Episode 35:  In this episode, Timalyn focuses on the importance of payroll taxes.  Paying employee taxes is a cost of doing business.  If you have classified actual employees as independent contractors, you are guilty of tax evasion.  The penalties are severe.  The IRS Test to Determine Classification Properly classifying people who work for you is an important responsibility.  The IRS has an online test to help you determine whether an individual should be classified as an employee or as an independent contractor or some other valid classification. If you are an employee working as an independent contractor (often for cash), why would the employer do this? They aren't looking out for you. They're looking out for themselves, avoiding to pay employee taxes.  This is tax evasion.  What Are Payroll Taxes? Timalyn explains that at the federal level, payroll taxes are comprised of 3 different taxes: ●      Federal Income Tax – your tax withholdings based on how your completed your W-4.  ●      FICA Taxes – social security and Medicare taxes. ●      FUTA – an annual tax paid by employers called the Federal Unemployment Tax Act.  It's paid on the first $7,000 of earning for each employee. Timalyn explains that if the IRS finds you guilty of tax evasion via misclassification, you'll be assessed significant fines and penalties over and above the actual taxes you neglected to pay.  Annual Payments, Quarterly Payments and Tax Deposits Payroll taxes can be complicated.  The FICA tax the business withholds is usually 7.65% of the employees' wages.  There's also the obligation for the business to pay another 7.65% of the wages.    On an annual basis, employers are required to send out IRS W-2 Forms by January 31st.  You may also be required to complete the IRS W-3 Form, which is a reconciliation of all of the employee W-2 Statements.  You'll also file IRS Form 940, for the federal unemployment tax to be paid by the employee.  On a quarterly basis, employers will file the IRS Form 941, which is for the employer's quarterly federal tax return.  This reports the income tax and FICA tax withheld for each employee.  It also shows the FICA taxes paid by the employer (that other 7.65%). Employees have taxes withheld during the year, on an on-going basis.  These withholdings are considered deposits, which will be used to offset your end-of-year tax liability.  Timalyn explains that once your payroll tax liability reaches a certain level, you need to understand your deposit schedule for the withheld taxes. If your quarterly deposits are less than $2,500, you can send a payment with the Form 941, without getting penalized.  It can be either e-filed or mailed.  The payment itself can be sent electronically via the EFTPS or a check can be mailed.  If you use the e-file option and the EFTPS, there's an advantage of having an electronic stamp showing when you completed these actions.  If your quarterly deposits are higher than $2,500, you need to make the payment by the 15th of the following month.  So, if you are submitting this monthly, your April deposits would need to be sent in by May 15th and so forth.  Timalyn notes that there's a threshold that would require you to make deposits semi-weekly deposits.  So, in this case, a company's payroll deposits of any payroll taxes withheld would need to be made within 3 days of having run the payroll.  If You Fail to Meet Your Obligations As Timalyn mentioned at the outset, there are severe penalties if you fail to meet your payroll tax obligations.  The IRS can assess civil penalties including: ●      Failure to File ●      Failure to Deposit ●      Trust Fund Recovery Penalties (one of the biggest tax penalties) o   It can be up to 100% of the tax owed o   A $15,000 deposit that wasn't made, could be assessed another $15,000 penalty ▪       Plus, the original $15,000, the Failure to File and Failure to Deposit penalties You have to keep up with your payroll tax obligations.  If you let them get away from you, they can potentially drive you out of business. 2004 Annual Report     Advances:  The biggest advance in our history was this year when we went from “Tampabay'sBest Kept Secret” to a Household Name in the local area. This was due largely to the great media exposure donated by six local Cox Radio Stations. Hillsborough County gave us big green directional signs in 5 locations to direct visitors to our door. For the first year ever, in our 12 year history, we were able to cover all of the sanctuaries expenses from its own income! Thank you everyone! Howard Baskin was able to find a reasonable CPA, Marsha Weiss, and an accountant who completed an audit for our finances for grant writing purposes. This enabled us to apply to the Combined Federal Campaign and to apply to the online version of The Better Business Bureau called Give.org. Christy Anderson launched our first E-zine that carries AdvoCat issues to 5000 subscribers and links to our electronic version of The Big Cat Times. Jamie finished a movie that was nearly five years in the making called “The Big Cat Picture“. This has been widely distributed and 2 minute clips on every species of wild cat has now been added to our website from the movie. We wrote a 20 year plan and began taking steps to reach our goal of eliminating the cause of so much suffering and abuse.   