We are back at you today. I have Ms. Kristy back with me today in the, we'll call it the studio. We're each in our own studio. We are here just so excited to bring you guys more value and more information and doctors who.   Kristy (00:02) you   The Dental A Team (00:19) Listen to us who come every week, who diligently are here supporting us. love you and appreciate you and Teams exactly the same. love you and appreciate you. And Kristy, how are you doing today? Let's start there. How's Kristy's world?   Kristy (00:45) my gosh, wonderful. It's been a good day. The weather's nice, had lots of client calls, being able to help people. And then ending up in the studio with you today. So it's a good day.   The Dental A Team (00:57) Awesome. It's a beautiful Wednesday. I appreciate that. And I think it's a little, I think it's just cloudy. I can't say gloomy because you know, I'm in Phoenix, so I'm quite positive there's no actual rain coming. I think it's just a little cloudy, which is making me think I need to be outside later because it, you know, 96 might feel a little bit better with some cloud coverage. We'll see. We'll see. So I'm excited for you, Kristy. And I'm really excited for the clients that you've been able to help already so much. You've had, you got   Kristy (01:16) .   The Dental A Team (01:27) a handful, two handfuls even, clients under your belt and they're just seeing some incredible progress and I want to give you some massive shout outs and some massive kudos. You have built really strong relationships really quickly and made some massive impacts on personal and professional lives all the way across the country. I know you've even got right now a client as far as New Jersey.   and we are West Coast, you guys. So Kristy, thank you for everything that you pour into our company and into our clients and to the people here listening that you pour into our non-clients as well. So Kristy, kudos to you. Thank you for being here today. Yeah, I am really excited, you guys, to chat re-care and reactivation with you all. Really, the thought process here is like patients slipping through the cracks and...   Kristy (02:04) Thank you.   The Dental A Team (02:17) and patients that are maybe forgotten about. And they're forgotten about, but we still love them. So patients that listen, that just every now and again pop into dental podcasts, we love you. But really just talking about this from a standpoint of team and doctor perspective, and What can we do to ensure that these patients don't slip through the cracks or when they do, that we catch them again. And I have to say, been in the dental field for quite a while.   And I was really young when I started in the dental industry. And for a long time, I worked for a really amazing, amazing man. He was, he's just one of my favorite human beings in the world. And this doctor was just incredible, but he is a bundle of energy. guys may have heard me talk about him before. He has so much energy and he's go, go, go all the time. And he is literally your true entrepreneur, right? Your true in...   just like visionary, right? Not integrator. He's your visionary. I was his integrator and constant idea factory and constant like fix this, let's do that, let's do this, let's implement. And I remember he harped on re-care constantly. He's like, we're not fucked out six months, then we're not doing our jobs right. And I used to, when I was young, be like, give it up. Like for the love, just let me live my life. Like stop telling me to make more re-care calls.   And I really just didn't understand. And I don't think he knew how to articulate, you know, the reasons behind it. And I think this comes up in a lot of practices for a lot of doctors and a lot of teams of making sure that we are making recare calls and docs. I have to tell you a little secret. it's a kept secret front office teams and back office teams alike. We like to keep it to ourselves, but we hate making calls. Nobody likes.   to make phone calls, okay? It's not fun. And we will do it for the right reasons and we will do it because we want you to have a thriving practice. But it's not like, gosh, guess what I can do right now? I have a couple minutes, I'm gonna pick up the phone, I'm gonna call some people. It's really the last thought. So I know it's shocking, I know it's hard to hear, but I think we have some tips and tricks today that will take some of that discomfort.   out and make it easy for team members. And also I think we can teach you how to articulate the reasons behind making sure that we have a really good re-care and reactivation program in place. And I want to speak to that first because I think it's the most important piece and the most important aspect of really getting anything done.   is the why behind it. And when you're asking someone else to do something for you, whether it's at home or it's at work or whatever, going into it with the attitude of because I told you to, like my mom used to when we were little, doesn't really work. People, especially adults, we've been hearing it our whole lives because I told you to, right? We didn't like it when we were little, we don't like it now. having that why behind it really stands out and makes it stand strong. And knowing why you want to   Kristy (05:09) Thank   The Dental A Team (05:25) pursue dentistry further, why you want to own a dental practice and why you are here impacting the community can really help motivate and drive a team. For me, and Kristy, I want your opinion on this as well, for me, when I think about re-care and reactivation, I think where are these patients going if they're not coming to us? And are they going anywhere else? So on the first hand, where are they going? I believe in the dentists that I work   for. I believe in him still today. And all the dentists that I have worked for all the dentists I have worked with, I believe in them and in you guys. And I believe that you are the best place that our patients can receive dental treatment. And I believe that because I don't know what they might get somewhere else. And I want to make sure that they are healthy. That's why I'm here healthy and happy and well taken care of. in order to ensure that I have to make sure that they are coming back to our   So for me, re-care, re-activation, I want to make sure that they're coming. Now, if they're not coming at all, they're not going anywhere. That's an even bigger scare for me because I want to ensure that if something were to happen, if something were to go wrong in their oral care, we can catch it very quickly. And so for me, when I come at it with a mindset of positively impacting our community, making sure people know   and are going to the safest best dentist in town, I'm making these phone calls from a much different state of mind because I'm not making them to help our practice. It is going to help. I'm making these phone calls to help the patients, to help the prospective patients because when you go at it from a help me, like, hey, I'm asking you for something, which is the unknown mindset is really come to our practice because it will help us.   