362 - How to Turn Your Team's Busyness into Productivity

Play Episode Listen Later Jun 16, 2026 47:29

Most practice owners think team struggles come from staffing shortages, difficult personalities, or lack of motivation, but Dr. Pete and Dr. Stephen challenge that assumption head-on. Dr. Pete frames the conversation around identifying the primary constraint limiting growth, while Dr. Stephen focuses on accountability as the force that turns busyness into productivity. Together, they unpack the “four rights” of building a high-performing team: right people, right positions, right work, and right way.   Getting these “4 Rights” right starts with your hiring process.  Set Expectations and Agreements early in the relationship - and make sure that they understand that your business is a “High Accountability" environment.  Along the way, they reveal why A-Players thrive in accountable cultures, how unclear expectations quietly sabotage scalability, and why stronger leadership systems create greater focus, healthier culture, and sustainable growth. In This Episode You Will Learn: Why many teams stay busy all day while producing surprisingly little movement  The hidden reason accountability systems fail even when leaders think they're “clear”  A sharper framework for identifying whether the issue is the person, the seat, or the work itself  What happens when A players are surrounded by unclear expectations and weak ownership  The surprising connection between focus, productivity, profitability, and team alignment Episode Highlights 01:35 - A powerful vision emerges around identifying the single team constraint quietly limiting growth and scalability  02:43 - Counterintuitive insight reveals why most practice owners have a focus problem instead of an effort problem  04:21 - Accountability gets reframed as the force that transforms motion into measurable movement  05:44 - A deeper look at A players exposes why great team members actually demand accountability  07:07 - Positioning takes center stage as leaders confront the costly mistake of placing people outside their zone of genius  08:37 - Practical strategy separates roles, responsibilities, and outcomes into a framework teams can actually execute 10:56 - A sharp hiring distinction reveals why CEOs should stop selling candidates into the job  14:45 - A compelling leadership challenge emerges around creating measurable ownership instead of vague expectations  16:49 - Early hiring mistakes expose how fast-moving CEOs unintentionally sabotage team quality  21:00 - Vision for a world-class team comes alive through the metaphor of a band where every player owns their role  22:35 - The real financial cost of weak accountability surfaces through productivity, profitability, and team optimization metrics 27:58 - Stephanie Dove Blake from Success Partner Social Sparrow joins Dr. Pete to share her personal journey from witnessing the impact of chronic pain to helping chiropractors reach more patients through digital marketing. They discuss lead generation, patient conversion, AI, and the systems Social Sparrow uses to help practices attract, book, and serve more people.   Resources Mentioned To learn more about the REM CEO Program, please visit:  http://www.theremarkablepractice.com/rem-ceo For more information about Social Sparrow please visit: https://socialsparrow.com   Book a Strategy Session with Dr. Pete - https://go.oncehub.com/PodcastPC Prefer to watch? Take the free 2-minute quiz to find out: https://drbrg.co/4tO9nV9 Walking on flat surfaces does not mimic natural movement. Natural movement involves uneven terrain, inclines, rocks, and other unpredictable surfaces that challenge the body and brain. The cerebellum, which controls balance, contains nearly half of the brain's neurons. When movement becomes repetitive and automatic, the brain doesn't have to work as hard. Novel movement and changing pressure patterns can help stimulate the brain in new ways.Reverse walking shifts pressure away from the knees and forces the hamstrings and glutes to become more active. Some of the benefits of reverse walking include:• Reduced knee pressure• Improved hamstring flexibility• Better balance and coordination• Cognitive function improvementOnce you're comfortable with reverse walking, try walking backwards uphill. Reverse walking uphill is one of the best glute activation exercises and can also help improve ankle strength and coordination. A former semi-pro rugby player turned white collar boxer turned competitive cyclist, Barney has never been the type to sit still. So when a persistent back pain led to scans, a biopsy, and a blood cancer diagnosis, the physical and psychological