only you can do. If you as the business owner, get fired up getting on Facebook Lives, then get on more Facebook Lives. And dedicate the time that you would have had to spend to set up whatever that system is, or whatever that processes are to do what drives your business. Amber says to look at like real dollars and time. She shared that if it's not in her zone of genius it may take her two times as long as I do to set something up. So it's going to take her 20 hours. And it's going to take me 10 hours. So her question to herself as the business owner would be, what impact would 20 hours of my time be, in my business elsewhere? You can literally lay that over a networking event or a conference, whatever your marketing visibility is, or 20 hours of sales conversations. Could you not massively get a return on that investment versus 20 hours of tech set up? So we're not just looking at a trade of time and money. We're looking at opportunity costs. That 20 hours that you're spending, trying to figure out the tech and the frustration, is an opportunity cost of you not being elsewhere in your business that needs you and only you as a small business owner. We build our businesses to feel good about what we do. Amber shared that she doesn't know about you, the listener. But if tech is not your thing, then her guess is you're showing up and when you're done, you're frustrated and your mindset is altered. And while maybe you physically put in 20 hours, did it really take 30? Because you're just done with the day and so frustrated. What energy was depleted from doing something that was not in your zone of genius, versus showing up doing the things that light you up, which may be serving your clients? I'd like to lay on top of that as well, the cost of the outsourcing. So if it's something that I'm estimating is going to cost you $1,000 to do. So that's $1,000 out of your pocket. If it was going to take you 20 hours to accomplish it. You have to then look and say “Okay, Is 20 hours worth more? Or is $1,000 worth more?” But then, adding back in what Amber said, it's not necessarily just 20 hours. It's the energy! It's the 30 hours that she's talking about here. So all of a sudden, this $1000 outflow looks on the balance scales against all these other things that you could be doing in your business that are both positive and negative. And most of the time, the outsourcing opportunity far outweighs trying to do it yourself. Amber thinks that's the conversation about should we outsource? Should we not outsource? But she thinks more of that conversation is, should I even incorporate tech automation? That's where she would say, “Do we incorporate automation and what's the return on investment?” How much time is it going to save you or your team? For example, let's just say you had a CRM system set up, and now it's telling you when to follow up with people. Whereas by yourself, you were inconsistent at best. But now that you have a system telling you when to consistently follow up, how many more deals could you close because of the tech? That's the value of using these apps, programs, automation, and tech. How does it let you show up your best, consistently in the business? Which again, full circle is being your most productive self. I just loved the way that we brought this back to why you want to look at how you spend your time in your business! How are you spending things like your energy in your business? One of the things that I know is that oftentimes the learning side of a new process, a new system, a new tool, we will let that scope creep. We will let that time creep instead of stopping work at two o'clock, so I can go pick up the kids. Because of course, driving takes 25 minutes. But that's another story altogether. I'm going to say, “Okay, I have to stop now. But oh, I'll watch that YouTube video later.” And suddenly you dig into your family time and you dig into other times, because you're trying to learn something that is not beneficial to getting that next client. You're working on something that's not within your zone of genius! And you're not spending the best time on the best work. When Amber defines productivity, the investing your best time into your best activities, those activities for her and how she defines them for her clients is in four buckets. It doesn't matter your industry. Where you're at, as a small business owner and small businesses under 50 employees, and your most productive activities are either supervising or being in these four buckets. Bucket number one is marketing and visibility. And bucket number two is sales. Bucket number three is servicing your clients. And bucket number four is leadership. So as you're building your business, you're going to be spending more time leadership because you can eventually outsource servicing your clients, sales, and marketing. But the core of having your business profitable, will fall under one of those four buckets. Now, where does tech fall into? Tech can help us be better in one of those four buckets. But when we're learning the tech and in the videos, and we're actively trying to put this tech together, that falls under the other bucket. It is a way of actively procrastinating, but calling ourselves busy. We're thinking that we're being productive as a business owner if this is not our zone of genius. Amber shared for me this is not true. This would literally land under servicing my clients. So an investment in learning something is like sharpening my saw so that I can serve my clients. But for coaches, financial advisors, marketers, or whatever type of the business, that's not their zone of genius. So we can solve this like hamsters like, “Oh, but we're busy. But I'm moving the ball forward.” Yes, but it's not what your business needs from you the most to make the biggest impact. I really like that. What does your business need the most from you to make the biggest impact?  