A podcast to answer all your questions about productivity, time management, self-development and goal planning. My name is Carl Pullein, and I am your host for this show. When we first start out building a productivity system for ourselves, one of the first things we need to master is collecting. This is how we get ‘stuff' into our system that gets processed and organised and ultimately done. If you're not collecting stuff to put into your system, then you don't have a system at all.  Collecting needs to be fast, with as few steps as possible, and we need to learn to be consistent with it.  It's not the sexy part of building a system; this is the messy bit in the middle that Robin Sharma often talks about. It's fine-tuning, stepping back and rethinking and more often than not, we have to repeat this process of testing and fine-tuning before we finally have something that works intuitively and consistently.  And it's this bit I shall be explaining in this episode. So, without further ado, let me hand you over to the Mystery Podcast Voice for this week's question. This week's question comes from Baz. Bad asks; Hi Carl, I've recently undertaken a project to update my twenty-year-old system to a more modern-day one. Over the last twenty years or so, I've always written things down on a notepad I kept on my desk, but now I want to make this digital. Do you have any tips for making this an easy transition?  Hi Baz, thank you for your question. One of the first things you are going to need to get used to is typing out your tasks, ideas and anything else you want to collect instead of writing things down, and this can be more difficult than you might imagine. You see, it feels very natural when you are in a meeting or with someone else to pull out a pen and notepad and write something down. People understand you are writing something important down.  Unfortunately, because of the bad press our mobile phones, tablets and laptops have today, typing something into one of these devices makes us feel self-conscious. We fear the other person or people think we're responding to email, checking our Facebook feed or searching for big tractors. (People in the UK will understand that one)  The thing is we need to get over that self-consciousness as quickly as possible. I know when I first went digital I needed to explain to people what I was doing with a “hang on while I write that down”. Typing into your phone and writing on a piece of paper is the same thing in this instance. I know it takes some getting used to, but it's part of the process of going completely digital.  To lessen this self-consciousness, we need to make digital collecting as fast as we can. How do you do that?  This is where the digital tools we use have a big impact. And this starts with the applications we choose. A mistake people make is to look through YouTube and watch what popular YouTubers are using. Thomas Frank uses Notion, Steve Dotto is a big Evernote user and Matt D'Avella uses Apple Notes.  Now the thing to remember, these people are not you. They are content creators who likely rarely have meetings with customers and clients. Their productivity needs will be very different from you. Thomas Frank, Steve Dotto and Matt D'Avella will make extensive use of notes apps to plan out videos and collect future topic ideas. If you are in sales, for example, your digital notes needs will be very different.  Perhaps you need to keep details of when you last spoke to a customer, have a list of potential customers and information on the products you sell. Information that is very different to a YouTube content creator.  So, before you go out and find a tool based on the recommendations of others, stop and ask yourself what your needs are.  The next thing to consider is where you will do most of your collecting. Prior to the pandemic, most of my collecting was done on my phone as I was travelling to see students and clients. Today that has changed. The vast majority of what I collect is collected on my laptop. It's here where you need to do some thinking.  Collecting needs to be fast and intuitive. For me, I have a keyboard shortcut to collect a task. It does not matter where I am on my computer: whether I am in full screen or not, whenever I activate the keyboard shortcut, I get an input box in the middle of my screen where I can type whatever task I need to be reminded of. Likewise, if I have an idea, I can initiate a keyboard shortcut which will bring up a quick entry box for getting the idea directly into Evernote. Apple Notes has become even easier if you are on an iPad or laptop, all you need do is swipe up from the bottom right of your screen, and you get a new note ready to collect the idea.  So, whatever digital tools you decide to use, make sure that collecting stuff into those tools is fast and easy. See if you can create a keyboard shortcut on your computer, and whatever mobile device you are using, make sure at the very least the apps you use for collecting are in your dock or home screen. You don't want to be swiping from left to right trying to find your notes app when you have the next big idea, or you need to simply write down a person's email address.  The next step is to turn collecting into a habit. Now, the way to do this is to consciously collect everything that comes to your mind. Anything and everything needs to be collected. A lot of this stuff you collect will be deleted when you process, but you don't need to worry about that at this stage. Hitting the delete key is far better than missing something important.  What you are doing here is developing a habit. You can do your filtering when you process. Just get into the habit of using the keyboard shortcuts or pulling out your phone to collect. It's this you need to turn into a habit and learn the necessary muscle memory.  Now a quick tip here is if you do find yourself not collecting using your tool of choice, make a point to stop and do so when you remember what you should be doing. This helps to interrupt a pattern in your brain, so next time you will be more aware. It's developing these habits that can be difficult. We've got used to collecting (or not as the case may be), and we have to change that habit. That's difficult. To do that, you have to break the old habit—interrupt it—and replace it with the new habit. That's why even if you do write down the task or idea, make sure you consciously take what you wrote down and add it to your digital system.  