Welcome back to another episode of The Everyday Life Balance Show, episode 362. I'm Pascale Gibon, your host, and I'm thrilled to have you here with me today. Thank you for tuning in. I know how much you value living intentionally. In episode 358: "Goal Setting Success – 4 Months To Achieve Your Dreams," which was released last September, we paused to reflect on our goal-achievement journey. We focused on our most significant goal, the personal goal that would transform our lives if we achieved it. As a follow-up, we are going to design, in this episode, a productive routine that highly supports you in achieving your significant goal while still feeling aligned with your heart and helps you commit to excellence. This routine will include seven recommendations to increase productivity and achieve your most important goal. If you struggle to achieve your goal, observe your daily habits because they will determine your results. Brian Tracy mentions in his book "Goals": “Success is goals and all else is commentary”. He tells us, in this powerful statement, that you don't achieve success if you don't have a goal. A goal gives us something to aim for, a direction, purpose and motivation. If you set a significant goal this year, congratulations! First, let's look at who you are on your goal-achievement journey: Are you a Brave Beginner? You've taken your first steps; however, it may be necessary to cultivate a mindset that helps you adapt when you hit a roadblock and become unstoppable. Are you a Consistent Climber? If so, you are making progress every day towards your goal achievement. Momentum is your best friend, so keep nurturing it and protecting it. Are you a Lost Explorer? If you feel stuck, note that it's a STOP sign, not a dead end. Take some time to reassess your life direction. And lastly, are you a Comfort Zone Dweller? You are in your comfort zone because you still hesitate to take your first step due to a lack of clarity or fear. To shift your thinking, I recommend you ask yourself more empowering questions such as: “How can I get started right now?” Setting goals is the easiest part, but achieving them takes you on a challenging journey. If you are a good starter but not a great finisher, you will highly benefit from the seven productivity tips I'll share. You can implement those tips right now to build a routine that works for you. I must insist on creating a routine that works for you. For example, a routine that works well for me is using the 5-hour working block strategy, taking 5-10 minute breaks every 55 minutes and utilizing the breaks to rehydrate, move around, stretch, nourish my body and revitalize. One thing worth noting is that this productive routine does not leave you exhausted. It helps you create a flow that nurtures you and provides the necessary structure to bring your dream or idea into reality in a feel-good manner. You deserve to move through your days with purpose and ease, knowing each step takes you closer to your goals. Here we go! Let's dive right in: Productivity Tip #1: Set Daily Intentions, Not Just To-Do Lists We've all felt overwhelmed by a to-do list that keeps getting longer. Instead of focusing only on tasks, start your day by setting an intention. Ask yourself: “How do I want to feel today?” and “What is the most meaningful thing I can accomplish that would move me closer to my goal?” When you approach your day with intention, it's easier to prioritize tasks that align with your bigger goals. This mindset shift helps you avoid busy work, stay motivated and focus on the high-value activities that truly move the needle. It also reinforces the positive emotions you wish to feel throughout the day. Productivity Tip #2: Plan Your Day in Advance This productivity tip is a game-changer: Spend 10-15 minutes each night mapping out your next day. List the essential tasks, appointments, and even breaks you need. By planning beforehand, you remove the guesswork and decision fatigue in the morning, and you can start your day with clarity and purpose. Here is a pro tip: prioritize the needle movers, the top three most important tasks each day. This strategy gives you a clear focus and ensures that even if things get busy, you've already made progress on what matters most. Productivity Tip #3: Batch Similar Tasks Together We are like a juggler and lose focus and efficiency when we constantly switch between tasks, emails, meetings, personal responsibilities and creative work. Batching is a simple but effective way to solve this. Group similar tasks and accomplish them in dedicated blocks of time. For example, set aside specific times of the day for answering emails, handling admin work, or working on creative projects. This reduces the mental strain of switching between tasks, helping you stay in the productive flow. Productivity Tip #4: Prioritize Rest and Breaks I cannot stress enough how important it is to take breaks! Productivity isn't just about doing more; it's about working efficiently, and rest plays a huge role. Schedule short breaks throughout your day, even if it's just a few minutes to stretch, breathe, or have a moment of calm. Try the