Welcome to my VA Snapshot series of The Ridiculously Good VA Show, where we will talk about the specific services that Virtual Assistants can offer different target markets. When you choose a target market, you learn about what they do in their business - how they find their clients, how they work with their clients, and what kinds of things they need help with in their business. After learning the ins and outs of what they do, you can speak very clearly sbout how your services will support them. Why? Because you know how their business runs and what is important to them to keep it running smoothly and growing - and you know precisely the services you can offer them. Lots of them. That's the key to working with a target market. That you find large groups of clients that all need the same services - and then you can get clients easily. I am Tracey DAviero, Virtual Assistant Coach and Trainer and in this series, we are going to dive into 25 or 30 different industries and professions that use Virtual Assistants, and I'll share what kinds of tasks you can do for them. Then you can decide who you want to work with, and start connecting with them! In this episode we will be talking about speakers. What do speakers need to focus on in their business? They are the talent. They need to focus on delivering their craft - speeches, talks, events - and growing their speaking business. By working with a VA, speakers can save a lot of time doing the legwork it takes to get great gigs and make great contacts. Let's talk about what speakers do in their business – and what they services they might place value on and outsource to a VA. Speakers – good and busy ones – have lots of moving parts to their business. I have 15 service suggestions that you can provide for speaking clients. Let's dig in. Admin – speakers need admin of all kinds. Just like all business owners. What kind of admin tasks could you do for a speaker? Managing their inbox, responding to emails, scheduling appointments, coordinating speaking gigs, webinars, podcast and other interviews. If they travel, you can also offer travel services including booking accommodations and transportation. And of course, managing their connections and databases. There is no end to the admin tasks that you can offer, but these are some that are specific to a speaker as a client. Outreach – this is one of the most important things you can do for your speaker clients – find them gigs. Find them interviews, podcasts, conferences, summits, events, and other opportunities to speak. Marketing and promotion support – implement their marketing strategies to increase their visibility and reach. They can't get hired unless people know about them and that's what you can help with. Along with getting their name out there, you want to create and manage their communication with their audience as well, so perhaps some email marketing assistance would also be a service to consider. Understanding and using affiliate links would even be a good idea, so they can earn affiliate income from the other businesses they connect with. Social media can also be a big part of this – and if they have an online community, you can manage that for them too. Content Creation and Editing – Repurposing content is a huge service for speakers. They provide the main piece but to promote them it can be split up into many many other pieces to use on various platforms. You could provide transcription and audio or video editing to create really awesome marketing materials and content for them. And of course creating and formatting their presentations and support materials is a great service for speakers. Website maintenance – you don't have to be a full on website designer, but being able to keep their media and events pages up to date with where they are, and where they have been, is an excellent service offering for speakers. Technology Support – assisting with tech setup and troubleshooting for things like virtual speaking engagements or events is very important. On their own events, the speaker is usually the main event or the host interviewing someone else, and they are, again, the talent. Being able to manage the events and handle the issues live is invaluable. Event Coordination – helping to organize their speaking engagements, webinars, workshops, conferences – there are so many details. From booking the venue to AV to food and beverage, and attendee registration. Virtual or live, event coordination for speakers hosting their own events is a service unto itself. Client Relations – being able to manage their inquiries, correspondence, and other details from clients, event organizers and potential partners is a great service to offer. There are lots of details with every event, and you want to make sure that your speaker client fulfills their requirements, and has others do the same for them. Financial management – you could event manage the important part – where you speaker client gets paid! Contracts, invoices, payments, expenses … all important things to keep track of for their speaking business. There are so many more but these are 9 of the most important things that a speaker could get help with. Some speakers want help with all of it! Some might want just some things done. It all depends on their budget. But when you talk to speakers, these are the things you want to talk about in detail, so they know that you understand their business and would be amazing at supporting them. It's really easy to create packages that directly relate to a speaker's business when you break it down like this. I hope you find this list extremely valuable. I hope you took notes! In this episode of OutBüro Voices featuring LGBTQ professionals, entrepreneurs, and community leaders from around the world, host Dennis Velco chats with Jaco Kleynhans is a South African based technology business owner, NijaCo, and founder of the NGO A Community of Humans that provides technology support and training to other LGBTQ NGOs throughout Africa. In Jaco's early career he was in the South African Air Force