That is beautiful. That is most likely a quote that someone has just read somewhere on social media because it was good! That other bucket is a dangerous, dangerous place. But it is so, so necessary. It's also very for us to not always be on. And if we can be in that other bucket sometimes I think that makes good sense. The other bucket is absolutely relevant. Like you need to pay your bills. And you need your balance sheet. If you don't have a bookkeeper, you're balancing your checkbook. There's really real things!. Honestly, my strategies are for people running real businesses. The truth is that when you put on your tech hat, you're probably your janitor too. And you're the CEO, the marketer, and the salesperson. That's when smoothness feels super, super overwhelming. So in the context of this episode, we're talking where would that tech fall under and it's the other bucket. Now, you certainly can learn it sometimes. Amber said that she didn't want to make any false statements here. She still does tech in her business. But big projects, she outsources. So the other bucket is a necessity. It can't be at the expense of showing up in your first four buckets. And that's the thing is like it. Amber shared with her model, the fifth bucket, the other bucket, is important. We need a time and place for that. But we're approaching our businesses as we're showing up in that other bucket instead of the first four buckets. That's when businesses are not profitable. You're picking a paycheck. That's when immense frustration comes in. And so that's why I like separating the two. What I was thinking about just there is that things that you are doing in the other bucket, especially in the tech when you're doing that, is going to bleed into your being a better leader. It's going to bleed into doing better in your visibility and marketing. And it is going to help you service your customers better. It's going to help you close more sales. So there is definitely value. This is just one of the reasons why I really wanted to bring Amber on to the podcast. To help people get the perspective of how can we use our time to the best benefit of our business. I feel like we're really kind of covering that. Tech is going to definitely help. It doesn't matter what tool it is if it's the right tool for your business, right now. Amber shared that It's not the shiny object that you thought was going to fix a problem. She wants to get really, really clear about that. It has got to be like let's do some work. You need to research about this. It needs to be the right program for your need, not what your business bestie said they're using. You just want to jump and now you're jumping ship and adding another tech to your to your business. We don't add tech because it's a nice garnish because it's going to give us fuel. I feel like we've just really covered the advantages of using tech and outsourcing and making it so that your business just does more. Amber shared that her business is a small business. And they use quite a bit of tech. There's a lot behind the scenes that they use and they have some favorites. Every once in a while, something new will come on the market. Amber share that she is not a first adopter. She lets it get tried. She shared that she really has to have a pain point to do a switch in mher business because she does see the opportunity of cost, of switching. And so she just wants to be always cognizant of not switch, switch, switch every time something new hits the market. I firmly believe that is absolutely the fastest way to have tech make you go out of business is by doing that constant switching. Another other thing that Amber wanted to share is sometimes there's too much tech. And what that means is you have gone on a tech buying binge. You're just buying it all because you like this feature or this feature. And you didn't take the time to audit which you already had. Most likely, some of the tech you have already has the features because maybe they got upgraded or they didn't have that feature when you first bought that. Then what happens is it becomes really heavy. It becomes really, really complicated. You're paying more in subscriptions than you need to be paying. So Amber thinks that is a huge benefit in either having someone on your team or someone you're outsourcing to that, just letting you know, like, “Hey, did you know this could do this? Or did you know that I'm looking at the whole ecosystem of your tech and making sure it's as effective and efficient as possible.” is really beneficial. Then it's important to take the time to actually read those emails that come in that says there is a new feature on a program you already use. Because that's often a goal. That means you don't need to do the search of what's this new program out on the market. You may already have it at your fingertips. But you just didn't read that email or see that announcement. Similar to that is, if you get that announcement and you read it and you say, “Hey, this means I can throw out this other system because I don't need this other system anymore.” That's a really good time to say, “Okay, we're going to implement this new system, this new tool within the system we're already using and be able to get rid of another tool.” That's a huge piece of all of this. Nobody needs to have a virtual store room full of software tools and monthly subscriptions. Yes, our businesses don't need it. Even tech lovers like me, who can make it all work together and make it so that it doesn't feel so heavy and so big and so bloated. It still could be so heavy, so big and so bloated. So don't go there. And if you are trying to figure out how to streamline that, figure out where your pain point is. Are you not productive enough because you haven't used