That's the unknown subconscious mindset. But when we switch that and we say, hey, come to our practice because I want to make sure you're healthy, I'm doing this for you now. So when you can express that why, when you can have your team come at it from a different space of thinking, it feels better. And while still making 10, 20, 50 calls, whatever it might be, is not, you know,   I'm not jumping out of bed in the morning to make those calls. It is much easier to get through more calls and I'm gonna burn out slower than the other aspect of me asking for something. on the why, express that to your team. Why do you have all of these things and how can we shift their mindset to be coming from a space of helping the patients, like being an advocate for the patient rather than.   Kristy (07:57) you   The Dental A Team (08:08) really looking to fill the holes on the schedule is the only reason I'm calling you. As long as I'm calling you, it's also going to help that. It's a dual purpose. So, Kristy, that was my long-winded statement on it. How do you feel you come at those calls? I know you've made a million of these calls in your day as well. What was your mindset and how do you help train teams on that?   Kristy (08:30) Yeah, I appreciate your sentiments on it. And I almost wonder if we work for the same doctor at some point. But with that being said, I'm with you. In the beginning, I think my doctor was more like he saw the holes in the schedule and then all of a sudden he came swooping up and kind of nagging almost, right? And it almost really dug our heels in for all of us that were up there.   Literally later when we sat down as a team and just like you were speaking at as a healthcare advocate we sat down and came up with our goal for our patients and You know, I hope you guys are doing this as a team too But one of our goals was to make sure all of our patients could be at medical readiness at any given time Right, and obviously we have to do that again within our patients lifestyle and budget but with that being said   if that's our goal for all of our patients and we understand why they're coming to the dentist, it just puts a different spin on it, right? And so even with that, when I'm looking at re-care and reactivation, I hope you guys will look at it a little bit differently too and see those patients that have outstanding treatment along with an unscheduled hygiene appointment, that they're not at that medical readiness and make it a goal to get them there.   you know, help them achieve optimal health, if you will.   The Dental A Team (09:57) Yeah, that's a perfect   add on to the why is the patient goals. Like what is our, what are the goals that we have for our patients? And we talk goals all the time. So that should be a very easy concept to consider of those goals. That kind of makes me think of like our personal goals that we set every year, right? Like what are our, what are our goals for our patients? It's not monetary necessarily. It's really like, how are they feeling? What's our, our patient experience? So I think that was beautiful. Thank you for that addition. So you guys,   Mind frame is everything mindset is everything you guys hear me say all the time your words matter And I believe that with my whole heart so make sure that you guys are on the same page that your team is on the same page and that Team members that you are looking at it from the best view possible. You've got to make the calls regardless So how do you make it the most fun for you figure that out? either way, how are you gonna do it? How you gonna make it the most fun?   I think a couple of pieces that are super actionable, #1 make sure you know your why, make sure you know this mindset thing, but #2 making sure every patient leaves with an appointment is massive. And I know that sounds so kindergarten level, everybody leaves with an appointment, I hear you, but it's still happening in the world that patients are leaving without an appointment. So let's make sure that our patients never leave without an appointment. And then contrary to that or flip side of that, if a patient calls,   #1 we don't use the word cancel, delete that, cancel that from your, you know, verbiage. We don't use the word cancel because patients don't cancel. Patients move appointments. They reschedule and they barely even do that. We barely let them do that. We advocate for them and we make sure that they're seen in a timely manner and we go through all the steps. That's a different podcast. Today's podcast is make sure no one leaves without an appointment. And if they do call to reschedule or move the appointment,   make sure that that's what you're doing. I was in a practice the other day and I had so many phone calls. I'm like, where are all these patients? Why are they falling off the schedule? And then I hear, okay, got it. You want to cancel that? Okay, we'll call you. We'll call and follow up with you in a couple of weeks or we'll wait for you to call. And I was like, couch my eyes out. That's so much work you just created for yourself later. Golly, that might.   My jam, you guys, is efficiency and a life of ease. And I am telling you right now, I would rather spend the time advocating for the patient and fighting to keep them on the schedule right now than having to make that phone call to them later because I have to do re-care calls. If I can make sure I don't have a re-care list, like, hallelujah, I don't want to make those calls. So I...   would advocate for making sure that you keep them on the schedule. So, oh, totally understand that that time won't work. I've done my due diligence to try to save them on that time. Totally understand that time won't work. Let's work to find you an appointment time that will work. Is there a day or a time Monday through Thursday that typically works better for you?   