Once you have set up your system. You've got the apps you've chosen on your phone—most likely to be your primary collection tool—and you've set up your keyboard shortcuts, which you now want to be fine-tuning. To do that you should frequently ask yourself “how can I do this better?”. It's an incredibly powerful question, but it also helps to make sure your system is at its most effective and efficient.  One thing I've learned is the fewer barriers there are to collecting something, I am more likely to collect it. This is why I'm always checking to see what has been updated in my collecting apps when they update their apps. Have they found a faster way to collect?  I do remember when Apple released their Shortcut apps; I spent many an evening experimenting to see if I could activate my collecting using Siri. I never really found anything satisfactory or better than what I currently use, but I have found that the fastest way to get something into my system now is through the use of my Apple Watch. That's always on my wrist, and so, even if I am out running and think of something, I can still add it to my system quickly using just my voice.  What you will find is as technology improves. There will be better and faster ways to get things into your system. If you have Amazon's Alexa or Apple's HomePod, that gives you additional ways to collect stuff.  I recently bought an Amazon Echo and was impressed with how I could interact with Alexa so that my tasks could be added directly to Todoist. This means as I am walking around my office, all I need to do is tell Alexa to add something to my to-do list. It's fast and surprisingly intuitive to talk to a device. Perhaps this is where the future of collecting will grow.  The key to collecting is not to overthink it. Choose a digital tool, set it up so that you have quick access to the inbox and make sure you use it consistently. That part can be hard; you will slip up from time to time; that's part of the process of learning. Make a mistake, recognise it, and try again. As long as you are persistent, you will soon break through and collecting digitally will become second nature.  Thank you, Brad, for your question and thank you to you too for listening. If you're heard the term "passive income," you've probably also imagined yourself relaxing on a private beach while dollar signs float dreamlike above your head. It sounds amazing, but is passive income realistic? In this episode of the Grey Matters podcast, Steve Dotto challenges our perceptions of passive income, which may range all the way from thinking of it as a pipe dream or a promised land for our online business. Passive income has been on the same level as the Holy Grail or Aladdin's Lamp for years now. As entrepreneurs build our businesses, we repeatedly see assurances and promises online from soothsayers who guarantee they have the secret for how we can also achieve passive income. But it's important to define exactly what passive income is, and specifically what work must be done to try to succeed at.  Because passive income isn't all there is for us. There are several ways and means to make money with your business, and if we focus on passive income we may count ourselves out of other, more reliable methods to earn money through what we know or do.  By the end of this episode, you'll be able to define several ways you can earn income, and they aren't pipe dreams. This week my guest is Tod Maffin (LinkedIn) who I met while he was at the CBC, which came after doing a stint in Marketing, which was preceded by radio journalism ... Nevermind, it will all make sense in the episode. Tod runs engageQ Digital and you should be listening to his 1/4 of a Milo walk podcast Today in Digital Marketing. Tod and I talk about the new era of podcasting and a host of other things. And Tod said something brilliant, but we'll never know because his mic was on mute. Yeah, that's in the blooper reel. Music by Derek K. Miller BTW...Tod tried the audio editor Hindenburg on the advice of our mutual friend Steve Dotto. From Tod's suggestion I tried it too. Well, GarageBand might be fine for podcasts, but Hindenburg is better. I put this all together in GarageBand, exported to MP3 and wasn't 100% happy with the sound. A lot of hiss and stuff in it. So I imported the MP3 into Hindenburg and, wow, even with an MP3 that I had already applied an EQ on and compressor...it sounded so much better. I also followed Tod's suggestions for how to use the more manual I-really-should-take-a-class-on-this audio effects and ... yeah this app is a big improvement. Hope you can tell the difference. Hmm, maybe they'd sponsor the show so I can get a license to Journalist Pro.

Organizing can be overwhelming. Break things down into smaller parts. Closet Organizing: Arrange things that are similar together. This could be types of clothing (shirts, dresses, etc.) and by color. Organizing is not an event. It’s an ongoing process. To-do-lists are about what you need to do. To actually get things done, you need to think more about the when. Set time aside for tasks you do on an ongoing basis. Put them on a calendar or else they’ll never happen. Organize your life. Organize your schedule. Organize your days. The way you spend your day is the way you spend your life. It's best to put everything on one calendar versus having separate calendars for personal and business. Plan ahead. Lowering stress levels is a priority. Don't wait for the last minute to do things. Steve is the business owner of Dotto Tech, but his career actually started in television. Steve creates a crazy amount of content, so I thought he would be the best person to talk to us about video content creation.   