this tool efficiently? This is why we are visible in this medium because we want to help you. Amber says it can be a total rabbit hole to go down and figure out what this feature is and is it compatible with other tools. Amber calls a tech audit Frankensteining your text together. You add this one. Then a little while later, you add another one, and then you add another one and, and then you're frustrated with it because something's not talking to something or it doesn't work. And really, you haven't stopped to take an audit of it. And when you do that, there's so many benefits. You get your time back, things work better. And it's more efficient. You're probably paying less in subscriptions or however you're paying for your tech. So Amber can see a tech audit to be very, very beneficial. This was such a fun conversation with Amber. And we talked about figuring out how to be productive by using your best time for the best activities. We talked about what tools you can use to make this flow so much easier. Laura Hanly, a writer specializing in content marketing for online businesses joins me today to drop some incredible value for business owners struggling to nail down their content strategy. Through her business, Laura Hanly Content Marketing Agency, she helps online businesses hone their competitive edge with powerful content marketing processes. Great news for us all, Laura is also writing a book entitled, Content That Converts: A Profitable and Predictable B2B Content Marketing Strategy. You can follow Laura's progress, get early chapters, and loads of free advice on writing in her private Facebook Group. Laura has been in the industry of content promotion for a long time. She worked in the major Australian publishing houses for several years, promoting and reviewing books, before starting her own online business. When she moved online and started working with e-commerce and B2B companies, she found that most of those businesses had a really incomplete approach to their content marketing. “Once I had been in the online space for a while and honed that part of the expertise, it seemed like a really unique opportunity to me to combine those two types of experiences to help businesses actually see a return on all of the effort they are putting into their content.” When Laura is onboarding a new client and getting familiar with their needs, she has three key questions that get at the basis of any sound marketing strategy: Who are your customers? What are you offering them? How are you delivering that? It's all about understanding who your audience is, getting really clear about who you're actually communicating with, what your offer is, and, finally, figuring out your messaging. Her introductory  questions ensure that her clients are really clear about those three elements, and then helps to determine a guiding principle, a north star, for their content marketing strategy. This is how Laura is able to hone in on someone's voice, whether to assist her in ghost writing the content for them, or to help them be more consistent in their messaging. “You have to start with a really broad view and get to know the business and the people running the business, before you can get down to those nitty-gritty bits.” There are a couple areas that many entrepreneurs are struggling with: Many entrepreneurs don't have a complete strategy around their content. “It's really not enough to just pump out blog posts or podcasts. They really have to be part of the ecosystem.” You want to make sure you have an opt-in offer, or a lead magnet, that's going to capture all of the traffic that comes to your site You want to have email funnels that educate people and move them towards taking action with you Regular sales offers and goodwill campaigns that make money and keep the list healthy People struggle to produce content regularly. “A lot of entrepreneurs have these amazing skills and really are experts in really interesting fields, but it's a struggle for them to communicate their expertise. My big focus is helping them put systems in place that are really going to enable them to communicate their expertise in a way that's not overly-draining or time-consuming for them.” The most important high-leverage system that Laura has implemented for her clients is a quarterly content plan filled out with content themes. Pick three or four things that you really want to be known for in your industry, and put those into a quarterly content plan that maps out exactly what each piece of content will be each week, along with three or four key points you want to touch on for those posts. If you fill out this plan, you will know what to do whenever you sit down to produce content. How and when you deliver your content will vary based on industry. High-end consulting and coaching businesses will want to create a luxury or catered experience. B2B will want to be consistent and less frequent thanB2C, where you have more flexibility. However, every business in every industry is different, so you will need to test any content distribution methods to find what is most effective for you and your industry. Deciding the right email-marketing client to use can be daunting. Laura uses ActiveCampaign because of their segmenting capabilities, and because their workflows create effective funnels. Drip has similar capabilities, and is a little more visually appealing. If you are looking for something enterprise-level, InfusionSoft and ONTRAPORT are amazing tools if you have a complex offering, a business with a lot of moving parts, or your business is already established. It's important to be aware of your company's needs, your current budget, and not to sign on with a platform that is so overwhelmingly techy that it prevents you from getting started. Laura often encounters resistance to delegating content production