Or is this, you know, one off occasion? So now I'm building the relationship with the patient, asking them why they can't come in, what's going on, how do we work around that? Now, where can we put the appointment that we know they can come in? Because that recare list gets longer, longer, longer, the more patients you allow to cancel off the schedule. So if we're asking our back office team, our hygienist and our dental assistants to schedule next visits, our front office team taking those phone calls needs to be really diligent about making sure that they stick on the schedule. So recare and reactivation starts   starts with making the appointment, it starts with keeping the appointment, and then next step is going to be really truly making those phone calls, making sure that you've got the automation set up. know most everyone is set up on some sort of a system that does confirmation calls or confirmation texts. All of those systems also do automated emails and text messages for re-care. So that's massive and making sure that those patient, you know,   the timeframes are chosen correctly, so it's going to those actual patients and that they're getting multiple reminders. And Kristy, how do you suggest those re-care, you know, that re-care touch point once they do follow the schedule or they weren't scheduled when they were, you know, supposed to be when they were in the office, et cetera, how do you suggest that re-care program really gets put into place?   Kristy (14:13) Yeah,   just like you, I mean, I didn't enjoy making those calls and I know our teams don't, because we hear it every time we're there. Yet, it's a necessary thing. So because we all agree it is necessary and if those patients aren't on our schedule, are they truly healthy? We already talked about that. So I truly like to make daily efforts.   Print your reach your list. Look at not just who was past due, but look at be proactive and look at who's becoming due. If we're really working those lists and we can simultaneous, you take one, I take one, depending on who's making those calls in your office, but print that past due list and look at it. If there's a hundred names, because you know those lists can get pretty long and you just look at it like it's so daunting, but if there's a hundred people on that list,   Look at how many days this month we have, divide it by the days you're working and chunk it out and just make a goal. If that equates to two calls a day or five calls a day, make that your goal. When I think of it that way in a daily effort of phone calls, two or five calls a day is a lot easier than looking at a listing going 100 people. So that's how I tend to chunk it down with Teams and it seems like it goes over a lot better that way.   The Dental A Team (15:28) Yeah.   I agree. I think that's brilliant. And as you're talking, I was thinking of a different podcast that we've done on the billing and adding it to the morning huddle. And as you're talking, I'm like, my gosh, yes, as you're pulling those lists, and as you're looking at your day, I know this is something, Kristy, that you've added within Ralph slips and morning huddles is looking to see is the patient coming in. So doctor side treatment, maybe that patient coming in, limited exam or a crown that was previously diagnosed, or they were here yesterday for their cleaning and they didn't   get rescheduled for their next cleaning. So making sure you've been as simple as looking at the patients that are coming in, do they have an upcoming visit and then family members. I would love knowing every time I walked into any establishment, they were here to take care of me and Brody.   I want you to advocate for both of us. that's brilliant. I love printing that and splitting it, splitting it amongst the teams, splitting it amongst the days, and then making sure that someone is responsible for making sure we have that addressed on our route slips and that morning huddle because...   Again, I'll say this time and time again, podcast and podcast again, it's easier to get the results from the patient standing in front of you than it is to get the results you're after over a phone call. You're basically trying to reconvince them of whatever it is. So if it's on scheduled treatment, re-care, anything you can think of, we're reconvincing them when we have to call them.   I think that's brilliant and it really sparked my thought there. making sure we know why, making sure we have the right verbiage on re-care and the right mindset. I think that mindset also plays, Kristy, into everyone leaving with an appointment because I know some hygienists that have stated to me that they feel like it's invasive and it's pushy and it's salesy. And as long as we have the right mindset, you guys, as long as we're advocating for the patient's health, that's what we're here for. So mindset, verbiage.   pull your re-care lists, make sure that you've got everybody who's coming, who's due and coming up due, can do past due, make sure you've got your automated services in place and that those are going out as well, you guys.   They, their studies, I put air quotes around, they say that it takes, I think this year they said 13. I've, you know, been working with seven times. I think it's 13 times now, but they say it takes anywhere between seven to 13 times hearing something before you're ready to purchase. And so you guys were working in a world of sales are everywhere. They're on our phones, they're on, you know, our   social media apps, they're on billboards, it's on commercials, it's on our music streaming services, everywhere we turn somebody's trying to sell us something and we're in a constant state of no.   And so in order to get people in the state of yes, we have to make sure that we're advocating for it and that we're doing a really great job to continue to remind them. It takes so many times for my eye doctor texting me and calling me and emailing me. It literally takes me being almost out of context when you're like, okay, fine, I'm ready to schedule, but they do it and I love it. And as aggravated as I might get because I'm like, stop.   I know that I need it because I'm your worst patient, you guys. I am the patient that requires 20 reminders to schedule the appointment because I'm busy. I'm on the road. I'm on calls. I'm in meetings. And I'm not the only one. I'm not alone in that.   