challenge ahead was unlike anything he'd faced on or off the bike.In this episode, Barney sits down to talk candidly about the year that changed everything. He walks us through the moment of diagnosis, the brutal reality of six rounds of chemotherapy and radiotherapy, and how he managed — remarkably — to keep riding throughout treatment. We hear about the nutrition strategy he developed, the coaching support that kept him structured, the mental frameworks that helped him move through the darkest moments and huge support from his wife Annabel and his close friends. In this episode- The diagnosis — and the hardest part of telling people- Training and riding through chemotherapy- Nutrition during cancer treatment- Identity, fear, and the five stages of grief- The remission letter — and what comes next- How the team found out, and the message that moved everyone"How long have I been operating with this limitation? Most practice owners do not have a revenue problem early on. They have an allocation problem. Dr. Lona and Dr. Eric DiMartino discuss why treating revenue as personal income too soon often slows practice growth, and why the real challenge is learning to deploy money strategically into marketing, coaching, systems, and team development. They explore the common tendency to spend emotionally, hoard cash out of fear, or delay key investments that create momentum. The conversation connects these decisions to everyday practice realities such as patient acquisition, retention, staffing, leadership development, and long-term vision. When doctors learn to view revenue as fuel rather than validation, they create stronger systems, make better decisions, and build a practice that produces both growth and freedom. Key Highlights 02:20 – Why some doctors struggle financially long before revenue becomes the real issue. 03:59 – The difference between survival, stability, and scale, and why confusing them creates costly decisions. 06:01 – A deeper look at the investment many practice owners stop making too soon. 08:15 – What happens when a growing practice treats marketing like an expense instead of a responsibility. 08:39 – The reality of relying solely on referrals when your vision requires something bigger. 11:49 – Why strong lead generation can still leave a practice feeling stuck. 12:19 – The lesson behind the "dumb taxes" that many owners pay on their way to growth. 14:20 – What many doctors overlook when balancing caution, confidence, and personal spending. 16:25 – The connection between freedom, systems, and the people you choose to invest in. 21:52 – Why the ability to delay rewards often shapes the opportunities available years later. 24:21 - Dan Anticich from Success Partner Twoconnect, joins Dr. Andrew to discuss how chiropractic practices can improve lead conversion, patient reactivation, and operational efficiency through dedicated offshore support. Dr. Craig shares how a love of travel shaped his life long before chiropractic school. From building houses in Mexico as a teenager to studying abroad in London, backpacking through Europe, exploring China, and traveling through Southeast Asia, his path has always included curiosity, adventure, and a willingness to step into unfamiliar places. That same spirit eventually led him to Ghana after chiropractic school, where he worked in a high-volume clinic and quickly learned how to trust his hands, sharpen his adjusting skills, and serve patients with limited equipment and a lot of real-world pressure. Years later, he returned to West Africa with a more focused mission: to bring nonsurgical spinal decompression care to communities where access to this type of treatment was limited. Stephanie and Dr. Craig talk about chiropractic in Ghana and Nigeria, what makes the healthcare experience different from the United States, and how his clinics use spinal decompression, cold laser, exercise, ergonomics, and rehabilitation to help patients dealing with disc-related back pain. This conversation is also about finding your own path. Dr. Craig's story is a reminder that a chiropractic career can take many shapes, and that sometimes the road you end up on is not the one you planned, but the one that fits who you are becoming. This episode is meant to inform and inspire, not replace personal medical advice. Why Retention Is The Real Growth Strategy  Most practices assume retention problems start when patients stop showing up, but the real breakdown happens much earlier. Dr. Stephen and Dr. Pete unpack why patient compliance is the hidden constraint limiting growth, referrals, scalability, and long-term impact. Through a practical framework built around strong starts, clear agreements, and patient understanding, they reveal how retention is not a motivation problem but a communication and systems problem. The conversation explores how practices create “wanting,” why compliance drives every major business metric, and how better patient stewardship creates stronger outcomes, deeper loyalty, and sustainable growth.   