Whether it's a dwarven curse word, a whispered draconic threat, or a gnomish pun that lands like a rock in a puddle, the power of language can turn a good campaign into an unforgettable one. During this series of informative podcasts, we'll bring you foundational training on the most popular Oracle technologies. Let's get started! 00:25 Lois: Hello and welcome to the Oracle University Podcast! I'm Lois Houston, Director of Innovation Programs with Oracle University, and with me is Nikita Abraham, Team Lead: Editorial Services. Nikita: Hi everyone! For the last two weeks, we've been talking about different aspects of multicloud. In the final episode of this three-part series, Samvit Mishra, Senior Manager of CSS OU Cloud Delivery, joins us once again to tell us about the Oracle Database@Azure service. Hi Samvit! Thanks for being here today. Samvit: Hi Niki! Hi Lois! Happy to be back. 01:01 Lois: In our last episode, we spoke about the strategic partnership between Oracle and Microsoft, and specifically discussed the Oracle Interconnect for Azure.  Nikita: Yeah, and Oracle Database@Azure is yet another addition to this partnership. What can you tell us about this service, Samvit? Samvit: The Oracle Database@Azure service, which was made generally available in 2023, runs right inside the Microsoft Azure data center and uses Azure networking. The entire Oracle Cloud Database Service infrastructure resides in the Azure data center, while it is managed by an expert Oracle Cloud Infrastructure operations team.  It provides customers simple and secure access to Oracle Cloud database services within their chosen Azure deployment region, without getting into the complexity of managing networking between the cloud vendors. It is natively integrated with various Microsoft Azure services. This provides a seamless user experience when configuring and using the different Azure services with OCI Oracle database, since much of the complexity associated with the configuration is greatly simplified.  There is no need to set up a private interconnect between Microsoft Azure and OCI because the service itself resides within the Azure data center and uses the Azure network. This is very beneficial in terms of strategic deployment because customers can experience microseconds network latency between the endpoints, while receiving a high-performance database environment.  02:42 Nikita: How do I get started with the Oracle Database@Azure service? Samvit: You begin by purchasing the subscription from Oracle and setting up your billing account. Then you provision the database, resources, and service.  With that you are ready to configure your application to connect to the database and work on the remaining deployment. As you continue using the service, you can monitor the different resource metrics using the Azure monitoring services and analyze those logs using Azure Log Analytics.  03:15 Lois: So, the adoption is pretty easy, then. What about the responsibilities? Who is responsible for what? Samvit: The Oracle Cloud operations team is entirely responsible for managing the Exadata Database Infrastructure and the VM cluster resources that are provisioned in the Microsoft Azure data center.  Oracle is responsible for maintaining the service software and infrastructure by applying updates as they are released. Any issues arising from the OCI Database Service and the resources will be addressed by Oracle Support. You have to raise a support ticket for them to investigate and provide a resolution.  And as Azure customers, you have to do rightsizing, based on your workload needs, and provision the Exadata Database Infrastructure and VM cluster in the OCI pod within the Azure data center. You have to provision the database in Exadata Database Service, apply the database and system updates, and take advantage of the cloud automation to maintain and manage the database.  You have to load data, establish the connectivity, and support development on your database. As a customer, you monitor the database and infrastructure metrics and events, and also analyze those logs using the Microsoft Azure-provided native services.  04:42 Nikita: Samvit, what sort of challenges were being faced by customers that necessitated the creation of the Oracle Database@Azure service?  Samvit: A common deployment scenario in customer environments was that a lot of critical applications, which could be packaged applications, in-house applications, or customized third-party applications, used Oracle Database as their primary database solution.  These Oracle databases were deployed in Exadata Infrastructure on-premises or even in Enterprise Server hardware. Some customers evaluated and migrated many of their packaged and other applications to Microsoft Azure compute. Since Oracle Exadata was not supported in Azure, they had to configure a hybrid deployment in order to use Oracle databases that reside in the Exadata infrastructure on-premises.  They needed to configure a dedicated and secure network between the Azure data center and their on-premises data center. This added complexity, incurred high costs, had a latency effect, and was even unreliable. There were also cases where customers migrated Oracle databases on Enterprise Server on-premises to Oracle databases hosted on Azure compute.  This did not boost efficiency to a large scale. And those were the only options available when provisioning Oracle Database in Azure because Exadata was not available earlier in Azure. 06:18 Lois: And how has that been resolved now? Samvit: With the Oracle Database@Azure service, customer requirements have been aptly met by allowing them to host their Oracle databases on Exadata infrastructure, right next to their application in the Azure data center.  Customers, while migrating their applications to Azure compute, can also migrate their Oracle databases on-premises on Exadata infrastructure directly to Exadata Database Service in Azure. And Oracle databases that are on Enterprise Server on-premises can be consolidated directly into Exadata Database Service in Azure, providing them the benefits of scalability, security, performance, and availability, all that are inherent property of OCI Oracle Exadata Database Service.  