So always look to treat Tiffanie and know that it's going to take a lot of times you guys are reminding. So making sure you've got your wire, your verbiage, your tool set, your automations up, and you've got a clear plan and directive for route slips and warning huddle slips for who's due, and then a clear directive on how are we going to make those calls. Reactivation real quick. We'll slide this one in there too. Reactivation is really easy and it's huge.   huge. I actually utilize reactivation in the marketing world because I think that there's nothing easier than bringing a patient you've already paid for back into your office. You paid for them once, there was marketing dollars spent somewhere that they came into your office and then they inactivated, which you guys means they haven't been seen in 18 months or longer.   Kristy (19:36) We hope you a great summer. Happy New Year.   The Dental A Team (19:52) So you've already spent the money on them. We're spending dollars on new patients. Why not reach out to these patients who just were forgotten about. They slipped through the cracks and get them back in the practice and add them back into your active patient count. So I think it's huge. I think it's a marketing effort. I think it's easy to add into your Recare program. It's just a reactivation program. We have a really easy one. If you want to reach out, Hello@TheDentalATeam.com. And Kristy, re-care reactivation, it's just a massive, massive part of active patient count success in a practice. Is there anything you feel like, gosh Tiff, if we don't mention this one last thing, they're just without a loss. Is there anything else you can think of that we need to make sure we slide into today's podcast?   Kristy (20:45) No,   think just I challenge you to look at it differently. I mean, you made mention earlier about monetary things and, know, from a patient perspective, if we're really looking at the patient, we know if they stay away, the cost gets greater. So if we're really being a steward to them monetarily, even fighting their fear, right, getting them in is the best thing to do. So.   I just challenge you to look at it a little bit differently, have fun and be in service to your patients.   The Dental A Team (21:19) Beautiful   and we're gonna wrap with that you guys that was wonderful Kristy. Last year, Victoria made history by appointing Australia's first parliamentary secretary for men's behavior change, addressing toxic masculinity and its role in rising domestic violence rates. Tim Richardson's role focuses on reshaping boys and men's attitudes towards women and tackling the harmful influence of social media. Should other countries adopt similar roles to combat gender violence and promote equality? Let us know your thoughts. Yes, yes, I'm so, so, I'm so obsessed with this, you know, like we have had some epic guests on this podcast to talk about healthy masculinity and relationships and communication. And I know, everyone listening to this, my few good men, like, you know we're not talking about you, and I just love that a country saw there's a rise in domestic violence and what's happened on social media, and they are, and they're doing something to change it. And it's not gonna change overnight. This is, like, years in the making, but like, we gotta start somewhere educating people that this is not a competition. People of a different gender or different color than you are not your competition. And people who are different than you are not making the world a worse place. They making the world a better place. And so we've gotta get out of this fear-based mindset. And I think that this is just a really cool thing that a country is doing. So way to go, Australia. You win. I wish that was happening here, but maybe it'll happen in other places, and eventually that will help here. Lesley Logan 2:33  So anyways, all right, your wins. There we go. All right, Ainsley Walker. We have a couple wins from her, and I just love I can hear her accent when I read them, so I'm going to read them to you, and this will be our wins for the last Friday in April. So I've been moving through the eLevate replays the last few days, reformer and mat. Took a few days off, enjoyed a family holiday, and I fully took a break. And I'm watching the faces on the screen, and then realize we are no longer them. I see you all move now, and you are not those people. We have grown so much in a year in so many ways, and it makes us so happy, full of gratitude and proud of us. The work we put in last year, the time we invested and continued to I looked at me on the screen and literally wanted to hug me, tell me, it's going to be okay. Better than okay, better than I could imagine. I'm so excited to work my way through these and keep growing. Thank you all, and Lesley, Happy New Year, and incredible people, thank you all for being here and supporting me and each other. I'm also so excited to meet more of you this year in Las Vegas. And she had another win later on, which is I took a full break to the beautiful Maldives, where there was a small, empty gym studio, and I did my own mat practice. Every morning at 6am I did it every day, then walked on the beach, saw the sunrise and then joined the family at breakfast. I saw every sunrise and sunset, and time seemed to be plentiful. It gave me space to reflect on what an incredible year I'd had, and none of it I knew of before. So thank you for Pilates and all it is gifting me. I embrace the rain again, and I now feel ready for this year, and I'm so grateful for this rest without fear and knowing I'm still getting paid. I start back tomorrow teaching. My first class is mat. I'm excited because my daily practice, it's in my body. And I traveled for this year, took me to Las Vegas, Philly, Morocco, Cambodia, Maldives. I completed eLevate. Clients kept coming with full classes. I got stronger, physically and mentally. Relationships mended and evolved by me setting boundaries, talking honestly and unapologetically. It was incredible. Thank you. Thank you. Thank you. Well, Ainsley, thank you. I want to share only yours today, because one, you're such a beautiful writer, but two, I've said this before. I said to people when I talk about Ansley, I love the way she sees the world, and I want her wins to be something that helps you see that you can see the world this way too. Now, of course, obviously you see things that are differently, and you can reflect differently when you're on vacation versus when you're not, but where in your day are you taking time to reflect? When are you actually thinking about who you were a year ago? I love that she went through the replays and was able to go, wow, look how far we've come. Like, when are you doing that in your life or in your business or in a relationship? When are you actually acknowledging, like, just how freaking far you've come? You're different, right? I look at pictures myself when I thought I was like, younger and hotter, and I