Ready to stop reacting to the things that pop up, and start working on the things that will move your business forward? Whether you're going from one client to-do list to another, cramming in tasks between meetings, wondering where you'll fit in your own content and marketing work for your business, or trying to balance work and home life and feeling like your family's schedule is always throwing a wrench in your plans, the juggle is real and we're burning out as a result. Your mental load is too heavy to handle, you don't have time to get everything done, and it's stunting your business growth. That hamster wheel feeling like you're running and running but you never get anywhere? You are not alone in feeling like that. And when you love what you do and you love your family, then you get guilt on top of it, like “What's wrong with me that I can't make this work? I'm GOOD at this stuff!” This episode is for you, if that's how you're feeling right now. There is an easier way, and my guest today is going to show you how to do it. Cara Chace is a productivity and business mentor and the creator of the Theme Day planning method and it's a game changer for your business. She lives her passion: showing women how to navigate life priorities while building a business they love and helps them map out their ideal work week and get laser-focused on their priorities so they can pull themselves away of overwhelm. Cara has been balancing her aversion to rules and bosses with the need for structure since 2013, when she had her first child and took on the role of social media manager for the band Megadeth and their 13 million online fans. After realising being a work-from-home entrepreneur was the best fit for her life, she built a digital marketing agency from scratch, had another kid, navigated constantly shifting priorities, moving houses, and life demands...and made it her mission to Work Better Live Well, with systems, workflows, and boundaries as an entrepreneur to help her get the right things done while still living life the way she wants to. If you're looking to create a simple, easy structure to plan and grow your business, with time for rest and actual weekends off, Cara is the person you go to. She introduced me to the concept of “No meeting days” a little while ago and it immediately I felt like the pressure was lifted! Such a simple concept, such a great result from actioning it, and I'm really excited for her to share it with you today. Welcome back to our conversation on theme days! And if you're just joining us, here's a quick recap... Theme days are batching like things together and giving these tasks a home in our calendars. In short, using theme days helps us be more intentional with our time. Our first step in implementing theme days is discovering what matters most to you! Not what you should do, but what you truly want to do! So my encouragement to you is to think of the major priorities in your week that need to be done. What are things you do every single week in this season of your life that you could fit into a theme day? Grocery shopping? Meal planning? Scheduling appointments? Connecting with your kids, etc.? Instead of every single week looking at your calendar to figure out when to schedule these things, let's give them a home on our calendars to make these things FLOW! Reminder: the goal isn't perfection, it's creating more peace for yourself. And if you like hearing how other people are applying the concept of theme days…in this episode I'm also sharing what my theme days look like for the season I'm in. I hope this encourages you! In eight short years, Athena went from being an avid interior designer to a real estate agent closing $22 million in real estate sales—all while battling serious health issues. She's created a career in real estate by being clever, creative, and learning to love the art of helping people. Her business is based in Denver, Colorado, and she's proven herself as a wealth of information and a skillful coach. Growing up, Athena grew up being around real estate. Her dad was a residential developer, and she wanted nothing to do with housing or real estate. Instead, she went to school for interior design—a profession that allowed her to work closely with people with a creative outlet. After several years in the interior design business, she realized she wanted to push herself more. To do more, and to create a larger impact. Athena catapulted herself into real estate, which was the perfect fit for her skills. Athena is a people-person. She keeps in touch with her clients, no matter what! Even during times of serious health issues, she spent her hospital time writing letters and messages to her database, but also writing offers! She became unstoppable. She asks questions—lots of them. Why? Because she cares. It shows you (the Realtor) is invested and are genuine in your guidance and answers. As an interior designer, Athena also works with her clients (for free!) on their interior design, giving guidance, bringing up things to think about, and sharing ideas.  