In This Episode You Will: Why many practices mistake new patient problems for the real operational leak quietly draining momentum and revenue  The hidden reason patient retention collapses long before someone officially drops out of care  A smarter way to think about compliance that transforms it from pressure into partnership What happens when patients fully understand the cause of their recurring health patterns  An important distinction between setting expectations and creating true agreements inside the patient journey Episode Highlights 02:01 - A compelling challenge emerges to stop chasing every problem and identify the one constraint capable of pulling the entire practice forward.  02:48 - Retention takes center stage as the overlooked driver behind better outcomes, stronger referrals, and sustainable revenue growth.  06:25 - An uncomfortable truth surfaces as retention is exposed as the area where even high-performing practices often struggle most.  08:03 - A deeper look at compliance reveals why patient follow-through is the leading indicator of long-term retention and retained revenue.  13:33 - The conversation introduces four critical agreements that determine whether a patient relationship begins with alignment or hidden friction.  15:50 - A sharp distinction reveals how weak retention is often the symptom of a weak start rather than a failure later in the patient journey.  19:18 - Dr. Stephen reframes conversion as a dialogue built around ownership, goals, and a clearly defined path forward.  21:12 - The hidden power of “wanting” emerges as the bridge between patient interest and long-term commitment to care.  23:23 - A practical metaphor illustrates how consistent momentum compounds when patients understand the value of staying in rhythm.  24:18 - The real breakthrough appears when patients connect recurring health challenges to the daily habits and stresses that keep recreating them.  29:53 - A deeper understanding of care becomes the turning point where compliance evolves into genuine belief and long-term retention.  31:19 - Scalability is redefined through retention as the conversation connects compliance, patient loyalty, and sustainable business growth. 34:06 - Dr. Lona sits down with Glen David from Success Partner Davlen Designs to explore how smarter clinic design can drive practice growth without adding square footage. Glen shares how strategic use of space, workflow optimization, and data-driven planning help practices improve efficiency, enhance patient experience, and create greater capacity to serve more people while scaling sustainably.   Resources Mentioned To learn more about the REM CEO Program, please visit:  http://www.theremarkablepractice.com/rem-ceo For more information about Davlen Design please visit: https://www.davlendesign.com/  Book a Strategy Session with Dr. Pete - https://go.oncehub.com/PodcastPC Prefer to watch? Send us Fan MailWelcome to this episode of ‘For the Love of Chiropractic'. On this episode I got to sit down and speak with a man I have known and deeply respected for many years, Mr. Paul Weber, of the law firm Hyatt and Weber. Paul has prevailed for clients at local, state and federal trial and appellate court levels, as well as in arbitration and mediation forums. He has secured wins in numerous complex civil litigation cases, including a coverage dispute between two insurance companies involving a claim in excess of $70 million; complex million-dollar medical malpractice suits; and a high-profile coverage and liability action brought by a concert attendee who was severely injured when a fan dove into the audience from the venue's stage.Clients praise Paul for his hands-on service approach. He evaluates the merits of each case, discusses all available options, and stays engaged at every stage of the process – whether pursuing resolution through out-of-court negotiation or at trial. Drawing on his experience representing plaintiffs in personal injury and medical malpractice litigation, Paul frequently counsels medical professionals and businesses on litigation avoidance and insurance coverage strategies. He regularly presents seminars to chiropractors and offers practical, frank advice on ways to implement best-practice tactics designed to mitigate risk.I hope you enjoy my conversation with my dear friend and guest,  Mr. Paul Weber.

