Ever fire off a text that never actually sent? You’ll learn how to clear those stale unsent iMessages out of the More menu, move your Dock between displays using nothing but your cursor, and set exactly how long you share your location with iOS 27 (anywhere from 15 minutes to 30 days), plus a quiet hide that doesn’t tip the other person off. You’ll also grab videos out of Messages with a simple click-and-drag, and build a TextExpander snippet that pastes as plain text into those maddening web forms that block Command-V in the name of “security.” Then it’s your questions. Why does the Passwords app crawl on one Mac while syncing fine on everything else? And how do you safely peek inside its SQLite database without breaking it? You’ll find out how to get your Recents folder to actually reflect recent, what’s really happening when an app disables TextExpander expansion, where to turn now that MacUpdater’s databases have gone stale, and what your options are when OneNote crashes on launch and holds years of research hostage. Stick around for all three of us on long-term storage: Synology, cloud archives, and the two-layer approach that keeps your irreplaceable stuff off-site. It's been a while since we checked in on note-taking apps and ways to wrangle their data, and a lot has changed with our personal use cases on that front. Will has gone deep on Notion's relational capabilities and seen how well they can support a shared knowledge base for a team of a couple dozen people. Meanwhile, Brad has done a survey of apps targeted at the individual end user, with the goal of fully owning the data and controlling how and where it's synced. We round up everything we've discovered in this week's episode, with some detours into things like rclone cloud mounts, the amazing utility of the (nearly) universal format conversion tool pandoc, and more. https://youtu.be/_OpJcRFbACk Abhi Jadhav, Founder and CEO of Bay Leaf Digital and Founder of Brazenly, helps B2B SaaS leaders create operational rigor while embracing AI, innovation, and disciplined execution. Driven by the freedom to experiment, anticipate change, and take the road less traveled, Abhi builds businesses that combine human expertise with AI-powered systems to help teams remain competitive and shape their own futures. In this conversation, Abhi introduces The Operational Rigor Framework—Aggregate To-Dos, Import Them into a System, Prioritize Weekly, and Execute. He explains how turning commitments into organized, prioritized tasks prevents work from falling through the cracks and improves execution across client projects, internal initiatives, and personal responsibilities. Abhi also discusses keeping humans in the loop when deploying AI agents, responding to rapid changes in the SaaS market, and driving growth through visibility, exceptional people, and innovation. — Create Operational Rigueur with Abhi Jadhav Good day. Steve Preda here, and today I’m joined by Abhi Jadhav, founder and CEO of Bay Leaf Digital, a B2B SaaS marketing agency he’s run since 2013. And he’s also the founder of Brazenly, an AI agent orchestration platform he’s building for marketing teams. Abhi, welcome to the show.  Thank you for having me, Steve. Appreciate it.  Well, great to have you here. And I’m super interested in how you are evolving your business and your focus on SaaS companies, which is very interesting. But I’d like to start with the question, your personal why. So how are you contributing to human flourishing? What is your personal why, and how do you manifest it in your business, in Bay Leaf Digital?  Yeah. So I gave this some thought. It’s been several years since I’ve been running the agency, so it took me back a few years to figure out, well, why did I even start this? So I’m going to date myself, and this is way back when I was in business school. One of my dear friends and classmates at the time, she pointed to me when she was asked, “Who’s most likely to strike it out on their own and run their own business?” And I thought that was really funny at that time because I had no desire to be my own entrepreneur or guy running your own business, et cetera. I was through and through a corporate guy.  And a few years later, I realized that I don’t really get energized by playing corporate games to climb the ladder. I prefer freedom to do things and to experiment. And I love taking the road less traveled, and it’s not just speak, it’s actually doing. Yeah. There’s a sign here. It’s a Jeep sign that says, “Road ends and fun begins.” And that kind of encapsulates who I am, really. Yeah. So when I saw this sign, I’m like, “This is me. It needs to go on my wall.” Okay. So that’s my personal why, how I ended up doing what I’m doing.  So how does it manifest in Bay Leaf or even Brazenly? What is that road that has not been traveled yet that you are embarking on?  So it is more about being able to anticipate what is coming and being able to be ready for it. I think that is primarily the difference, or to me, that is being my own business owner, it allows me to do that. So moving from an agency and seeing what is coming, AI is going to touch all of us. It already has in so many different ways.  So understanding where we are going and being able to do something about it rather than wait for someone else to come along and tell us, “You guys are now obsolete, and we are now moving on to something else.” So it allows me to chart my own path and be able to control, to a certain extent, I can’t say 100%, to a certain extent, what our business destiny is going to be.  So where are we going? What is your vision of the direction?  AI has tremendous power, right? And we are still very early, in the early stages of where it’s going to take us. But I’m a firm believer that the human in the loop is extremely important, and that we need to shape AI systems, our posture, in a manner that we maximize the use of AI while making sure that it is being run for the benefit of humans. So the way we approach it is, yes, we will adopt AI, but at the same time, we will never compromise on human in the loop in that process.  So our approach is, let’s take things that are easily automated. Let’s take things that we would otherwise not have been able to do. I have a framework on how we deploy AI, and the lowest part of that framework is obvious processes need to be automated. Top part of that framework is things that you could not ever do because it was impossible, impractical to do, automate that.  But in all of that, there is a certain amount of co-piloting or piloting that is needed in order to get valuable outcomes. Where I see us going is we will become pilots or co-pilots with extremely efficient and informed agents that will do the work, but they will not do the work exactly as is needed unless there’s a human in the loop that’s guiding it, right?  Yeah.  And I foresee this for the next several years. At some point, and this evolves all the time, but that’s kind of our posture at the moment.  Very interesting. So basically, AI agents do the work, or much of the repetitive work, a big part of the work, and the humans are directing the agents. Is that your vision?  