responsibilities, when she is working with entrepreneurs who have a defined personal brand. “Everyone who is the face of their brand, or whose reputation is connected to their business, is just terrified of outsourcing their content.” It's totally understandable, but it also puts hard limits on what an entrepreneur can achieve with their content. “This is where the quarterly planning spreadsheet comes into play, because it's an opportunity for you to map out exactly what you want to be communicated to your audience, the language you want used, the positioning and everything. Planning all of that out with a writer you really trust gives you the opportunity to communicate all of that, while only spending a very small amount of your own time.” If you aren't working with a content marketing team or specialist, then the quarterly planning spreadsheet can still help. After you have your content schedule, plan days to write and finish batches of content. Batching can be a more approachable way of getting that work done, and it can help you make sure each piece of content relate to each other. If your business is a little bit newer and you are looking to grow your list, web summits are performing really well for list growth. A web summit is a collection of people within an industry who, usually over the course of a couple days, will talk about a variety of topics within an industry. “If you can get together with a few other people in your industry, and do a bunch of interviews and make it really valuable for people who are interested in your particular expertise, then that's a great way to cross pollinate with other people in your area who have complementary businesses. It's also a great way, down the line, to establish affiliate relationships.” Lately, Laura has also been helping people produce books for their business by ghost writing. “I think books are one of the biggest opportunities for businesses online at the moment.” Producing a book is a great way to differentiate yourself from your market, particularly if you have a lot of aggressive competitors. “It's a really powerful calling card. I think there's really no better way to establish yourself as an authority than by writing a book.” Writing a book shows that you are a serious player in the industry, and you can use a book to create multiple revenue streams. There are the sales of the book, but you can also send the book to prospective clients. “When you have a really high price-point offering … it's a great way to show that you're really going to be worth it.” Laura packed this interview full of value and helpful tips about content production, email marketing and writing books for The Bold Life Movement. Tom Schwab began his professional life as a U.S. Navy officer running a nuclear power plant on an aircraft carrier. As his family grew, he decided to separate from the Navy and went into industry. He later started his own business selling alternatives to crutches, and along the way, cultivated his skills in marketing. Tom is now an inbound marketing specialist. He has been a speaker at HubSpot's Inbound conference. He equates inbound marketing with permission-based marketing and outbound marketing with interruption-based marketing. He works with clients one-on-one to help them formulate their overall inbound marketing strategy and to get them to go beyond buying their traffic and start earning it. He found that the best content for conversion is podcast interviews. The investment is minimal in terms of time, but the ability to talk directly to customers is amazing. Tom teaches and coaches his client's to grow their businesses using podcast interviews to reach a specific target audience. Please see Disclosure* (below) concerning affiliate links on this page. Key Segments [00:10] Ultimately, people want to buy. They want to solve their own problem. If you help to frame that and to show them that you might be a good solution, you have a much better chance of getting a great customer, an advocate, and the lifetime value of the customer, than somebody doing a one-and-done because somebody clicked a couple of ad words. [02:50] What is inbound marketing? It's about trying to help people buy. It's about helping them find answers to their questions. You can either earn attention by being helpful or buy attention. [03:40] Nobody really wants your product or service. They want relief from a problem they have. Those who help them solve their problem are the ones who build the brands. It has never been easier than today to make a transaction online, but it has never been harder to build a business and differentiate it. Talk to their pain. [04:25] How do you get your message out there? Blogs are pretty much saturated. They're not working as well as they did five years ago, but podcasts are up-and-coming. You can talk directly to your ideal customer by being on a podcast they already listen to. Blogs convert at 1 to 2 percent, but we found that podcast interviews convert at about 25 times that. [05:15] It's not just about getting on podcasts or just getting known. There's a strategy. We have a six step process to take people from listeners to visitors and from visitors to leads. [Listen to this section for the detailed steps.] This strategy doesn't cost anything except time, and it's repeatable. Sometimes you can even control when it goes out. For over a year, we did it with 12 clients one-on-one using over 500 different interviews to test the system then we started it as a course, a minimally viable product. We got feedback, improved it, added resources to it, and now it's a fully launched course. [10:15] Our company is called Inbound for eCommerce. Engineering dictated how I see the world. A lot of marketers think of the world as marketing; I think of it as an engineering problem to be solved. Today, data is telling you what people