Pomodoro technique: 25 minutes of focused work, followed by a 5-minute break. This prevents burnout and keeps your mind fresh. Remember, my beautiful soul, rest isn't a luxury, it's a necessity for your energy and well-being. Productivity Tip #5: Create A Morning Routine That Energizes You Your morning routine sets the tone for the entire day. And it doesn't have to be long or complicated! Whether journaling, stretching, sipping your favourite tea, meditating or practising gratitude, choose something that nurtures you and helps you feel grounded. When you start your day from a place of calm and alignment, you can approach everything that follows with increased focus, ease and intention. It's about finding your rhythm and honouring that first moment of the day for yourself. Productivity Tip #6: Use Time Blocks For Focused Work One of the most effective ways to stay on top of your tasks without feeling overwhelmed is to use time blocks for focused work on the most important tasks. Set aside uninterrupted time blocks, perhaps 60 to 90 minutes, where you focus on one important task and complete it. Turn off notifications, put your phone on silent, and create an environment where you can dive deep into your work without distractions. During these time blocks, fully immerse yourself in the task at hand. After your focused time, reward yourself with a break and pat yourself on the shoulder. You'll be amazed at how much more productive you can be when you work in concentrated sprints rather than trying to multitask throughout the day. You will experience great results with time blocking for focused work. Productivity Tip #7: Reflect and Adjust Regularly Productivity is a journey, not a destination. At the end of each day or week, take a moment to reflect on what's working and where you might need to adjust. Ask yourself: “What tasks brought me closer to my goals?” and “Where did I feel stuck or unmotivated?” This reflection allows you to refine your routine in real-time, making it more effective and aligned with your goals as you evolve. It's all about progress, not perfection. Be kind and flexible with yourself as you grow. So, beautiful soul, I've just shared seven productivity tips to help you create a routine that supports your goal accomplishment while nurturing your heart and soul. You can implement these simple, practical changes to bring more flow and ease into your life. Huberman Lab Podcast Notes Epinephrine/adrenaline, acetylcholine, and dopamine work together to facilitate the ability to get focused, direct focus, and stay focused over timeBinaural beats (40 Hz), white noise, pink noise, and brown noise can enhance focus & more importantly, decrease the amount of time it takes to get into a focused state by ramping up neurochemicalsBlocking time: use ultradian cycles (90-minute bouts) for intensely focused sessions; assume it will take about 5-10 minutes to ease in and then ramp up; when finished, spend 10-30 minutes to deliberately defocusBoth things are true: fasted states and fed states (sufficient glucose but not overly stuffed belly) stimulate neuronal activity – leverage this and try one focused 90-minute bout in the morning (fasted) and another in the afternoon (fed)Tip: leverage benefits of stress through cold exposure – try a cold shower (uncomfortably cold but safe to stay in) 1-5 minutes to increase epinephrine and dopamine in the brain and body to get the body into a focused state – the positive effects of epinephrine last up to an hour or moreFocus will drift unless you are an experienced meditator – the most important component of meditation is refocusing back to meditation and back to the breath – try 13 minutes per dayMeditation caveat: focused meditation in the 4 hours prior to bed actually hindered the ability to fall asleep and stay asleepUsing visual field to improve focus: set a timer for 30 seconds per day and try to focus on one object; keep adding 5 seconds per day looking directly at the location (be sure to blink!) – you can use this to help onramp into 90-minute focused boutAs always, start with behavioral tools (and dialing in sleep), then focus on nutrition, try supplementation – when all else fails and you've consulted a doctor, lean on prescription drugsReally sleep-deprived or having trouble focusing? In last week's episode, Chen Kadungure and I talked about how to create focus and eliminate distractions so you can do more focused or deep work. Once again deep work is focused, uninterrupted, undistracted work on a task that pushes your cognitive abilities to their limit. Examples of this include——writing or reviewing a donor report, proposal writing, strategic planning, or creating a new way of doing something. So that's all well and good, but how do we actually CREATE time for focused work?? What I see happen to my coachees is they have the focused work on their calendar but then they struggle with protecting that time and following through with their plan. In this episode, Chen Kadungure and I will share ways you can overcome these challenges which if you follow you will be able to create and protect time for more focused, important work.

