How can we utilize this, or what advice or suggestions can you give us that will help us with doing medical and dental billing? Jasmine: Right. So Michael, my experience as a, billing company owner, uh, involves mostly helping practice owners get to the bottom of their slow insurance and patient collections, and not only implement systems, um, to help achieve faster cash flow, but actually keep those systems running smoothly for them.So, We put the work in and do all of the work, . So, um, we help all kinds of specialties, practice management softwares, practice types, whether they're fee for service, p o, Medicaid. So we've seen it all, done it all. but the common denominator I noticed between all of these practices, it's staffing issues.It seems like everybody's having an issue with that right now. Mm-hmm. . So you can't keep your biller who or your office manager who's gonna make sure your claims go out, who's collecting from the patients. Who's sending statements and making follow up calls to the patients about their bills. Um, 1, 2, 3 years go by and you realize you've only gotten paid six to 7 cents of the dollar that you've actually worked for.So the other side of the staffing issues is, um, hiring someone who has good intentions, and they believe they know the ins and outs of dental billing, but they really don't, and they can create some costly mistakes for their practice. So, If as the practice owner, you're not auditing the work, things can pile up really quickly.So we've seen that happen as well. But I'm here because I wanna share five tips that every practice owner should implement that I wish everybody knew about. So the first one is get credentialed. I heard on one of your other podcasts of someone, um, really going into this point, going into depth.That was great. Don't go off and hire an associate. Allow them to treat patients in your office and then bill under your name as the treating dentist. That's not a clean claim. That's an easy way to flag an audit with the insurance company because, um, if you're attaching your narrative for, you know, a procedure whose name is at the bottom, whose name is signed at the bottom of that narrative.So, um, and if you accidentally. A batch of claims with, you know, your associate on them and you get it back and it's out of network or, you know, um, there's a denial. Then you wanna send a batch of, corrected claims with your name on it. That may cause suspicion as well. the a d a has a pre credentialing service, C A Q H, so that's a great, um, tool to use to get credentialed applications.Second one is sign up for as many EFTs as possible. We've seen a claim go out same day as the date of service, and then you get paid the very next day. We've seen these bank accounts get funded the very next day after you see the patient. So that's very, very quick. Um, a lot of the insurance companies are getting crafty with insurance, credit card payments or v c virtual credit card.Um, that's when they send you like, Hey, here's a credit card. You can process your credit card machine, for payment for this, you know, procedure. Um, but you actually. , charged a lot of fees with your merchant service. Mm-hmm. , if you do a annual, you know, credit card mm-hmm. , transaction, so there's no charge to receive EFTs from an insurance carrier.Um, and then, you know, when disaster strikes in an area which we've seen, there's been hurricanes lately. Um, the mail stops, that's tens of thousands of dollars that's waiting To get to you. So, you know, imagine if you just had that direct deposit and you can access it immediately and do what you need to do.Also, the paperwork of getting paper claims and checks all the time. It's just a bummer, . So, uh, my third tip. Is to verify. Uh, when a patient comes in and hands you an insurance card, you really need to verify the eligibility and benefits. You can't just take their word for it, that they have coverage and everything's covered. don't bill blindly don't update the benefits in the system by blindly, uh, yeah, it's the patient's job to know their benefits, but I assure you less than 10%, maybe even 5% of people actually know their benefits. , they're still gonna be upset when they have to pay that 25 dollar deductible that you didn't tell them about.So just find out beforehand. What their insurance is all about, who you're billing, even before they're seen. And if you can't do that, if you just have no time, outsource it. There's many companies that do this. Um, and my fourth tip is documentation. I also heard another one of your podcasts or someone really, um, honed in on this point.not only do x-ray. Need to justify a procedure being completed, but the clinical narrative needs to paint the picture as well. So, for example, we usually see the most denials with crowns and buildups. then we see the narrative template and we're like, oh, that's why , because the insurance carriers want to