actually can see, like, actually today, 10 years later, I am much hotter and more confident. You know, even when I'm scared, I'm more confident. And so I think it's so important that we all, like, literally, just go into your phone and pick, like, write in the date on your photos from 10 years from now, and just see where were you? How far have you come? You know. What an epic win. So thank you, Ansley, for inspiring us all. Lesley Logan 5:53  My win. Okay, so this Sunday, we are kicking off spring training, and my win is a team's win. We have, you know, we did surveys more than six months ago. We came up with the idea and tossed it around and percolated on it, and we worked on it. So many people on our team have worked on it, not only the seven OPC teachers, but also, like a good 10 people on the team, because there's people who made the images, and people did the copywriting. People did the value statements, and then I wrote the emails, and then my assistant made sure I had time in my schedule and like so we kick it off on Sunday, and I'm just so proud of the work that we did. Now, in this moment that I'm recording, I don't know if we are surpassing our goals or not. I won't know that until after May 3rd, but in this moment, on this day, when I am celebrating this, like, the team and I, we all worked together as if we had hit this goal. And I share that with you because, you know, I had a coach say on all the goals he's had in the last six years. He's missed most of them, but he's successful because he worked like a person who could meet those goals. And so what does that mean? It means like, let's say you have a goal to run a marathon and have a PR, and let's say you actually, you know, work a training program. You fuel correctly, you sleep correctly, you do all the things, and you run the marathon, but you don't PR, is that a failure? No fucking way, because you actually did the things that would have PR do. Maybe you had a headwind, right? But if you sign up for a marathon, you want a PR, and then you, like, postpone some of the long days, and you didn't do the sprint runs, and then you didn't fuel well, and of course, you didn't hit a PR, well, that would be the failure, because, and not even a failure. Just be feedback. Like, you didn't act like the runner who could PR, you didn't do the things that a runner who would PR would do, right? So what I would just say is like, please notice if you miss a goal by whatever the numbers are, but you did all the things that could have done it. That's a win, always. It's always successful. So I'm so proud of my team and all that we've done and accomplished together, and I'm so excited for the impact that Spring Training is going to make and you can join it, opc.me/events, you know, because there's replays. Bands like Altan have provided so much great instrumental music that there's enough supply in the world to last forever, without more being produced. If Celtic musicians want to get fed by playing music, they have to create something new and necessary for the next generations. I have no idea what that should be, but I think the best way to get peoples' attention is to create music that is truly innovative, relevant, and useful! It's a good challenge if we decide we are up for it :)"

I have a client that I talked to actually this morning that was like, well, we needed to make some adjustments to the scorecard to fit their practice, which is why we say that we're customizable because anything that we do, it's got to be custom fit to that practice. So we had made some adjustments in there and then.   I was like, you know, you guys, know that you're tracking everything. Like this office manager is meticulously tracking everything in the practice. So I said, this is like an overview. Like my meticulous tracker is like an overview for you guys. So make it your own. Let's figure it out. But I told her there's so many practices out there that don't know what to track or how to track it or how to see the trends within the numbers. And her mind was just blown.   She's the wife, they've owned the dental practice for years and years and years and years. They've been in dentistry forever. So she's learned all of that along the way, but she was just mind blown at how some people just don't know. And I didn't know when I first started managing, I was like, what do all these numbers mean? And we all have to learn somewhere. So it's just been really cool to watch everyone continue that growth in the new year and really, like you said, track along with those goals and see.   what can be done to manipulate and change the results to create something magical. Whatever it is that you want, can change those tracking metrics and change those results to create something really cool. Within that conversation, I'm excited about today, because today, Dana, we just prepped for this. And I think your track that you're thinking for this conversation today is so beautiful. We talk a lot about new dental tech is what I'll air quote it as.   kind of like new things on the scene. And it's really easy to talk about scanners and lasers and all of those CBCTs and all the different things in the practice that we can implement kind of in the clinical aspect. I really love what you are talking about now with all the other pieces. There's so much AI coming into play. And that's what you had mentioned Dana. And I really want to chat about that because it's so cool.   The Dental A Team (03:06.342) I know I chat GPT, especially on my personal side. like, I create and think of so much stuff, you know, for Dental A Team, I'm sure you do the same, you create so much for us and our content. I know on my personal side, I'm like, Ben, chat GPT, tell me what to do. that, like, AI has really come into play strong, I would say in the last year. And this year, even a month and a half or whatever into the year feels like   Like it's a do or die. Like you're using AI. There's just no two ways about it. So how have you seen in your practices currently, the AI bots come into play and all those pieces aside from chat GPT that can help with the patient response. But how have you seen those AI tools really be being implemented? And then I want to think about how do we see like the future, what that's going to look like as well.   Dana (03:58.528) Yeah, I think it's actually pretty incredible some of the new like dental AI stuff that's coming out essentially now you can use AI to be almost like a receptionist or a part of especially your front office team. Lots of dental tech companies coming out with   They can, you know, the chat bot or the AI bot can take care of missed calls or after hours calls. So now patients can have communication with you 24 hours a day, not just when your office is open. Being able to log into your system and actually schedule the patient without you there.   