Episode 44:  In this episode, Timalyn discusses issues related to tax audits.  The fear people have about being audited is often paralyzing.  It's a serious issue and you need to be prepared to both avoid it and to know what you need to do if it happens.  There are steps you can take to ensure your business is audit-ready. There's No Such Thing as an Audit-Proof Return Regardless of what some tax professionals might claim, there's no way to guarantee you won't be audited.  There are different types of audits and the selection “triggers” vary.  The IRS has the Discrimination Function System that produces a DIF score.  This system rates the potential for change based on past IRS' experiences with similar returns. The IRS can track returns for similar businesses, using categories such as NAICS codes.  This code describes your type of industry.  When they look at a collection of similar returns from the same industry, they can determine averages for specific data points, such as expenses, credits, etc. for your reported income level.  If your DIF score is out of that range, it could trigger an audit.  Irregularities can also raise flags.  For instance, if all of your figures on your tax return are round numbers, that would seem odd and could result in an audit.  The IRS has a whistleblower program.  They pay snitches who were correct about something they alerted the IRS to regarding someone else's tax filings.  It Doesn't Mean You Did Anything Wrong Timalyn emphasizes that just because you're being audited, it doesn't mean you did anything wrong.  She explains that for 2023, there was a 0.4% chance that taxpayers would face an audit.  Lower income individuals actually had a slightly higher chance.  Don't Fear the Boogey Man An audit isn't as scary as it sounds.  It's a review or exam of your tax account and your financial information to ensure proper reporting.  If you keep good records and don't inflate/deflate your income or expenses, is there really anything to fear?  You have the information and it's accurate.  As long as you can prove that information was reported correctly to the IRS, you should be fine.  If your records are extremely unorganized, you had to guess at certain dollar amounts or someone else guessed for you, the audit may become a problem for you.  Correspondence Audits This is where the IRS will contact a taxpayer to request specific information.  If you've received an audit notice, or a field audit where the IRS agent comes to you, Timalyn recommends you don't handle this on your own.  It doesn't matter how good your records are.  Yes, you may be able figure out how to handle the process, but you're going to be at a disadvantage and the opportunity to make a mistake is significant.  This is not something you should simply search for on YouTube.  You need an experienced tax professional who knows how to deal with the IRS and the rights you have, during the audit process.  If you've received an audit notice, you can book a tax relief consultation with Timalyn.  She also has an episode on what you need to look for when hiring a tax professional.  Episode 23 is titled, “Which Type of Tax Professional Do I Need?”  In the show notes for that episode, there's a link to Episode 16, “How to Choose a Tax Professional.”  Both are full of valuable information for your consideration.  When you receive a Correspondence Audit, the IRS may not explain specifically why they are requesting the information.  It can be a significant source of anxiety.  Make sure you respond to the IRS in a timely manner.  Timalyn suggests responding before the deadline, in case something else needs to be addressed.  If you have good records, this will be much easier. Do You Already Have a Tax Power of Attorney? If you already have a tax power of attorney, you've already authorized this person to speak to the IRS on your behalf.  They've filed submitted IRS Form 2848, so they will also receive the correspondence from the IRS.  Don't assume the person who prepared your tax return is receiving the same correspondence you have received from the IRS.  Unless they've submitted Form 2848, the IRS does not have the authorization to speak with that tax preparer and vice versa. Prepare Your Business for an Audit This is the best thing you can do, especially because of the random nature of IRS audits.  Timalyn re-emphasizes the importance of good record keeping.  You have to be able to substantiate everything you entered on your tax return.  This applies to both income, expenses and credits.  There are many ways people have committed fraud by overstating their income when applying for the PPP loans, SBA loans, or a mortgage.  These are reasons the IRS may require you to substantiate your income.  Good financial statements, based on accurate bookkeeping can help you to prove you received the income you claim, even if you don't have a 1099 to back it up.  Your bookkeeper or accountant will reconcile your bank account.  