Episode 39: ASIM IntermediateSheriff Michelle Cook shares her experience hosting the Active Shooter Incident Management (ASIM) Intermediate course remotely for Clay County (FL) on the NCIER Campus virtual platformBill Godfrey:Welcome to the Active Shooter incident management podcast. My name is Bill Godfrey, your podcast host. We appreciate you tuning back in with us this week. We have a special guest, one of our instructors who has been on a little bit of a leave of absence, Michelle Cook. Now, most of you will remember, if you've been with us for a long time, Michelle's done some podcasts in the past, and was a police chief up in the north Florida area. Not too long ago, she was elected sheriff in Clay County in the north Florida area, and is taking the time to talk with us today. Kind of catch us up, what's going on, and tell us a little bit about her experience with the Active Shooter Incident Management, intermediate class. Michelle, welcome, and thank you for taking the time to join us. Michelle Cook:Thank you, Bill. I appreciate you inviting me back on. Bill Godfrey:So, being sheriff, it's an elected position, a lot of work with that. Was it as much fun as you thought it was going to be? Michelle Cook:The campaigning, or the actual job? Bill Godfrey:I'll let you answer that anyway you want. Michelle Cook:Sure, yeah. Campaigning was tough, but I'm truly a committed public servant that wants to do right by the officers on the street that protect us every day. So, that was my motivation to run, and since winning the election, and being in office now for just about a year, the ability to bring the great training, and looking out for the deputies that serve on the street, has really been my driving force for going into work every day. Bill Godfrey:Well, I know you're very good at it and have a passion for this like nobody else I've ever seen. We certainly miss you here on our side of the fence. I look forward to the time comes that you slow down a little bit and kind of come back to the fold. So, I thought it'd be fun to have you on to talk about our Active Shooter Incident Management, intermediate class, and your experience with hosting that. Now for the audience, the ASIM intermediate is our two day version of the class, which obviously we used to do face to face, but because of COVID, we developed a new platform that would allow us to do this hands-on training remotely. So, the ASIM intermediate two day is now available remote, and not in Zoom or Microsoft Team meetings, but in our own platform that we built, so that we could still do hands-on live scenarios. So sheriff, I thought it'd be fun to have you kind of share with everybody, what, from your perspective, led you to want to do that, have the class, tell us the story. Michelle Cook:Sure. I'm going to take you back to 10 years ago, when I started getting involved in the Active Shooter Incident Management classes, and they were in person, and they were so valuable. I saw the value, and was actually able to apply the principles in the active shooter incident management class to my work, and teaching the officers and the deputies that I work with, the principals of thought and action. The more I saw the principles working, the more I bought into this training. Michelle Cook:So, when COVID struck and really took training, came to a halt for all of us. As a police leader, I knew that I could not go out there in the public and say, "Well, we had to stop training because of COVID." That is not acceptable in my line of work. So, when the ASIM intermediate came up, and you guys talked about this virtual platform, I will say I was a little hesitant. I'm a 30 year veteran, I believe in the old school sitting at a desk hands-on, but I realized, Bill, quickly, that really the technology is the wave of the future. In talking to my younger deputies, they were not fearful of a virtual class. Now, I will say some of my older deputies were hesitant, but we pushed forward anyway. I can tell you from sitting in the class during the virtual delivery, it was absolutely spot on. It really provided the ASIM principles in a virtual platform, and the training was fantastic. Bill Godfrey:Well, that's wonderful to hear, and I'm relieved. Honestly, I was a little nervous when you said you wanted to host this class because you're a perfectionist like me, and a stickler, and I thought, "Oh, please Lord, let everything go right." So, I was a little risk, but Michelle, from your perspective, how would you describe that platform and the experience to somebody who's never seen it? Because that's always a challenge for me trying to describe it to folks. Michelle Cook:Yeah. It really is a challenge, but the the way that I would describe it, or the way I do describe it to people is you have an active shooter incident. You have a critical incident, and we do as a profession, we've done so well at training how to tactically respond, and take the bad guy out. But active shooter incident management is so much bigger than that. So, through this virtual platform where you have everybody has a character that acts, and interacts with the other characters, you're able to learn the principles of the incident management. It's less about clearing a room, and more about taking command and control of the scene. With the virtual platform, you're able to learn these principles, and practice these principles, all while sitting at a desk. Bill Godfrey:I think that's a great summary. I might have to borrow some of that for some of the materials, when people ask for the explanation. I appreciate that. Michelle Cook:I won't charge you. I won't charge you. Bill Godfrey:Sheriff, one of the things I thought was kind of interesting, you had what, 30, 30, 40 people in the class from your side? Michelle Cook:Yes. Yes. Bill Godfrey:Then we had about, I don't know, it was another half dozen, or dozen, from across the country that all joined in. You made an interesting choice, which was even though this was a virtual delivery, you made a choice to pull all of your people to one central location. So, we had this group up at your place that was taking it together, and then these a half dozen other, a dozen other students from across the country that were all remote. How did that work? What led up to you to decide that? Michelle Cook:Well, Bill, that was a purposeful, deliberate decision, and there was a couple of reasons I did it that way. Number one, my county, we have four different law enforcement agencies in my county. Plus our two different fire rescue agencies in the county. So, by bringing all of these people in a room, even though they were working virtually, we were able to establish, re-establish, and build relationships. That was lacking a little bit in my county, is the working relationship, so bringing them all together. I also purposely planted some, what I call ringers, in this class. These are guys who truly understand the ASIM concepts, and are champions of the concepts, and so during break, I encourage these guys to lead the informal discussions. "Hey, what did you think about that?" "Hey, didn't that