Humans are directing the agents as well as checking on agent outputs, basically being the guide on making sure that things get done the way they should be done. So more and more, we are leaning on domain expertise, people who know what needs to be done, have that knowledge to be able to man these agents today.  Yeah. That is fascinating. So you mentioned that you have a framework. So what is your framework?  I have multiple frameworks. Let me talk about probably the most fundamental, foundational framework that can be used by anyone and everyone. Again, going back to my days before the agency, when I was in the corporate world, we would do 360 feedbacks. And at one point, one of the feedback I got, obviously it was constructive feedback, but it was that, “Abhi’s got a great team and he’s a great leader, but sometimes the team does not follow through on things that we’re committed to.”  I looked at that feedback and I said, “This is not something that my team needs to fix. This is something that I need to fix. It’s not a team problem.” So we took that weakness and we turned that into a core strength. That is one of my foundational approaches to the way we work, the way we run the business. I’ll break it down for you. Here’s what we really do.  Yeah, please.  So you and I are having a conversation. Something comes out of that conversation and I tell you, “Hey, I’ll follow up. I’ll get back to you.” And great, I’ll make a note of it. We have 100 different conversations like this throughout the day. I talk to my clients, I talk to my team. Everyone has something that they need or they’re going to offer. So there’s a pile of things that need to be done.  And without having operational discipline around it, things fall through the cracks, right? So a very simple manifestation of that is, hey, make a list. Make a list of things. But there’s a lot more to that. Yeah, you can make a list. You can write it in pencil on a pad, and then it gathers dust, and then you look at it after a few months, you’re like, “Oh, I never really got back to this person, didn’t really do it.” So what we’ve done is we’ve evolved that into an operational rigor where nothing, almost nothing, ever falls through the cracks.  We talk, we’ll organize our thoughts. We’ll put it—it doesn’t matter. It’s a framework, right? It’s not a set of rules. So people might take down notes. They might use Zoom meeting transcripts, whatever it might be. But at the end of the day, we are constantly putting together a list of to-dos. And that’s never enough because at the end of the week, you need to make sure that you’re working on the most important things. So we’ll go through a prioritization process.  I go through it, my team goes through it, and then that defines what we do in the following week. It’s very agile-like, but it’s not quite agile. It’s a set of tasks that eventually kind of come together for a greater purpose. So we’re looking and we are prioritizing and going, “Which is important, which is not?” So the conversations that we have with our clients, I have internally with the team, the conversations are never about, “Hey, whatever happened to that thing?” It never happens. The conversations are more about, “We talked about this last week. Here’s where we are.  Here’s why we are going to either change course, not do it anymore, or we have found a different way of doing it.” In terms of just an extremely important skill, whether you’re a business owner, in the corporate world, to me, operational rigor that leads to disciplined execution is absolutely key.  So what are the steps to this operational rigor framework? How do you actually do it? What are three to five steps or elements that will allow us to communicate to our listeners and maybe for them to try it out?  Yeah. Let’s just list them out. So the first thing is just pulling together the to-dos, right? So whether it’s from OneNote or a pad or transcripts, at the end of the day, set aside 30 minutes, an hour max, typically towards the end of the week, to allow you to go through that list of things that you want to do, okay? Put them into a system that allows you to keep track of the status.  We use our systems. We use a tool called ClickUp. We’ve used many, many different tools, but today we use that tool. We are able to change priorities, we are able to increase or reduce the size of those tasks, and we are able to collaborate with people on those tasks. So we’ll organize that, spend an hour or so, put it in ClickUp in the agile framework, if you will, and then we execute throughout the week. Monday morning, I look at—there’s never a question about, “Hey, what am I going to do today?” Right?  There’s never a question of, “Oh my God, there’s such a long list of things to do. How am I ever going to get through?” By the time Monday morning hits, I know exactly what I’m doing. By the time Tuesday morning hits, I know how much I accomplished on Monday and what I’m accomplishing on Tuesday. So it becomes very well-oiled, and it’s execution through and through without letting anything fall through the cracks.  Okay.  And this is not just me. The entire team behaves this way, and that is what is different, right? This was my feedback I got so many years ago, is follow-through is not there. Okay, we turned that around, made it a strength.  Love it. So aggregate the to-dos, import them into the system, prioritize, and execute.  And execute. And throughout the week, if you need to reprioritize, reprioritize. It’s okay.  And this pertains to your client work, or that also pertains to your internal projects that are improving your business, your own business?  It pertains to everything. It’s fundamental to everything we do, right? When we are improving our own business, we break it down to a series of steps, and then we prioritize the steps. For example, Steve, I could have come to your podcast seeing that, oh, I have a meeting at 8:00 AM on Friday. Let me just make sure that I have a shirt on and come to it.  But the way I approached it is the same operational rigor, which is, okay, sometime during this week, I’m going to make sure that this wall behind me is clean. I’m going to make sure that I have my talking points, and I’m going to go through a dress rehearsal myself before I come to you. So this operational rigor offers a much higher quality of output.  So it’s not just client-facing, it’s not internal. It’s in everything we do, and that includes my personal life too. To a fault, I use lists to organize my life, but it’s the same concept. It’s not as rigorous, but it is, I have this big to-do, let me break it down into a smaller to-do, knock it out, move to the next one.  Love it. That’s great. It’s a good framework. We can call it the Operational Rigor Framework, perhaps.  Operational rigor? Yeah, absolutely.  Yeah. Okay. So let’s switch gears here, and I’m really curious what drives growth in your businesses, in Bay Leaf Digital and your new business as well?  Okay, so we’re a marketing agency, but more specifically, we are a SaaS marketing agency. So we are niched down into SaaS, and then we niched down further. We are a B2B SaaS marketing agency, right? So it’s a very specific niche that we operate in. But some of the forces that affect us are the same as other agencies, other marketing agencies. So we live on this edge of constant change. And let me explain what these changes are. Number one, marketing channel change.  