Key Takeaways Covered In The Podcast • Creating content is about creating a conversation. • Our audiences are getting far more sophisticated and demanding. • People want intimacy with a content creator – feels more personal. • Your audience want access to you, so they feel more connected. • Your audience doesn’t judge you, they want you to succeed. • Not everything has to be polished and perfect. • Give yourself the same grace you would give others – we all get imposter syndrome sometimes! • Listen to what your audience asks for and be guided by them. • You want to create content for an appreciative audience. • Creator burnout is a big issue – Don’t over-do It, make sure you give yourself a break if you need one. • There are lots of different platforms and types of video content you can put out – Audio Podcasts, Video Podcasts, Live Streaming on YouTube/Instagram/LinkedIn, Webinars, Recorded Videos. • When people watch your video on YouTube, they are watching with intent. • People who click your video on YouTube are interested in hearing what you have to say, this is your chance to start building a relationship! • Recognising which platform you are creating your video for is key. • If you are going to live stream, you have to create an intent for people to come and view it. • Video is not just “putting it out” – it needs thought behind it. • Think of YouTube as a search engine. • You don’t have to put your video on every single platform, just the platform it is most suitable for and will be most received. • When we create content, we create it for search, not for subscribers. • You could use your extra time right now to start creating some video content for your community. • You could start with a video call to some of your loyal customers/clients. • If you’re not engaged in a conversation with your audience, you won’t become a craftsman. • Sharing your insight via video will allow your passion to come through and help to tell a story. • You need to keep posting and being consistent. • Success may not come straight away but don’t give up, keep going and putting your videos out there. • Consistency is the key to building your audience, you have to keep showing up. • Don’t compare your metrics to other people. • We all have our own community, it doesn’t matter what the size. They are turning to you. • Create videos that will help your community with their needs.  • Take it right back to basics. • Advice from Steve – You CAN do it!  Lisa graduated from UC Santa Barbara in 2005 with a degree in English. But there was a problem, her passion was for art and design. Unsure about what career to pursue, Lisa made what she considers to be the best decision of her life. She applied to a design school in San Francisco and dropped everything to attend. She earned a degree in Visual Communications and for the following 9 years worked as a visual merchandiser, eventually landing as a corporate visual merchandising manager. Although Lisa loved her work, she wanted to start a business of her own. It was at this point, she seriously started to entertain an idea that she’d had in her late 20’s – selling her mother’s candied pecans. The inspiration came after making the candied nuts for friends who raved about them and encouraged her to start a business. Finally, at 32, she was ready. Black Bow Sweets is now 3 years old and growing rapidly with an expanded product line and distribution across the US. Business Building InsightsGet used to and become comfortable with change. No matter how afraid you are of not succeeding, go ahead and try. Research is an important step to starting a business. Spread the word about your new business to families and friends. Get out into the public eye through community and non-profit events. It’s up to you to get people excited about your product. Getting positive feedback boosts you up and provides momentum to keep going. Communication with customers is a solid form of customer service. One way to do this is to let a customer know the progress of their order and then to followup afterwards to get feedback on their purchase. Write thank you notes to customers. I just upgraded to premium on Evernote so I asked my friend, co-host, and millennial Doug Stewart to help this fifty five year old man get the most out of Evernote. Doug's tips and step by step instruction in this audio lesson were so fun and so easy that I was able to complete them while we recorded this episode. Want to get more organized? Want to save a few hours a week using Evernote? Evernote is an app that will sync across platforms. Whatever I do on my iPhone will be transferred to my iPad and my MacBook Pro lap top whenever I open the app automatically.  You can save emails into Evernote. You can save handwritten notes into Evernote. There is a free version that you can do everything that we did in this episode with. I with Doug's expert instruction save a business card into Evernote. It was a simple as opening my Evernote App on my phone up and snapping a picture. Evernote then asked me what to do with the pic. I chose save to contact and it automatically saves all the information from the card to a contact card. The phone number and email are clickable directly in Evernote.  Doug walked me through making an audio recording which was easy. One of the coolest things about Evernote is everything in Evernote can be accessed through a link that is easily created so you can share that information to teammates or business associates. Sue Teaches us all about Instagram and how to use it properly, a native New Englander, started as an Entrepreneur, with Dad, as a 13 year old in an auto parts store. Learned all about being exposed to business at an early age. First business was painting metal hair berets, and sold them at school to other girls who wanted to buy! This was the first of 18 business's Business is in my DNA, had many different business ventures, getting on Periscope as and early adopter, and Love Instagram more than anything else! I have a degree in Nutrition, went to Simmons College in Boston Mass.  Started hand painting clothing in Virginia Beach, and sold out of a pushcart, sold boxer shorts, boxer rebellion became a million dollar business. Have had many business experiences. Moved back to Boston, and started "Only in America" sold T shirts and boxer shorts, College market, etc Started Consulting for Ked's Sneakers, put Loony tunes on their sneakers, etc.  I am doing coaching and charge from $500-$1000 per hour depending on the value that is being sought out. I love helping other people make money and their dreams come true! I love to see people have success, and teach them how to get there. I love personal fitness, and nutrition, and learned about Facebook, that was my first Social Media, I worked with Nathan Latka, created shopping on FB Our kids teach us everything! I learn from the kids, they are on snapchat, fastest results for business on Instagram. Michael Stelzner brought me on stage at Social Media Marketing World Sue has Youtube channel Strategy guide on my website, make sure you have a photo with your face on your Instagram, make sure your bio is set up for success, use the right key words, have a bit.ly link that allows you to track your success. Have been using Periscope religiously and doubled our revenue in a short time.  Speaking at Tropical think tank, and love to travel, love the black eyed peas, Brandie Carlisle, listen to books on audible, just got a book from Bryan Kramer, shareology, the power of sharing and collaborating.