see whether it's an initial. Or replacement with the prior placement date? Was it a fracture? They need the location of the fracture. I've seen sometimes they were asking for the length and depth of the fracture. was it a fail amalgam restoration, recurrent decay? How much of the tooth had decayed before removal? How much of the tooth was remaining before the buildup?Just so much needs to be in the narrative for processing, and that will make sure that you. Your payment quicker, and if you have a denial, it would be far and few in between. And then my fifth point is with patient billing. Um, we offer a service for patient billing with our company. So we've seen it all in this area as well.Um, at the very least, you should review your new accounts on your AR on a weekly basis. So these are. Accounts, ideally that you know insurance has paid, um, and you need to review the ending balance. Every pr uh, practice management software really has a easy way for you to check this. and then you can send your statements out immediately after you re you reviewed the account.what we do is make notes on the account, just showing us where the balance is coming from. And when the patient does call, we can just locate our note and explain where the balance is coming from really easily and quickly. Um, and then when you make a rule, stick with it. Like, if you deem contacting the patients three times is enough, maybe statement, call statement, write the balance off or send them to collections.Don't let the balance linger. That's how your ar will increase over time. So just take action, you know, make some rules, set a system up with your staff and, um, your AR would, you know, look pretty clean. If your patients overpay you, this is the other hand of it, pay them back. Um, keep your AR as close to zero as possible.So not too many credits, not too many debits. Let's just, you know, keep it close to zero, which is what we try to do with our company as. Michael: nice, Jasmine, I appreciate that. Out of these five, I, I kind of wanna rewind a little bit. When you mentioned, um, the number two sign up for as many EFTs you said Yeah.As possible. Okay. Can that ever backfire or no? Jasmine: Um, I've not seen it backfire. Only when there is a recoupment that needs to happen. you know, patient. Plan actually terminated, but the insurance paid the office, they'll just take it out of the next payment. So you really have no control over that.Usually if you get paper checks, they'll ask for the money back in another check. So you really have no control over that. But you know, they'll take it out of something anyway, . Gotcha. Michael: Okay. Do you guys do medical billing too? Jasmine: Um, we send medical claims for some of our oral surgery offices, when needed, but we don't really dive into the medical billing part of it with the coding and I c D 10.Michael: Gotcha, gotcha. So then where do you see out of these five tips, like people mainly have the Jasmine: most hiccup. most hiccups is probably the verification. Um, there are so many claims that go denied or rejected because the verification wasn't done in the beginning. probably second one would be the credentialingMm-hmm. , um, hiring an associate and not putting them on the claim. It's just kind of, I see that a lot. I know it's a headache trying to credential all of your new, employees, especially if, um, you're going out of network anyway. but it's just good to put them on the claim form. And then documentation would probably be number three.why Michael: documentation, like what is not Jasmine: enough detail or not enough detail? Um, some doctors have their assistance right in the details of the narratives, and maybe they're not just, they're not trained enough or not enough was communicated with them. Um, but yeah, I, I would recommend, you know, at the end of the day, just review all of your notes.Make sure. It's completely, filled out to the brim . Yeah. Too much information is good. Um, especially when trying to get these claims paid the first time. You don't wanna have it denied and come back and wait another 30 days for that to process. So. . Michael: Yeah. Because I feel like that can be a headache, especially when you get a lot of denied claims.I mean, you're on the phone, you're at the front office, you're getting another denied claim. You know, you're, you're dealing with that and people are coming in calling and all these things. Right? So it can be tough. I like what you mentioned when you said make a rule, stick with it to you.From the many practices that work with you guys, what have you seen to be like a really fantastic role when it comes to this? Jasmine: So we, uh, contact patients six times, right? So that's our role as our billing company. If we contact the patients, we we're probably sending three statements, making three follow-up phone calls.that's our role. We stick with it. The offices tend to agree that