You’ve got Google, Meta, LinkedIn, you name it. They’re all making changes to their platforms all the time, right? Some of my marketers tell me they go in one day into the Meta advertising platform, and the next day they see something completely different. A feature has changed, and what they thought was working yesterday no longer works. So we are living on this edge of constant change as far as the marketing channels are concerned. Then it’s very surprising how much the economy actually affects us.  Because we serve a startup audience, B2B SaaS startup audience, whether there is money flowing in the economy or not actually affects us quite a bit. Post-Covid, when suddenly there was contraction, we felt it. So there’s that external force. And then our competitors are not sitting down napping. They’re also on top of these things. So we have these three external forces affecting us all the time. So for us to live and thrive on this edge, we have to be forward-looking, and we have to be extremely methodical. It goes back to that operational rigor.  Imagine you’ve got 20 different things coming at you. You have to figure out, “Hey, what is the most important thing here, and how do I respond to that? How do I respond to the change?” Being able to anticipate, being able to be forward-looking, and responding has allowed us to weather storms. It was post-Covid, obviously Covid too, but post-Covid was more important from a business perspective. And then you may have heard about this in maybe other conversations, when Claude released their latest version of Claude Code, they unleashed what is called the SaaS apocalypse, meaning SaaS companies, right?  SaaS companies are outdated. They no longer are needed because you can create your own app and you don’t need a SaaS company. So companies that help SaaS companies such as ourselves, B2B SaaS marketing agencies, were in that first line of companies to get affected. But we saw that coming. We saw that coming a year before, right? And we were working, we were preparing for it. So six, eight months in, it doesn’t hurt us as much as maybe it has hurt other companies. These are the things that help us grow. Yeah. Go ahead.  No, no. I’m just wondering, I understand that you are very agile. I mean, you use an agile system, but you’re also agile in the way you are responding to the market changes. You adjusted well with the SaaS apocalypse, or whatever it’s called. But just because you are avoiding a major landmine doesn’t mean it’s going to grow your business. So I wonder what drives the growth beyond being agile. So as the market changes, does it automatically help you create more revenue?  That’s a good question. Yes. Yes. So I’m probably talking very big picture. So let me convert that into how this actually drives growth for us. So a change happens, we respond to that change. Sure, it helps us survive. But think about a change in the LLM, the large language models such as Gemini or ChatGPT or Claude, the way they process information and the way they present that information to you.  Because we see that, we respond to it, we are able to make sure that when, Steve, maybe you go into Claude and you ask for, “Hey, I want to work with a SaaS marketing agency,” we make sure that we are on top over there because we are responding to changes that are happening in the back end, right? So it’s not just thriving, it’s making sure that you know what is happening so that you can always be at the forefront. Wherever people go to find you, you need to be there. But I’m simplifying this significantly. So that is just responding, still responding. The thing that really drives growth for us internally is we find and work with really, really good people, great team members. We put in a lot of effort to find these great people, and when we find them, we hold onto them. This did not happen overnight. Finding great people is extremely hard, especially for a small business. So we came up with a methodology to actually finding those people. I looked at various methods, but the one method that appealed to me was this method called Who by Geoff Smart and Randy Street, these two authors.  I started there, but then I evolved that framework significantly over time to where it is now a core strength. So whenever we hire people, we know exactly what are the areas of strength they have, what are the areas that we’ll need to help them improve in. And so we know who is coming in and how we can best leverage them. So once we know that, we’re able to move forward fairly easily. So that’s one of our core things that helps us.  So what drives growth is, if I hear it correctly, what drives growth is staying visible with all the algorithm changes and the platform changes. You’re going towards more AI visibility as opposed to SEO visibility. And then also being able to recruit those people who will be able to do the work that is going to respond to the market demand.  Exactly. And the third part, the third lever to all of this is innovation. I mean, you would think that an agency would not innovate, but there’s innovation happening all the time in various things. Whether it’s marketing approaches, whether it’s putting together a marketing operational platform or whatever else, you have to innovate to stay ahead. So I would say these are the three things that help us grow.  Yeah. Love it. That’s great. So visibility, people attraction, and innovation. That’s the three legs of the stool. Yeah. So what is one thing that you’re actively trying to figure out in your business right now?  One thing we’re trying to actively figure out? That’s such an interesting question. There’s so many things happening all the time, right? So let me pick one that comes right to mind. We’re trying to figure out whether we should raise capital or not. Because we look at some of the greatest recent successes in AI platforms and companies, and they’ve come from one-person to five-person teams. So the question now becomes, when there is no technology moat, there is no reason to hire 100 people to thrive, what is the role of capital?  So that is something that I’m debating internally about what should we do here. Do we need it? Do we not need it? And there are so many other things that we work on all the time. But I would say this is, at the moment, today, June or July 2026, what’s top of mind for me.  Yeah. It’s a great question. If you don’t need more people and it’s a professional service that you’re providing, you’re innovating with your own resources and AI, then what is the capital need of the business?  Right.  So to what extent can a business grow today without adding people? Is it possible to scale a business without adding people?  The popular word on the street is grow a business without people. I don’t think that’s possible, to grow a business without people. If you have domain experts and you have people with the right traits, you can grow with a very small company. And those traits are things like: you need to be a critical thinker. You need to be able to question and analyze things a bit differently. You need to have domain expertise.  