The financial reports should reflect your income.  Make sure the person who prepares your financial statements has access to your bank statements.  If they are doing it without access, you may be setting yourself up for a significant issue or issues. The same record keeping applies for your expenses.  It's why business owners should not co-mingle their business and personal funds.  During an audit, explaining the different purchases will be more complicated if you can't determine whether they were for business or personal reasons.   You Need a Bookkeeper This person is a valuable resource.  It's something Timalyn often recommends you outsource.  A business owner can waste a lot of time trying to do their own bookkeeping.  You should definitely understand your financial records, but the time spent doing all of the record keeping and reporting could be better spent generating more revenue. The 3-H's of Record Keeping Timalyn suggests there are questions to consider related to record keeping.  ●      How long should you keep your records?  ●      How should your store your records? ●      How do you deliver your records? Episode 20 specifically deals with how long you need to retain your tax records.  Don't Create More Problems for Yourself If you're being audited, remember to only provide the IRS what they are asking for.  Make sure the support for those records is readily available.  Timalyn uses the example of someone who was asked to show income for a number of years.  However, because they didn't have good records, they instead decided to turn over all bank statements to the auditor.  This resulted in the auditor finding even more questionable transactions that were flagged.  If you're going through an audit, you typically wouldn't know how to handle the IRS.  Even good intentions can lead to many more problems.  That's why you should work with a tax representation professional who is familiar with the process and can best represent you.  Check out Episode 33, “What Is Tax Representation?”  Just because someone prepared your taxes doesn't mean they're equipped to represent you. As 2023 comes to a close and tax season looms, you need to ask yourself if your business is audit-ready?  Do you have good financial records?  How are we handling the 3-H's of record keeping?  Is our tax preparation professional asking questions about our records?  It's time to get ready. Are you wondering which type of therapy you need? What if you can’t afford therapy? Does time heal all?   This is the first episode of May, which is Mental Health Month. Every episode this month will be focused on mental health in some way. I couldn’t think of a better person to chat with for the very first episode of Mental Health May than trauma therapist Kobe Campbell. Kobe is also co-host of The Healing Circle Podcast, and founder of The Healing Circle Therapy & Wellness Center. She helps me unpack all of the questions above and you’ll walk away with concrete resources as you start your healing journey.   Are Your Quirks Really Trauma Responses?   “Until I went to a therapist, I did not realize that the ways I responded to the world around me were a reflection of me trying to soothe anxiety.” - Kobe     Have You Ever Felt Triggered? We tend to see triggers as us remembering a past trauma, but it’s really us re-experiencing it. Our bodies feel like we’re back in that traumatic moment. And we won’t always know what the traumatic moment was. Are you ever dishonest about your feelings because you feel embarrassed by them?   “What hurts you in the past...is going to hurt you when you’re older… The deep wounds that we feel do not disappear.” - Kobe “Time can distract us, but that’s about it.” - Kobe     Should You Get A Therapist? Are you working things out by venting to your girlfriends? Are you wondering when would be a good time to take it to a professional?  I share the moment I knew it was time to get back into therapy.   “You don’t have to be in crisis to go to therapy. Therapy can be a preventative measure.” - Kobe   Start noticing the patterns in your life that pop up no matter the variables like time and place. We’re often too close to our own lives to see the full picture.   Which Type of Therapy Do You Need? General Therapy Like your family doctor who handles colds and flus, a general therapist handles things like anxiety and depression. Specialized Therapy They have a niche— they work with people who are working through a specific pain. This is for when you want to focus on things like sexual trauma, grief, family issues, or couple therapy.  Psychiatrists vs Therapists Psychiatrists are in the medical field, while therapists are in the mental health field. Psychiatrists are able to prescribe medications and provide official diagnoses.    