Customers can see growth in the operational efficiency, saving on the overall cost.  07:17 Nikita: Can you take us through the process of deployment?  Samvit: It's quite simple, actually. First, you deploy the Exadata Database Service that is plugged into Azure VNET. Next, you provision the required number of databases, which might be migrated as is or with a consolidated exercise.  You can use any of the Oracle database tools or utilities to do the migration or even use the Oracle Zero Downtime Migration method to automate the entire Oracle database migration. Finally, migrate your enterprise application into the Azure environment.  Establish the required network configuration to allow communication between the migrated applications and Oracle databases.  And then you are all set to publish your application that is running entirely in Azure. You can leverage other Azure services, like monitoring, log analytics, Power BI, or DevOps tools, to enhance existing or even build and deploy newer enterprise applications that are powered by OCI Oracle Database Service in the back end.  08:25 Lois: What about multi-cloud deployment scenarios where applications reside in Azure, but the Oracle databases are deployed on third-party cloud providers, either as a native solution or in computes? Samvit: These Oracle databases can be migrated to Exadata Database Service in the Oracle Database@Azure service.  There is no need for the complex cross-cloud connectivity setup between the vendors. And at the same time, you experience the lowest latency between the application and the database deployment. 09:05 Want to learn how to design stunning, responsive enterprise applications directly from your browser with minimal coding? The new Oracle APEX Developer Professional learning path and certification enables you to leverage AI-assisted development, including generative AI and Database 23ai, to build secure, scalable web and mobile applications with advanced AI-powered features. Samvit, what's the onboarding process like? Samvit: You have to complete the onboarding process to use the service in Microsoft Azure. But before you do that, you first have to complete the subscription process. You must have an active Microsoft Azure account subscription that will be used for subscribing and onboarding the Oracle Database@Azure service.  To subscribe to Oracle Database@Azure, you need to purchase an Oracle Database@Azure private offer from Azure Marketplace. As a customer, you will first reach out to Oracle Sales and negotiate a price for the service. Oracle will provide you with the billing account ID and contact details of the person within the organization who will be handling the service.  After this, Oracle will create a private offer in Azure Marketplace.  10:40 Lois: Sorry to interrupt you, but what's a private offer? Samvit: That's alright, Lois. Private offers are basically solutions or services created for customers by a Microsoft partner, which, in this case, is Oracle. Purchase of those private offers happens from the private offer management page of Azure Marketplace.  But there is a prerequisite. The Azure account must be enabled to make private offer purchases on the subscription from Azure Marketplace. You can refer to the Azure documentation to enable the account, if it is not enabled. You review the offer terms and accept the purchase offer, which will take you to the Create Oracle Subscription page.  You validate the subscription and other particulars and proceed with the process. After the service is deployed, the purchase status of the private offer changes to subscribed.  There are a few points to note here. Billing and payment are done via Azure, and you can use Microsoft Azure Consumption Commitment.  You can also use your on-premises licenses with the Bring Your Own License option and the Unlimited License Agreements to pay towards your service consumption. And you also receive Oracle Support rewards for every dollar spent on the service.  12:02 Nikita: OK, now that I'm subscribed, what's next? Samvit: After you complete the subscription step, Oracle Database@Azure will appear as an Azure resource, just like any other Azure service, and you can move on to onboarding. Onboarding begins with the linking of your OCI account, which will be used for provisioning and managing database resources.  The account is also used for provisioning infrastructure and software maintenance updates for the database service. You can either provide an existing OCI account or create a new one. Then you set up Identity Federation between the Azure account and the OCI tenancy.  This can authenticate login to the OCI portal using Azure credentials, which you require while performing certain operations in OCI. For example, provisioning databases, getting infrastructure and software maintenance updates, and so on. This is an optional step, but it is recommended that you complete the Federation.  The last step is to authorize users by assigning groups and roles in order to have the needed privileges to perform different operations. For example, some groups of users can manage Exadata Database Service resources in Azure, while some can manage the databases in OCI.  You can refer to OCI documentation to get detailed descriptions of roles and group names. 13:31 Lois: Right. That will ensure you assign the correct permissions to the appropriate users. Samvit: Exactly. Assigning the correct roles and permissions to individuals inside the organization is a necessary step for transacting in the marketplace and guaranteeing a smooth purchasing experience. Azure Marketplace uses Azure Role-Based Access Control to enable you to acquire solutions certified to run on Azure. Those are then going to determine the purchasing privileges within the organization.  14:03 Nikita: There's so much more we can discuss about Oracle Database@Azure, but we have to stop somewhere! Thank you so much, Samvit, for joining us over these last three episodes. Lois: Yeah, it's been great to have you, Samvit. Samvit: Thank you for having me. Nikita: Remember, we also have the Oracle Database@Google Cloud service. So, if you want to learn about that, or even if you want to dive deeper into the topics we covered today, go to mylearn.oracle.com and search for the Oracle Cloud Infrastructure Multicloud Architect Professional course.  