Most important for me, you need to have operational rigor. And when you have these kinds of people, yeah, I think you can grow with a very small team, but not a one-person company. Maybe in a few years, maybe in a few decades, that might be possible. But today, you can significantly speed up what you can do using AI, but you definitely need people who can manage those systems, who can squeeze the most out of those systems. You need those people manning those systems.  I also wonder if there is a threshold below which you don’t actually have a business. If you don’t have enough people to reduce your dependency on any single individual, including yourself, then do you actually have a business, or is it more like a professional practice?  Right. Right. Yeah. So it’s like you design a system and you just deploy it and it just runs on its own. So is that the business? I don’t know. It’s not really a business at that point. It’s just a tool that you put out there in the universe and it’s doing its thing. It’s a very philosophical question about where we end up as a result.  Yeah. And then things are changing all the time, so can you just rely on the system rejuvenating itself, or do you still need human energy to keep improving and keeping that business competitive in a fast-changing environment?  Right. It’s a question of the autonomous agents, right? How autonomous can autonomous agents really be today, and where does that lead us eventually? Does it lead us into AGI? We’ll see. But today, no. I would say strongly that autonomous agents are good within certain guardrails.  You can provide a lot more freedom for them to do it as long as they don’t break certain rules, and that’s where humans come in to make sure that those guardrails are maintained and the guiding happens. In today’s world, I don’t think that business exists without any employees. In tomorrow’s world, it might. Yeah. And that changes the economy, that changes everything.  Yeah. That’s an even bigger question.  Yeah.  Well, if you had a magic wand and you could fix one thing in your business in the next 12 months, what would that be?  Learning curves. I would love to skip past learning curves. And by that I mean, even when we find the best people with all the best traits, frequently what we see is we end up having to train people on what we know and what we know works, and that takes several months. It takes several months to get there. So it’d be amazing if I had a magic wand and day one they’re ready to go.  Yeah. So you’re deploying these agents for SaaS companies. Who is the ideal client that you would like to contact you when they hear this podcast?  We serve B2B SaaS companies, right? And so we work typically with companies who have what is called product-market fit, meaning their value has been articulated and they’re looking to grow. Those are the companies that we normally work with. And as we deploy Brazenly, our marketing operations orchestration tool, we’re looking to help marketing teams. And those teams could be a three-person team.  It could be a 20-person team. It doesn’t matter. It is built to scale. But that part of the business is definitely focused more on team productivity or automation of marketing teams as opposed to an individual. That is what ChatGPT and others are focused on, individual productivity. We focus on the team productivity aspect of it.  So you need companies that have figured out their product and they already have multiple people in marketing that need the support?  We normally work with companies that have figured out their value proposition and are looking to grow, so they don’t have, this is on the marketing agency side, right? So they don’t have all the people in place in order for them to grow, and that’s where we come in. We come in as a marketing department, and we will help take over all those marketing functions. That is on the agency side.  On the AI platform side, it’s a slightly different focus, which is we are helping ourselves. We are helping ourselves become more efficient as we help our clients. That’s one. But for someone else to use a marketing platform, they need to have a marketing team that can actually leverage the marketing operations platform. So there’s the agency focus, and then there’s the Brazenly marketing platform focus.  So you have the done-for-you version, which is the professional service as an agency, and then you have the DIY version, which is them using your platform to do it themselves, basically.  You’re exactly right. So there’s the done-for-you, there’s the done-with-you, and then there’s the DIY, right? Okay. Done-for-you is the agency. The done-with-you is, as much as there’s promise with AI platforms, you still need to build the agents. You still need to deploy them. That is the done-with-you, which is we’ll consult with marketing teams to help them deploy these agents. And the DIY is, here’s the AI operations platform. Go and use it yourself. That is the DIY. Okay. So you’re exactly right.  Yeah. Love it. Love it. That’s a great slate of services. So if people would like to learn more, I get it, they should not go to LinkedIn, but where should they go? Where can they find you?  Yeah. So you can always contact me on various platforms, Twitter, email, Instagram, and such. In MobileViews 618, recorded on July 12, 2026, guest co-host Don Sorcinelli joined me to cover a wide range of tech updates. I kicked off the show with a shoutout to my web host, DreamHost, who helped me manage an exponential spike in website traffic by filtering out various bots that were crashing my virtual private server. We then looked ahead to the upcoming Google Pixel event on August 12th, where we expect to see the Pixel 11 and potentially a new Pixel Watch. We also discussed the rollout of Android 17, noting its gradual improvements to desktop mode compared to the initial version rolled out in Android 16. I shared my frustrations with Microsoft Copilot, which is rapidly burning through my AI credits just for using basic OneNote features like syncing handwritten notes. This has pushed me to experiment with Obsidian and the Excalidraw plugin as a potential offline alternative for my e-ink tablet. We also touched on Windows, discussing the new Cloud Rebuild feature in the Windows 11 preview. Don shared his success in reviving an older 2019 Samsung Galaxy Book with a simple Windows 11 reset, a timely win given that skyrocketing RAM and SSD prices continue to make budget-friendly options like the MacBook Neo incredibly appealing. Finally, Don provided a deep dive into the complex world of Microsoft Enterprise Licensing. He explained how Microsoft is rolling features from its struggling Intune suite into its standard E3 and E5 licenses while simultaneously pushing price increases. Most notably, they have introduced a new E7 license—which Don jokingly called the "mother of all licenses"—that includes high-end Copilot agent features for a staggering $99 per user per month. We closed out with a look at how these price hikes, including those for non-profit organizations, are forcing IT departments to carefully rethink how they assign user licenses across their organizations.