Should You Go On Medication? Medication is trial and error sometimes to find the right fit. I share my own experience in going the holistic route and when I ultimately felt open to trying medication. There are doctors of osteopathic medicine that can use a blood test to see what medications would react well and poorly with you, narrowing down your trial and error search.   How Do You Find A Therapist? Psychology Today is the Google of therapists. It lists names, degrees, licenses they have, and a bio that gives you a taste of who they are. It also lists fees, rates, and insurances they accept. Most therapists offer free consultations, which are basically short connection calls to help you see if they are a good fit for you. The biggest rule is that they should always make you feel safe. Always.    “Therapy is there to help heal you, not to re-traumatize you. If you ever feel like you have to defend the reality of your pain, run as fast as you can.” - Kobe     What If You Can’t Afford Therapy? Ask about sliding scale fees. Some therapists offer reduced rates.  Open Paths Counseling Center is like Psychology Today, but for therapists who have reduced rate availability.  The Loveland Foundation provides financial assistance for Black women and girls who are seeking therapy. Churches often have scholarship funds for therapy. Kobe and I didn’t get to all of the questions I had for her— there was just so much to cover! Jordan Gill, operations consultant and founder of Systems Saved Me, helps overworked one-woman shows become streamlined solopreneurs. Her jam is creating a cohesive operating system for managing your tasks, files and inbox. She's been on podcasts like What Works and CEO Vibes sharing her love of replacing monthly retainers with one day virtual intensives. She currently lives in Dallas, TX with her cavapoo Vivienne and collection of 1,000 piece jigsaw puzzles. Here's what we covered on the episode: How Jordan was on episode 61 of the podcast and how we met 5 years ago on a launch that wasn't the best experience for us, bonded over the situation, and became friends In 2016 Jordan went full-time into entrepreneurship and ended up getting connected with some business owners where she was doing monthly retainers, which is the only business model she knew from a service perspective Jordan talks about how she had 4 clients at the time and says that about 5 months in, 3 out of the 4 clients were launching and shares that it was very stressful, which is how she figured out monthly retainers were not the way she shows up best When Jordan started looking into other ways of doing business, she hired a sales coach who was doing 3 hour VIP Days in her business, so Jordan asked if she could do that in her business but with systems How Jordan decided she wanted to charge $3000 for her intensives but had some struggles, thinking no one would pay that because she's too young but says she benefited from being young and naive because she did it anyways The majority of Jordan's business revenue came from VIP Days and weekends, and how that really allowed her to experience entrepreneurial freedom, which is why she teaches this business model now Sign up for Jordan's Done in a Day Virtual Conference to figure out how VIP Days would work in your business Jordan shares the 3 types of VIP Day structures, backstage, blended and book-end and also shares that she has a quiz you can take to know which structure would be best for you The backstage structure is when you aren't really getting on a call with your clients at all, they just reserve your day, examples of this are website design or copywriting — it's more of a service type VIP Day How Jordan does the blended structure, where she's on a call the entire time and is building the process at the same time, while the client watches her so they can become more familiar with the tool along the way When you think of a bookshelf you can sometimes have one book-end or two on either side of the shelf, and in the book-end structure, wherever you place the book-ends, those are your actual calls with your clients Jordan tells us about the most unique VIP Day she's been approached with and how the woman wrote songs to help heal people of trauma, so Jordan went to a friend who was excited about the idea and ended up getting the woman a referral partner Jordan talks about how we're both similar in the way that our best energy comes from when people invite us into a space to speak, because of this Jordan doesn't go live on Instagram much, instead she builds relationships with people and the invitations for her to come speak just happen from there How Jordan knew she was going to do a rebrand and told her content manager that she wanted to only hire VIP Days which was interesting because VIP Days are a newer concept so it got a little tricky when finding people she wanted to work with in the VIP Day format The story of how Jordan hired a branding agency in Dallas, TX had them come into her home so they could truly get a feel for her and then when she got her