Lois: There are a lot of demonstrations that you'll surely find useful. Well, that's all we have for today. Until next time, this is Lois Houston… Nikita: And Nikita Abraham, signing off! 14:43 That's all for this episode of the Oracle University Podcast. Finding Hidden Groups with K-means ClusteringWhat is Unsupervised Learning?Imagine you're given a big box of different toys, but they're all mixed up. Without anyone telling you how to sort them, you might naturally put the cars together, stuffed animals together, and blocks together. This is what computers do with unsupervised learning - they find patterns without being told what to look for.K-means Clustering Explained SimplyK-means helps us find groups in data. Let's think about students in your class:Each student has a height (x)Each student has a weight (y)Each student has an age (z)K-means helps us see if there are natural groups of similar students. The Four Main Steps of K-means1. Picking Starting PointsFirst, we need to guess where our groups might be centered:We could randomly pick a few students as starting pointsOr use a smarter way called K-means++ that picks students who are different from each otherThis is like picking team captains before choosing teams2. Making TeamsNext, each student joins the team of the "captain" they're most similar to:We measure how close each student is to each captainStudents join the team of the closest captainThis makes temporary groups3. Finding New CentersNow we find the middle of each team:Calculate the average height of everyone on team 1Calculate the average weight of everyone on team 1Calculate the average age of everyone on team 1This average student becomes the new center for team 1We do this for each team4. Checking if We're DoneWe keep repeating steps 2 and 3 until the teams stop changing:If no one switches teams, we're doneIf the centers barely move, we're doneIf we've tried enough times, we stop anywayWhy Starting Points MatterStarting with different captains can give us different final teams. This is actually helpful:We can try different starting pointsSee which grouping makes the most senseFind patterns we might miss with just one trySeeing Groups in 3DImagine plotting each student in the classroom:Height is how far up they are (x)Weight is how far right they are (y) Age is how far forward they are (z)The team/group is shown by color (like red, blue, or green)The color acts like a fourth piece of information, showing which group each student belongs to. The computer finds these groups by looking at who's clustered together in the 3D space. Why We Need Experts to Name the GroupsThe computer can find groups, but it doesn't know what they mean:It might find a group of tall, heavier, older students (maybe athletes?)It might find a group of shorter, lighter, younger studentsIt might find a group of average height, weight students who vary in ageOnly someone who understands students (like a teacher) can say:"Group 1 seems to be the basketball players""Group 2 might be students who skipped a grade""Group 3 looks like our regular students"The computer finds the "what" (the groups), but experts explain the "why" and "so what" (what the groups mean and why they matter). The Simple Math Behind K-meansK-means works by trying to make each student as close as possible to their team's center. The computer is trying to make this number as small as possible:"The sum of how far each student is from their team's center"It does this by going back and forth between:Assigning students to the closest teamMoving the team center to the middle of the team

Confessions of a Higher Ed CMO — with Jaime Hunt

Play Episode Listen Later Feb 14, 2025 55:40

In this episode of Confessions of a Higher Ed CMO, host Jaime Hunt sits down with enrollment marketing expert Will Patch to tackle a critical issue in higher education—summer melt. They explore the key reasons why admitted students fail to enroll in the fall and share actionable strategies to combat melt before it happens. From financial aid misunderstandings to social anxieties, they discuss how institutions can proactively support students and improve yield. If you're looking for ways to refine your enrollment marketing and retention strategies, this conversation is packed with valuable insights.Key TakeawaysSummer melt is preventable—but strategies must start early, long before June.Financial barriers are a major cause of melt, especially for first-generation and low-income students. Clear, proactive financial aid communication is crucial.Social anxieties play a significant role—helping students feel a sense of belonging early can make a difference.Parents are key influencers—providing them with resources and guidance can help reinforce their student's decision.A strong anti-melt communication flow should include personalized outreach, two-way conversations, and content that addresses student concerns.Mental health support is critical—institutions should ensure students know where and how to access resources.Data-driven strategies should guide enrollment marketing efforts, ensuring institutions focus on what truly moves the needle. What Is Summer Melt and Why Does It Happen?Summer melt refers to the phenomenon where students commit to a college (through a deposit or other means) but ultimately do not enroll in the fall. While some melt is inevitable, a large portion is preventable with the right strategies. The two biggest contributors to melt are financial challenges and social anxieties.Financially, many students and families realize too late that they are unable to afford the costs, or they misunderstand their financial aid package. Socially, students may feel uncertain about their ability to succeed, worry about fitting in, or struggle with the idea of leaving home. These fears can be exacerbated if they don't feel connected to the institution before they arrive.Additionally, intentional melt has become more common, with students placing deposits at multiple institutions to keep their options open. This makes yield forecasting more difficult and further complicates enrollment strategies. How Can Institutions Reduce Summer