The Japan Business Mastery Show
Plunder Your Own Insights When Presenting In Japan

The Japan Business Mastery Show

Play Episode Listen Later Jul 9, 2026 7:50

Every presenter already owns a vault of stories, examples and insights. The problem is not a lack of material. The problem is that most speakers fail to capture their experiences before they disappear into the fog of daily business life. In Japan, where audiences often value credibility, humility, context and practical examples, personal business stories can make presentations much more persuasive. Data and expert authority matter, but stories make the point come alive. A good story does not need Hollywood scriptwriting. It needs observation, relevance and a clear connection to the message. The smartest speakers plunder their own lives for insight and then use those moments to make their presentations memorable. Why should presenters use their own experiences in speeches? Presenters should use their own experiences because real stories make ideas more credible, memorable and human. Audiences trust examples that feel lived, observed and connected to the speaker's business reality. A presenter can quote data, cite an expert or show a graph, but a personal experience gives the message texture. In Japan-based leadership talks, sales presentations, training sessions and conference speeches, an authentic story can cut through formality and create connection. The story might come from a client meeting in Tokyo, a negotiation in Osaka, a leadership failure, a customer insight or a lesson from a mentor. These are not random anecdotes. They become evidence when tied to a clear point. Do now: Identify one key message in your next talk and match it with a real experience that proves the point. How can speakers collect better stories for presentations? Speakers collect better stories by keeping notes as soon as useful incidents happen. Memory is unreliable, so capture the raw material before it evaporates. Use Evernote, Apple Notes, Notion, OneNote, Google Keep or a simple notebook. Write down the date, setting, people involved, what happened, what was said and the lesson. Do not wait until you need a speech. Build the vault continuously. Business life is full of characters: difficult clients, brilliant colleagues, eccentric bosses, unexpected failures and surprising wins. Some of this stuff you couldn't make up, which is precisely why it works so well. Do now: Start a "presentation story bank" today and add at least one business incident each week. What makes a story useful in a business presentation? A story becomes useful when it directly supports the conclusion or key point of the presentation. Entertainment alone is not enough; the story must carry the argument forward. Start planning the talk by clarifying the conclusion. Then choose the main points that prove why that conclusion is correct. After that, search your story vault for examples that match those points. If the talk is about customer trust, find a moment where trust won or lost the deal. If the topic is leadership, choose a story about coaching, conflict or decision-making. The story must not wander off into businessland for its own amusement. Do now: For every story, ask: "What point does this prove?" If the answer is vague, cut it. How should presenters structure a talk around stories? Presenters should start with the conclusion, build the main points, then use stories as evidence inside the body of the talk. The opening comes last because it must grab attention quickly. This structure works for executive briefings, sales talks, training sessions and keynote presentations. First, boil the conclusion down to its essence. Second, select the major points that support it. Third, build the opening to break through the audience's distraction. Fourth, add evidence: data, expert authority and stories. In Japan, where audiences often appreciate logic and preparation, this structure helps the speaker sound organised while still being vivid. Do now: Design the close first, choose three supporting points and attach one story to each point. Where do good presentation stories come from? Good presentation stories come from successes, failures, observations and borrowed lessons from credible sources.Speakers should become collectors of business moments. Your own life is the best source, but not the only one. Stories can come from colleagues, clients, authors, biographies, business books, podcasts, industry news and public cases, provided you acknowledge the source and tell the lesson in your own words. In Japan, examples involving Toyota, Sony, Rakuten, SMEs, regional offices or cross-cultural teams can create relevance if they support the point. The key is observation. Most people walk past material every day and never harvest it. Do now: Look for stories in wins, mistakes, client reactions, market shifts and moments that changed your thinking. How can leaders make stories sound authentic? Leaders make stories authentic by telling them in their own words and connecting them honestly to the lesson learned. A story does not need theatrical polish; it needs truth, clarity and relevance. Avoid sounding like a motivational poster. Describe what happened, who was involved, what changed and why it mattered. The best stories often come from things that went wrong because failure carries lessons audiences want to hear. In Japan, where speakers may sometimes avoid personal vulnerability, a carefully chosen failure story can build trust. It shows the leader has earned the insight, not borrowed it from a slide deck. Do now: Tell the story plainly, include the lesson and avoid exaggeration. Authenticity beats performance every time. Final Summary Presenters do not need to wait for a professional scriptwriter to become better storytellers. They already have a lifetime of experiences, observations and lessons available. The smart move is to capture those insights, organise them and match them to the points they want to make. Start with the conclusion, identify the key points, then choose stories that bring those points to life. Keep a story bank, plunder your own experiences and stay alert to the characters wandering through businessland. There is no shortage of material. The opportunity is to capture it and employ it. In MobileViews 6136, Jon Westfall and I tackled the increasingly complex world of AI ecosystems. I shared my early impressions of Google Labs' "Dream Beans," an interesting daily briefing tool that uses AI to generate an illustrated summary of topics it thinks you'll find interesting based on your activity. While the illustrations are very nice looking and the content relevant, the app is currently very phone-centric, lacking the landscape orientation optimization I'd expect for a tablet experience. I also noted that Google AI Pro remains a solid value for me at $20 a month. A major portion of the episode was dedicated to my "credit crunch" rant regarding Microsoft Copilot. I discovered that Microsoft's 365 family plan only provides 60 AI credits per month, and the "intentional use" policy is aggressive. According to Copilot itself, credits can be consumed simply by opening the app, syncing handwriting from an e-ink tablet to OneNote, or even having the AI suggest a grammar fix you don't actually use. This led me to explore Obsidian as a OneNote alternative, as it offers free handwriting plugins without the credit overhead. Jon suggested a sustainable path forward: using AI to build offline scripts or tools that perform data manipulation locally to avoid recurring token costs. We also looked at the hardware horizon, specifically Microsoft's announcement of Project Solera—AI-powered badges and desktop displays—and the new Nvidia RTX Spark PCs,. These machines are purpose-built for local AI, boasting a petaflop of performance to run personal agents offline. Finally, with Apple WWDC just around the corner, we shared our hopes for the long-promised "personal context" updates to Siri. Jon is also eagerly awaiting his pre-ordered Clicks communicator and keyboard, while I continue to hold out hope for a MacBook Neo with a backlit keyboard and a desktop Mac Neo. Whether it's navigating "vibe coding" loops or managing AI budgets, it's clear that the "magic math" of the AI industry is starting to meet the reality of the bean counters.