results back, they created a pineapple illustration that looked like SpongeBob SquarePants house for her logo, which made her feel so misunderstood When Jordan did her rebrand she hired a brand strategist who actually helped style her for her photoshoot too, she also hired a copywriter to go over all of the copy she had written, a photographer who really understood her, and a website designer— all were VIP Days Jordan says it was such a relief to do this rebrand and shares one of her favorite areas is the directory on her website, where she gets to showcase clients who have gone through their program so you can go hire them for their VIP Days The decision to move from Kajabi to Showit Jordan says was because of Kajabi's limitations on how you can organize the back end of your website, so she decided to switch when they were rebranding How Jordan's team was very involved in the switch because it's their mission too, it's not just the Jordan show — her ops coordinator moved all the courses, her graphic designer helped with the logo, patterns, prints and icons for the website, and her content manager had a lot of input on the social elements they needed Jordan explains that if you work in the rebrand space it's okay for your clients to not necessarily be overly jazzed about the branding process and just because they have doubts and fears doesn't mean you aren't doing your job well, it just means they are out of their comfort zone and you have to reassure them Sign up for the Done in a Day Virtual Conference, it's on March 8th and 9th, 2021 and you will get live virtual events in a fun, active and supportive environment Links mentioned: Systems Saved Me The Design Business Show - Everyone's telling you that you need an audience, but do you really? In this episode I'm going to break down who needs to build an audience online.   To do this, I want to help you figure out which overall “bucket” of online business you fall into. There are 3 overarching categories of businesses that I see online, and they each have their own unique pros and cons. They also each have a very different approach to building an audience (or not).   Note: these 3 are not the only types of online businesses, but they are the types most likely to be listening to this podcast.   After we discuss the 3 categories of businesses, we'll talk about whether they need to build an audience or not.   3 Types of Online Businesses Service Provider Provides a service in exchange for money. Can include website designer, graphic designer, copywriter, social media manager, podcast editor, etc. In these examples, someone is paying you for a service and receiving a tangible “product” in exchange.   As a service provider, you can earn an income quickly. You can also gradually increase your rates based on your expertise in what you are offering.   This is one of the fastest ways to generate an income online. Coaching/Consulting This may include a life coach, business coach or consulting, fitness/wellness coach, parenting coach, etc. In these examples, someone is paying you for your time and expertise, but they are not receiving a tangible product in exchange.   Side note about coaching/consulting: it's my take that coaches and consultants actually need to have an expertise in what they are coaching or consulting about.   I've seen some people say that you can be a coach just by calling yourself a coach. And while that is technically true, it's really important that you actually are able to provide value for your clients.   Often we simply don't realize what that value is and we DO have something we could coach someone on. But at the same time, if you are brand new to the online space and you need income immediately, I don't generally recommend diving into coaching first thing. Content Creator Provides a digital product in exchange for money. This can include digital courses, ebooks, audio content, etc.   A content creator or “info product” business can take longer to build up, but can end up being more profitable in the long run, since it requires less of your 1:1 time.   You can build a content based business quickly if you have money to invest in advertising to sell your digital products.  Which Type of Business Are You Building?   After hearing the descriptions of these 3 types of businesses, hopefully you can determine which one you fall into. You may recognize that you are trying to build more than one of them, which can be very difficult to do.   A big part of choosing which type of business you want to build right now comes down to your financial goals/needs.    It's much easier and faster to earn an income as a service provider vs. a content creator.    