The CORE's Greatness Tracker is one of the important tools that Athena uses to track her business, and to stay motivated—the excel spreadsheet she keeps lets her visualize and correlate the long hours she spends writing notes and posting on social media, with the business and referrals she receives. When business gets chaotic or too large to mindfully manage, the simple task of organizing your progress and wins makes a world of difference. Athena's business is set up for the long-haul. Anyone can learn from her skills and processes!  The Neighborhood Realtor is proudly sponsored by Treadstone Funding and Neighborhood Loans. We begin this two-part series on theme days with a quote from The Lazy Genius… “No time is free—all time gets spent. So be intentional as to how you spend it.” It's with this quote in mind that I wanted to introduce you to something that has been so helpful for me, theme days. If the concept of theme days is new to you, a quick explanation: creating theme days is about giving each important task and everything that matters to us, a place in our schedules, so that we don't have to spend our time worried about when we are going to do that thing. By planning how we are going to spend our time, we won't end up reacting to the urgent and instead, living in more presence and peace…and who doesn't want more of that?! So where to start? On the podcast, our conversation today started with our thoughts. Why? Because that's where it all begins. Have you ever caught yourself thinking, “I don't have enough time….I am overwhelmed…I am stressed….When will I ever get it done?” All of us! Myself included. But what if we stopped and asked ourselves if those thoughts were serving us. Are they helpful? Am I getting more done by telling myself I don't have enough time? What if instead of just responding to what's urgent, we made a plan. And that plan is based on what actually matters to you. Not just what needs done right now, but what is important in YOUR life. Decide what matters, and work back from there. When you know what is important and you make a plan for it, then not as much will be urgent! Isn't that what we all want? You won't need to obsess over when you will do the most important things, since you already have a plan for them. Does this blow your mind too? This week, your homework is to think about how you want to spend your days! And what are your thoughts and are they serving you? Take notice this week of your thoughts and I will see you back here next week with Part 2 of this conversation!! Are you ready to create a calendar that serves you and leads to NO MORE INTERRUPTIONS? So many directors and owners come to me and tell me they are so overwhelmed or that they are working 12 hour days because they have too long to-do lists or because they are wearing too many hats in their school. It DOESN'T have to be that way. Today I discussed: 3 Myths of the school leaders time “I always need to be available” "I'm the only one who can do this job well” "I use my time well - there just isn't enough time in the day” Block and Tackle method - a powerful strategy to ensure you don't get interrupted. What is the definition of an emergency? Sample Theme Days - which is an organizing principle for how to show up in your day Our biggest takeaway from today... activities that aren't moving your school forward you need to delegate out. SPECIAL GUEST on today's training was Jo David She is a director who shared her calendar She also spoke about How she took a day off even though she had 3 call-outs that morning Why she makes time to train her staff How she is removing 2 hours of work every day! Her theme days and how that is helping her school in this season of growth. and so much more This section with Jo is the last 30 minutes of the training.   Resources Mentioned: Scripts Workbook Difficult Conversation Template Door Sign

Listen to Session 2 of the Build to Last Workshop in today's episode on The Schools of Excellence Podcast where Chanie walks you through theme days and time blocking to create a sustainable calendar as a school leader.  How would you like to get an extra 90 minutes in your day, every single day? Many of the directors that I work with have created a warm and inviting culture, and think that closing their door to get things done goes against everything they've worked to build. On the other side of the spectrum, there are some directors that are slaves to their calendars - everything is penciled in so tight, there is barely any room to each lunch or even walk from one meeting to the next. They believe that without a tight structure and a solid plan, they won't be able to get everything done. Today's training: I'm going to show you how to stay true to your core values while also creating a calendar that serves you. I talk about TIME BLOCKING How to create specific time in your day to focus on the activity that will actually