The Dental A Team (04:35.067) Mm-hmm.   Dana (04:38.23) and doing it really actually pretty well. And then sending, you know, a lot of the AI, the reception, it's like, then they send you, you know, an overview of the call so that you know exactly what was said, you can add in any notes that you want. So it truly can be as if they called while somebody was in the practice. And so AI is really coming in strong this year, especially in the dental world. And I'm excited, you know, I know a lot of offices in my calls, it's like they struggle with call volume, and they struggle with   The Dental A Team (05:06.285) That's nice.   Dana (05:08.685) getting their team members to be able to handle the volume of calls that are coming in and still get their tasks done. So when you have something that can easily handle that overflow and keep you going and keep you moving forward and you can still have a pulse on it, I think it's actually really cool.   The Dental A Team (05:14.163) Yeah.   The Dental A Team (05:23.313) I agree, and it makes me think of vacation time too, because there's so many practices that don't have 20 team members that if people are taking vacation or if doctor wants to take vacation, there's not two associates to take over the schedule. And so it's like the practice is closing down. But one of the biggest fears I think a lot of practice owners have is shutting down the practice means there could be a week or how many other days of patient calls and patient interactions that are missed.   Sometimes we don't have the staff to be like, hey, sometimes they want to take vacation with you, know, or the same time as you. So that's what it made me think of too, is, well, grab a bot for, you know, that we have somebody maybe checking in on it and looking at it. Obviously, we don't fully trust it yet. They haven't taken over the world just yet. But having somebody monitor it, but for vacations, things like that, you said the after hours kind of extends into that. Or Fridays, a lot of doctors, and it's a lot of new patient opportunities on Fridays because...   dentistry. You know, we love being off on Fridays as often as we can as well. But a lot of companies are actually off on Fridays or have flex Fridays. And so sometimes I think for the just humans in general for the population, Fridays are kind of a catch up day where we're making appointments, we're calling in, we're asking questions and we're getting appointments done. And so we miss a lot of opportunities there. And the dreaded Monday fell apart.   Dana (06:44.91) Mm-hmm.   The Dental A Team (06:45.046) So, you know, it might still fall apart. You might still get those calls, but at least it's not walking into 30 voicemails on Monday morning and then being like, oh my gosh, everything we talked about in huddle is just completely destroyed because everybody fell off the schedule or whatever. So I love that. I love that. Have you seen to I know there's a lot of third party companies, Modento and Dental Intel and Diversion, all those companies. Have you seen to I haven't like looked into it. So I'm asking.   For reals, if they're using any of those tools yet within their stuff, think Modento had some stuff like on the wire. I'm not sure, but, any opportunities or anything for like confirmations, right? Cause I know, I guess like Modento has done voicemail jobs. So it's like, we're already partially there with like voicemail jobs and the automated, voicemails or phone calls for re-care and things like that. So how do you think that'll affect having the AI bot I feel like is so much more.   customizable and you can like give it rules. can give it lingo and verbiage and just kind of different things. So how do you see that transitioning for companies like that too?   Dana (07:55.734) Yeah, I can't say that I've seen any of the companies integrate it yet. I do think it's coming, but I do think some of the newer companies that are doing AI really well and are coming out, they are offering those things like confirmation calls, like re care calls. You can get your basically AI receptionist to do those things for you. And truly, I think because it is customizable, it also does feel more as if it is a human versus those automated text messages that as much as we try to make them warm and   The Dental A Team (08:19.937) Yeah. Yeah.   Dana (08:25.592) friendly and specific and just from our office, right? AI, think is a little bit of a step above that.   The Dental A Team (08:33.717) Yeah, I agree. I agree. think it's caveat, I know I said chat GPT and I know a lot of people love verbiage. think Dana and I get a lot of, and the other, other consultants as well. But I know Dana and I for sure get up so many text messages or emails of like, how do I say this? I want to say this to my team or I want to tell my doctor this. How do I, how do I do this? Give me words. I have a couple of practices that just call it like tiffisms and like what would tiff say? And I'm like, holy cow.   which I love and I love verbiage and I love communication. like, warning, I guess, or a reminder, if you are going to chat GPT or whatever AI, any of that stuff, just make sure that you guys are still looking at it and personalizing it, especially if it's you throw some, I've seen a lot of people throw things into a program like chat GPT.   that spits out like a patient response. And sometimes it is robotic, because it is a robot. It's not a human on the other side. They did as good as they could so far with it, and they do really great job. But sometimes those things can still come off, like you said, Dana, a little cold or harsh. And so I just stress the importance of taking it, making it your own. I say the same thing about my verbiage when I give it to people. This is a template. I love giving templates, and I want you to make it your own, because it should sound like you. It shouldn't sound like...   a robot a shouldn't sound like a script, it should sound like you still. So no matter how you're getting those verbiage tips and tools or what you're choosing to do with it, just make sure there's a human interaction side of it, and you're bringing that humanization back to it. That's my warning, my caveat there, because I do use it occasionally, or sometimes my brain's just dead at the end of the day, and I'm like, my gosh, how do I make this recipe? Gosh, I'm...   