yeah, that's a good amount of times to contact a patient about their bill. If they're not paying by then, then you know, how many other times do it. So, That's the rule, and that's good. It, when we're done with it, we exhaust all attempts.Patient either gets sent to collections or if the balance is too low, it's written off. Lots of notes are written on the, um, on the account. Popup notes are created, so before the office or the patient even comes in, they have to pay the bill. So it's smooth. It, it works. . I think that's a, that's a good rule.Sometimes they're like, did we contact them enough? I mean, we sent one statement. We, we called them, they said they'd pay it, but they never did call four more times. . Mm-hmm. . That's the rule. And then if they don't, then send it to collection. So, yeah. The amount of times of contacting a patient I think is a good rule to.Michael: Do you ever recommend like texting or emailing them or Jasmine: no? Yes. Um, now, in this day and age, take advantage of as many resources as you can. A lot of dentists have, dental intel. They have a payments feature. Practice by numbers also has a great payments feature. Um, I know we use our offices, if they have Weave, we'll use that on behalf of their office to text, you know, um, the patients and send 'em their bills.So, take advantage of, of that mailing statements is, gonna be a thing of the past Michael: now. Yeah. So then would you recommend, is that part of the six? So like, would it be like, . Then number two would be like text and th like that, or, Jasmine: yeah, yeah. Usually you can send an email and a text at the same time.That'll count as one contact, and then we'll follow up with a phone call and then send another email, text, um, we call, because we wanna make sure they're actually receiving their invoices. and if that method isn't working, we change it up, you know, especially if the patient's older, they probably need a mailed statement, so we'll, we'll change it up for them and send 'em a mailed state.Michael: Okay. Awesome. Any final piece of advice you wanna give to our listeners about medical and dental billing? Jasmine: stick with the pros. If you can't, um, do it or you feel overwhelmed with it, with your office, you don't have to worry. You know, you can outsource it. It's often cheaper than hiring a billing coordinator for your practice, um, or care than, you know, training someone to, um, do everything correctly.Hire, outsource it. If you can't, like I did, like I said with the verifications, we don't do verifications, but a lot of our offices outsource that and they see much more collections in a lower AR because of it. so yeah, don't be afraid to ask for help . In this episode, Ashley and Andrea explain which feelings and actions may indicate that a change in how you do your work would benefit your mental health and increase your productivity. They spell out exactly who qualifies for reasonable accommodations and give several examples of specific workplace adjustments that benefit people managing a mental health disorder. To wrap up Part I, they discuss using the interactive process to find a solution acceptable to the employee and business. While you may not know the phrases "interactive process" or "reasonable accommodations" you've seen them in action. The most common way this appears at work is when someone takes a leave of absence to have surgery and comes back on "light duty" or with restrictions for a few weeks. Prior to the surgery, the employee discusses the need for time off with their manager (Interactive Process) and addresses any changes to how they will perform job tasks upon return (Reasonable Accommodations). The same process applies to employees seeking accommodations due to mental impairment. In Part II, Ashley and Andrea describe the steps involved in acquiring and implementing an accommodation at work. *Spoiler alert* in order to receive a reasonable accommodation under the ADA, you must disclose your disability. A year into the coronavirus pandemic, more people than ever are dealing with poor mental health. The CDC and Mental Health America have recently released studies that show the significant, but not unexpected, rise in people experiencing anxiety and depression. Are you one of those people? Maybe you live or work with someone struggling with their mental health. In this first episode of Season 2, Ashley and Andrea talk about Amazing Mammoths and adjustment disorder. To refresh your memory, an Amazing Mammoth is a person having difficulty coping with or adjusting to a particular source of stress. This could stem from something straightforward like the loss of a job or a loved one or be more complicated, like trying to navigate a global pandemic. Regardless of the source, the external stressor causes the person to have symptoms similar to clinical depression. That includes inability to focus, having trouble completing tasks, isolating, and