move your school forward  I talk about THEME DAYS - How to create an organized principle for how your day operates  If you want to build an inviting culture that allows you to actually come home for dinner on time, get into your classrooms, and take time off without checking in on school, this is exactly what I teach directors and owners to do inside of the Director's Inner Circle and Owners HQ memberships. Running a freelance business can be split in two parts: client work, and business development work. But we often find ourselves saying "yes" to new projects that fill up our time, so the biz dev work has to be squeezed around the edges. How do you make time for both? In this episode, Louise shares how she uses theme days to structure her week."Theme days are a way to take back ownership of your time and energy. Each day, you only work on that day's theme, such as client management, marketing, finance, or whatever. You don't do that work on any other day, and you don't do any other work on that day. "If you don't control your time, someone else will. With theme days, you'll be able to stop bumping those all-important business development tasks to next week and get it all done without feeling overwhelmed." -- Louise ShanahanLouise Shanahan is a freelance health copywriter and content marketer. We are back and how fun is this, Episode Number 22, and the topic is…..how to do it all! Running a business, running a household, raising our kids, being a good wife, being active, volunteering at school and everything else we have to do as a mother, a wife and a business owner. It often seems like a sheer impossibility. We both know and will be the first to tell you all that we are far from perfect. However this is the one thing we get asked over again, "How do you do it all?" So here it comes…… We don’t do it all! Sorry but that mythical ideology of everything being balanced and in order and running smoothly is just a pipe dream. We struggle just like you do. There are times things are running amazing, clients are paying on time, kids are behaving, date nights with the hubby but then things turn in a blink of an eye. However we have worked on us and our time management and we have a few routines and rules that we follow in order to try to stay on track and use the little time most effectively, especially when it comes to our businesses. So in this Episode we are bringing you our Top 10 Time Management Tips to Work Smarter Not Harder on what has helped us create and sustain successful businesses globally. We are super honest, no surprise there but even we had some revelations while recording of what we are going to tweak and do differently in 2020. Check out some of the things we discussed below. Time Auditing, how do you ACTUALLY spend your time doing? Time Evaluation, how much time do you REALLY have? Priorities, what’s important and saying NO to everything else Setting Goals and how to achieve them Batching and Theme Days for your Business How to stop getting distracted and refocus Planning and Time Blocking How to use your Calendar Effectively Delegating and getting HELP How to be flexible and adapt to changes that WILL happen Enjoy the listen and please leave a comment or review, we are reading them out on every podcast the moment and plugging mums who are running amazing business. You generally find that pictures and words go together very well - that was certainly the case for Liz Painter, as she describes in this week’s episode of ScaleUp Radio. Liz was working with her husband - a photographer - and she was providing the copy to accompany his images, using her skills acquired from her background as a journalist. From that, Liz began getting more and more copy work away from journalism - so much so that she set up her own copywriting business. That’s when Comma Comma was born. In this episode, Liz talks through her scale up journey, covering:  - The challenges of first starting up on your own  - How to stand out in your area of business  - The importance of measuring results for your clients  - The pros and cons between retainer work and project work   - How she developed Theme Days that work for her - and could work for you Liz is an interesting person to listen to. She knows her area of industry - copywriting - incredibly well, but, even after several years - she’ll still learning about being a business owner – and she is open about that. She’s also incredibly keen on self-improvement and talks about how she went about that - and continues to do so to this day.  Liz doesn’t have all the answers – none of us do - but she does have some fascinating insights into the lessons she’s learned on her ScaleUp journey, that you can definitely take away and apply to your own business and to your ScaleUp journey. If you want to contact Liz, she's at: liz@commacomma.co.uk