Melt?1. Build Early Affinity and BelongingTo prevent summer melt, institutions must start fostering a sense of community early—before a student even deposits. Strategies include:Engaging students with faculty, staff, and current students through personalized outreach and virtual meetups.Encouraging early participation in campus events, online forums, and social media groups to build connections.Assigning student mentors or ambassadors to check in and answer questions. The more "sticky" relationships a student builds with a college—whether through faculty, staff, or peers—the less likely they are to back out before the fall.2. Improve Financial Aid CommunicationFinancial uncertainty is one of the biggest drivers of summer melt. Colleges need to ensure that students and families clearly understand their financial aid packages by:Providing easy-to-read financial aid letters that differentiate between grants, loans, and scholarships.Hosting financial literacy workshops or Q&A sessions for admitted students and parents.Reaching out proactively to discuss payment plans, emergency aid, and alternative financing options.Training admissions and financial aid teams to have direct, transparent conversations about affordability.Students who feel confident about their financial situation are far less likely to melt.3. Engage Parents in the Enrollment ProcessParents are one of the most influential factors in a student's college decision. Universities can strengthen parental involvement by:Creating parent-specific communications (emails, newsletters, or social media groups) with key deadlines and resources.Providing guides on how to support their student—covering topics like homesickness, academic struggles, and roommate conflicts.Encouraging parent participation in orientation programs to ease concerns. When parents feel informed and supported, they are more likely to encourage their student to follow through with enrollment.4. Monitor Engagement and Intervene EarlyTracking student engagement over the summer can help identify those at risk of melting. Indicators include:Not registering for orientation or choosing a later session.Failing to engage with emails, texts, or calls from the admissions team.Delays in completing financial aid paperwork or housing forms. For students showing signs of disengagement, schools should reach out directly—not just with automated emails, but with personal phone calls, text messages, and invitations to one-on-one conversations.5. Address Mental Health and Well-BeingAn increasing number of students experience mental health challenges, which can make the transition to college overwhelming. Universities should:Clearly communicate available mental health resources and counseling services.Provide peer support programs to connect incoming students with those who have successfully navigated similar challenges.Offer flexible support options, such as teletherapy or online workshops, for students who may not be able to access in-person services.Proactively addressing mental health concerns can help students feel more secure in their decision to enroll.6. Use Data to Guide StrategySuccessful melt prevention strategies rely on data-driven decision-making. Institutions should:Analyze past melt trends to identify common risk factors among students who didn't enroll.Use chatbot transcripts, search console data, and social media engagement to uncover student and parent concerns.Monitor response rates and adjust communication strategies based on engagement levels.By leveraging real-time data, institutions can proactively address student concerns before they result in summer melt.Guest Name: Will Patch, CEO of Clarity EMGuest Social: https://www.linkedin.com/in/willpatch/Guest Bio: After 9 years at Manchester University and 5 years at Niche where he developed the Enrollment Insights brand and established Niche's research and survey work Will has taken on the challenge of doing more work 1:1 with campuses. Swappie, Europe's leading platform for refurbished iPhones, reveals a staggering €140 billion worth of unused mobile phones languishing in European households, underscoring a significant opportunity for economic recovery and environmental sustainability. Recent data from the European Commission highlights that over 700 million mobile phones are currently unused across the EU. Assigning an estimated average value of €200 per device, this dormant stockpile represents an untapped value of €140 billion. Each holiday season, millions of new smartphones are purchased, leading to a significant increase in the number of idle devices in households. This annual surge exacerbates the existing issue of tech bloat, underscoring the urgent need to reintegrate these devices into the circular economy. "Encouraging the circulation of these unused devices is crucial," says Emma Lehikoinen, Chief Operating Officer at Swappie. "By bringing them back into the market, we not only unlock substantial economic value but also contribute to environmental conservation by reducing electronic waste." A KANTAR study undertaken by Swappie indicated that 62% of Irish consumers retain their previous smartphones. Beyond the economic implications, unused mobile phones contain valuable materials, including critical raw materials essential for new technologies. The European Commission reports that the collection rate for mobile phones is under 5%, with an estimated 700 million unused devices stored in households across the EU. Enhancing the return and recycling of these devices is vital for resource efficiency and environmental sustainability. Swappie is at the forefront of the refurbished smartphone market, offering consumers high-quality, affordable alternatives to new devices. The company's rigorous refurbishment process ensures that each iPhone meets stringent quality standards, providing a reliable and sustainable option for tech enthusiasts. As the number of idle phones continues to rise, especially after the holiday season, Swappie urges consumers to consider the environmental and economic benefits of trading in their unused devices. Reintegrating these smartphones into the market supports the circular economy and helps mitigate the growing issue of electronic waste. See more stories here.