looking more disheveled. When we went to work and saw people on a regular basis, it was a little easier to tell when someone was withdrawing or having a tough time dealing with something because you saw it evolve over time. Once the world went virtual, our context clues disappeared making it harder to know who was struggling. During this podcast, Ashley and Andrea teach you how to recognize an Amazing Mammoth and provide examples of how coworkers, businesses, and the C-suite checked in with each other while being virtual. They also talk about coping skills and how alcohol and online shopping seemed to fill a void for many people who lost their support systems. To give you an idea of what I’m talking about, I included a link to a funny, 2-minute YouTube video in the show notes.  It shows a woman in her car arriving at Target to buy one very specific thing.  She goes into the store, gets a shopping cart, and buys all kinds of stuff.  The video ends with her back in her car, remembering that she has forgotten the one thing she went into the store to buy!   Are you like the shopper in my example?  Or, can you go into Target, just buy that one thing you need, and leave without getting the other stuff? What does shopping at Target have to do with my career change from pharmacist to voice actor?  Stay with me.  I’m getting there!   As I record this on April 16, 2020, my family and I are mostly staying at home to reduce our risk of contracting the corona virus.  That means my kids are not physically in school.  They are at home, like all the other children in Ohio. My younger son has on-line school.  My older son, who has autism, has his own work to do.  It is not online, and he needs one-on-one supervision at all times.  I’m in charge of both boys while my husband works outside the home.   Working from home with added responsibilities and distractions is like going into Target for just one item.  It’s hard, but it can be done!  Even though I have a lot more on my plate right now, I’m still making progress.  I have a secret weapon.  Lists! Do you think the Target shopper from my story would have forgotten what she needed if she had used a list?  No way!  Lists help me focus so I can be present for my family and work toward my professional goals.  I have a projects list for the house and everyone in it, a list of business goals, and a daily list.”  When I’m using my lists effectively, I can knock out low-hanging fruit when I have five minutes.  If I get an hour or two, I can tackle bigger tasks, starting with the highest priorities first, of course! Having a realistic workload is important to me.  It makes me feel less stressed.  I can only get so much done in a day.  Once I picked up on how much I can handle after the first 2 weeks of the kids being home, I adjusted my expectations.  Although some goals are delayed or getting done quick and dirty, overall I’m getting a fair amount done.   Over the years, I have learned what works for me.  Making lists, being organized, and using time management strategies are really helpful.  If you want to learn how to be a productive list maker too, check out the book Listful Thinking: Using Lists to Be More Productive, Successful and Less Stressed by Paula Rizzo and Julie Morgenstern.  Do you want to improve your organizing and time management skills?  Check out all four of Julie Morgenstern’s books. I’ve been using a spiral-bound notebook to make a daily list for years.  I have appointments and reminders programmed into an electronic calendar, but for a daily agenda or to-do list, I need something I can touch.  A notebook really works for me.  My daily list has 3 categories.  Errands, appointments, and outings Projects Phone calls, e-mails, social media and texts Here’s a quick rundown of how I use my list.   The first category is “errands, appointments, and outings.”  It includes anything that requires being out of the house.  The second category is “projects.”  This is a vague category, but it involves everything that gets done at home and does not involve communication.  Many of my business tasks fall in this category, but so does making beds, doing dishes, folding laundry, and prepping food for dinner.  The third and final category on my daily to-do list is phone calls, e-mails, social media, and texts.  With the kids home, communication is tricky, but returning calls and responding to messages within 24 hours is important to me.  That’s what I want from others.  I try to do it myself.   When it comes to my family’s projects, my list has several categories.  Each person in the house gets their own goals.  We have family goals too.  Some examples are annual family portraits, home improvement projects, and vacation plans.  For my business, I have several goals.  The categories change as needed.  Right now, this is what I have: podcast  demos website marketing social media performance (training) technology networking There’s more than one thing in each category for my business goals.  