Well, y’all, after 19 podcast episodes, I’m finally feeling like I’m starting to get my feet underneath me and feel more comfortable with this whole podcasting. So, even though it scared me a lot, this is the first episode where I didn’t plan out every word I was going to say. That’s a big deal for me as one of my big goals for this year is to be as comfortable on the podcast as I am on live video… but I keep reminding myself that it took at least 30-50 live videos before I started feeling confident. So I know it will take time with the podcast, too. (In full disclosure, it’s good for my pride for me to put out episodes that aren’t at the level of excellence I’d love for them to be because I’m still finding my groove when it comes to doing pre-recorded audio — which is SO different to me than live video! And every time someone writes in about how they don’t like the podcast because they can tell I’m uncomfortable, it’s a good reminder for me to keep persevering and practicing and getting better!) So I’m celebrating that I took tiny baby steps with this episode and didn’t rely on word-for-word notes as a security blanket! And I hope that someday soon, I’ll be able to record episodes with just a rough outline. Thanks for being on this learning and growing journey with me. Your encouragement and support has blessed me more than you know! In this episode, I invited one of my very favorite podcasters — Emily P. Freeman— to join me for a conversation about decision-making. We talk about the best antidote for procrastination, how to know what your next right thing is, and why sometimes now is not the best time to jump into an idea you have. I also ask Emily about her Theme Days and how this practice works out in her life and how it has helped her be a lot more focused and productive. By the way, Emily’s podcast (that I adore!) is called The Next Right Thing… and her brand-new book with the same title comes out in April. You can pre-order it here. You’ll want to tune in to this episode where Emily shares the story of how her amazing podcast was actually originally a book idea. She started working on the book and then realized it wasn’t supposed to be a book; it was supposed to be a podcast. But then, after a number of months of podcasting, she felt it was supposed to be book, too.  I love how Emily is so honest in sharing her struggles with decision-making and what she has learned in her own life — even in podcasting and writing a book about decision-making! In This Episode: [01:12] – I gave up coffee a few years ago. I know, can you believe it? I share why I gave it up and what I’m drinking instead. [05:38] – My book of the week is one that I listened to and one that I wanted to jump up and shout “preach it!” multiple times while I was listening to it! (And I’m not a charismatic person; this book was just THAT good!) [09:20] – Emily Freeman has deeply inspired me through her writings and her podcast, and I’m so honored that she was willing to do an interview with me for this episode. [11:30] – The Next Right Thing, Emily’s podcast, was originally a book idea. I ask her how long of a process was it for her to decide to turn her idea into a podcast instead of a book? When did she know for sure that it wasn’t supposed to be a book? [14:53] – Struggling with decision-making? Emily shares some strategies for someone who needs to figure out what the next right thing is. [17:57] – Emily makes a powerful point that many people would rather make a decision (even a bad one) than live with the uncertainty of not deciding. [20:36] – Recently, Emily talked about how she structures her week with Theme Days. I asked her to share more about this in detail. [25:48] – For today’s Q&A segment, I answer a question from a listener about how I got off my allergy medications (and other medications/supplements I was taking for acne and anxiety!). 065: Create Your Ideal Schedule with Shannon Crow   Shannon was inspired to create an episode to answer a question she is frequently asked: How does she do it all?   Shannon is the first to say she has a packed schedule and that fitting everything in can certainly be a challenge. Over the years, working as an entrepreneur, Shannon has learned many tips and tricks and they're always evolving to help her create and implement her ideal schedule.   There are many questions asked, tools you can use, and further reading and resources that are mentioned in today's episode, but, don't feel you have to take everything on.  As Shannon says, pick just one thing to start; maybe something that would make the biggest impact or would be the easiest to incorporate into your life and work on that. Integrate that one thing and if you have that down you can return to this episode for another tool or resource.   In our busy world scheduling to use your time in an optimal way is quite a challenge. Remember not to be too hard on yourself- no one has this down to a science but a few tweaks in your planning might make a world of difference. We'd love to hear if you've tried any of these techniques or if have any of your own suggestions. What do you find works for you? 6:05  When are you working and when do you have time off? What do you want to do with your time off?  