Animal Care:  We took in five new tigers and a lion, but had to turn away 114 big cats. We submitted our anesthesia machine parts to have one usable unit rebuilt.  We built 5 new Cat-A-Tats with pools and dens and another multi-acre enclosure with dens and a pool.  Built new dens for Esmerelda, Tobi, and Little Feather and cage enhancements for Sultan, Canyon, Genie, Maharajah, Bailey, Scratch, Baby Cakes and Hercules. Shere Khan and China Doll got a hurricane shelter and we repaired cages that were badly damaged from the four hurricanes in six weeks. The Enrichment team is growing stronger and more professional in their collaboration with others, such as Disney, to help write a comprehensive Enrichment Guide. Operant Conditioning has been led by Jennifer Ruszczyk with marvelous results.   The cats are learning their cues and are much easier to handle for check ups. All of the volunteers have retaken their animal care classes this year and have re certified their credentials via testing. Dr. Liz Wynn, DVM has been donating time every week as a liaison to Dr. Stacie Wadsworth, DVM. We began using Truly Nolan for regular flea spraying and for rodent control with marvelous results.   Staff and Volunteer Training:  Attended the USDA's Big Cat Symposium.  Jamie Veronica attended AZA's weeklong college course, Managing for Success. Jen, Howard and Carole attended and presented Operant Conditioning and Cage Building at The Association of Sanctuaries' annual conference in Stone Mountain, GA. Susan Mitchell attended Karen Pryor's Clicker Expo and spent some time with Gary Priest from the San Diego Zoo and quite a bit of time with his top trainer of cats.  Susan also completed the Safe Capture course that some of our staff attended last year. Our volunteer program was overhauled to create an administrative branch for the first time in our history. We now have red through green level requirements on both the Keeper side and the Partner (admin) side and the proud recipients of those levels of accomplishment.   We began our first Intern program with three interns. Cathy Mayeski has been screening applicants from around the world and by the year's end we have had 3 successful graduates from the program and two of them moved here to stay in the volunteer program. By the year's end we have 6 full time interns and by next year hope to have 12-15. They have come from Wales, Canada, Brazil, Spain, Peru and all across the U.S. The interns work all day, six days a week for three months in exchange for housing and the experience of a lifetime. They are a volunteer force unto themselves and now have their own Den Mother, Gale Ingham who keeps them busy and makes sure they get the most out of their time at Big Cat Rescue.   Education:  Hired Kathryn Quaas as our new Education Director and started offering regularly scheduled kid's tours every Saturday at 9 AM. Summer Camp 2004 was a big hit. We created, with the help of creator LaWanna Jones, and a grant from Ken and Terri Pereira, an interactive CD called The Truth About White Tigers and distributed 1000 free copies. With the help of PeTA we were able to distribute 1000 copies of their CD about veganism.   Produced a new screen saver called 12 Tigers that has tiger photos and facts. Created an online game with the help of Point 2 Nature that children will be able to access online for free. It is a memory game of matching the cats with their fur and their sounds for fun fact rewards.   Created hundreds of pages of online games, puzzles, calendars, free screen savers, quizzes, polls and colouring activities for children of all ages. These interactive games are part of our campaign to reach the schools and day care centers with activities to teach children about animals and to inspire awe and respect for their beauty and their rightful place in nature. Our Big Cat Expedition continues to be our most pervasive educational tool and Susan Mitchell has trained countless people in the Operant Conditioning program portion that we offer to illustrate the medical needs of the cats and how we meet them. Our tours continue to increase and this allows Denny Mitchell, Brian Czarnik, Bill Lewis and many other great tour guides to educate people about the plight of these animals in the wild and in captivity. The most frequent response that we still hear from guests is “I had no idea!”.   Legislation:  We reviewed the Captive Wild Animal Coalition‘s proposed sanctuary standards and wrote and submitted the sub section specific to felid care based upon a compilation of our own standards, those of ACE and Florida's Fish and Game.  We assisted Animal Control's approach to the State of Florida in an effort to require owners of dangerous exotic animals to post on their property the dangers that exist and to allow the public to easily determine if their neighbors are harboring dangerous animals.  We began promoting a page on our site called Support Legislation and AdvoCats.   