Keywords vs. Authority: Why the Way You Think About Chiropractic SEO Needs to Change

For years, local SEO was about keywords. You found the phrases people were searching for, loaded your pages with them, and hoped Google noticed. That approach is not just outdated now. It is actively working against you. In this episode, Jerry Kennedy breaks down the shift that has happened over the last four to five years and why authority has replaced keywords as the thing that actually determines whether you show up in local and AI search. The distinction sounds subtle but the implications for how you build and manage your website are significant. Jerry walks through the three pillars of local search: relevance, proximity, and prominence. Relevance and proximity are straightforward. Prominence is where most chiropractors are leaving results on the table, and it is also the piece that most low-budget website companies either do not understand or simply ignore. He uses the gas station chicken wings analogy to explain why mentioning a condition once on a services page puts you in the same category as a business nobody actually associates with that thing, and how building real content depth around two or three subjects is what starts to move the needle. He also covers why reviews matter more than most chiropractors treat them, why the people who already have momentum in your market are going to keep pulling ahead if you are playing by old rules, and what the starting point actually looks like for building authority in your area. Topics Covered The core shift from keyword-focused SEO to authority-focused SEO and what it means practically The three pillars of local search: relevance, proximity, and prominence explained Why keyword stuffing still shows up on chiropractic websites built by high-volume companies The gas station chicken wings analogy: why thin mentions do not build authority Why established chiropractors can get away with a simpler website and newer ones cannot How to build real topical authority through website content, blogs, reviews, and off-site signals Why reviews are Google and AI's closest approximation of community reputation The "rich get richer" dynamic in local search and what it means if you are just getting started How to pick the two or three authority areas worth focusing on in your practice   If you want a free look at your website and local search, request a review at RocketChiro.com. What if better health starts with the small choices you make every day? In this conversation, Dr. Michelle Robin and Bayleigh Soza sit down with Dr. Sean Cailteux to explore men's health, prevention, and the power of living with purpose. Drawing from his experiences as a chiropractor, father of five, and wellness advocate, Dr. Sean shares how movement, hydration, nutrition, and self-care create the foundation for lasting health and vitality.  The discussion highlights the Four Quadrants of Well-Being and why true wellness goes far beyond being symptom-free. From the importance of proactive care and accountability to building strong community connections, this episode reminds listeners that investing in their health today helps them show up as their best selves for their families, careers, and communities tomorrow.  Key Takeaways:   True health is more than the absence of symptoms—it requires intentional habits that support physical, emotional, chemical, and energetic well-being.   Small daily actions, such as drinking enough water, moving regularly, and practicing good posture, can have a significant long-term impact on health.   Prevention is often easier, less expensive, and more effective than waiting until pain or illness forces you to seek care.   Men are stronger when they build community, seek accountability, and avoid trying to navigate life's challenges alone.   Becoming the best version of yourself allows you to better serve your family, friends, coworkers, and community.   We couldn't highlight incredible stories like this without the support of our sponsor, CommunityAmerica Credit Union. Thank you for helping us promote connection, well-being, and stronger communities. This week on Two Parents & A Podcast, we're back with Dr. Ari Brown (Pediatrician + author of the iconic 411 series) for our newborn 411 episode!! We are officially in the thick of it with Rocky and we had a LONG list of questions for her (+ a TON from you guys!).  We start with Dr. Ari walking us through "Hour 49" (the moment the wheels fall off after the hospital and you suddenly have a different baby!), the ONE thing no one tells you before having a newborn (spoiler: how exhausting it actually is + body recovery is REAL), & why what happens at the hospital stays at the hospital.  