What fills you up that is not work-related?   7:55 Look at that daily work schedule- when are you working, when are your breaks and when are you ending your day? Think about your ideal work week, month, and year. Where you are now vs. where are we headed.   10:10 Appointments with yourself are necessary to fuel you. When you're scheduling time off do you stick to it? Distractions from family, other work, etc interfering? Move your appointment with yourself somewhere else on the calendar.   12:15 The best time of day for you to teach? Do you feel like you have to work when it is convenient for the studio or students? You might be surprised by the turn out when you choose your best time.   14:45 What is your ideal yoga class? 1:1 or group classes? How many classes per week? What would this look like if money wasn't a factor?   16:10 Scheduling software- helps you clarify when you can book in classes or one-on-one appointments, your breaks, time between appointments so people can come and go without rushing   **Limited time vs. Lack of time: reframing language around your schedule so you aren't perceiving that there is never enough time**   20:15 Money Mindset- how much do you need to teach to make ends meet? What is your hourly rate?   21:20 Time Blocking- daily, weekly, and monthly   Shannon's Week:   MONDAY - Content Creation TUESDAY - Yoga WEDNESDAY - Podcast Day THURSDAY - Consultation Calls FRIDAY - Catch up day - podcast ready for Monday   26:00 Time blocking helps prevent Decision Fatigue   26:35 Ideally spend 15 minutes a day to wrap-up your day   Review your day - put the to-do items on your calendar that came up during the day   Mind Dump - if there is a tornado of thoughts and to-dos write them all down and see what needs to be added to your calendar   Prioritize and Plan for tomorrow - put the high priority tasks on your calendar for the next day and perhaps going further into your week or month   29:35 List things you are spending your time doing. What are the things you enjoy doing? What are the things you find yourself avoiding? It may reveal if you're losing time doing activities that aren't a priority.   30:40 Blocking out time for a specific task such as a workshop- you may need to block out time every day for a week for example, but the idea is that you're putting some boundaries around the time you spend so it doesn't get away from you   31:30 Time blocking specific to yoga teachers:   Personal Practice- 8-Limb focused (not just asana) Marketing - can include talking about what you do, email, social media, public speaking, newspaper advertisements, posters, business cards, videos and more Yoga offerings - workshops, classes, 1:1, retreats, online videos, blog posts   **Don't forget to include your travel and set up time**   Learning - yoga teacher training, reading, studying, videos, courses, yoga teacher training     **Small regular drips of information are better than a flood of information, especially if your schedule is already packed **   Planning and Preparation of Yoga offerings Other - Add what you'd like here such as accounting and email   37:00 Self-study (SVADHYAYA) to determine how you best work- Are you an introvert or extrovert? How do you best start off your work day? How does your energy tend to unfold throughout the day?   39:30 “Eat Your Frog First” and “The One Thing”- What is the one thing that needs to get done? If you're feeling overwhelmed pick just one thing that you are going to get done today and make the goal achievable, measurable, and specific   43:50  Ask what is the one thing that will help me generate income for my yoga business at the beginning of the day or the end of the day and plan tomorrow. How much time do you need to complete this? If it seems overwhelming create micro goals in 60-90 minute blocks.   45:40 Ask if you can outsource some of your to-do list? Household chores, accounting, website graphics, etc.   47:05 Looking at your yoga business as having seasons- it's okay to focus on one thing and put other projects on the back burner   48:30 Airport Test (created by Pat Flynn) to help look at the big picture   50:15 Set yourself up for success by cutting off distractions, time block for the distracting times eg. timer for using Facebook, and a few other recommended resources Links   The Connected Teacher Facebook Group   Follow The Connected Teacher on Youtube   Book a Consultation Call with Shannon Relevant TCYT podcast episodes:   030: Rituals to Start and End Your Day with Puja Madan   032: Set and Achieve Big Goals with Natalie Eckdahl   TCYT Define Your Yoga Niche Course   BizChix Podcast: 288: Time Management for High Performers: How to How to Map Your Ideal Month, Ideal Week, Theme Days and Time Block   BizChix Podcast: 316: How to Summer Proof Your Business   Book: The One Thing by Gary Keller and Jay Papasan   Book: Eat That Frog: 21 Great Ways to Stop Procrastinating and Get More Done by Brian Tracy   Book: Will it Fly? by Pat Flynn (includes the Airport Test)   Freedom App Gratitude to our Sponsor Schedulicity