We partnered with Capitol Advantage to create the first and only online presence in the Animal Welfare industry that is promoted on MSN, Yahoo, AOL, Congress.gov, PBS, the LA Times and E-the-People. In just the first days of creation is already responsible for about 30 letters per day going out to legislators on important animal issues that are currently pending including: Stopping canned hunts, prohibiting steel jawed traps and asking USDA to quit issuing licenses to people who are circumventing the new 2004 law that prevents the sale of big cats as pets. We noted a drop in the number of big cats being abandoned. Every year the number of big cats in need of shelter was doubling and by 2003 we were turning away 312 exotic cats. After the passage of the Captive Wild Animal Safety Act in Dec. 2003 that prohibited the sale across state lines of big cats as pets that number dropped to 114 abandoned cats in 2004. We posted a composite of all state laws and enabled viewers to go directly to their state's online regulations. Our founder became a major donor to the only Political Action Committee fund for Animal Welfare issues called HumaneUSA.   Fundraising and Marketing:  We purchased a new Point of Sale system with cash register and inventory software.  Implementing this software has enabled us to better track inventory, sales and trends. On May 19 our web site received 29,724 page requests to be our largest day ever. By the end of the year our site is currently averaging about 100,000 hits per day. Jamie and Howard attended Scott Moller's Fundraising Seminar in Tampa and Howard, Carole and Jen attended Scott Moller's Fundraising Seminar in Stone Mountain, GA. Scott Lope and Daniel Capiro have been working closely with players of the TampaBay Lightning to raise awareness. Thanks largely to the lion vs tiger ligers thousands of dollars in radio air time donated by six Cox Radio stations, our Fur Ball attracted 850 guests and we netted 50,000.00 as well as had a Roaring Good Time. Jamie created our first Holiday Card with a collage of the cats for our use and for sale in the gift shop. The Adoption Kits have been so successful that she has had to order them by the hundreds from a printer, rather than printing them one page at a time on her computer as she has done in the past.   Our online giftshop sales soared from $7,914.00 in 2003 to $32,351.00 in 2004. We began monitoring news alerts at Google for exotic cat issues and proactively writing in to the media. We were in the press 63 times compared to 35 times in 2003. Our newsletter The Big Cat Times (formerly Cat Tales) is now in color and goes out quarterly to 23,000 supporters.   Grounds Improvement:  At our January zoning hearing, 96 people wrote letters of support and 47 attended the hearing and spoke in support of the fine work we are doing on a global level. At the second hearing more than 200 supporters came to stand before the Board of county Commissioners in favour of Big Cat Rescue's planned development. In the past we had to haul 30 bags of trash, twice a week to the end of the road. This year we managed to get our very own dumpster on site. We moved the golf cart shed, tore down the old green barn and re-routed the fencing to increase parking area. We repainted the cabins, food prep, painted the E-Center and repainted several of the cages. We installed new signs on the buildings so that they are consistently called by name in our documentation and training manuals and to avoid confusion. Sentry Signs enabled us to put new signs on most of the cats along the tour path that states their name, species, date of birth and how they were rescued.   We began a fence improvement campaign called the Catter-Wall. Two marble lions were donated for our front gate and we may have someone willing to donate a new front entrance next year. Food Prep was tiled and had gutters installed all the way around. Kiss Cote was applied to the Leopard Cat-A-Tat as a rust preventative trial model in March. The roads were reinforced to prevent inaccessibility to certain areas in the rainy season. We started the process for adding a 4 bedroom, 3 bath dormatory for interns. We upgraded to broadband and now have a wireless Internet connection available for guests.   Helping Others:  We covered ad costs for The Association of Sanctuaries annual conference in March to insure that the people who need the training will know it is available.  We also paid expenses for three of the speakers on Cage Building, Operant Conditioning and the No More Homeless Pets approach to companion animal abandonment.  We shared the secret to our high search engine placement with TAOS and CWAPC and members of both organizations. We joined the Sanctuary Workers And Volunteers Association SWAVA and provided material for them to launch their campaign. We send out news alerts to everyone in our new Yahoo group and in the TAOS Yahoo group and include a Tip of the Day feature in which we share ideas that have worked for us. We gave permission to Florida's state government site, at their request, to use our photos to illustrate why we should protect the Florida Panther.   