Coaching or consulting can bring in quick income, but it's slightly harder to sell because the buyer is not getting a tangible result like a new website. So who needs an audience? Service provider: You don't really need to build an audience right now; you need to build a referral network and focus on 1:1 connections   Coach or consultant: You need a slightly larger pool of prospects to draw from than the service providers, so you should start building an audience, but continue focusing on 1:1 relationships as well.   Content Creator: Yes! You do need to build an audience. You need a larger pool of people to sell your digital products to or to sell a book, so you have to build an audience.   Grow Your Audience   Now, if you fell into the category of needing to grow your audience, then I want to let you know about my “Grow Your Audience” masterclass. Pero aunque la mayoría son cosas buenas, alguna mala se cuela. Pero no puedo dejar de ver que hoy en día, en lugar de hablar de la aptitud física como algo para ser mejor, más rápido y más fuerte, muchas de las tendencias en la industria continúan como hace 20 o 30 años. Solo se centran alrededor de aumentar músculo si eres un tío o lograr el cuerpo bikini perfecto si eres una tía. Difícilmente puedes moverte por Instagram sin ser sometido a un six-pack de celebrities de fitness o una foto de la transformación de alguien que ha completado un programa de entrenamiento, el que sea. Lo más preocupante es que las investigaciones han demostrado que las fotos como las que se encuentran en muchas redes sociales en realidad nos hacen sentir tan mal, si no peor, que las imágenes de modelos escuálidas. Mientras que imágenes como estas están destinadas a mostrar ciertos resultados para "motivar", quiero preguntarte: ¿a qué "resultados" nos referimos? Cuando nos enfocamos tanto en hacer ejercicio como una forma de perder peso o de verte bien para otra persona en la cama, por qué es para eso ¿no? Es para verte bien sin ropa. Pues pasamos por alto algunos de los beneficios mentales, emocionales y de condición física a medio y largo plazo. Así que he reunido cinco razones por las que debes preocuparte por la buena forma física, y que no tienen absolutamente nada que ver con el tamaño de tus bíceps o lo redondo que es tu culo. 1. Te hace más feliz Cuando haces ejercicio, tu cuerpo aumenta naturalmente la liberación de serotonina, dopamina y endorfinas, los químicos que son responsables de producir los mismos sentimientos eufóricos que la morfina en tu cerebro. Solo salir a correr al trote cochinero o mover algunas pesas puede aumentar instantáneamente tu estado de ánimo, aumentar tu energía e incluso darle un nuevo sentido a tu vida. A lo mejor me he pasado un poco, pero pillas la idea. Pero más allá de tus marcas personales, el ejercicio ha demostrado en estudio tras estudio reducir la depresión y la ansiedad a largo plazo con la misma eficacia que los medicamentos y otras formas de terapia. En el año 2000, un equipo de investigadores de la Universidad de Duke descubrió que el ejercicio no solo era tan eficaz como los fármacos para aliviar los síntomas depresivos a corto plazo. Sino que los pacientes que entrenaban también tenían menos probabilidades de ver que su depresión regresara que los que tomaban antidepresivos. El problema es que hemos llevado a nuestros entrenos a un nivel tan alto de autoexigencia que a veces son más una obligación o un castigo por lo mal que has comido durante el fin de semana. Así que no me importa si es Zumba o CrossFit, montar en bici, nadar o bailar en pelotas por tu casa, da igual. Encuentra un ejercicio que te guste. Porque al final del día, debería hacerte sonreír. Si no te divierte, lo acabarás dejando. 2. Te hace más inteligente El ejercicio aeróbico aumenta el flujo de sangre y, en consecuencia, oxígeno, directamente al cerebro. Esto aumenta la actividad en la corteza prefrontal, que es responsable de los procesos ejecutivos, como la planificación, la toma de decisiones, la resolución de problemas y la atención. Seguro que has notado alguna vez como cuando sube tu ritmo cardíaco te hace tener mayor concentración y como si tu mente estuviera mucho más centrada. Eso es supervivencia evolutiva. Cuando te persigue un animal que te va a comer no hay tiempo de dudar, solo de actuar. Además, el ejercicio aeróbico literalmente cambia la estructura del cerebro, lo que resulta en un aumento de la materia gris en general. Las neuronas se producen a través de un proceso llamado neurogénesis. Algo que hasta hace relativamente poco tiempo se creía que se paraba después una cierta edad. Te dejo un par de estudios sobre esto. Un estudio y otro estudio. Por lo tanto, la próxima vez que le des vueltas a un problema, te atasques en una tarea creativa o simplemente necesites un nuevo enfoque, haz que su sangre fluya. Después de todo, según dice la leyenda, incluso Albert Einstein pensó en la teoría de la relatividad general mientras montaba en bicicleta. 