Then we get into all things feeding: scheduled feeding vs. feeding on demand, why the first 2 hours after birth are SO critical for your milk supply, how to know if your baby is actually getting enough milk (ins, outs, weight checks!), and the FULL reflux 101 breakdown because Rocky has been spitting up like crazy and we needed answers. We get into reflux vs. reflux DISEASE (when to actually worry, the IGERQ scale you can take online to score it, and why holding your reflux baby like a loaf of bread is actually genius). Plus, a spontaneous BICKER OF THE WEEK on whether bottle temperature actually matters for newborns (Dr. Ari has thoughts!!). We also get into the REAL symptoms of cow's milk protein allergies (only 3% of babies actually have them!! And why you should NOT cut everything out of your diet), what to actually look for in your baby's poop (yellow seedy = breastfed normal, slimy mucousy = problem), diaper blowouts (when they stop and why they happen in the first place lol), fussiness & colic + Dr. Ari's take on probiotics for newborns (very fascinating!), and the chiropractic care for newborns.  Plus, we get into sleep: sleep schedules in the first 3 months & when wake windows actually start to matter (spoiler: NOT in the newborn phase!). Then our “is it normal?!” questions from YOU GUYS: when newborn noises are actually concerning (consistent grunting = call your doctor!), when to actually take your baby's temperature (rectal is the only accurate way, sorry parents!), and what to expect at your follow up pediatrician appointments. THANK YOU FOR LISTENING!  Timestamps: 00:00:00 Welcome back to Two Parents & A Podcast! (The 411 with Dr. Ari Brown: Newborns) 00:01:50 Is Rocky “sleeping through the night”?! Is your chiropractic practice actually a sellable business, or have you accidentally built yourself a job? In this follow-up conversation on preparing your practice for sale, Dr. Lauryn sits down with Dr. Jay LaGuardia to unpack the numbers, systems, and blind spots that determine whether a clinic becomes a valuable asset or quietly closes its doors.Together, they break down EBITDA, practice valuation, multipliers, profitability, private equity, succession planning, and why gross revenue alone does not determine what your practice is worth. Dr. Jay also shares why chiropractors need to increase their financial IQ, how strong systems and predictable cash flow raise practice value, and why waiting until you're tired, injured, or ready to retire may cost you hundreds of thousands of dollars.Key Takeaways:Your practice valuation is based on profitability, predictable cash flow, systems, team, brand, and future earning potential—not just gross revenue. A high-revenue practice can be worth less than a smaller, more profitable clinic if the business fundamentals are weak.EBITDA and multipliers are essential concepts for chiropractic practice owners to understand before they ever think about selling. The stronger your systems, documentation, team, cash flow, and patient base, the stronger your multiplier can become.Chiropractors need to start preparing for succession three to five years before they plan to exit. Illness, disability, burnout, and unexpected life changes can destroy practice value quickly if there is no plan in place.Financial IQ and business IQ are no longer optional for clinic owners. Learning how to read a P&L, understand payroll metrics, and make decisions from abundance instead of scarcity can dramatically change the future of your practice.Guest Bio:Dr. Jay LaGuardia has been an entrepreneurial enthusiast for more than 45 years, beginning his first business journey at just 12 years old. Over the course of his career, he has opened 18 companies across multiple industries, including chiropractic offices, coaching companies, real estate development, fitness studios, podcasting, and more. When your Clinical Documentation Ends up In Court: What Healthcare Providers Need to Know with Dr. Pankti FadiaIn Part 2 of our conversation with Dr. Pankti Fadia, DC, MBA, we continue exploring what happens when clinical care intersects with the legal system. After discussing personal injury documentation and causation in Part 1, this episode moves deeper into subpoenas, affidavits, depositions, trial testimony, expert witness credibility, and ethical considerations for chiropractors and healthcare providers working in the personal injury space.Dr. Fadia explains what providers should know when records are requested, how to approach deposition or courtroom testimony, and why confidence, preparation, and clear communication matter when your clinical decisions are being questioned. This episode also highlights an important reminder: your role is not to defend the patient's entire legal case. Your role is to explain your care, support your documentation, stay within your scope, and communicate your clinical reasoning clearly.Key Themes in Today's Episode:What to know when you receive a subpoena or records requestThe difference between written questions, depositions, and trial testimonyHow to prepare before giving testimonyWhy providers should answer only what is askedThe importance of staying within your clinical scopeHow defense attorneys may challenge credibilityDisclaimer: This episode is for educational purposes only and should not be interpreted as legal advice.