Charities that we donated to this year:  100 passes to No More Homeless Pets Adopt-a-thon and gift certificate for a Big Cat Expedition, 50 passes and gift certificate for a Big Cat Expedition to Florida Voices for Animals, 50 passes to Clearwater High school's Project Graduation, 100 passes to Dress For Success, 300 passes to The National Humane Societies spay/neuter and adoption programs.  Big Cat Expedition to Clearwater Chamber of Commerce's annual fundraiser. Donated a Big Cat Expedition and several Two for One Passes to Animal Coalition of Tampa for their Spay Day fundraiser. Big Cat Expedition for two and 200 passes to the Tampa Museum of Art. 1000 passes and a 1500. Expedition Package was donated to the Global Understanding's Carousel Ball. There were many, many more that we donated to this year that we did not keep stats on.  We offered to let No More Homeless Pets – HC and Florida Voices for Animals utilize our legislative program in a manner that is branded for their constituents.   Other:  Carole Baskin represented The Association of Sanctuaries at the Captive Wild Animal Protection Coalition's conference in San Francisco and was made The Association of Sanctuaries liaison to The Captive Wild Animal Protection Coalition.  She served as the interim President of the Association of Sanctuaries in 2004.    2004 was a grrreat year and we are looking forward to an even better 2005!!!   The narrow mission of Big Cat Rescue is to provide the best permanent home we can for the limited number of abused, abandoned and retired big cats that the sanctuary can afford to take in. However, the sanctuary must turn away over 100 cats per year and the number is growing.   The broader mission, therefore, is to reduce the number of cats that suffer the fate of abandonment and abuse by educating as many people as possible about the conditions that lead to the plight of these animals. In this twelfth episode of recorded self-indulgent thought (successfully rebranded as a 'podcast'), Jerry does something he almost never does: he takes a Democrat to task (mark this day in history down) by commenting on former Vice-President Joe Biden's gaff on the difference between Black and Latinx communities (2:25) and why voting is more about choosing who we want to hold accountable more so than choosing the perfect candidate (8:47). Jerry then calls to make anti-racism a litmus test for Democratic candidates on par with being pro-choice (11:08) with all of the grandstanding you have come to expect from him. (Note: Jerry spends a crap ton of time talking about Uncle Joe: about his mask wearing, his bike riding without a helmet and who his running mate should be). Speaking of gaffs, Jerry goes in on another sacred cow for liberals - the New York Times - as he discusses Maureen O'Dowds forgetting of the entire 2016 election (14:52) while giving former Secretary of State Hillary Clinton a shout out for her epic shade thrown O'Dowd's way (18:25). Uninvited moves from gaffs to straight up presidential smoke and mirrors in the conversation regarding Trump's "address to the nation" and the signing of executive orders related to the economic disruptions caused by the inept handling of the coronavirus (20:33). Jerry talks about the Trump's orders, three of which he goes in-depth on (not too much depth...one would need to actually do the research and not watch four NBA games in a row in order to do the conversation justice but alas, here we are): Payroll Taxes, Unemployment Benefits and Eviction Moratoriums (Jerry spends more time grandstanding on evictions at the (31:39) mark). As he is one to do, Jerry almost completely derails talking about classic 80s films that would be problematic to film today and what he is watching on Netflix now (35:16) before finding his way back to the subject at hand while also shouting out the First Lady Michelle Obama -- and butchering the pronunciation of FLOTUS (38:24) and Elizabeth Warren (41:44) . This Podcast Is Episode Number 0338, And It Will Be About Calculating Costs And The Value Of A Construction Bookkeeper   Owning a construction business means you understand that bookkeeping is just one of those mundane, nasty, dirty, aggravating, grubby little chores you get stuck with along with its rotten scoundrel cousin the Monthly/Quarterly Tax Reports.  If you have employees - look out! On top of everything else you have payroll to process, in some cases, you may decide to provide cash advances to your employees to keep them focused on the job and not on personal issues, and finally there are all the Payroll Taxes you need to keep track of and file the reports for on a regular basis. Smart Contractors know their time is more valuable spent meeting prospective clients, putting together bids, managing job sites, and a whole lot of other things other than bookkeeping. So they find someone else to do it.  