work out well?" So, really reemphasizing the concepts through the informal conversations that would occur at each break. Michelle Cook:So, although the technology, bringing everybody in one room, there was a draw or pull on the technology side, it really worked out well for us because now we're back to some traditional training, and my trainers who were in the class are ensuring that they include these other agencies that they've never really thought about before in our training. So for me, it was very purposeful, very deliberate because what I saw that lacked in my county was some working relationships, and making sure that I got buy-in by planting some ringers in the room who can continue the conversation. Bill Godfrey:That's really interesting. I knew you had a couple of strong people in the room that were taking the class, but I didn't know that you had kind of purposely planted, as you said, some ringers. What made you feel so passionately about that? That's an interesting idea. Michelle Cook:Well, policemen love training, they hate training all at the same time. Here we were introducing some new concepts, for many of these, in the class. At the same time, we were doing it virtually. For many in law enforcement, especially, guys that have about seven years on or more, they're still afraid of the technology. They're still concerned that there's a training value on using technology. So, I wanted to make sure that I did not have a strong personality in the middle of this class, throw his hands up and go, "This is BS. This is dumb. This is not worth it," because you're informal leaders in the class can really drive how people feel about the training. Michelle Cook:So, by planting some informal leaders that were ringers, I purposely drove the conversation to the positive, and then people who had questions about what they learned, or what was said, they naturally gravitated to these leaders, and said, "Well, tell me why this happened. Why do we have to go to staging? Why can't we self deploy from another agency?" And those conversations happened. So the guys that really understood the concepts, were able to, again, really drive home the purpose, or the principles, that were being taught on this virtual platform. Bill Godfrey:That's really interesting. Now I'm curious, because we did have a number of other students that were from different places in the country that were in that same class, interacting with your team, and the folks that you had on that location. Did you hear any feedback, or reactions, about what it was like working with people from different states in the class and in the responses? Michelle Cook:Yeah, it's interesting because there was some conversation, a little bit of a conversation about lingo and tactics, and the pace of response for some of them. For me, that really gave me an opportunity for a training point. I said, "Guy, those guys are from out of state. We don't have to worry about them responding to our incident. However, if we don't all work together as different agencies in the county, if we don't get all on the same page and train together, and have the same concepts, and use the same principles, when we haven't an active shooter incident in our county, we're going to see the same thing from those agency members. That's why we have to train together." So for me, it was really a point that I could drive home to everybody that was in the classroom because I had other agency leaders in there, "Hey guys, this is why it's so important to train. Those guys that were out from another state. We may be in the same county, but if we don't train together, we're going to experience what we experienced in this virtual platform." Michelle Cook:Now, let me say this though. The overall general feeling about working with guys from out of state was phenomenal. I mean, apparently whatever group was in there was really sharp. My guys were commenting on how really sharp they were. So, that was a plus, but the little nuances of not training together, were apparent. Again, for me, it really drove home the point. We can't just think that because we're all in the same county, we're going to respond the same. We have to train together. Bill Godfrey:Yeah. It's a really interesting perspective. I remember from your class, so one of the students was from Portland police, and there was a scenario where one of your fire department people, and I'm not really sure if it was with your county fire department or one of the other ones, but the Portland police officer was in the tactical position, and your firefighter was in the triage position. He just kept saying over and over and over again afterwards, he just could not get over the fact that he just spent 45 minutes running a live active shooter scenario with a guy that was literally across the country for him. I mean, I don't know that it could be much further, Florida over to Portland- Michelle Cook:Mm-hmm (affirmative). Bill Godfrey:... and they just ran it seamlessly. They were talking to each other like they were standing next to each other. They worked it together. It was a common language, and he just couldn't get over that this guy that's literally across the country in three hours, and three different time zones away, and they're working this incident together. I thought that was a pretty fascinating perspective. Michelle Cook:Well, but I think that speaks to the comprehensive, yet simple principles of Active Shooter Incident Management. It really does, kind of like ICS. If you have the basic principles, it's very simple, as long as you stick to the simple but comprehensive principles. If the guy in Portland happens to be on vacation in Florida, where you have an active shooter incident, he can jump right in seamlessly. I think that that's the value of the class and making sure that your class is diverse with people that could potentially respond together. The great thing about the virtual platform is you can do it virtually, so we can have people in neighboring agencies, neighboring county, all very realistically could respond to an incident with us, training with us. Bill Godfrey:So, I got to ask what were some of the good comments, and some of the negative comments? Because I'm sure that you heard both after the training. What was some of the good and bad that you heard? Michelle Cook:So good, absolutely was understandable, realistic. Boy, I could use this. I could use it on other calls that are critical in nature. Easy to learn. They loved the scenarios. They thought the scenarios were very realistic. Michelle Cook:The downs were, some of my old timers, didn't like the technology. That's understandable. I've told you several times, the technology sort of scares me too, as a 30 year law enforcement officer, but I go back to two things, and I would tell these guys this. Yes, you've been on 20 years. Yes, using a virtual system is a little bit cumbersome for you, but two things. One, younger deputies, younger officers, younger firemen, younger dispatchers, they're not scared of the technology. They've grown up with technology. Michelle Cook:The other thing