Instead of listing all my goals, I’ll just tell you what I’ve been working on in each category over the past two weeks.  I’ve done pretty well in spite of a very different schedule and my kids home during the day. I’ll start with my podcast.  My goal is to release one episode per week and alternate solo shows and interview shows.  So far so good.  I have been releasing an episode each Friday, and I have been lining up guests and scheduling interviews.  As a bonus, I have been able to attend “office hours” for the School of Podcasting to hear what my classmates are up to and get input from them and our instructor, Dave Jackson. In the category of demos, I’m working on getting more audiobook demos uploaded to ACX.  ACX is the website that matches authors and narrators so they can create audiobooks for sale through Audible and amazon.com. With my Marketing goals, I’m starting to direct-market to potential clients.  Eventually, I want to reach out to 5/day.  I also just joined Voquent, which is a matchmaking website for voice talents and voice-seekers.   My top social media goal right now is to update my banners so my brand is consistent across the sites I use:  LinkedIn, Twitter, Facebook, and Instagram.   I’m moving forward with audiobook narration lessons with Sean Pratt.  I just got my homework assignment, and I’ll be busy with that this month.  I’m also practicing medical narration on my own. I have two urgent technology goals.  1.   Improve my audio editing skills using an on-line course called Studio One Jumpstart and 2.  Buy some back-up cables and a new pair of headphones.  I have some networking goals.  LinkedIn, Zoom, and Skype are a big help!  I am expanding my LinkedIn network, and I am attending meetings using Zoom and Skype.  Thanks to the power of lists, I am able to focus.  I have goals.  I know my priorities, and I am staying on track.  I have changed my expectations about how much I can get done in a day.  But, I’m still productive, and I feel good!   Thank you for listening to episode 14 of The Pharmacist’s Voice Podcast!

There used to be a time when people who were camera shy could mostly avoid being in photos or on video. For better or worse...those days are long gone. A lot of us hate seeing ourselves on camera, and today I’m going to talk about why. Our brains are actually programmed to hate seeing ourselves on camera because of specific biases. I’m going to talk about those biases, how they affect our brain, and give some tips to overcome those biases.  In a world of selfies, Instastories and YouTube…it’s hard to not be on camera these days. With the coronavirus pandemic (which I covered in episode 91), the world has been flocking to Zoom, which before the end of February had already added more active users than in all of 2019. In the coronavirus episode, I touched on why the brain is wired to react the way it does during a novel and frightening situation like this, and why we all feel inclined to hoard lots of supplies like toilet paper even when we know that is a bit irrational. Today’s episode gets into concepts like familiarity bias, confirmation bias, and comparisons that are working to make our brains hate seeing and hearing ourselves from the outside looking in. I talk about what we see and hear and what others see and hear. I explain how these biases affect us. I also share my own experiences with these biases, and share seven tips you can use to convince your brain that being on camera, audio, and video isn’t that bad after all. CLICK HERE FOR YOUR FREE DOWNLOAD! Show Notes: [04:32] Not too long ago, any of us who wanted to could pretty much avoid cameras – either video or photos. [08:13] I get it. AND I want to help everyone understand some of the things going on in all our brains that make us less than excited about seeing ourselves on video (or listening to our own voices on a recording) to make it a little easier to do that next one. [08:23] There are a couple of mind tricks conspiring against seeing yourself on camera, including confirmation bias, familiarity bias, and the comparison effect (essentially relativity), and the focusing illusion. [08:55] FAMILIARITY BIAS This is one of those things that is so obvious when you hear it, but not something that people are usually connecting the dots on themselves. [09:19] We see everyone head on, and they see us head-on. The only way we see ourselves is a reflection in the mirror. We actually see the opposite of what everyone else sees. [10:23] This is why our familiarity bias kicks in when we see our image in a photo, and we think that something is off. [10:56] Studies have actually shown people two images – head on and mirror image – to see what people preferred, and it confirmed that friends and partners…everyone else, prefers the “straight on” image of us, and we all prefer our mirror images. [11:13] People could never explain why they didn’t like one and why they preferred the mirror image. The conscious can’t explain it…but the subconscious knows what it is used to looking at. [11:47] Until you train your brain to see your “real face” more, it will not be familiar and it will feel off. This means putting in the effort to be in more pictures and on video and watching yourself. [12:11] Some smart systems like Zoom actually let you choose if you want to be looking at and recording your “real” face or your “mirror image.”  (Bonus side note not in the episode - I did a run through of a training using GoToMeeting the day after recording this and saw myself in NOT mirror image for the first time in a while...my brain’s immediate reaction was that it was awful! But I was able to use the tips from the episode to get past it and not make it awkward.) [12:42] Help train your brain to get used to the good stuff of the true you. Our brains dial in WAY too closely on things when we are thinking about them. [13:22] You will be focusing on yourself in a way no one else does. So you have two options. First: train yourself to watch the general image and try not to narrow in on one specific item. [14:21] The second option is to know that the focusing illusion will still be happening because your brain is wired to focus on stuff. Focusing on the good stuff will make you happier and smile more. [15:26] Zoom also has a “touch up my appearance” option that gives you a smoothed out look and can be the edge you need to feel more comfortable. [16:50] We actually hear ourselves differently than everyone else, because our voices are reverberating around inside our heads while we speak. Your perception of yourself is biased. [18:26] CONFIRMATION BIAS Familiarity bias combines with confirmation bias to really reinforce the bad stuff deeper into your brain. [19:26] We remember the feedback that aligns with our self esteem more than we remember anything that doesn’t align with it. [20:42] Your subconscious is making 99% of the decisions and evaluating tons of information every second to screen out what fits its rules and what doesn’t. [22:24] You need to embrace the new positive just make it plausible enough that your brain will believe it. [23:39] COMPARISON EFFECT for our purposes this is essentially relativity. [23:56] The context (the environment you were just in) will impact the way your brain perceives the next item. [26:14] If video is important to your business, invest in making yourself look as good as possible. This will benefit your personal brand and make it easier to see yourself. Here are those 7 tips: [29:51] #1 Try to focus on good stuff you like about yourself instead of the stuff that makes you cringe. [30:02] #2 People are programmed to like you more when they see you the way they are used to seeing you. People like authenticity. [30:34] #3 Reframe your focus to a positive. [30:50] #4 Be okay with mess ups. They will happen. [31:49] #5 Imagine the audience is laughing at the right spots and loving every minute. [33:21] #6 Decide to get over it. Find positive things to focus on and see yourself better. [34:33] #7 Do as much video as you can as often as possible. [35:13] It's time for a new challenge. Because of Julie, I studied myself to figure out what makes me tick.  I needed to find out where my time goes, and how long it takes me to do things.  If you have never done this, I highly recommend it.  It could help you make a career pivot some day!  What would you do if you had an extra 2 hours in your day?  10-14 hours in your week?  Would you be able to start a side-hustle?  Could you learn a new skill?  You bet!  I did! What I did:  I bought spiral-bound, wide-ruled notebooks.  I wrote down what I did every day and how long it took me to do it.  Some examples:  making beds, doing dishes, folding laundry, making dinner, going to the gym, getting cleaned up, going through mail, reading and responding to e-mails, and working on projects.  What I learned was a game changer!  I grouped similar activities to help make my days run smoother.  For example, errands.  If I needed to run errands, I would do them as batches instead of going out once or twice/day.  I also started a “projects binder” for projects that are so big they need broken down into bite-sized chunks, like planning a vacation and home improvement projects.    What I have learned from reading books and listening to audiobooks has helped me grow so I can make the best use of my time and spend as much time as possible on my business.  I love to read and learn! Julie’s books - all of them - helped me define goals and decide how to spend my time doing the activities that would help me accomplish my goals.   Julie taught me the 4 D’s and how to SHED.   The four D’s are delete, delay, delegate, and diminish.   Delete When I have more on my list than I have time, I will delete non-essential tasks.  