Hey friends, welcome to a special "Best of 2025" re-release of an insightful conversation with Matt Wolfe. This episode is one you won't want to miss again—Matt and I chat about how his strategies and extensive experiences in digital marketing and content creation and how it's built him a media empire. We delve into diverse subjects like the intricacies of music licensing, maintaining consistent content production, dealing with internet trolls, and exploring the exciting potential of AI tools. Matt walks us through his journey, emphasizing the critical role of video thumbnails, the art of managing teams, optimizing old content, and his shift from direct response to brand marketing.. So, let's dive back in!Challenges in Consistent Content CreationCreating content consistently while handling sponsorship obligations poses a significant challenge. Matt uses systems and teams to help manage this workload. He notes the struggle of meeting old sponsorship agreements as his audience grows, often facing backlash and negativity from viewers who dislike too many ads. Balancing quality content and sponsor requirements remains a critical focus.Managing and Optimizing ContentMatt shares that when it comes to managing content, it's crucial to have strong systems in place. Assigning team members specific roles helps in maintaining a smooth workflow. He notes the importance of continuously optimizing old videos. For example, he adjusted a video's thumbnail and title, which led to a massive boost in views. Click-through rates (CTR) are important, and Matt emphasizes testing different thumbnails and titles for better results.Dealing with Trolls and NegativityHandling trolls and negative comments is part of being a content creator. Matt talks about developing a thicker skin and understanding that not every viewer will appreciate the content. He explains that he now focuses more on engagement through Discord and X, where more constructive feedback happens. However, he still has team members review YouTube comments for useful feedback.Transitioning Email Marketing StrategiesMatt's transition from direct response marketing to brand marketing in emails reflects the changing landscape of digital marketing. He prioritizes providing valuable content directly within emails to achieve high open rates. He targets about 35-40% open rates, with the most important news at the top followed by sponsor content. This strategy helps ensure higher engagement and a more loyal audience. The Value of Data and AI ToolsDiscussing the value of data, Matt mentions that his website, Future Tools, receives almost a million visitors monthly through effective SEO. This has led to acquisition offers because of the valuable database of tools and related data. AI tools also play a significant role in his workflow. Matt uses tools like Claude, which can code and create video games, and looks forward to the release of Sora for one-minute videos.Building and Maintaining CommunityCommunity building remains a core part of Matt's strategy. Engaging with his audience on social media and in person helps build a more loyal community. Active participation and approachability are key. While he focuses less on YouTube comments due to negativity, other platforms like Discord and X help maintain valuable feedback and engagement.Alternative Music Licensing ApproachMatt Wolfe suggests an alternative approach to music licensing, similar to Grimes' method, where artists grant broad permissions for using their music but maintain some control to ensure it's not linked to harmful content. This makes licensing easier and could transform how music is used in various media.Future Trends in AI and IntegrationAI is evolving fast, and Matt is most excited about AI integrations in wearable tech, such as AI glasses that assist in social interactions. He also highlights...