where he was assigned a special project to learn web development and create websites for various South African Air Force divisions. He fell in love with web and software development. After his Air Form term, he launched his own technology and software development company NinjaCo. Working professionally in the space he realizes that LGBTQ NGOs in Africa lacked the support and skills they need to be successful. So, with passion and vigor, he created the NGO A Community of Humans to provide technology support and training for other LGBTQ NGOs throughout all of Africa. One of the most frequently requested support is to create reporting dashboard to demonstrate the efficiency and effectiveness of what the LGBTQ NGOs provide to their served communities. This reporting is critical in obtaining and maintaining grants. The dashboards might include if the NGO is medically focused such as HIV treatment and prevention, things like, how many patients are seen, treated, followed up with, the efficacy of treatment, and so forth. Grant providers want to be certain that the funds they are providing is being used appropriately and making a real difference. Jaco and his A Community of Humans NGO have created partnerships with global leading software and hardware companies to provide the LGBTQ NGOs with the tools they need to operate and be effective in their communities. It's not just enough to provide the tools, the LGBTQ NGO management, and team members also need to know how to use them. So Jaco, teamed up with those providers to provide training and education. As if that wasn't enough, Jaco has paid attention to the technology job market and like many reports and studies show, there is a global deficit of trained and certified technology professionals to fill all the talent needs spanning from small businesses, NGOs, and large corporations. Jaco has expanded the training and education to include providing it to members of the community in where the LGBTQ NGOs he already supports are located. The technology partners provide the hardware and software. The LGBTQ NGOs provide the classroom space. A Community of Humans provides the tables, chairs, and in-person instructors to lead the students through the content providing guidance and the support the students need. Jaco even reached out to an internet provider to provide the students with internet access so that they can access all the training content online and perform their homework out of the classroom. Jaco also reached out to the school that he attended nearly 20 years ago and formed a partnership in where current students can internship on the A Community of Humans projects to gain real-world practical experience. This experience will include but is not limited to, reporting dashboard development, website development, custom web, and smartphone application development, technology security, marketing, communications, strategic planning, and so much more. As the largest irrigation district by irrigated acres in Canada, St Mary River Irrigation District (SMRID) has licenses to divert water from the St. Mary, Waterton and Belly rivers. The total volume of SMRID's allowable diversion is 722,000 ac/ft. or about 890 million cubic meters of water. On average however, the SMRID diverts only around 50 per cent of its total license. One of its licenses now allows for not only water for irrigation as originally conceived, but for other uses such as municipal, industrial, recreational and environmental. It must be noted though, the SMRID does not allow water to be used for well injection. Investment by the district and irrigators to improve the efficiency of transport and application of water to crops has facilitated reduced diversion volumes, while irrigated acreage has increased. Almost all of the reservoirs within the SMRID system have the benefit of opportunistic recreational use. Ridge, Sauder, Forty Mile and Stafford reservoirs are heavily used and some include public camping and boat launch facilities. SMRID has the ability to efficiently deliver water to more than 2,000 irrigators, who irrigate nearly 400,000 acres of land. This is done by diverting almost 400,000 ac/ft. of water per year through 2,100 kilometers of canals and pipeline. The speaker will give an overview of irrigation impacts on this region and explain how improved infrastructure and technology opportunities has benefitted irrigators in the St. Mary Projects. He will also speculate on future challenges irrigation districts might be facing. He was born in Zimbabwe and educated in Civil Engineering Technology in South Africa. In this first session, we are pleased to have with us nominee Maritta Terrell from Lloyd Gosselink Rochelle & Townsend. The Technology Support Professional of the Year award recognizes an individual who has demonstrated superior service in providing attorney and staff support in roles that require specific technical proficiencies focused on training and support, technical or engineering disciplines, or any role that creates high touch-points for the actual implementation and support of the technology within their organization. Speakers: Pamela Hart manages Hunton & Williams's technology training and staff professional development programs across global locations. With over 15 years of experience educating lawyers and legal staff on the effective use of technology, she has initiated several successful programs such as IT coaching, skills assessment and online learning, resulting in dramatically improved legal team collaboration and client service. Pamela was the recipient of ILTA's Technology Support Professional of the Year award in 2014. Maritta Terrell is a Trainer and Help Desk Specialist at Lloyd Gosselink Rochelle & Townsend, where she has worked for over a decade. She has been an active ILTA volunteer for many years and is the Vice President of Education at Toastmasters International - West Austin II Club. Previously, she was a school teacher and librarian. In 2015, Maritta was nominated for ILTA's Technology Support Professional of the Year award.