too, as a long-time trainer, what I've realized, and what I've come to understand, is that different people learn from different platforms. So whether it's a tabletop, a real life exercise, or virtual training platform, the more ways that you can present the concepts on different platforms, the more opportunity you have to connect with your students, and the more opportunity you have to really drive home those principles and those training points that you want to get to. So my younger deputies loved, they thought they were sitting at home on their X-Box. They love the technology. The older guys, not so much, but they understood why we were going that way. Bill Godfrey:Well, I would expect to hear that. It would surprise me if you didn't have some of the old timers that didn't really care for it. I laughingly joked just a few weeks ago, during one of the classes, we had a support call come in, and I was on the phone with somebody trying to walk them through an issue they were having with their computer. And I go, "Well, just hit your escape key." And they go, "What's an escape key." And I thought, "Well, all right. I've just gone around the bend here." Bill Godfrey:So, I get it. There are people that are a little bit uncomfortable with it. I think the other piece of this is, and I'm really curious to see where this goes, but during COVID I know I got sick and tired of these virtual meetings, and the idea of one more virtual training. I think everybody just got accustomed to logging in and zoning out. I'm going to sign in. I'm going to turn on my video and my microphone for just a minute. I'm going to say hi to everybody, and then I'm going to mute my video and mute my microphone. Then I'm going to move on to another task, but I'm going to get credit for this class. People got used to that and really kind of developed a bad habit. Of course in this class, you can't do that. There's- Michelle Cook:No, you can't do that at all. Bill Godfrey:Yeah. You're engaged. It's like being in the classroom. You're present. The instructors are walking up to you asking you questions. You are moving around working through the scenarios. Yeah. We do get some surprise, I guess, but what do you think? Where do you think we'll go, once we get to the other side of COVID? We were forced to use all this virtual remote stuff, and now everybody's sick of it, so there's kind of a backlash, and at some point next year, I think it will kind of settle in. Where do you think we'll settle in on this? Michelle Cook:I think we'll settle with a leaning towards virtual. Again, I'll go back to the fact of, there's a couple of things. One, this is a different way, from a management standpoint, a relatively easy way, inexpensive way, to get good solid training in. Again, with the younger deputies, they grew up playing these games. ASIM intermediate is not a game, but they grew up playing these sorts of games, using technology, and they're not afraid of it. Michelle Cook:So, I love the idea that it's, again, another training platform that resonates with a lot of people. I think good police leaders, good fire leaders, good EMS leaders should really consider a variety of platforms when bringing in such an important topic like this. Because understanding that some of your members are going to like the hands-on in person training. Some of your members are going to like the virtual training. Some of your members are going to like another training platform that's out there. Really, I think it's a great opportunity to utilize different platforms that present the same concepts, because, again, it just really deepens and further seeds the embedding of this process of this response into the core your agency. Bill Godfrey:I think you're probably right. It's a fascinating topic, and I'm not really sure where it's going to go. Obviously, we have restarted our face-to-face deliveries as well, and we are going to maintain the virtual platform. In fact, we've got a couple of other classes that we're going to be rolling out on it. We've got some EOC training classes that are planned, and hospital active shooter course, and a couple of other things that are in the works. So, we're going to make use of the platform moving forward, but I'll be curious to see longterm what that impact is. Bill Godfrey:So, let me shift gears a little bit, Sheriff. You took over a county law enforcement agency. You're the big boss. The buck stops with you. Your agency, and your county or region has adopted the Active Shooter Incident Management checklist process, if you will. You've had this preliminary training, which obviously didn't hit all of your people. I know you've got way more people than that. So, what's next? Where are you going to go from here? Michelle Cook:Well, for us, it's a couple of things. Again, deliberately putting some ringers in the class that really appreciate and understand the processes. We're continuing to push it out. In fact, my training division, which consists of several SWAT guys, and the SWAT guys, anything that's active shooter, your SWAT guys tend to give it credibility if they've bought into it. So, that was part of the deliberate processes, getting those guys to buy in. So, they're continuing the training. When they go out and do the traditional room clearing, and suspect mitigation training, and when they're out there doing that, they're implementing the principles that they learned in the ASIM intermediate into our routine training at our agency. For me, we're going to continue to push those principles and concepts out. Michelle Cook:I will tell you at my previous agency, where I was a chief of police, they even went one step further. The guys on the street, in any hot call or priority one call, they would use the ASIM principles. The person in charge of the hot zone declares themselves tactical, and he will say if staging was needed, he would set up upstaging, or she would set up staging. So, whether it was a robbery in progress, or burglary in progress, they carried it one step further out there. I'm hoping to see that with my new agency, sort of organically letting that happen. I think we're heading that way, but as a police leader, continue pushing the principles. Michelle Cook:I tell people that management is a perishable skill. If you don't have a plan, a training plan, to continue pushing it, people will lose that skill. So for us, it's the informal training, the formal training, and then reaching back out to seek new pathways every couple of years, and bringing the training in for a refresher, so to speak, is where I'm headed with it. Bill Godfrey:It's so interesting to hear you say that. I can't remember if it was last week or a week before, but just in the last two weeks, we had a podcast episode where the whole episode was about other uses of the ASIM checklist, besides just active shooter. To me, it's one of those funny little secrets that we chuckle about because it is what you just said. The ASIM checklist process is a standardized way of approaching these things, and it doesn't have to be an active shooter call for it to be very useful in