You weren't meant to lead kids ministry alone — and this episode is your wake-up call to stop trying. In Part 2 of our "Tools for Kids Ministry Leaders" series, Tom, Cole, Ben, and Vickie get real about the tools that aren't apps or calendars — they're people. If you caught Part 1 (featuring the legendary Jim Wideman), you already know the power of systems and AI. Now we're going deeper into the human side of leading well. The conversation kicks off with Ben sharing what he's learned at his new church — a place where volunteers don't just show up, they own their roles. The team unpacks why so many leaders fall into the trap of believing "nobody wants to help," and Tom delivers a passionate challenge: stop saying no for people before you even ask them. Cast the vision, make the invite specific, and watch what God does. From there, Vickie breaks down her coaching philosophy — why every ministry, regardless of size, needs leaders of leaders. Whether you call them coaches, team leads, or area leads, these higher-capacity volunteers are the key to multiplying your impact without multiplying your exhaustion. The crew also gets personal about burnout, sharing how finding mentors and coaches transformed their ministries and extended their longevity. Ben talks about Dan, his longtime sounding board. Tom opens up about nearly burning out 15 years in. And the team offers practical advice on what to look for when hiring or choosing a coach — credentials, experience, and a heart for developing others, not just giving advice. Finally, they round out with systems — Planning Center, Google Drive, OneNote, voice memos, email folders, and even AI tools that help you work smarter so you can be more relational. In this episode, Kim and Kate take on the very real, very unsexy side of project management: figuring out how to manage your own work when everything (and everyone) is demanding your attention. This isn't about finding the perfect tool or building a prettier dashboard. It's about surviving—and actually functioning—in an interrupt-driven world where emails breed overnight, notifications multiply, and every task somehow feels urgent. They get into what actually works: setting a North Star for your week (yes, only a few priorities), getting tasks out of your brain before they haunt you at 10 PM, and why some tasks are secretly just traps that create even more work (looking at you, boomerang tasks). Also: a gentle reality check—you're not supposed to do everything. Grab a drink, ignore your inbox for a bit, and let's figure out how to organize the chaos without losing your mind.

Paying Techs Commissions: Best Practices and Pitfalls for MSPs

SMB Community Podcast by Karl W. Palachuk

Compensation models for technical staff in MSPs require careful alignment with business objectives and operational capacity. Both James Kernan and Amy Babinchak emphasized that financial incentives such as commissions or bonuses can be appropriate when technicians are directly responsible for generating additional monthly recurring revenue (MRR) or securing new accounts. However, they noted that proper monitoring tools are essential to track productivity and ensure fairness—without adequate systems, variable compensation based on efficiency or project profitability can introduce operational risk and potential inequities. Supporting this, Amy Babinchak described implementing a tiered productivity incentive where technicians received additional pay for surpassing utilization rates above 80%, but expressed concern over excessive overtime. Both speakers underscored the necessity of clear job role definitions; rewarding sales activities for technical staff may be appropriate if it aligns with broader company goals and does not compromise core technical duties. Non-monetary recognition, such as trophies or gift cards for ticket resolution or utilization, was also mentioned as an effective, low-cost incentive. The episode expanded to analyze current challenges in industry education and vendor-driven events. Citing a survey from the "All Things MSP" group, Amy Babinchak reported that 86% of respondents believe MSP conferences are now allocating too much budget to entertainment at the expense of substantive educational content. Comments from participants indicated skepticism toward vendor-led sessions, noting that paid speaking slots are typically used for product promotion rather than useful training, raising questions about increasing conference costs and the dilution of actionable takeaways. Key operational topics included shifting preferences among AI tools, with both speakers confirming recent moves toward Claude and Copilot, and persistent debate over MSP documentation practices—ranging from ad-hoc tools like OneNote to industry solutions. The discussion concluded with an observation about payment processing costs: James Kernan highlighted a case where $24,000 in annual credit card fees significantly reduced firm profitability, stressing the importance of passing such costs on to customers or utilizing ACH to preserve margins. MSP leaders are encouraged to assess compensation structures, conference participation ROI, and vendor relationships in order to minimize risk, align incentives, and ensure operational resilience. Question of the week:  Should I pay my tech commissions? Jon Westfall and I (Todd Ogasawara) covered several major industry updates and rumors this week: Apple's Upcoming Events: We discussed the rumors surrounding the Apple March 4 launch event, including the highly anticipated A18 Pro budget MacBook, which is expected to bring fun colors and a more accessible price point. Google's Latest Offerings: We touched on the Google Gemini Lyria 3 music creation feature. I was able to try it out a couple of times.  Additionally, we looked at the news that Google launched a Snapseed camera for iPhone, bringing pro manual controls and retro film effects to iOS. E-Ink Troubleshooting: Boox Note Air5 C I provided an update on the Boox Note Air5 C and a frustrating e-ink lag problem when using Microsoft OneNote. This writing lag is a known issue. The current solution when dealing with OneNote's infinite scrolling is simple but annoying: don't write near the very bottom of the display. Note that this specific issue doesn't seem to happen on the iPad or conventional Android tablets—it is strictly an e-ink quirk. Workplace Feedback, "Vibe Working," and OneNote We moved into a deeper discussion about evaluating work and the ongoing challenges of providing workplace feedback. Jon has been evaluating the work of his peers lately in OneNote, and to say it's not going well would be an understatement. We debated whether the fault lies with the tool itself or the user, leading into a wider conversation about the lack of attention to detail in professional environments. This tied perfectly into the difficulty of giving feedback to coworkers, especially when unreadable formatting or poorly optimized code directly impacts your own workflow. Finding that reasonable middle ground to deliver criticism without causing unnecessary friction remains a constant challenge. We introduced some new terms to frame this phenomenon, comparing Mark Zuckerberg's old "move fast and break things" mantra against the reality that carelessness often speaks directly to competency. We coined phrases like Minimally Viable Product / Deliverable, Vibe Working, and Generation AI to describe these modern workplace dynamics.