Today's FAF (Frequently Asked Friday): "What's the best way to schedule your calendar?" While this is a very personal process, MG shares a few tips and philosophies, which, of course, incorporate the magic of habit to boost efficiency. Many businesses and entrepreneurs use the concept of Theme Days (e.g. marketing on Wednesdays) or creating "chunks" of time to dedicate towards a project. However you dedicate your time, the key ideas are RHYTHM and PATTERN -- the overlay of rhythm and pattern work to reinforce habit. The more rhythm and pattern in your calendar, the more efficient and effective you will be. Mindset issues affect all entrepreneurs regardless of their level of business. Fear of failure is a common block, but did you know that fear of success can hold you back too? Join me as I coach Taryn Holmstrom, owner of a successful wedding rental business in the Northwest. I help her peel back the onion and uncover the root of her fears. Taryn and I also discuss some ways to take her business to the next level — an organizational chart can be a useful way to plan for this, so don’t forget to get your free download! Get the Org Chart worksheets!  Key Takeaways: [1:08] Natalie introduces her on-air coaching client for this episode — Taryn Holmstrom of Skagit Valley Wedding Rentals. [10:24] What is Taryn’s business? She shares how she got started in her business, and the role her family plays in her life. [14:08] When Taryn had a strategy session with Natalie about a year ago, she didn’t have a clear line drawn between personal and business accounts. She does now! Natalie shares her advice on why it’s important to keep these accounts separate. [16:05] What other changes have happened in the last year? Taryn talks about moving to a different, more consistent child care program for her children so that she has more time to focus on her business. [19:44] Taryn has a very healthy money mindset, but she has a fear of success, in terms of the amount of time she would have to dedicate to achieving success. [21:01] What has Taryn’s experience been adding staff and outsourcing tasks? [24:11] Natalie encourages Taryn to think about what her organizational chart would look like as she grows. It is important to think about the functions of the business, not the people on hand. [31:34] Based on Taryn’s current situation, she has two options: a) maintain her current structure, limit her client base and raise prices, or b) grow the business by hiring more people to support more clients. Natalie and Taryn discuss her options based on her strengths and weaknesses. [38:33] Natalie addresses Taryn’s fear of success with a key insight: At the end of the day, know that you as the business owner are in complete control of everything that’s happening in your business. [43:27] Taryn has a lightbulb moment — teachers can be a great resource for her to tap into during her busiest months in summer! [45:24] Natalie has a free download for you! Download the organizational chart and write out the functions of your business. Based on the vision you have for your business in 2018, you can see where you might need to hire more people. [47:30] Natalie’s advice for anyone feeling overwhelmed is to get it all out, and not let it float around in your head! [50:41] Natalie is accepting applications for her Mastermind Programs!  Connect with Taryn Holmstrom: Skagit Valley Wedding Rentals Mentioned in this Episode: Biz Chix Masterminds Natalie on Instagram Previous BizChix Episodes Mentioned: “290: [On Air Coaching] Where Are They Now? Habits 2 Goals: The Habit Factor® Podcast with Martin Grunburg | Goal Achievement, Productivity & Success – Simplified

In this, the first episode of the new season Martin welcomes Henry Evans of "Hour a Day Entrepreneur" fame and "Get Clear Marketing" as the season’s new co-host and they get right into the topic du jour, “Theme Days”. When you think about the most successful organizations they do one thing well: they are consistent! Consistency of behavior is achieved via a rhythmic, habit-pattern sort of scheduling that takes advantage of the natural rhythms in nature. Hence, we have a calendar and a clock. So, for instance, management teams will meet on Mondays. Or your gardener always shows up on a Tuesday and Church is always on Sunday. etc. Consider how you can employ the same idea to your productivity! The key question becomes, how are YOU going to establish a rhythm of behavior (habits) that support your or your organizations goals. Rhythmic behavior is a great way to SOLVE problems ensuring that problem areas get routine, systematic attention and treatment. For more on the topic you can read Martin's post Here's a video explaining P.A.R.R. and HabitStrength™ >> Meet BILL Thanks for checking out, sharing and subscribing to this podcast!   More Resources (FREE!