loathe and love. If a customer keeps telling you that they have a problem and need a solution, that's the next product you should build. Build a minimally viable product, put it out there, and ask them open-ended questions like: “What questions do you still have?” or “What resources do you still need?” Keep answering the questions and making the product better. [11:50] The course for being a podcast guest is one portion of our business. I also work with clients one-on-one to help them do their overall inbound marketing. We work with eCommerce companies to get them beyond buying their traffic and starting to earn it. But one of the things we stumbled on is that the best content we could find is podcast interviews. The investment is minimal in terms of time, but the ability to talk to your customer is amazing. [13:55] If someone comes to you with a SaaS product, what would the process look like to for you to work with them and get them on the right podcasts? The biggest thing is defining who they want to talk to. We can do this one-on-one. The online course also walks people through this, and we throw in two 30-minute coaching sessions with that. Most SaaS companies already have visitor-to-lead and lead-to-customer already built. What they struggle with is how to get people to their site. [15:35] Marketing is all about starting a conversation with your ideal customer. Are you going to buy ads or are you going to go out there and speak to your ideal customer? We help people get the word out through inbound marketing. How are you going to get new customers? Are you going to buy the traffic? How are you going to get in front of them to let them know that you exist? There's no better way to do that than content. If you buy attention, it's there, and it's gone. The next day you have to buy more. Content is always out there. [18:55] What is outbound marketing? That's the marketing that we all know and hate. Outbound marketing is interruption marketing. It's where someone is trying to sell something to you, to push it on you. It's not targeted. It's not helpful. It's focused on what I can get from you. [19:40] Inbound is focused on drawing people in and helping them by answering their questions and solving their problems. It's permission-based marketing. The cost of inbound is minimal. With outbound, whoever has the biggest budget wins. Our grandparents built businesses based on inbound marketing. They weren't using tricks or buying attention. They earned the attention. They had to serve their customers. They had a customer-centric model. Ultimately, people want to buy. They want to solve their problem. If you help to frame that and to show them that you might be a good solution, you've got a much better chance of getting a great customer, an advocate, and the lifetime value of the customer, than a company doing a one-and-done because somebody clicked a couple of ad words. [22:40] Concerning Goodbye Crutches, what are the alternatives to crutches? [25:20] The best SaaS companies have a good on-boarding process. They want to make sure you learn how to use their product. They want to make sure you see value in it. They want to make sure you differentiate it from other products, so that four months from now when you're going through your credit card statement, you think: “That brings value to me.” [26:15] Tom has spoken at a breakout session of the Inbound He provides some perspective and history. He talks about how the conference content gets shared thus amplifying its impact. [27:20] Tom will be speaking at OntraPalooza because of a podcast interview he did on how you can use user-generated content to tell your stories. As business owners, we are sometimes the worst people to tell our story because we start talking about features and how the product or company was built, but what people care about are the benefits. There is nobody better to talk about the benefits of your product than your customers. Tom hired a journalism student to follow up with customers who had written thank-you notes, interview them, get some pictures, and tell their stories. Each customer's story is different and resonates with a different buyer persona. [35:30] Tom is a big fan of intellectual cross-pollination to expose yourself to new ideas. If we always stay around the same people, who know the same ideas and read the same books and go to the same conferences, we'll never be exposed to new ideas. He loves listening to things like Ted Talks because you get exposed to different ideas. You can take an idea from somebody else's industry and apply it to yours. Read books from different industries. Attend conferences that are not niched to your area. [38:15] The biggest struggle any business has is getting the word out. The Internet makes it very easy, but there is a lot of noise. Don't try to get your word out to everyone because not everyone cares. Find a handful of people, the fans, and serve them well. Hi, welcome to the online marketing news on the 11th March 2014. 1.I mentioned last that Infusionsoft had announced they were releasing an app for IOS and android. Well today they've announced it's here. So Infusion users go and download that today and get access to your CRM via your mobile. 2. Fiverr have just updated their IOS App. In version 1.34 they have made a lot of improvements to the collection and search features making using Fiverr on your iPhone even easier. 