ChatGPT is becoming a best friend in my personal life, feel like. But aside from the AI stuff, or you're in transition with the AI stuff, I think that pulls into that teledentistry side as well. Because I know a lot of practices that are still doing a lot of teledentistry. Obviously, it was huge during quote unquote COVID times. But I think it spurred something for us in the availability to create more opportunities for our patients. So a lot of practices are doing the cosmetic   The Dental A Team (10:50.787) consults virtually. And it's really cool smile designs, smile makeover, all of these different variations of a teledentistry appointment. And I'm thinking with that kind of AI kind of smashing those two together, because that's an easy opportunity to allow an AI bot or someone to schedule those appointments and have someone who's like over the cosmetic consults when you don't have the opportunity or availability in the practice.   So teledentistry is still really, really a fantastic idea, I think, and something that we don't consider tech in our brains, but it kind of is. And it's kind of cool to be able to say, let's take a half day Thursday and take three hours in the afternoon and bust out three cosmetic consults or more. And I've seen a lot of success with that. Dana, have you seen that as well? You still have a lot of clients who are using teledentistry or considering it.   Dana (11:45.036) Yeah, they do definitely do for different types of consultations and even I have one office that will do teledentistry to like pre-screen for limited right to see if this is something I just need to refer out or do we need to see you in the office? So they'll use it for that to end some PEDS offices using it for like surgery or sedation consulting and I have one office that's even trying to do some just case presentations or treatment.   The Dental A Team (12:14.493) yeah.   Dana (12:14.786) presentations if the patient left the office, right, and they can't come in, just doing that too. So I think using the technology at your fingertips that make it that it's convenient for the patient, that it's easy for you, I think take advantage of it where you can within your practice.   The Dental A Team (12:31.234) Yeah, that's a great idea doing the consults because a lot of practices will have those monster treatment plans. So it's like, okay, let's have you back in for a consult. And we know that's difficult to get patients to come back in, especially if we're not accomplishing something, right? They're not getting treatment that day. So I always tell clients who are doing that style of treatment planning, it's totally fine. And I love it. But just make sure maybe we do fillings with that.   treatment console, but I think that's a great idea to doing it by zoom or Google meet or any of those platforms really are a lot of them have free up to while Google meet is free, right for however long you want it, but even zoom has up to I think 35 or 40 minutes of free information that you don't have to pay for. So that's a really great idea because then it just locks it in and I think we've all become accustomed to this being like being in person, you know, I think virtual.   has become the norm. It's almost weird to constantly be in person with people. Again, thank you, 2020. And I think it's worked out well for the dental industry. So that's a great idea to be able to do those bigger consults. And I too have some pediatric practices, even the moms who are moms and something happens and we're like, I got to get my kid in. Like right now you got to look at this. And a lot of my pediatric practices will.   do the same thing where they'll take a picture, send it in, or let's hop on a Zoom call or Google Meet, and they'll kind of tell the parent how to angle the camera or what have you to show whatever it is. I mean, I remember one time I brought Brody all the way in and I was working in office and I'm like, you have to look at this and it was literally nothing. It was like, he's like, you are just being so silly. You are in dentistry.   you know these things, but as you put your mom hat on and you're like, I don't know anything, my kid, like something happened, you just have to look. And so I can't even imagine being outside of dentistry and something happening to my kid and really not having any of that background knowledge. So for my pediatric practices, it's been really beneficial to be able to do things like that and take some of that stuff off their plates. And for pediatric practices too, with the AI conversation, like they're seeing so many patients.   The Dental A Team (14:44.728) in any given day, right? They're seeing 45 to 80 patients any given day with one doctor, let alone, you've got practices that have two or three doctors, they're seeing a lot of patients. So for a front office team to have to keep up with the confirmations, even the check-in, the check-out, like, you've got to understand they're spread so thin, and then they've got phone calls coming in and they've got new patients to schedule, and it's hard in a GP practice to be working on the hour, but in   peed practices, right? We're really, Dana, working on the 15 minutes. And so every 15 minutes, you have anywhere from one to six to eight patients coming and going every 15 minutes. So I think that's a great idea to really be able to add that tech into practices like that. I love it. I love it. And I love the, I just love the transitions dentistry takes. We think back, gosh.   Dana (15:17.774) Mm-hmm.   The Dental A Team (15:42.844) Even three years ago, it was like, oh, let's do a scanner, right? We're doing that whole mouth scans was like crazy town. And it's like, now you're doing a whole mouth scan before you ever get to my practice. You're taking pictures of your mouth just so my doctor can do a virtual consult with you and doesn't have to be in the practice. So think it's really cool. Um, hygiene side, I know we've talked lasers before and I think that's still like one of the   Dana (15:47.816) Yeah.   The Dental A Team (16:10.541) one of the latest and the greatest, but what have you really seen the hygiene side? I know I pick your brain on this a lot, be able to implement maybe not, you know, virtual or AI or whatever, but just how have scanners and CBCTs and all of this new-ish, right, within the last five, maybe even 10 years, how has that impacted the hygiene visits and the care that hygienists have been able to provide to the patients in your opinion?   