Just like there are skilled construction workers and clowns trying to pass themselves off as skilled workers, there are Professional Bookkeepers and Bad Bookkeepers. You know how to tell if someone knows what they are doing in construction because you have been doing it a while. Any bookkeeping and accounting firm that does not know how to calculate complex algorithms that take into account fluctuations in the workload and generate a monthly fee that is fair to you needs to go back to school and take those courses on Decision Modeling, Statistical Analysis, and Business Process Management. All Professional Construction Bookkeeping and Accounting Services have formulas for calculating fee structures. It is not rocket science, but it does take a deep understanding of accounting: How many employees do you have? From that, we know how much time and effort it will require to process payroll and do the tax reports. What type of construction do you do? New, remodel, service, residential, commercial? From the number of employees and the kind of work you do, we know how much time and effort it will require to do all the bookkeeping, bank and vendor reconciliations, and the rest. Many of you begin with the thought: I am just a contractor. I don't want to be the business owner. I just want to do the work. That is what is important. Yes, doing the work is important. Keeping track of your hard costs, soft costs, general expenses and overhead is the difference between making a profit or having a loss. Ignoring the costs do not make them go away; it just avoids putting them on the tax return. Any missed expenses make your profit on the job look higher than it really is and causes you to pay more income taxes because all net profit is taxable. All businesses need to keep track of their company expenses, including the material and much more. Contractors usually go from one extreme (doing nothing) to the other (trying to count every bean, every paperclip, all the nails and, the scraps of 2x4’s). The balance is somewhere in the middle. Construction Company Owners Like You Need A Working Knowledge Of Business To Become Successful Customer Invoice Tracking - Knowing Who Owes You Money And How Much A proper Construction Contractor Bookkeeping System is set up to create a Customer Invoice - receives payment. Seeing the balance if anything is owed. Accounts Receivable Aging Report is one of the reports banks look at before giving you a business loan. Bankers want to know what is your volume (sales), what have you collected (customer payments), and how much do customers still owe you, and finally how long does it take you to collect. In some industries 30-60 days is standard.  Accounts Payable is keeping track of the bills owed to a supplier or subcontractor A proper Construction Contractor Bookkeeping System uses the Accounts Payable feature to track the unpaid bills. Again, the banker wants to know how long it takes to pay your bills. The bank wants to get paid, and unlike the contractor who is embarrassed to call an old customer, the bank is very willing to call early and often for any outstanding payments due. Another reason to keep a proper Construction Contractor Bookkeeping System is to be sure you did not overpay a supplier or subcontractor, cell phone, the internet, liability insurance, vehicle insurance, and more. The bills keep coming and depending on your payment schedule; you may receive the past due to reminder notice before the original bill has arrived. Some utility companies have a history of what appears to be randomly sending the original bill. When you did not immediately pay the invoice, some insurance companies will mark this as late and subject you to a late charge. Based on where the Out of State payment needs to be mailed to, it may be impossible to send (by regular mail) and be received on time.  Hence – Online Payments Accepted. The benefit to The Contractor is proof the payment was made with a time and date stamp (Print) and usually an auto-generated email as backup confirmation that the payment was made.  Overpaying Sub Contractors can quickly happen if checks are written on the job site. When using handwritten checks, be sure to use “Carbon-less Checks” to have a written record of payments made. The payments than can be added to the Bookkeeping System without waiting for them to clear. The Value Of A Proper Bookkeeping System Bankers like the reports from a Formal Bookkeeping System (QuickBooks for Example)  It is easy to understand the report. Bankers can usually tell if the numbers are off because there are missing transactions, no enough income, too many expenses.  Contractor’s who do their own bookkeeping and are sometimes “Just Lost” depending on the banker they use. Whether or not you get the loan or line of credit, you are after depends heavily on the way your Financial Reports are put together. The Net Result is that the Rates and Fees charged may be higher, and Amount Loaned may be lower than expected! Local, State, and Federal Governments (IRS) City governments can require their revenue reports and payment due to Monthly, Quarterly, Annually. In Washington State; The Department of Revenue can make every contractor report and pay their Sales Tax Liability Monthly. For Companies with employees, Washington State Payroll taxes are due Quarterly. The Internal Revenue Service wants the 941 Quarterly Payroll Reports filed Quarterly. If tax liability for the Quarter is over $2500.00, then the payments are due Monthly. Larger companies have to pay their payroll tax liability at the time of each payroll. Reminder Estimated Tax Payments are due Quarterly.  