Examples:  meetings, workouts, projects, and conference notes that don’t fit into my big-picture goals.   Delay My husband and I have a budget meeting the night before he gets paid.  Our goal is to meet every two weeks.  If one of us is sick, out of town, or there is a holiday, we delay the meeting. Delegate When possible, I delegate tasks.  Examples:  my kids put their laundry away, and my husband drops our books off at the library. Diminish Think of this as doing things “quick and dirty.”  Example:  a one-sentence e-mail instead of staring at the computer for 15 minutes, writing, and rewriting a message.  Write the sentence.  Send the e-mail.  Save time.  The goal is to communicate.  Finding 15 more minutes of time to work on my business is my payoff.   SHED • Separating the treasures (identify what really matters)  • Heave the rest (eliminate excess)  • Embracing your identity (Who do you really want to be?)  • Drive yourself forward (Make a change.  The past isn’t holding you back.) I have figured out what is important to me and worked to get rid of the thoughts, habits, and stuff that are holding me back so I can do what I want to do with my life.   By looking at what I wanted and what held me back, I was able to make a career change.  It took me years.   Other books that have influenced me are Chip Heath and Dan Heath’s books Switch and Decisive.  Switch got me into a mindset to change even though change is hard.  Decisive helped me become a better decision-maker. Good to Great taught me to find what I can do well and do that one thing to the best of my ability.  When I made my career change, I had the idea to offer other services.  When I narrowed it down to just voiceover, I made progress.  From Good to Great, I also love the phrase, “Get the right people on the bus.”  It means that to drive my business forward, I need to have the right people helping me before I can go anywhere.  I need the right coaches, the right pool of accountability buddies, and so on.

Why Listen What to say about Justin? Well, he was shot in the head by a sniper and pronounced killed in action… but that didn’t stick. Justin is a Purple Heart recipient, an author, a lawyer, an motivational speaker, an entrepreneur, and he now works with a company that helps over 24k military members and their families EVERY MONTH - that’s right, every month - find their ideal job and make their career transitions easier. It’s a little disappointing to be on a show with two Justin’s, and realize that the other Justin is kicking a— and you need to try your best to keep up. This is a great interview for any career path, and I think you’ll really enjoy Justin’s story. About Justin Justin joined the Marine Corps while in law school at the University of Denver School of Law, and served on active duty as a JAG officer for six years.  Then as a Reservist, Justin deployed to Iraq in 2006, serving as a Civil Affairs Team Leader while attached to an infantry battalion. During a combat patrol, Justin was shot in the head by a sniper.    Although the original prognosis was that he had been killed in action, Justin survived thanks to risks taken by his fellow Marines and a courageous Navy Corpsman.  In fact, when Corpsman Grant first rolled Justin over, he was no longer breathing.  For his service in Iraq, Justin earned the Purple Heart, Combat Action Ribbon and Navy-Marine Corps Commendation Medal.   Justin retired from the Marine Corps at the rank of Lieutenant Colonel.  He now runs his own business as an inspirational speaker and veteran employment expert.  His writing on military and leadership issues has been published in The Washington Post, Time, CNN, The Atlantic, Forbes Magazine and other media outlets.  In 2015, he completed his first book, My Battlefield, Your Office, which applies military leadership skills to the private sector. And in partnership with the Society for Human Resource Management (SHRM), Justin recently authored From “We Will” to “At Will”, an authoritative and interactive guidebook about veteran and military spouse employment. Justin is also a Partner at JobPath, a robust veteran employment platform that provides a variety of solutions to corporations, government agencies and nonprofit organizations that hire veterans.