3. For those of you in the UK, you may be aware of the website, Skill Pages. An online marketing job posting site where you can post the online marketing job you need help with and willing candidates can apply. Skill Pages have just announced their upgraded service, Skill pages Gold which is a little bit like LinkedIn premium. You can see who's viewed your profile, you can reach people with an extra messaging allowance and you get enhanced search and save features too. 4. Getty images the internets biggest stock images giant, who are famous for suing anyone and everyone who illegally uses their images, so much so that some people accuse them of that being their business model, have done a u-turn. It seems that seeing as they can't sue everyone that they have been forced to think of other ways to monetize. Now you can use their Embed code and iframe to use their images on your site for free and with no watermark. They will be making over 35 million of these images available. Good news, right? Well yes, depending on your view point. Because with their iframe installed on your site they can collect data and rumour has it, that's what they plan on selling in order to monetize. So there are privacy concerns. From my point of view, I'm happy to see them making this move, stock images don't come cheap and this can be a good option for those who perhaps can't afford to buy them and it means they can do this legally, without running the risk of getting a cease and desist letter from Getty. 5. Speakpipe, the website widget that allows people to leave you a voicemail via your website has improved their software by adding their inline widget to their offering. Previously, there was a dialog or pop-up window which asked visitors to leave a voice message but now you can add it to blog posts and give some more context to why someone should leave you a message. It's more flexible and there's more options than before. 6. Leadpages have designed a new lead gen page with an emphasis on Social Proof. The social proof opt-in page has a space at the top for you to show any media publications you have been featured in as well as a testimonials section at the bottom. 7. Wistia now have Ontraport Integration, if you use Ontraport as your autoresponder then you can now build your list using Wistia's video marketing software. 8. Last week I mentioned that Todd Brown is launching his 6 Figure Funnel Formula Training Program and that is out on sale as of today. If you don't know already, Todd is the best in the world when it comes to teaching how to make a profitable marketing funnel, he's a previous guest on the show, he really knows his stuff. The training is just $297 which is ridiculously low! He should be charging several thousand for it so I suggest you take him up on his offer before it goes away. 9. Frank Kern has released a new book called Convert. You can get a physical copy sent to you in the post for free, all you pay is shipping and handling charge but the book itself is free. You may want to go and take him up on that offer. 10. In Facebook news, Facebook fan pages are about to change their layout and will be given a new streamlined look, it's cleaner and less messy looking, I think it's a good thing. 11. Along with this change will come the new “pages to watch" feature. It allows you to keep an eye on your competitors fan pages and see some basic analytics of how they are performing. In my opinion I can only think Facebook are using this to pressurize people into spending more money with them. If you feel like people are watching your pages analytics then maybe will you feel like you need to try and boost your stats and the only way to do that is with their advertising. I love Facebook ads and think everyone should be using them, however this approach, pressuring people to start using them, in my opinion isn't cool. 12. In Twitter news, Twitter have announced that they will be testing click to call technology in their twitter ads meaning someone who reads your tweet, can call you right there and then with the click of a button. 13. Instagram have struck a big advertising deal with Omnicom worth up to $100 million. It doesn't change instagram ads themselves but allow them to be sold via Omnicom's advertising agencies and therefore will be more likely to be used by more brands and companies that perhaps aren't already. 14. In LinkedIn news, LinkedIn are extending their sponsored InMail capabilities to mobile meaning you can pay to reach people in their linkedin inbox which has been possible since last year but now you can reach them on mobile too where they are perhaps even more likely to read your message. 15. A few new podcasts which have come to my attention. The Doberman Dan show, Dan is a previous guest on the show and he's a top marketer and copywriter and I've loved it so far. Ben Settle has a new show called Anti-Preneur, Ben is a top, top copywriter and I'm glued to his emails and now I'll be glued to his podcast. Ben is lined up to be a guest on the online marketing show so stay tuned. And finally Brendon Burchard has a new podcast called The Charged Life. This podcast has a mindset, personal development aspect to it as well as all the usual business and marketing stuff too. Go subscribe. 16. There's some cool events coming up which I haven't previously mentioned... UK Marketing Summit 2 is taking place in Manchester, England this weekend, the 15th and 16th of March hosted by Simon Warner and Richard Fairbairn. Speakers include Alex Jeffreys, Mark Lyford and Soren Jordansen. James Schramko is holding Superfast Business Live in Sydney, Australia on the 20th and 21st of March. In addition to James himself, speakers include Ezra Firstone, Keith Kranc, Taki Moore, Justin Brooke, Dan Dobos and Andre Chaperon, just to name a few! Munich, Germany March 25th-26th, London, England, May 13th-14th, Sydney Australia, May 27th and 28th, Seattle, Washington, June 11-12th and Paris, France, June 16th-17th. Mo Mastafa is holding his SEO Profits Workshop in Cardiff, Wales on the 24th of April. I'll be at that event, anyone listening in Wales or South West England, I'd love to see you there. And last but not least I am going to be running several online marketing seminars for local businesses across the south of England.