In conclusion   The greatest obstacle to discovering the value of Construction Bookkeeping, which generates useful reports and being informed in time to seize opportunities and avoid disasters, is not ignorance, but the illusion of trying to save money doing it yourself or hiring cheap bookkeepers because proper bookkeeping like good construction is not cheap. This Podcast Is Episode Number 0247, And It Will Be About Why Did You Open Your Construction Contractor Company What is that old saying? “It Is Always Greener On The Other Side Of The Road”(author unknown) It is always easier to look in hindsight and think “I should have done this” or “I could have done that” All the advice from others about what you should of, could of, did do didn’t do is easy for the person who did not actually make any of the decisions. Some people excel at “Advising Not Actually Doing.” You can’t change yesterday; only do a review and think about What Can I Do Today? And How Can I have a better tomorrow? Tiny changes can make a big difference. You can FIX SOMETHING and do nothing is a decision. (Sometimes taking a pause is the right decision to make) The answer is Think, Plan, Do Something (Make a Plan, Work the Plan) or (Be, Do, Have). Sound familiar from listening to any of the sales messages and webinars from the famous sales organizations of 70’s, 80’s or 90’s. Anyone who has had a sales position and paid on commission knows it is never as easy as the sales manager said it would be. Very few people become successful with little or no effort. For the rest of us, it takes work.     However, some things are very basic and never change. Want to lose weight? Doctors answer is three very simple things to do and they don’t cost a lot of money. The Doctor’s answer never changes.   Step 1:  Eat Less   Step 2:  Exercise More   Step 3:  Repeat.   Why did you decide to become a Construction Contractor? Fast Money Easy Work Few Hours Yes, Contractors can make a Lot of Money as a Construction Contractor. Fast is a relative term. Definition of Fast Money Collecting a job deposit is designed to Lock down the job, buy material. It is always a good idea to use your client's money to start the job. That doesn’t mean you have money to Party Hearty, buy a bunch of tools or that brand new truck you want. In other words, spend the money as fast as it comes in.     With normal business expenses, the money will fly out of the checkbooks without any extra help.   If you spend your job deposits in this manner, you get into a cycle of “Borrow from Peter to pay Paul.” (author unknown) A favorite phrase of the 60’s and 70’s. Older country music fans will remember Merle Haggard’s If We Make It Through December.  https://www.youtube.com/watch?v=U9TByT3QlWc What do I mean? When you use the next job deposit to pay for the expenses of from the last job that is a slippery slope to financial disaster. Another common phrase is “Leverage Is Great Until The Stick Breaks.” Or the child’s game of musical chairs.   When the music stops, someone is without a chair. The same thing happens when the economy turns as it did in 2008. Contractors were thinking (and hoping) the recession would be a small dip and everything would be back to normal by summer of 2009. That is not what happened for most construction contractors. Some construction contractors had lots of work in the pipeline that was not affected by the recession. Many of them were cocky and thought other contractors are having a hard time “Just didn’t know how to run a business” Unfortunately, those same contractors were hurt badly when their pipeline of jobs ran out. Definition of Easy Work Easy work is any job that you know how to do easily. To a chef, Thanksgiving Dinner for twenty or more is a simple task. To a college student living in a dorm, shared apartment it might be an impossible task. Easy work for a highly skilled craftsman picking up a piece of wood and working with it. We went to the fair and saw the wood carvers. The skills the Woodcarvers used to make a recognizable object using a chainsaw is amazing. Truly a case where people can watch them work for hours seeing the magic. Definition of a Few Hours Yes, Construction Contractors can work a few hours every day. Usually, it is working any twelve hours or more any day of the week. It is only a Few Hours to:   Talk The Call Schedule The Appointment, Meet The Customer, Create The Bid, Present The Bid, Collect The Deposit, Schedule The Work, Make A Material List, Pick Up The Material, Coordinate Any Employees Go To The Homeowners House, Rental, Job Site. Now You Can Begin The Job Think, Plan, Do The Work. Watch out for children and pets. Answer Homeowners Questions. Be Polite and do Small Talk as Needed Keep working at a pace that makes up for any time spent watching out for children, pets, and chatting with the Homeowner. The Homeowner expects work to be completed on time or ahead of schedule no matter how many interruptions you or your employees have.   