laying out the roles. Michelle Cook:Absolutely. I mean, my folks used it in a robbery to a bank in progress, we've used it on house fire calls, just to avoid over convergence, who's in charge of the hot zone. We're evacuating due to a fire, not due to an active shooter, but still a lot of the same things are happening. Again, as a long time police practitioner, and two decades on the street, so to speak, I absolutely, without a doubt, 100% believe, and have seen, the ASIM checklist principles applied to other hot calls. When they're using it for those other calls, when the big call does come in, when the active shooter incident does come in, they're not looking for their checklists in the car, so to speak. It is in their mind because they've been using it on the hot calls already. Bill Godfrey:I think that's wonderful. I always knew you were a law enforcement leader with a lot of vision. I know I've told you that before, and you always roll your eyes at me when I say it. You're probably rolling your eyes right now. Michelle Cook:Probably. Bill Godfrey:It was decades ago that you saw through some of the, for the benefit of the audience, I say frequently to people, and to the other instructors, FEMA and the fire service did a horrible disservice to law enforcement. When we convinced you that ICS meant an 18 Wheeler semi-truck of paperwork is going to back up to your scene, and vomit paper on your scene. That's really not what ICS is about, but I mean- Michelle Cook:Right. Bill Godfrey:... it was at least two decades ago that you kind of saw through that and said, "Wait a minute, there's something of value in here for law enforcement." So, you've been a practitioner of it for a very, very long time. Michelle Cook:Absolutely. Bill Godfrey:You're not a Johnny come lately. You've been doing this a long time, but let me ask you this, we'll wrap up here on this final closing thought. What would you say to your fellow law enforcement leaders who are the sheriff, the chief of police, the deputy chief, chief deputy at the county Sheriff's office, what would you say to them about how to get started and make things a little bit better? Maybe they've done some contact training. They've done a little bit of move to the threat training, but not a whole lot beyond that, haven't done any integrated stuff with their fire EMS agencies. What would your advice be to them? Michelle Cook:Well, the first thing I would tell him is I think you're morally, ethically, and legally obligated to move beyond just dealing with the suspect. Police leaders can't say, "Well, I taught him how to shoot the bad guy, but all these other bad things happened because we weren't prepared." Study after study, after action report, after action report show and prove that the incident management is really where things fall. Unfortunately, people die because scenes are not managed correctly. So, as a police leader, as a fire leader, as a EMS leader, you have an obligation legally, morally and ethically to take the next step, which is the scene management, the active shooter or critical incident team management. Michelle Cook:I'll say this, and I've said it before, because again, I was on the street for 20 years. I was the commander of our SWAT team for three years. I led a patrol division for a number of years. The principles at ASIM are simple, comprehensive, and they work. If you, as a police leader, are not moving your team to the next step of scene management, when it does happen in your jurisdiction, you're going to be the one at the end of the day that has to answer for why your folks messed up. And it's not that they messed up, it's that you didn't take them to the next step of training, Bill Godfrey:Sheriff Michelle Cook, thank you so much for taking the time to join me today, and to talk about this and share your experience. I know I speak with fondness from the other instructors. We miss you. We look forward when the time comes that your life slows down a little bit, that you can join us doing some of the training classes, but we know in the meantime, you're doing very, very important work on the other side. Anja spricht mit mir über Governance in Microsoft Teams. Grundlagen: Die Microsoft Teams Governance unterscheidet sich nicht wesentlich von der SharePoint Governance, wobei es hier auf andere Gesichtspunkte zu achten gilt. Das Wort Governance kommt aus dem lateinischen gubernare und bedeutet soviel wie lenken oder leiten. Es definiert das Steuerungs- und Regelungssystem in einem gegebenen Konstrukt. Oft wird Governance so verstanden, dass es einschränkend und hemmend wirkt. Die Governance welche wir in unserem täglichen Projektalltag verwenden soll unterstützend wirken, es begrüsst die Eigenständigkeit und Freiheit der Teams und Benutzer, lenkt diese aber in eine bestimmte Richtung. Mit der Governance wie wir sie verstehen möchten wir sinngemäß eine Autobahn bauen. Sie hat zum Beispiel in Amerika sechs oder sogar acht Spuren ist jedoch durch Leitplanken begrenzt und führt in eben diese vorher erwähnte bestimmte Richtung. Ob ich als Ziel Berlin oder Paris habe macht einen sehr grossen Unterschied in welche Richtung ich meine Autobahn baue. Ist die Richtung einmal vorgegeben, dann sollen sich die Nutzer darauf sehr frei aber auch wieder mit bestimmten Regeln bewegen können. Sie sollen schnell vorwärtskommen und nicht blockiert werden aber immer noch in eine bestimmte Richtung. Warum braucht MS Teams eine Governance? Gehen wir jetzt darauf ein, warum gerade Microsoft Teams eine Governance braucht. Die Idee von Microsoft Teams ist, dass jeder Benutzer jederzeit ein neues Team erstellen kann. Das ist auch gut so! Jedoch kann dies sehr schnell zu einem Wildwuchs führen, bzw. die Teams Flutwelle ist ihnen schon sicher. Die Idee von Microsoft bei Microsoft Teams ist aber auch, dass die Person welche ein neues Team erstellt, dies dann auch verwaltet und wieder löscht oder archiviert. Wir wissen heute, dass die Benutzer dies nicht tun. Das ist auch gar nicht böse Absicht, das ergibt sich einfach so. Da für jedes Microsoft Team mit freiem Text erstellt werden kann, ist weder für die Administratoren noch für die Benutzer immer klar, welches Team für welche Inhalte genutzt wird Die URL zu den SharePoint Inhalten erhält Out of the Box bei jedem Microsoft Team den ursprünglichen Namen des Teams. Was aber wenn sich der Name des Teams ändert? Die URL bleibt gleich, und das muss sie auch, sonst haben wir ganz viele broken Links und das wäre auch nicht sehr gut Der Zugriffs Review ist auch eine Sache welche von Endanwender völlig vernachlässigt werden. Dadurch kann es sehr schnell geschehen, dass unberechtigte Zugriffe auf ihre Daten stattfinden. Den Gaszugriff zu unterbinden ist hier sicherlich die richtige Lösung. Wir müssen also sicherstellen, dass die Benutzer dies tun Auch bei der Benennung von Teams gibt es Lücken, die es zu schließen gilt. Der Name alleine hilft dem Anwender nicht, das richtige Team zu finden. Kris Rudeegraap is the co-founder and CEO of Sendoso, the leading Sending Platform. Kris has more than a decade of sales experience and has spent time at Talkdesk, Yapstone, and Piqora. During that time, he discovered that creating meaningful engagement through direct mail and gifting was an effective way to drive demand and increase sales - which helped inspire the idea for Sendoso. Kris is a California native and CSU-Chico alum currently residing in the Bay Area.   