This Week’s Episode In today’s episode, we talk all about time management. As creative business owners, we all struggle with time. Many of us “juggle a lot of balls” by balancing multiple revenue streams and roles in our business. My guest on this episode is Lindsey Stephens, the owner of Poetry in Yarn. Lindsey juggles her roles as a crochet designer, tech editor, crochet and knitting teacher, and web designer for Poetry in Yarn with her part-time job as a math teacher at a Yeshiva elementary and middle school in Connecticut, and her responsibilities as a mother and a wife. Lindsey can be found online at the Poetry in Yarn website and on Facebook, Ravelry (as Leebah and on her designer page), Twitter, and YouTube. I previously interviewed her on the Underground Crafter blog here.  Lindsey’s Tips for Time Management Know how much time you have Know what you need to accomplish Know how much time each task takes Work with your habits, not against them Delegate (or partner) to get some of the work done by others About Poetry in Yarn Lindsey Stephens started her yarn-related business in 2009, when she began submitting designs to magazines. Her (mostly) crochet patterns have been published by Crochet 1-2-3, Crochet World, Knit 1-2-3, KnitCircus, and in Curvy Girl Crochet and Debbie Macomber: Blossom Street Collection Book 3. Shortly thereafter, she took the Designing for Print Publication course by Mary Beth Temple. She launched the Poetry in Yarn site in 2010, and began self-publishing her own patterns. She began accepting clients for crochet tech editing (including symbol chart creation) as well as web design services in 2011 or 2012. Her background includes a Bachelor’s degree in Mathematics and additional courses on garment grading. Her business has expanded primarily through word-of-mouth and by collaborating with a graphic designer for mutual referrals. She now provides tech editing services for publishers, and Fresh Designs Crochet: Toys, a booklet she tech edited, was recently released by Cooperative Press. As the other elements of her business have expanded, Lindsey has decreased her design submissions to external publishers. In this interview, she shares her tips for time management, particularly when you are managing diversified tasks and multiple income streams. 1. Know how much time you have Lindsey’s first suggestion is to be conservative in estimating the amount of time you have available. While you may seem to have a three hour time slot to devote to working on a particular project, in fact you may use part of that time period to eat, shower, commute, do household chores, etc. If you start by being clear about how much time is actually available for working, you will be more likely to properly schedule your duties. Similarly, pad your internally imposed deadlines to account for possible emergencies or shifts in your schedule. 2. Know what you need to accomplish Lindsey recommends tracking your tasks/duties externally, using a system that works well for you. She suggests that you should clear your brain space by relieving yourself of the responsibility of remembering all your tasks – by listing them, you can sharpen your focus on completing the tasks, rather than on remembering what the tasks are. Lindsey forecasts her tasks and sets a preliminary schedule on Sunday. Lindsey uses a spiral notebook, but others may prefer electronic task management tools. She uses a large spiral notebook, so her list of tasks looks smaller, and recommends starting a new list periodically on a clean sheet of paper. This makes her list look more manageable and less intimidating, so it relieves stress while allowing her to see patterns in her schedule and decide what can be delegated. Lindsey also recommends being aware of your own rhythms. For example, communicating and sharing on social media comes naturally to her, so she doesn’t add it to her task list or schedule. However, if you are not as comfortable with social media, you may want to include it on your task list. 3. Know how much time each task takes Lindsey recommends being realistic about what can be accomplished in a given timeframe. She uses a combination of tools to increase her understanding of how long specific tasks take to complete. Lindsey uses Toggl, a free time tracking software, when she’s working on computer-based tasks, like tech editing or blogging. When she’s designing or creating samples, she observes start and end times on a clock or by counting a number of television episodes she watched. Lindsey notes that the more often you do something, the more realistic you can be about the amount of time required. (So if you are just launching your business, don’t worry! This will be easier to understand over time.) 4. Work with your habits, not against them Once you have clarity on how much time you have, what you need to accomplish, and how much time each task takes, Lindsey recommends working with your own habits and preferences, and not against them. She was first introduced to this idea in Organizing from the Inside Out, Second Edition: The Foolproof System For Organizing Your Home, Your Office and Your Life by Julie Morgenstern. Specifically, Lindsey suggests that you don’t adopt any “system” of time management, but rather use different time management tools that fit into your own lifestyle for maximum success.  5. Delegate (or partner) to get some of the work done by others Consider what you can delegate or partner with others to do in order to maximize your time. Lindsey uses a contract crocheter, a part-time bookkeeper, and a virtual assistant that she met through word-of-mouth and social media.