Topic #1: Debunking Myth #1: When employees have skill deficits, invest in the best training you can find, and your performance problems will be “fixed Timing on Recording: @ 10:09 --- Only 20% will follow through with training after the class. For 80% - the training does not stick - even if it was excellent training. Money is wasted. For many years research has been telling us that we have this problem and that we need more follow through after training. They are good people, but in the flow of hectic work schedules and due to habits based upon how their brain is wired, they default back to the way they always do things. Even with negative feedback and the desire of the individual to change, change can be hard. (Denny's seat belt habit.) People do what is their habit to do, unless you help them change the habit. And that's why well-intention people who've had good training end up doing the same old thing. (Over time we CAN rewire our brains/habits - but it takes repetition.) Topic # 3: Debunking Myth #3: If motivated people learn what to do in training, they'll begin using the desired skills consistently after they return to work Timing on Recording: @ 20:40 --- Neuro-pathways are physical - are a real thing. We are not driven by our habits - if we have the time and the intention - we can do it differently. We can form a new neuro-pathway, but we might give out because make a new pathway feels hard. "The Crunch-Point" - its when things feel really hard as we are trying to make change and we tend to think, "I give up" "This is just who I am..." (Sometimes we think it is easier to just go back to doing it the old way.) How long does it take? It depends how complex the skill is and how many times we do it everyday. The truth is, "I had to do the reps." You're not building a muscle, but you are building a new brain circuit. You have to do the reps. You have to have the follow through programs, do the reps, to change habits. People need the concept in training, but they also need support, encouragement, accountability and the follow through. "I think Trainers, Human Resource professionals ought to become smarter about these things, people skills and personal strengths, and they ought to take them on and realize how important they are to high levels of performance and that they should address them in training and follow through." Topic # 4: Debunking Myth #4: If you invest in training and follow-through reinforcement, and if people ingrain the business-related skills they learned in training, they will perform at a very high level Timing on Recording: @ 29:20 --- If we really want high levels of performance - there are two areas that are always important - that are not always addressed in training. They are core, foundational and they are found in every job. One is People Skills - basic interaction skills. You need to be good at dealing with people, and if you're not it really hurts. And where do people learn things like: how to listen? like how to give feedback? Our people skills are often wired from around how our family handled interactions. There is a best way to handle interactions, and it can be taught. Another is: Personal Strengths. These are things like integrity, being proactive, perseverance, tolerance and self-discipline. When you have problems at work - it is knowing how to do the right things. Personal Strengths are behavior patterns, which are habits. If it is a behavior pattern I can wire my brain for it. Personal Strengths and Personal Skills are behavior patterns that we can create. By playing the harp, we can become a harpist. If we do the reps, we can improve. Topic #5: Tools, Tips and Resources for Changing How Your Brain is Wired Timing on Recording: @ 41:40 --- 360 Feedback Surveys can be one tool and resource. We have to get past these myths and understand what the brain needs. We must provide: accountability, encouragement, coaching and follow through. Create a coaching culture. Help supervisors and mid-management become better coaches - let them know - this is part of your responsibility.