Dana (16:37.676) Yeah, I think the technology advances in lasers, in all of the microscope and the saliva testing and all of the things that are coming out for hygiene right now. It really just allows you to give more individualized care, that you have more options to get the patient in your chair, the best result for them, because patients come in very unique varieties.   The Dental A Team (16:56.881) Yeah.   Dana (16:59.968) every single day and so being able to say, I have this thing that's going to benefit you. I have this thing that I know will make this area better and being able to have more choices of those to be able to give individualized care.   And individualized instruction too. I not even just things in the office, the technology that's available even over the counter to patients to help with home care, to help with the things that hygienists are talking about those things every day. And so I think the technology has been a game changer in the last decade as far as being able to get patients results from adjunct treatments or different products or different.   The Dental A Team (17:29.117) you   Dana (17:40.108) things that are available now that just weren't.   And things that don't necessarily so much of the hygiene products that existed before and still do right it It's patient compliance. So as long as patient does it does it correctly they get results and now there's so many things that actually if I do this in my chair you get the results so I don't it's not so reliant on Patient compliance and patient following through and patient stepping it up It's great come more often and I can do this come more often and I can oversee this and I can get you the results Which I think is incredible   The Dental A Team (17:43.447) Yeah.   The Dental A Team (17:52.123) Mm-hmm.   The Dental A Team (17:59.686) Yeah.   The Dental A Team (18:07.731) Yeah.   Dana (18:13.264) you   The Dental A Team (18:14.173) I agree. I love that conversation of just come more often and something that we've always been afraid of. Having that conversation with our patients, which has always interested me, because I mean, we tie ourselves by these rules that we feel like we're in place by the companies we won't mention today. We won't go on that tangent, but we do like put ourselves in this little box. And it's like, if we are here actually for the patient's best benefit, then all of these things   Come into play for that. Come into the practice more frequently. Get your testing done. Like, let's figure out what your saliva tells us. How can we positively impact your dental health and your full body health just by the foods that you're eating or things you're drinking, which is insane and so cool. And again, couple of that with a results-driven conversation over a virtual call. Like, that's incredible. So you can help them.   just in so many different ways. And as you're talking, was thinking, gosh, thinking about how different tools like AI can help support the team that you have. I think the first thing, especially from a front office standpoint is like, you're going to replace me with a robot. We're all going to be replaced with robots one day, right? Like 50 years down the road, guess what? I don't know. But the point of all of those tools is not to replace the humans.   that we love and want on our team, it's to provide them support so that they can do more and do better for the patients that are coming in, the other humans. So it's like, these tools are being integrated to help support you to give a better experience for the patient base.   and to support the patients in their overall health. If I have more time to spend even interacting and having a simple conversation face-to-face with a patient who's in the practice because an AI bot is scheduling someone for me, that patient is likely to say, yeah, that sounds great. I'm gonna stop drinking coffee because it's tearing up my insights based on this test you just gave me results for. Like getting people to the level where they're comfortable.   The Dental A Team (20:26.63) Right? They're open that vulnerability space of just having that human interaction. So if we can take confirmations off of your plate, if we can take these things off of the humans and allow human human contact and conversation and AI or bots to text messages, like I don't need to send the text messages. Somebody else, know, a bot can do that. A service can do that. I want to be human interaction. I don't need to be electronic interaction. So.   It's really cool. Thank you, for that conversation. You've got my brain thinking, you know, and hopefully those who are listening got your brain thinking too and you enjoyed this conversation as much as I did. Dana, think we always like to leave with action items, right? And I think action items right now are really that conversation of how can I support my team with tools like this or where do...   Dana (20:58.638) No.   The Dental A Team (21:18.249) Where do my team members need support so that they can have that more human interaction? So I think that's an item Dana and tell me if there's something to add or if you want to spin this a little bit. But I think that's the conversation and the action item is to really just start thinking about how your patient experience might be better or how your team's experience might be better by utilizing some of those tools. Can we do teledentistry appointments for   you know, and not calling it tele dentistry, calling it your consults. Can we do consults by virtual? Can we get a bot or an offsite virtual assistant, someone that can help support our team? I that's your action item guys. Dana, what are your thoughts? What do you want to lead them with today?   Dana (22:03.276) Yeah, no, I love that and I think that, you know, leaders, practice owners take time even every year to just look at office optimization and is there a new technology? Is there a new product? Is there a new service or something that can help me optimize, whether it's my patient experience or my team or, you know, services that I've got.   for patients, think it's just a great time to sit down and look for opportunities there and how can you, like you said, optimize and help, not necessarily take away.   The Dental A Team (22:35.533) I love it. Good. I love the word optimize. Good word to pull out there. All right, guys. This was a fun conversation. I hope you guys enjoyed it. I hope you got some good tips or sometimes hearing something that you've heard before will spin you to think, okay, gosh, now I really actually need to do this or yeah, that was a cool thing I forgot about.