Questions   Could you share with us a little bit about your journey, a little bit about who you are, tell us what a leading Sending Platform is? What's that all about? And just how you got to where you are today? Could you share with us just based on your experience, and also your business as an entrepreneur and a leader, what are maybe one, two or three things that you think salespeople need to do to retain their customers? What are maybe one or two things you think that somebody could do to enhance or build on that skill? How can you build on being more empathetic as a human? Could you give us maybe some recommendations as how companies can leverage more collaboration software and use it to their advantage? And how can employees be open to adapt to this and be able to succeed, especially with something that they are not very comfortable with? How as a leader in all of these that's happening, can you ensure that your team is thinking creatively? They're thinking outside of the box? How do you get to inspire them, especially when you're not in the same physical space with them? How can you really get them motivated and pumped up that they are excited to come up with new ideas and innovative solutions to make the business move forward? Could you share with us maybe what's the one online resource, tool, website or app that you absolutely can't live without in your business? Can you share with us maybe one or two books that have had the biggest impact on you? It could be a book that you read recently, or maybe something you read a very long time ago, but it still has an impact on you today? Can you share with us maybe what's the one thing that's going on in your life right now - either something you're working on to develop yourself or your people? Could you tell our listeners where they can find you online? Do you have a quote or saying that during times of adversity or challenge, you'll tend to revert to this quote, it kind of helps to keep you focused, or kind of gets you back on track. If you get derailed at any point in time. Do you have one of those?   Highlights   Kris’ Journey   Kris shared that before starting Sendoso, he spent about 10 years in software sales in San Francisco. And so, he was really trying to break into new accounts, send emails to prospects, and really saw that there was a lot of digital noise and email was a hard channel to be super personalized.   And so, that's really where he decided to start sending out handwritten notes and he'd send little gifts, he'd send little packages with like company swag and all that stuff was really great, it was just super hard to do and very manual and very time consuming.   And so, he dreamed up this idea of a sending platform where you can click and send a button inside of tools like Salesforce or HubSpot or other tools. And then behind the scenes, it would do all the fulfillment and all the hard work for him.   And so that was the original idea and that's what inspired him to start Sendoso about 5 years ago, and really a sending platform is a couple components. One is it allows you to send out really anything and everything, corporate gifts, their direct mail, their company swag, there could be flowers, cookies, ice cream, gift cards, digital experiences, you name it, they can send it. There's also team management and budgets, there's integrations, there's fulfillment all under one platform.   Me: Sounds good. So a big part of what Sendoso does are, what you do is sales?    Kris shared that sales, that's how he got started and a lot of their customers are using them for sales. But they also have a good amount of companies using them for post sales. So customer service, customer success, marketing, and even HR too.   Tips on How Salespeople Can Retain Their Customers   Me: So what I like to find out from you is could you share with us just based on your experience, and also your business as an entrepreneur and a leader. What are maybe one, two or three things that you think salespeople need to do to retain their customers? So I know sales is about getting new customers, but how do you ensure that you retain your existing customers? How do you have that relationship, the customer relationship management component? Maybe what are two or three things that you think is critical based on your experience?   Kris shared that he'd say one is really being human and building rapport and think about it as not a business to business, but a business to a human and how do you build that relationship. Two is really just getting creative with how you engage folks. So not just using email, but using other means to build that relationship. And he thinks the third is really leading with empathy and putting yourself in your buyer’s shoes, and really encouraging authenticity and really understanding what the buyer really needs.    How to Build on Being More Empathetic as a Human   Me: Okay, so those are three really good points. Now, let's say for example, you're dealing with sales reps that don't know how to exercise empathy. So as a Customer Service Trainer, I have found based on research and experience that empathy is not one of those skills that you learn when you're growing up, it's really a skill that you develop as you get older, as you get to understand yourself, as you get to understand emotions in other people. But some people just still are not able to exercise empathy to its fullest extent. What are maybe one or two things you think that somebody could do to enhance or build on that skill? How can you build on being more empathetic as a human?   Kris shared that he would say one is finding training and learning courses, so going out of your way to find ways that you can really learn about how to be more empathetic and kind of study and learn and kind of take what you've learned and start practicing that. He'd say that's the first thing is really going out of your way to learn more. And then he thinks the second is, people might not be as empathetic in business, he thinks a lot of people are naturally maybe empathetic in their home life and maybe understanding what are those key things you're doing in kind of your home, non-work life that could be empathetic, and how could you translate that into more business like environments.   Me: That's a good one. Because it's the same skill, same behaviour, you're exercising in a personal environment so you need to just transfer that into a professional environment so that you can really understand where the other person is coming from.   