I'd like to take you on an introspective journey inspired by a recent eye doctor appointment with my mother. When we came across a humorous sequence of letters on the vision chart, what began as a normal exam became a source of pure joy. My mom's laughter was contagious, and it reminded me of the energy we assign to the little things in life.  Some moments trigger humor, while others may bring stress—but the choice of how we perceive them is always ours. In this episode, we'll slow down for a wise walk and ask ourselves important questions to explore how we can turn triggers into opportunities for growth, laughter, and connection.  Are there situations in your life, or words or phrases, that trigger you positively or negatively? What energy are you assigning to those things? Do you have the opportunity to reevaluate and ask why they trigger you? Can you shift that energy and see them from a different perspective? Are there qualities or characteristics people call out about you? Have those comments ever triggered you negatively because they challenged your sense of normalcy? Are you still allowing their energy to define how you see those qualities? Can you thank someone for acknowledging a unique part of you and embrace it as a strength? Is there an opportunity to make peace with those qualities, assign them positive energy, and appreciate your uniqueness? Are there things, words, people, or places that once held a negative connotation for you? Is there an opportunity to see them from a different, unique perspective? Can you free yourself from past associations so they no longer hold power over you? Where can you find the positive light and assign a radiant new perspective to those things or situations? Thank you for joining me today. My wish for you as you stride forward is to hold good intentions in your heart, assign energies that uplift you, and embrace the clarity and awareness that supports your journey. I'd love to hear what resonated with you from today's episode.   I'll see you next Thursday for another Wise Walk, so be sure to tune in. Until then, prioritize fun, read the signs, direct your path, and get your stride on!   In this episode: [04:06] The different meanings or energetic values we place on things. When I was young I would get triggered when people said certain things about me, but now I embrace my differences. [05:36] We don't have to assign that energy if we don't want to. We can reframe how we think about things. [06:10] We don't have to accept other people's negative vibes as our own. I love the idea of being intentional about the energy we assign things. [09:07] We don't have to assign negative energy to things from our past. For instance, some people are triggered by flowers because of the negative connotation of receiving them when someone's apologizing. [11:25] Our state of mind can also affect how we assign energy. [12:21] Show up with a high vibration in order to receive positive messages. [13:40] Be aware of the energy that you are projecting. [16:16] Think about where we can reassign energy and meaning to things that might not be said with the right intention.   Memorable Quotes: “I love this idea of releasing energy on things or words that once triggered us and kind of seeing what else is possible.” - Mary Tess “Hold good intentions in your heart and assign energies that lift you up and help you evolve on your path.” - Mary Tess “Life is about constantly evolving and changing—embrace that and let go of what no longer serves you.” - Mary Tess   Links and Resources: Mary Tess Rooney Email Facebook | LinkedIn | Twitter | Instagram Heart Value

IFT Identifies Six Top Areas of Need Among Businesses, Representing Opportunities for MSPs, Podcast

MSPs Can Leverage Evaluations from IFT's Operational Assessments to Deliver Value-Added Services BURNABY, BC - September 5, 2024 - According to ongoing Operational Assessment projects from leading business process outsourcing company Integrated Financial Technologies (IFT), there are six back-office areas where many businesses lack efficiency— and these areas represent significant opportunities for MSPs. IFT has identified business processes that are typically in need of improvement including the use of antiquated technology, inadequate data storage, siloed departments, the assignment of specific employees as a single point of information, the inability to cross-sell products, and lack of corporate documentation. During its assessments, IFT reviews each organization's processes, workflows, procedures, and infrastructure to help evaluate operations. Based on assessment results, IFT offers  recommendations on how end-companies can optimize their workflows and procedures. Managed service providers can target these areas to provide services that best meet these needs and address the deficiencies of the business community. Tod Chisholm “Many of the organizations we assist are successful companies with effective practices, but we find there is always room to drive efficiency and lower costs. This opens the door for MSPs to work with us and fill those technology and service gaps,” said Tod Chisholm, president at IFT. “We typically go on to fulfill opportunities in close to 75 percent of the organizations we assess. In the end, the process delivers value to businesses, while enhancing the MSP's customer relationships and establishing new revenue streams.” The top areas for improvement revealed by IFT's assessments include: - Use of legacy technology: Many organizations rely on networking systems, applications, and processes that are outdated. This creates complex environments that are difficult to manage and upgrade. As an example, IFT found that many companies still depend on manual data input compared to automated systems for tasks like data processing, employee scheduling, CRM, and other crucial areas of documentation. - Data storage: A surprising number of organizations utilize on-premises data storage systems, such as on-site server closets that house much of their data. In contrast, cloud-based systems offer increased security and redundancy, often delivering automated back-up and fail-over systems to protect against downtime and data loss in the case of an outage or disaster. - Assigning staff as a single point of information: Many companies assign a single person to know everything about a product or job function, such as payroll, CRM, or software development. If that person decides to leave the company—or suffers a serious illness—disaster looms. Ideally, company knowledge should be shared with several employees to create redundancy. - Inability to cross-sell: Many businesses are unwilling to cross-sell added services, leaving money on the table. Companies can use historical data to turn any inbound customer service inquiry into a sales opportunity. Remember, existing customers already have a propensity to buy, so savvy businesses should use nearly every interaction as a sales query. - Siloed communications: At both small and large companies, there is a tendency for departments to use disparate technologies and proprietary processes. The inability to freely communicate and share information via common platforms and procedures between departments impacts productivity. - A lack of company-wide documentation: Even businesses that maintain organized, company-wide processes typically do not document procedures and best practices in any concrete way. Communication of workflows, customer engagement practices, personnel policies, and job postings should be provided in a format that is accessible to the entire organization. This helps to create consistency and equity throughout the company,