3. De viejo te lo agradecerás Hoy en día, más de un tercio de la población occidental padecen obesidad. Es un aumento del doble en adultos y  del triple en niños desde la década de los '80. Y pasar la mayor parte de nuestro día sentados frente a un escritorio o mirando los teléfonos no va a yudar mucho a solucionar el problema. El ejercicio no solo ayuda a mantenr la salud física. También está conectado a tu salud mental a largo plazo. Un estudio de 2014 encontró que correr 20 kilómetros por semana disminuye el riesgo de Alzheimer en un 40%. Investigaciones recientes han demostrado también que un alto nivel de actividad física podría disminuir el riesgo de demencia en las mujeres en casi un 90%. 4. Te hace más fuerte El hashtag #strongnotskinny se ha utilizado en Instagram más de seis millones de veces hasta la fecha. Pero cuando te fijas, la mayoría de veces estas publicaciones continúan sirviendo como una nueva forma de "sugerir" cómo debe verse tu cuerpo, solo que esta vez tiene músculos. A ver, que no seré yo el que diga que estar petao o estar cañón es malo. Solo que centrarse en estética pura y dura no es una estrategia inteligente a medio plazo. Lo que digo es que tenemos que buscar estar en buena forma física de manera general. Que sí, que vale, que cada uno va a destacar en algo concreto. Pero eso no quita que descuidemos todo lo demás. Si no sabes a que me refiero te dejo dos post antiguos con las marcas que deberíamos tener, o como poco aspirar a tener para considerarnos un hombre o una mujer fitness, alguien en forma. Lo que se considera ser un tío petado que está en forma y lo que se considera ser una tía cañón que está en forma. 5. Crecerás de maneras inesperadas Los efectos residuales del ejercicio físico son enormes. Charles Duhigg, autor de The Power of Habit, llega incluso a llamar al ejercicio un "hábito clave", por su capacidad para influir positivamente en muchas otras áreas de su vida, como una mejor alimentación e incluso una mayor productividad en el trabajo. La profesora de la Universidad de Stanford Carol Dweck ha estudiado las actitudes de los niños sobre el fracaso durante más de 30 años y concluye que hay dos tipos de mentalidades que vemos en el mundo. Una mentalidad fija: "soy naturalmente inteligente", "no soy un corredor".  Y una mentalidad de crecimiento: "Si trabajo en eso, puedo mejorar ". Como dicen, nunca es más fácil, solo te vuelves más fuerte. Estar en buena forma física te da una forma objetiva y medible, de ver tu progreso. Cada vez que corres un poco más lejos o le metes un poco más peso a la barra, también aprendes que cuando las cosas se ponen difíciles, no te das por vencidos, o al menos sabes que no es porque no vales para eso, solo que necesitas más tiempo. No deberías ver el fitness solo con la promesa de ese cuerpo apolineo o ese culito instagram. Deberías verlo como una forma de estar en buena forma física a medio plazo y con buena salud física y mental a largo plazo. Necesito formar un ejercito para mi dominación mundial. Decreases the amount of time your clients are in the sales pipeline. Attracts more people/clients to the top of the sales funnel. Builds trust quicker with clients. 3 Things You Should Be Doing To Increase Your Agency’s Authority Be helpful on the internet to up your searchability. Blog, do podcasts, have a social media presence, and get involved. Clients will search your agency to gauge its relevance and status in the industry. Get active on Twitter and LinkedIn. It is most important to build up your agency’s position in the industry. Do it organically (don’t buy followers). Having a limited social media footprint can affect your agency’s image in the the eyes of prospective clients. Vanity metrics are important, so you need followers as social proof. Build an impressive website. Make it look amazing - even though you're really busy with client work. It needs to be impactful in the first 3 seconds and indicates your agency is professional. According to Josh, the most valuable currency for agency owners is authority. If you aren’t sure where your agency stands, Google yourself and gauge it. Stop Competing and Start Collaborating In the competition game, you’ll never win. Your agency can’t be all things to all clients and getting OK with that is healthy. Focus on you. When you’re busy focusing on the competition, you’re not focused on your agency’s strength and growth. Concentrate on making your business, team and clients shine without giving a second thought to the competition. You don’t need to add additional agency services to grow. Ask yourself: What’s the purpose of your services? Who is your agency trying to help?  Then, once you know what your agency is all about and have become the authority in that niche you are in a great position to collaborate with agencies also in that space. Partner with other agencies who are strong in areas your agency doesn’t cover, to make your services appear more valuable. Find collaborators who offer complimentary services and become strategic partners. When you learn to collaborate, you stop the competition. As you work with agencies, ask if you can refer them.