You get a firehose of genuinely useful Apple tips this week, starting with new muscle-memory moves you'll actually use: cycling app windows with Cmd + `, nodding or shaking to answer AirPods, dragging apps straight from iOS search, and building Focus-specific home screens so the right icons appear at the right time. Edge Light turns your Mac into a cleaner on‑camera rig, Display Buddy tames external monitor brightness, and custom macOS keyboard shortcuts plus Dock CPU meters give you fast, surgical control over your Mac. Then you level up your living room: master the Apple TV remote's scrub wheel, undo accidental scrubs, jump in precise increments, push video from iPhone to Apple TV, and fling audio to HomePod with a tap. Even Reminders gets a glow‑up so you can punt a pile of alerts in one shot instead of playing whack‑a‑mole. From there, you zoom out to “meta” geekery: backing up critical Notes (or moving to OneNote, Ulysses, or Obsidian), even flirting with a git repo to sync prefs and personal data like a developer. On the road, you learn how to keep CarPlay tappable with gloves, and in the cloud you explore why chatbots forget context, when to bring in tools like Claude, Perplexity's Comet, Atlas, Gemini, or Claude's Chrome extension, and how having an always‑on troubleshooting assistant changes how you work. Listener reviews cap it off by framing the show as a kind of PhD in troubleshooting, all so you can experiment, push your tech harder, and, of course, don't get caught. 00:00:00 Mac Geek Gab 1129 for Monday, February 16th, 2026 February 16th: Innovation Day MGG Monthly Giveaway – Enter to win a Copilot Money! We recorded MobileViews 596 a day early on February 7, 2026, mostly to stay ahead of the weather. I'm currently under a flood watch in Hawaii, while Jon Westfall has been dealing with the aftermath of an ice storm in Mississippi. We spent some time comparing the "quality" of our power outages—I've had five short ones recently, while Jon's neighbors dealt with a single, brutal nine-day stretch. In my retirement, I've started using mechanical keyboards—I have several now. Surprisingly, I broke my first keycaps ever this month on a Royal Kludge board. The stems on the "O" and "3" keys actually cracked. I've been replacing them with a set of Warmier PBT shine-through keycaps, doing about three a day so it doesn't feel like a chore. Jon is still rocking a 15-year-old Apple keyboard, but I'm trying to convince him to try a 75% mechanical layout with a volume knob. We had a discussion about the recent tech stock dip following Anthropic's new Claude plugins. Major players like Microsoft and Oracle saw massive hits, and I can't help but wonder if CEOs are overreacting to AI's current capabilities. I see a parallel to the "Advanced Intelligent Networking" (AIN) of the late 80s. Back then, we were told visual "drag-and-drop" programming would replace coders, but that path failed because non-techies didn't account for error conditions or governance. Jon agreed, noting that while the sky is changing, it isn't necessarily falling, and companies may soon regret the mass layoffs they've justified in the name of AI. My Boox Note Air 5C journey continues. I recently picked up a Staedtler Noris Digital Jumbo stylus. It looks just like a traditional pencil and features a digital eraser on the end. Interestingly, erasing with the physical end of the stylus is actually faster than hitting "undo" on an e-ink screen. My current workflow involves syncing my daily doodles from the native Boox app to OneNote as PDFs, though I'm still struggling with how OneNote for Android handles the mixture of handwriting and text. Jon shared his progress on a mobile "Hyflex" setup for his psychology classes at Delta State. He's using a combination of gear to allow students to participate in-person, synchronously online, or via recording. One software highlight he mentioned is Better Display (the $21 Pro version), which allows for a picture-in-picture view of an extended display. It's a lifesaver when the classroom projector is positioned at an awkward angle behind the presenter. Finally, Jon is planning his hardware roadmap for the year. He's debating between a DIY Linux box for local LLM work, a Unify storage appliance, or waiting for a Mac Mini with an M5 chip. Personally, I'm keeping an eye on the rumor mill for a touchscreen MacBook—I might actually buy one if it ever surfaces.

Industrial water work rewards people who can move between precision and practicality. Katie Holliday brings both. She started as a lab chemist, then transitioned into field service with Apex Water and Process, where much of her work supports healthcare facilities and high-accountability programs.   Lab habits that protect your tools and your data  Katie describes the first surprise of field work: a central plant is "very dirty," and the job demands good technique without chasing lab-level perfection. She shares a couple of simple practices that prevent expensive problems. Use proper lab wipes on glassware instead of shirts or paper towels, which can scratch surfaces and compromise readings. Keep pH probes wet with the correct storage solution, because once they dry out, they often stop working.     Healthcare water: SPD work and Legionella prevention  About 90% of Katie's accounts are healthcare. She defines SPD as the sterile processing department and explains why expectations shift compared to boilers and cooling towers. SPD work is cleaner, more controlled, and typically includes additional components such as endotoxin filtration and UV. It also involves more testing and stricter standards that tie directly to patient safety. Alongside SPD, she emphasizes Legionella prevention as a constant priority, from cooling towers (including secondary disinfection) to domestic water, because facilities want to reduce risk to patients.    Water chemistry reality check: Phoenix versus "everywhere else"  Katie explains how Arizona water changes the operating window. She notes high hardness and high chlorides, which can limit cycles of concentration and force conservative targets compared with places like Atlanta, where Trace describes running much higher cycles. The takeaway for experienced pros is familiar: operating limits are local, and "what good looks like" depends on the incoming water and the constraints that matter most at that site.    Mentorship, representation, and field readiness systems  Katie shares what it meant to be the first woman account manager hire in a long-running operation, and her advice is practical: recruit intentionally, then train people in the field, not from the sidelines. She credits her mentor, Bernie Peacock, for accelerating her learning curve, and she now passes that on by responding fast, following through, and providing steady backup to newer teammates. She also describes how she built mechanical confidence, using manuals, YouTube, phone video, and a OneNote playbook that captures account contacts, access details, sampling points, and "where things are" notes for clean coverage when someone else is on-site.   Listen to the full conversation above. From Chaos to Category Management: How Oklahoma Rebuilt Procurement for Speed, Trust, and Compliance