Today, she shares personal stories and insights along with powerful strategies to help you build stronger, more trusting relationships with your clients. [03:03] Assigning motives can hinder relationships and sales success. [03:58] When you make assumptions in a client relationship, you start behaving as if the assumption is true.  [04:55] Think about lifetime value. When we have a breakdown, we'll lose further business and referrals from the client. [05:53] When you assign motive, it breaks trust between you and your client. It's like saying you don't believe them.  [06:12] It's hard to come back after breaking trust.  [06:48] Nikki shares a story about when she was a client and a person assigned motive to her question.  [08:41] Instead of answering the question, the person made accusations about why the question was being asked. There ended up being a huge blow up and disrespectful things were said.  [09:26] This person was ultimately removed from Nikki's account, but it created mistrust with the company. [10:37] The company has lost out on referrals and potential revenue, and it all came down to this idea of assigning motive, and in this case the motive was inaccurate. [11:07] What is there to gain by assigning motive? Who wins when you get to be right? Being right doesn't pay the bills. [12:21] Nikki shares a story about a client interaction that came up recently involving assigning motives to a particular person on the team who they felt wasn't nice. [13:22] It's hard to work with someone who you feel is ignoring your preferences, but it doesn't set the client up for future business when the relationship is breaking down. [14:01] Advice includes ignoring your preferences and seeing if there's a way you could work around the other person's preferences. Have some grace in the moment.  [15:11] The ultimate outcome is to delight your clients, so that they'll shout from the rooftops how amazing you are sparking more business.  [15:47] Common triggers to be aware of when you're about to assign motive include lack of clear communication. Instead, think how you can make it easier for the client? [16:51] Personal insecurity and biases can also trigger motive assigning. A previous experience can also influence your interaction. [18:00] Nikki shares a client's story where this client assigned a motive of one of their potential clients not valuing their work. [19:37] Think about offering a solution to the person's very clear objection. [20:55] Recognizing signs. Do you have an internal dialogue going on? Emotional reactions will cause us to assign motive. [22:09] Nikki talks about making a mental effort to give more grace and recognizing patterns where we may assign motive. [23:46] Seek feedback from colleagues and mentors. Ask for their take without telling your take. Make it clear that you're seeking constructive feedback. [25:09] Nikki talks about what you can do once you recognize the signs that you're about to be triggered into assigning motive. [25:26] Manage your state of mind. Have some type of ritual to get you into the right state of mind and keep you focused in the conversation. [26:33] When you want to assign motive, pause and ask a question. Can you expand on what you just said? [27:44] Be present and practice active listening. Be curious. Pay attention to tone and body language.  [29:48] Build trust through transparency. Leave space for people to be open and honest. [30:57] Motive assignment and being right is rarely going to help the relationship.  [31:16] Keep the end in mind. We want to earn the business, deliver at a high level, and keep our clients happy and satisfied. Hey friends, welcome to another episode of Hustle and Flowchart. Matt Wolfe joins me today to discuss some of his key strategies and experiences in the world of digital marketing and content creation. We explore topics like music licensing, consistent content production, dealing with trolls, and the future potential of AI tools. Matt shares his journey, the importance of thumbnails on videos, and how he juggles managing teams, optimizing old content, and transitioning from direct response to brand marketing. Challenges in Consistent Content Creation Creating content consistently while handling sponsorship obligations poses a significant challenge. Matt uses systems and teams to help manage this workload. He notes the struggle of meeting old sponsorship agreements as his audience grows, often facing backlash and negativity from viewers who dislike too many ads. Balancing quality content and sponsor requirements remains a critical focus. Managing and Optimizing Content Matt shares that when it comes to managing content, it's crucial to have strong systems in place. Assigning team members specific roles helps in maintaining a smooth workflow. He notes the importance of continuously optimizing old videos. For example, he adjusted a video's thumbnail and title, which led to a massive boost in views. Click-through rates (CTR) are important, and Matt emphasizes testing different thumbnails and titles for better results. Dealing with Trolls and Negativity Handling trolls and negative comments is part of being a content creator. Matt talks about developing a thicker skin and understanding that not every viewer will appreciate the content. He explains that he now focuses more on engagement through Discord and X, where more constructive feedback happens. However, he still has team members review YouTube comments for useful feedback. Transitioning Email Marketing Strategies Matt's transition from direct response marketing to brand marketing in emails reflects the changing landscape of digital marketing. He prioritizes providing valuable content directly within emails to achieve high open rates. He targets about 35-40% open rates, with the most important news at the top followed by sponsor content. This strategy helps ensure higher engagement and a more loyal audience. The Value of Data and AI Tools Discussing the value of data, Matt mentions