How Companies Can Leverage and Adapt Collaboration Software And Use it to Their Advantage    Me: So a big part of customer experience also is understanding that we're in this space now where we have to be pivoting, I think that was a big word for 2020 and it's definitely come over into 2021. And just being able to be flexible using the different technologies that exist out there to serve our customers. Agility is also something that a lot of organizations are looking to do with their teams. So could you give us maybe some recommendations as how companies can leverage more collaboration software and use it to their advantage? And how can employees be open to adapt to this and be able to succeed, especially with something that they are not very comfortable with?   Kris stated that he thinks that to Yanique’s point, one is taking the time to really time block on your calendar to learn more. We live in a world where people work, and maybe don't do enough in terms of like education or re-education, so he'd say purposefully putting time on your calendar for learning and development is key. And being cognizant of that, say, “Hey, next week, I'm going to block two hours, and I'm going to learn this or I'm going to practice using this software,” which might sound like how do you have enough time to do that, but he thinks it's taking that time, it's almost like taking a step sideways to take 10 steps forward, versus kind of always being in an environment where you feel behind. So, he would say that is one scenario. He'd say two is just maybe, depending on your level of leadership, really just the culture of the company, or the executives can be really driving this agility and so, he thinks it starts at the top. And really, if you can demonstrate agility at the top and really make that a key part of your company culture, it can really benefit everybody.   How To Inspire Your Team to Think Creatively   Me: Leadership is very important, I'm glad you touched on that just now in terms of getting people to really step up to the plate. So you have these teams and even though they're working from home, I've heard so many complaints where people complain that they're just exhausted, they're burnt out, literally, just between family, depending on what age the kids are, and then just keeping the home in order, and then being on all of these Zooms and Microsoft Team meetings constantly at your computer. But then outside of those meetings, you have the actual work to get done and it's just a lot.   How as a leader in all of these that's happening, can you ensure that your team is thinking creatively? They're thinking outside of the box? How do you get to inspire them, especially when you're not in the same physical space with them? How can you really get them motivated and pumped up that they are excited to come up with new ideas and innovative solutions to make the business move forward?   Kris shared that one thing that comes to mind is making sure that you are upfront about a flexible work life balance and right now it's harder than ever to be flexible, because you kind of live and work in the same room, so to speak. And so, he thinks it's purposefully making sure people are stepping away, even if it's just a staycation and you're staying home, you just put your laptop away. So, they really try to inspire that, they even have a twice a year employee bonus that if you take a vacation or a staycation, they'll give a $500 bonus each time to spend on that and so they're kind of paying their employees to take breaks and keep that flexible work life balance. And so, he thinks that's one area, making sure you keep your work life balance strong so that it really keeps your mental state in a really good place. Two, he'd say is like, how do you get creative or have more fun with some of your Zoom meetings and so, they've incorporate things like Zoom wine tasting events, or they've done like dinner making class over zoom and so they bring in special guests to some of these Zooms, and maybe change it up a little bit so it feels a little bit more unique, and adds a little bit of flair. So he thinks that's an interesting way.   And then there's other ways as it relates to just helping getting people out of their comfort zone, and maybe connecting people with other teams. So they've tried to institute more of like cross team collaboration or getting people involved in kind of mini, what they call tiger teams, or project teams, they kind of are taken away from maybe their normal day to day and exposed to new parts of the business where maybe they can bring their new level of creativity.   Me: That's really amazing. So I like the idea of dinner, what was the suggestion, you bring in a special guest and that person would prepare dinner and everybody kind of follows along?   Kris confirmed and stated that they've done like a special checked guest that comes in. They did one where was like a cheese making class, there's a wine tasting event where you could wine taste virtually. So it makes some of these Zoom meetings just a bit more exciting.   Me: So do you do that in the middle of the day? Or is that an additional Zoom meeting that is tacked on to the end of their day?   Kris stated that it could be both, he thinks for the wine tasting one, they typically would want that to be more like a 3:00 pm or 4:00 pm or 5:00 pm. And so, it's typically still during business hours, but it just says, “Hey, have some fun with this and kind of meet more of your team and have a have some fun.” But some other ones could happen during the day too as well. And it's more of a way to kind of think creatively versus just be in the same exact kind of Zoom fatigue.   Me: Yeah, I agreed. That's really cool, very creative, very innovative, and it does stimulate a different parts of the brain, which will definitely help them to not feel like they're doing the same thing over and over and it gets mundane. And just as you said don't feel motivated.   App, Website or Tool that Kris Absolutely Can’t Live Without in His Business   When asked about an online resource that he can’t live without in his business, Kris shared that from a collaboration perspective, Slack, it just like keeps them all collaborating, that is probably the one they couldn't live without. One that he really loves is an app called Feedly, and it basically brings together hundreds of different blogs into one app that he enjoys reading. And it's a great way for him to stay creative and really be immersed in a lot of different contexts of ideas. And he typically wakes up and do some reading in that app and then he'll typically go to bed and do some reading in it. And it just gives him new perspectives across a myriad of different topics.    Books That Have Had the Greatest Impact on Kris   Kris shared that he’s a huge podcast listener and actually give him the biggest inspiration and impact. And so, he’s all in on podcasts and a couple podcasts that he’s just obsessed with. So he'd probably say he listens to podcasts, maybe daily, he would read books maybe a few times a year, so he’s much more engaged with podcasts and a couple that he loves, one's called Dare to Lead with Brene¢ Brown and another is called Acquired, another is called Follow Your Different and then a classic, another one, How I Built This.   