End of the day – Clean up the job site, so it is ready for use this evening or clean and ready for work tomorrow.  Pick up all your tools and material (mobilize and demobilize) Meet with the homeowner to discuss rest of the project. Assure them all is going well. Make notes of possible change orders or add-ons. Do not forget to price out change orders. Homeowner’s memory is much better at remembering when you say you will reduce the price. Without something agreed to in writing – the extra money they owe you is easily forgotten. The increase in scope is never forgotten. You Promised To Do [fill in the blank]. If you think any of the changes are forgotten, wait, you will hear the sounds of a grownup who is impersonating a preschooler wanting a cookie. Water on the stone is an understatement.   We have not even got started on all the rest of the little things that become automatic for Contractors. Get Fuel for the Vehicle Check The Weather Clean The Truck or Van Make a Dump Run Do More Planning Next is the paperwork side of all jobs. Where are the receipts? How do you know if you made any money? Like most Construction Contractors; you feel like you are waving the money as it goes by. Rest Assured It is true in Washington State – where Contractors are collecting and paying sales tax. The tax money is just moving through the checking account. Borrowing State and Federal tax money are very bad.   The same applies to Payroll Taxes except the company must do a company match for Social Security and Medicare (combined is 7.65% of gross wages) Plus State Unemployment Insurance, State Worker’s Compensation, Contractors License, Contractors Liability Insurance, Bond, Other Specialty Licenses. The business of being in business as a Construction Contractors is a lot of paperwork to keep track of, government forms to fill out and file, pay taxes. Do I need to get a permit for this job? Is only one piece!   Financials are important to file Annual Federal Taxes. It matters if you are a Sole Prop. LLC or S-Corp. The Individual Reports are for the benefit of the Construction Contractor. Are you making money? Which job? – Did you like that particular type job? Do you go into any job knowing it was just barely going to break even?   Are you passing out business cards or flyers to the neighbors of your current or past jobs? Are driving long distances between jobs? It is okay to do a job at cost as a favor for your best friend, family, the little old lady down the street as long as you plan for it, willing and able to cover any overages. The catch is knowing in advance. It is too easy for Construction Contractors to be not Profitable. Contractors can easily forget the cost of overhead. Costs of running a Construction Company is more than Labor, Material, Subcontractor, Permits, and Dump Runs.     Money makes the world go round. It is hard to buy gas or groceries with a Hope and a Promise.   Hint: Even Barter Organizations want “real money” for their fees. It is NOT unreasonable to expect to be paid for your work.     Contractors bring value to everyone’s life they touch.   Wishing you and yours the best in everything that comes your way! Now you have payroll to process, in some cases you may decide to provide cash advances to your employees to keep them focused on the job and not on personal issues and finally there are all the Payroll Taxes you need to keep track of and file the reports for on a regular basis.Some Contractors - Decide their time is more valuable spent meeting prospective clients, putting together bids, managing jobsites and a whole lot of other things other than bookkeeping. So they find someone else to do it and that is the subject of this article. Just Like There Are - Skilled construction workers and clowns trying to pass themselves off as skilled workers there are Professional Bookkeepers and Bad Bookkeepers. You Know How To - Tell if someone knows what they are doing in construction because you have been doing it a while. You May Not Know - How to tell if someone is going to do right by you in your bookkeeping so here are the top ten things to watch out for: Red Flag #01 Professionals Have A Real Office - Professionals in any field, doctors, lawyers, consultants and bookkeepers that cannot afford to maintain an office, even a small one room office, outside their home is in my opinion dangerous, dangerous, dangerous! The Ones Who Say - "I keep my overhead low" may as well be saying "Your records are available to any of my family, friends and neighbors to rummage through them because I am not the least bit concerned about your exposure to Identity theft or you competition getting a peek at what your business is all about." Red Flag #02 Professionals Do Not Work Alone - Because it is too easy to get sloppy and lazy when there is nobody else looking over their work. After a while they develop a severe case of the stupids! Just like a hermit living in the mountains in a cabin they go stir crazy.