that his website, Future Tools, receives almost a million visitors monthly through effective SEO. This has led to acquisition offers because of the valuable database of tools and related data. AI tools also play a significant role in his workflow. Matt uses tools like Claude, which can code and create video games, and looks forward to the release of Sora for one-minute videos. Building and Maintaining Community Community building remains a core part of Matt's strategy. Engaging with his audience on social media and in person helps build a more loyal community. Active participation and approachability are key. While he focuses less on YouTube comments due to negativity, other platforms like Discord and X help maintain valuable feedback and engagement. Alternative Music Licensing Approach Matt Wolfe suggests an alternative approach to music licensing, similar to Grimes' method, where artists grant broad permissions for using their music but maintain some control to ensure it's not linked to harmful content. This makes licensing easier and could transform how music is used in various media. Future Trends in AI and Integration AI is evolving fast, and Matt is most excited about AI integrations in wearable tech, such as AI glasses that assist in social interactions. He also highlights the potential of agentic AI tools that can perform tasks on behalf of users. Connecting AI tools like ChatGPT and Claude shows potential, with companies like Mind Studio already working on building these systems. 094: 10 Tips for an Efficient Design Business, Part 1

The Affluent Creative

Running a design business can be both rewarding and challenging. With tight deadlines, demanding clients, and the pressure to stay creative, efficiency sometimes takes a backseat. What if there were simple, actionable tips that could transform your workflow, boost your profits, and ultimately lead to more satisfying work and happier clients? In this episode, you will discover 10 tips to help you run an efficient design business. These tips focus on strategic planning and goal setting, efficient communication and collaboration, and productivity and delegation. By implementing these strategies, you will be on your way to mastering efficiency and achieving success in your design business.    STRATEGIC PLANNING AND GOAL SETTING In order to run an efficient design business, you need clear and realistic goals. You must establish these goals at the beginning of each year, and then break them down into quarterly, monthly, and weekly goals. This approach not only makes the tasks more manageable but it also ensures steady progress throughout the year. Tracking progress, setting milestones, and celebrating small wins can keep your team motivated and on track. Also, it is much easier to correct your course, when you regularly review your progress against your goals.  Another critical aspect of strategic planning is setting healthy boundaries with clients. Implementing boundaries is a life changer, especially if your clients are frequently texting you, asking questions about the project. Including clear expectations and boundaries in your letter of agreement helps to manage client relationships effectively. Regular project updates, whether weekly or biweekly, ensure that everyone is on the same page. This strategic approach not only streamlines operations but also builds a more professional and respectful relationship with clients.    EFFICIENT COMMUNICATION AND COLLABORATION Streamlining communication within your team and with your clients can significantly boost efficiency. Reducing email clutter will save you time. Utilizing team communication tools helps maintain organized communication channels. Leveraging email subject lines and having digital folders for each client makes it easier to find important information quickly. Regularly cleaning out spam and trash emails keeps your inbox manageable. My personal rule is to never have more than 50 unread emails in my inbox at a time. Assigning buddies to new hires and conducting regular check-ins ensures that new team members integrate smoothly and are up to speed. By leveraging these tools and practices, you create an environment where communication flows effortlessly.    PRODUCTIVITY AND DELEGATION If you have ever heard that multitasking is effective, I am here to tell you that is false! Multitasking might seem like a good idea, but it leads to decreased productivity and it increases stress. Focusing on one task at a time, or uni-tasking, allows you to enter your zone of genius where creativity and productivity thrive. There is nothing more powerful than being able to give your total focus to one project. Speaking of focus, having a private office space can help you minimize distractions and maximize your focus.    Delegating and outsourcing are other vital strategies you should start exploring if you aren't doing so already. Outsourcing tasks like bookkeeping, rendering, and presentation board creation can free up your time to focus on what you do best. Additionally, automating routine tasks through AI can also enhance efficiency.    If you are ready to master efficiency, so you can make more profit, serve happier clients, and do more fulfilling work, then make sure to listen to this episode for all 10 tips!  IN THIS EPISODE, YOU WILL HEAR:   (1:45) Establishing realistic goals (3:55) Streamlining your communication (10:40) Setting healthy boundaries with clients and your team (13:40) The importance of project management software  (15:45) Reducing the frequency and length of meetings (18:15) Encouraging teamwork (20:55) Enhancing the work environment (23:50) Why you need to stop multitasking (27:40) Working distraction-free in a private office area (29:20) The types of tasks you need to outsource (32:40) Automating tasks using AI When you're ready to step into a bigger vision in your design business and create exceptional results and celebrations book-a-call to explore how coaching can take you there faster, with a solid plan, proven process, and smart strategies.

You see, delegation isn't just about passing off tasks to your team or contractors—it's a skill that applies to every aspect of your life. Inspired by Brene Brown's insights in "Dare to Lead," we're asking the fundamental question: What does done look like? Think about it. How many times have you handed off a task in a frazzled state, only to be disappointed with the results? The truth is, clarity is key. Whether you're managing a team or simply trying to streamline your personal life, everyone involved needs to know exactly what success looks like. So, in today's episode, we're getting into strategies for articulating expectations clearly, from documenting processes to setting up clear communication channels and even placing success examples in your business's SOP.