Me: Oh, nice. May I ask what kind of topics they discuss predominantly on those podcasts? Are they more like self development podcasts? Or are they business podcasts?   Kris stated that he would say a bit of both, part of them are business related, but also, they also include talking to founders at times too, which gives you kind of personal inspiration as well. So he thinks it's part personal inspiration, part business, and then part just kind of interesting topics.    What Kris is Really Excited About Now!   Kris shared that one thing that he’s doing that is, now that they have close to 400 employees now. One of the things he’s doing is just random meetings with employees, and he created this new Slack channel called Ask Kris Anything and then he meets with 3 to 5 random employees each week. And so, that's something that he’s doing just so that he can really understand how they're scaling the business and learn from everybody. And so, that's been something that he has been doing recently that he’s really excited to continue.   Where Can We Find Kris Online   LinkedIn – Kris Rudeegraap Website – www.sendoso.com Email – kris@sendoso.com   Quote or Saying that During Times of Adversity Kris Uses   When asked about a quote or saying that helps him get back track, Kris shared that he would say that the one that comes to mind that he remember the end that he thinks about often is, “Entrepreneurs spend a few years of their life like most people won't, so they can spend the rest of their life like most people can't.” And so, he thinks it kind of hints on that like there's tough times for an entrepreneur, but if you make it, your life will be changed forever. And so, that's one of his favourite quotes. The other one he thinks is a popular quote by Wayne Gretzky is, “You miss every shot you don't take.” And he lives by that too, you got to take risks, you got to challenge yourself, you got to do stuff and get out there. Slack If you've heard of team chat, you've probably heard of them. IM, channels, video calls, integrations and bots for hundreds of third-party tools; Slack has it all. Check File Formats Producers: Be clear about what format you work with — bit rate, bit depth and file type. Musicians: If you don't know what the producer needs, don't be afraid to ask! They'll probably appreciate that you did. If you aren't sure how to calibrate those sorts of parameters in your DAW of choice, the producer will probably be able to guide you. (Hint, it usually just involves a couple of clicks in your DAW's “preferences” menu.) 2. Deliver Same-Length Consolidated Tracks Producers: When you send off files to your remote collaborators, the easiest thing to do is usually to provide a mix of the song with a couple of bars of silence at the top. If you want to go above and beyond, you can include a 2-bar count in. Musicians: When you prepare your takes to send off, it's usually easiest to make sure they're the same length as the mix you were tracking to. If there was silence at the top, leave that in your tracks. The producer should be able to import your tracks into the beginning of their session and start working with them right away. Preparing tracks in this way works more or less like printing stems. Cakewalk has this option and it's really easy! Please, whatever you do, don't send anybody a bunch of short files that have to be lined up manually. 3. Label Tracks Properly If someone hires you to play on their song and you send them back a bunch of files with names like “Audio02.0003,” I promise you they will never hire you again (especially if you also ignored my previous point). Give tracks names that illustrate what they are: “dark synth pad,” “bridge flute melody,” “backup vox 1a,” etc. Labeling tracks clearly is especially important when sharing instruments recorded with multiple mics, like a drum kit. Don't assume that a producer will be able to hear that “Drum 5” is a floor tom and “Drum 7” is an overhead. Give those tracks and files names that make it clear exactly what you're handing over. 4. Provide BPM, Charts, References & Mock-Ups This point goes out to producers specifically: the best way to get great takes from remote session players is to set them up to succeed. Find out what supplemental materials and information will help them the most and give it to them. Clearly labeling BPMs is a good first step, and if you're sending a temp mix for players to track to, including BPM somewhere in the file name is a good move. Some players may prefer having the song broken into multiple stems so they can build their own monitor mix. If so, ask them how they'd like those stems broken down. If you've made a mock-up of the part they're recording, they'll likely appreciate having that on a separate track that they can mute while recording. Many players will also appreciate getting some sort of written notation. Even if a full-on score isn't necessary, chord charts and notes on the structure of a song can be very helpful. Remember, every minute a session player spends trying to understand what you're asking from them is a minute they're not spending recording their parts. Make their lives easy and they'll repay the favor by giving you takes that you love. 5. Set Clear Expectations When I have someone record tracks for me remotely, I usually trust them to apply whatever processing they think helps make their instrument sound good. Some producers may prefer to get tracks bone dry. Some producers may want that screaming guitar solo you just recorded to come with a clean DI take to have as a backup. The point here is that everyone works differently, and it's never safe to assume that a collaborator will automatically know what you need from them. If it's unclear what a collaborator expects from you, there's no shame in checking in with them. Remember, it's much harder to get what you want if you never really ask for it! 6. Provide Alternate Takes This point goes out to musicians recording parts remotely: If a producer is giving you free reign to “do your thing” on their track, they'll probably appreciate having a few different versions to work with. A standard way of approaching this is to provide “mild, medium and spicy” takes that range from being more sparse to more adventurous and busy. The producer may have more specific ideas in mind though — a take with a swung feel, a take in a higher octave — so get clear on what they'd like to have from you. Keep in mind — providing lots of alternate takes doesn't get you off the hook of having to deliver files that can be organized easily. Be prepared to label the different takes in ways that make clear what they are, or to provide notes when you share files. 