The myth says procurement is the holdup. We put that belief under a bright light with Oklahoma's Chief Procurement Officer, Amanda Otis, and trace exactly how a team moves from jungle to clarity—no playbook, tight resources, and high expectations. Amanda shares how a legal mind mapped undocumented processes, separated statutory “musts” from inherited habits, and rebuilt the office around category management so expertise links directly to spend and supplier markets. We get into the nuts and bolts: using PeopleSoft for e-procurement and sourcing without piling on complexity, leaning on AI to distill 500-page documents into crisp briefs (with human review), and adopting OneNote to tame the flood of work that email and spreadsheets couldn't handle. Trust becomes the center of gravity. Amanda explains why fast acknowledgments, reliable follow-through, and monthly “Central Purchasing Listens” sessions turned an “ivory tower” into a responsive service partner. Skeptics on the team weren't ignored; they were invited into experiments with a simple promise—try it, measure it, change it if it fails within six months.Join us for a straight-talking playbook on modern public procurement: category management, transparent metrics, trust-building, and structured innovation that actually ships. If this episode sparks ideas for your team, follow the show, share it with a colleague, and leave a quick review with your favorite takeaway so more practitioners can find it.Follow & subscribe to stay up-to-date on NASPO!naspo.org | Pulse Blog | LinkedIn | Youtube | Facebook

With this episode, I'm rolling something out that's a bit different. Maybe you'll like it, maybe not.Like most of you, I do a lot of training, job and daily work activity preparation while holding onto a steering wheel. There is something about the austere environment that the front seat of a truck can provide. I try to use the time as best as I can. Occasionally, it'll be music in the background, but most of the times it's going to be a podcast. Trying to add some mind expansion while commuting. For the past several months, I've been mounting my GoPro with my Hollyland Lark M2 microphone, and when the moment strikes, simply hitting "Record" and riffing. Most of what I'm recording ends up on the proverbial cutting room floor. But, I'm playing around with the combined mediums. I gaining confidence in posting. And I'd like to think that my brain dumps are somewhat interesting, sometimes thought provoking. So many podcast hosts have provided me with knowledge & ideas to incorporate into action items, or to write about, or to just dwell on, trying to tie their experiences & knowledge with mine in my industry. So, I'm going to try to post more of these shorts. We'll see what happens. In this episode, I riff on ideas surrounding "Consistency."How consistent am I being? How purposeful? How disciplined?Am I just talking a good game? Or am I genuinely trying to stay consistent in my daily routines and actions? How am I organize my day? My morning routines? How am I using OneNote? Mort Sherman: Resonant Minds Mort Sherman is the retired Senior Associate Executive Director of the American Association of School Administrators, known for his visionary leadership as a superintendent dedicated to elevating academic standards and promoting equitable education. Throughout his career, he championed initiatives that addressed achievement gaps and empowered communities to foster inclusive, impactful learning environments. He is the author, along with his daughter Sara Leila Sherman, of Resonant Minds: The Transformative Power of Music, One Note at a Time. So many of us love music, and it's often at the core of a lot of our personal lives, celebrations, and emotions. But we don't often think about how we can leverage its power at work. In this conversation, Mort and I explore how music can help us set the tone for better leadership. Key Points One way to nurture our teams and ourselves is a continual call for leaders, and music is an avenue we don't often consider. Using music as mindful action, coupled with executive function skills, supports the habits of successful leadership. Start meetings with music or mindfulness exercises for collective focus, productive discussions, and creative outcomes. Create team playlists to build community. Combine playlists with meetings to help support trust and respect. Use music to reinforce a message or theme, tied to the needs of the moment. My only family heirloom is my Dad's 1960s stereo console he had at boarding school. As a kid my parents listened to the music of that time and I'll always have a special place for the likes of Barbra Striesand, The Bee Gees, and James Taylor. Around the age of seven a family friend gifted me with a transistor radio and though I had a couple dogs, my best friend became music, and the love affair not only never ended, it continues to flourish. I've always felt music was more than just a mere accoutrement to life but had never dug into any psychological research. Until now. What you are about to hear I feel will elevate your utilization of music to improve your life. Sara Leila Sherman is my guest. Sara is a big name in the New York music scene. She's a distinguished classical musician and a graduate of the Manhattan School of Music and has performed at Lincoln Center, Steinway Hall, Yamaha Artist Salon and all the impressive places. But it's her interest in blending music and mindfulness that got my attention. Sara has pioneered innovative approaches that empower educators and parents to use music as a tool for mindful learning and personal growth. Sara is a music lover, from classical to pop. She grew up with a Dad, Mort Sherman, who loved music and ingrained Sara in its glory and power. Together they've written a book, Resonant Minds: The Transformative Power of Music, One Note at a Time. I brought Sara on to help understand why I've felt so much power and resonance in music. One aspect you're about to hear is Sara's research into how music engages all the parts of your brain, so it makes sense that when you feel emotions or have experiences accompanied by intentional music, it makes a bigger impact on you. That info alone was worth the conversation. But we covered…more. https://www.resonantminds.com/ Sign up for your $1/month trial period at shopify.com/kevin Go to shipstation.com and use code KEVIN to start your free trial. And I bet I know which one yours is. https://newsfeed.time.com/2012/04/24/which-side-is-your-good-side-here-comes-the-science/ You are exposed to a lot of music every day. Sometimes it is music you seek out and want to listen to as well as music that plays in the background – in stores, in elevators, in a doctor's office. All that music affects your brain in interesting ways. Here to explain how is Sara Leila Sherman. She is a musician and educator, who studied and pioneered innovation in music as a tool for learning and personal growth. Still, there are frequent stories of drugs that go wrong. They either don't work or they turn out to cause harm or even death. Isn't the FDA supposed to make sure that doesn't happen? How do bad drugs get approved? Is the process broken? Here to offer some great insight into this is Jerry Avorn, MD. Who is also a professor of medicine at Harvard Medical School. He created a leading research center at Harvard to study medication use, outcomes, costs, and policies and has written hundreds of papers that have appeared in medical literature as well as opinion pieces in The New York Times and The Washington Post.