Justin Higgins was able to start working remotely two years ago when he moved to Los Angeles, California, by negotiating with his employer at the time to cover his coworking space fees. He's often running personal growth experiments, and in the past year decided that he wanted to improve his sales and marketing skills and has built 24-Hour Homepage, a website where visitors see one clickable image for the current second of the day. It's like a big, 24-hour GIF or art project that will live online forever that he is selling one second at a time. April and Justin actually met in a Focusmate session as he was preparing for a presentation later in the week, a pitch about his new project; and April was working on her podcast show notes. For those who are unfamiliar, Focusmate is an online accountability tool where two people are semi-randomly assigned for a video chat where they each take a moment to state a goal for their 50-minute session and then discuss whether or not they finished their task at the end of the session. This has been, by far, Justin's favorite productivity tool for the past two years, and using it helped him realize he could get a lot done at home, so he eventually stopped using the coworking space. In the past, Justin studied physics and astrophysics and then helped startups like Beats Music (later Apple), Polaroid, and Hustle strengthen their software engineering services. Louise spent the first 18 years of her career working in the closing department for a prominent attorney in Louisiana.  The time Louise spent at the attorney office taught her incredible problem solving skills along with helping her refine her ability to develop emotional intelligence.  Her ability to work with people while always finding creative ways to problem solve would become key attributes that would serve her incredibly well as she transitioned into the lending business. Louise credits much of her success to her ability to “Focused Work” or as she refers to as Periodization.  This concept was first introduced to her in 2005 after a hurricane came through Louisiana and her family lost their farm.  Louise needed to dramatically increase her income in order to help provide for her family.  Over the next 104 days Louise was able to 4x her production!! Her secret is time compression!  Louise divides her year into 52 day periods.  This allows her to focus on her Mission and Purpose while keeping her BIG why in front of her.   Louise goes on to share that by writing down the 7 most important things she needs to accomplish for the following day she is able to get her most important work completed before 11AM each day. She calls this her 7 by 11 Strategy.  By focusing on the most important work first she is able to keep taking steps every day towards her big long term goals! Just like your physical home has a door and you control who enters, you need to control who and what enters your mental home, and when.  Just as you go into your home and expect no one to bother you, you can go into your cave, put away devices, turn off notifications and give yourself the mental break from distractions and freedom to focus.  We actually do better work when we focus and take breaks from being ‘always on and always available.’ It’s not unprofessional to turn on away messages or close down your messaging app for a few hours.  Create your cave by setting up a distraction-free environment. Put your phone in airplane more and out of reach and out of sight. Turn off all notification or close down all non-essential apps. Clarify what work you will do during your cave time and what you won’t do such as check email. Work in 45 minute segments while in the cave.   Create caves with your team whether you’re in person or virtual. If virtual, get together via video conference during the cave time so you can help hold each other accountable.Share what you’ve accomplished at the end so you can celebrate together. We do better when we’re in community with others. That’s part of the power of a collective cave. We like being seen and acknowledged by others, and we want to do our best when being observed by others. Working is not equivalent to sitting in front of a computer. Know what you want to accomplish each day so that you can leave work and give you full attention to your family, self, etc. Because when you have a healthy relationship with your work, you can have healthy relationships in your life. What are your practices to create focused work? Why is focused work important? Maybe it is time to prepare for a client, a team meeting to organize others, or perhaps a meeting with an individual employee to discuss how they may be able to improve. In this episode, I discuss three main elements of creating deep work and how you actually execute deep work.  This is the third part of my four-part series on developing your leadership foundations to help you build your skills for the future. In this episode, I am concentrating on focused work. In the first two parts, we focused on habits of mind and habits of action.  We’ll dive deeper into these concepts: Deep work: what it is and how to do it.  Distractions: the things that keep us away from our deep work. Strategies for learning new tasks, technologies or skills—methods and practices to continuously work to always learn new things. Now for some action steps:  Make a list of 3-5 things where you could generate value for the organization. Make a log of distractions so you can work to minimize them. It was time to pack up and leave Overland Expo West. It was cold and snowing. We had a great time at the Expo, but we were ready to be on the move again. We wanted to explore Utah more and hopefully find warmer and dryer weather. We went toward Sand Island Recreation Area as we thought that would be our campsite for the night. When we arrived, we drove around and discovered there was a $15 camping fee. The camping facilities had vaulted toilets and no water. If we were going to pay for a site, we wanted running water for a nice hot shower. We must be spoiled. We decided to move on. We made our way to Bluff, Utah because it was in the general direction of where we wanted to go. Besides, we knew if we parked just outside of the city library, we could hook up to their WiFi. This was quite handy in our search for the evening’s camping area and scoping out the weather. We ended up in Blane, Utah where we drove around checking out some campsites and working for a few hours. We even were parked at a site for three hours before we decided that the longer we were there, the more uncomfortable we felt. We headed up into the mountains to an abandoned ski lift. We didn’t get our warmer dryer weather. Instead, it was cold and snowing. We needed to put in some focused work time, so we headed toward Moab. There we stayed at campsites outside of town and worked used the library as our office for a few days. We hope you enjoy the episode as we share how we meandered from campsite to campsite.