7. Record at a Healthy Level In the days when all recordings happened on analog tape, a producer's MO was usually to capture signal as hot as possible without clipping, so that it would sit above the noise floor introduced by all that analog gear. That hot signal would also benefit from some natural compression introduced by hitting the tape hard, and sweet saturation from almost everything in the chain. In the average home recording setup, though, we're more likely to run into a different set of issues. Most home studios now don't include any kind of tape setup, and the noise floor introduced by a buzzing refrigerator in the other room or a busy city street outside your window is only going to get louder as preamp gain goes up. And while vintage consoles often really shine when driven to the edge of the red, the preamps on a mid-shelf audio interface are more likely to introduce brittle, shrill distortion when cranked. I usually ask long-distance collaborators to record tracks with peaks around -12 dBFS. Signal at that level is loud enough to sit above most noise floor introduced by recording gear, but far enough from the ceiling that no distortion will be introduced by the preamp being used. 8. Leave in Some Noise There's some pretty sophisticated noise reduction software available these days, and chances are your producer has access to some of it. It can be tempting to want to clean up noise in dead spaces of a song, either by manually deleting spaces between phrases or using a gate. I do appreciate it when collaborators do some of that cleanup for me. In order to get the most out of noise reduction plugins like iZotope's RX suite, though, it's much easier to have a section of pure noise that the software's algorithms can “learn” in order to more fully remove it. As always, the safest move is to check in about what the producer prefers! For those of us who have only used our home setups to record demos, it can be daunting to have to record tracks that will go on someone's record. For producers who are used to sitting in a room with an artist while they record takes, it can be difficult to get what they're looking for without being able to give feedback in real-time. Fortunately, it's only getting easier to clear these sorts of hurdles, even if we all have to make some adjustments. In order to get the most out of noise reduction plugins like iZotope’s RX suite, though, it’s much easier to have a section of pure noise that the software’s algorithms can “learn” in order to more fully remove it. As always, the safest move is to check in about what the producer prefers! For those of us who have only used our home setups to record demos, it can be daunting to have to record tracks that will go on someone’s record. For producers who are used to sitting in a room with an artist while they record takes, it can be difficult to get what they’re looking for without being able to give feedback in real-time. Fortunately, it’s only getting easier to clear these sorts of hurdles, even if we all have to make some adjustments. We solve the mystery for this rare occurrence in this episode and we also talk about Kyra Sedgwick and Dave Matthews Band.  Sheri Reed is a philanthropist by passion and a project manager by trade.  For the past 7 years, Sheri has worked in the beverage alcohol business.  She is currently working from home for Southern Glazer’s Wine and Spirits, the largest wine distributor in the United States.  Sheri is in Information Technology managing a Microsoft Team’s deployment project impacting 22,000 employees.   Sheri was born and raised in Illinois. She earned a bachelor’s and a master’s degree from Southern Illinois University. Her major was Educational Administration as she intended to work at a college or university, but sometimes life has other plans.  Sheri met her husband Rob at SIU and they recently celebrated their 23rd wedding anniversary.  You don’t want to miss this “mother knows best” story. [06:31] Sheri shares more about growing up in the quiet and peaceful town of Joliet and then Shorewood.  [07:25] She shares why she chose education as her major in college.  She completed her degree in three years and continued on to obtain her master’s degree.    [08:21] She hopes she would be understood or recognized for using her resources to help others.   [09:59] When she finished her master’s degree her intention was to work in a university environment and started in financial aid. [10:56] She was sharing her experience in the financial aid area at a family event and was hired by a friend of the family to work at Lucent Technologies.     [12:39] She worked on 911 software and managed the Y2K transition at the city’s 911 center. [14:02] Sheri shares about a typical day working as a Project Manager.  [16:23] She shares how the pandemic has impacted the way she does business. Zoom meetings have become a huge part of her day.  [17:32] Sheri will be moving into the role of Microsoft Subject Matter Expert.   [19:54] She took on philanthropy work about 6-8 years ago by making meals for the homeless.   [22:38] When Sheri’s family came to 12 Oaks she started and managed a neighborhood food drive during the Christmas season.  [24:01] She has also organized the neighborhood blood drive, supported an informal Meals on Wheels program during the pandemic, and did some cooking at the Ronald McDonald House.    [25:39] Sheri plans to schedule blood drives on a quarterly basis including upcoming events in September and November.   [27:46] Sheri’s family helps deliver dinner to elderly community members on Wednesday evenings as part of a local dinner delivery program that has delivered 12,000 meals during the last 18 weeks.   [29:34] They also made the last meal prior to the pandemic for the Ronald McDonald House.  [32:05] Sheri shares information about the food and blood drive on the 12 Oaks Facebook page.   [32:54] Sheri shares how she met Rob as a grad student at SIU. Sheri worked in the financial aid office and Rob was a greeter.  [35:12] They celebrated their 23-year anniversary on July 18th.  [36:21] She shares about her three children, Josie, Carter, and Delia. Microsoft have been very busy this year and over the last few weeks we have been showered with new features and updates for the Microsoft Team's platform. Enterprise Connect 2019 took place at the end of March and provided the perfect platform for a host of announcements. In total there were 8 new features announcements for Teams which are summarised and reviewed in this podcast. The pod also looks ahead to the next big event on the horizon which will be UC Expo in May.

Unlocking the Powers of SeeingAI and Exploring the Preview Channels We’ve done some coverage on the Swiss Army Knife of Apps, SeeingAI and brushed up a bit here and there. We look at the Product Channel and hear from listeners about reading bar codes. We walk through the 3D Touch shortcut setup, hear an attempt of making music with the Light Detection channel and sort out a currency matter in no time at all. We test out the Hand Writing Channel and the results are shockingly impressive. The Color Preview is interesting and actually, all the Preview Channels are Betas so we encourage all of you to send feedback to the Microsoft Team via the link in the settings called Feedback. With all the channels and choices this one app brings to the iPhone, the SeeingAI app has moved many of icons off the front page and some off the iPhone completely. However, most feel that SeeingAI does a good job and the Short Text channel rocks, SeeingAI has a ways to go before the robust apps will be asked to leave town.
