I used to grind nonstop—100+ hour workweeks, chasing big goals in the big city, feeling burned out and unfulfilled. Eventually, I hit a breaking point and knew something had to change. That's when I started to design my life on purpose. I created a weekly structure, tested out new systems, and got clear on what actually mattered. Over time, that led me to working just 2.5 days a week—with more results, more happiness, and more balance. Here's how it works: It's not just about the structure—it's about the systems. I use time-blocking religiously and follow Parkinson's Law: work expands to the time you give it. So I limit tasks on purpose. I use the Pomodoro technique—45 minutes of deep work, 15 minutes of rest. Apps like Sunsama and Notion help me plan my day with intention. I set just three “Most Valuable Tasks” each day and focus only on those. The rest? Either gets scheduled for later or let go.Delegation and automation are non-negotiables. I ask myself, “What would break if I stopped doing this?” If the answer is nothing, I cut it. For what's essential but not in my zone of genius, I delegate using the 10-80-10 rule: 10% to set it up, 80% delegated, 10% to review. I rely on tools like Zapier and an organized team to automate as much as possible. I also create SOPs (Standard Operating Procedures) for everything so I'm not the bottleneck. Once things are documented and repeatable, it's easy to scale without burning out.One big mindset shift that made this lifestyle possible? Realizing busy doesn't equal productive. I stopped glorifying hustle and started chasing impact. I focus only on the 20% of actions that create 80% of the results—whether that's nurturing partnerships, closing deals, or creating content that builds brand trust. If it doesn't move the needle, I say no.And speaking of “no”—boundaries are everything. I trained my team and clients to respect my schedule. I don't reply to business texts on Sundays. I protect off-grid time and unplug regularly to reset my nervous system. People quickly adapt when you set clear expectations—and you'll find you're actually more respected when you own your time.Was this shift easy? Nope. It took trial and error. I had to hustle hard at first to build the foundation. I'm going solo in this episode because there's a lot of confusion, misinformation and even fear around working with angels as a Christian. But mostly there's just a lack of awareness of these helpers God has provided to us as the heirs of salvation, as Hebrews 1:14 tells us.As with anything I do or teach, we do NOTHING without eyes on Jesus, and under His guidance. I do NOT endorse engaging any spiritual beings outside of those the Lord has specifically assigned to you or introduced to you. And, of course, relationship with the Godhead is the first thing we seek…even though we're invited to seek first His kingdom, I believe that means first AFTER seeking God himself.In Ephesians 3:10 it says that “through the church the manifold wisdom of God might now be made known to the rulers and authorities in the heavenly places.”I don't go into this in the episode, but essentially that means that spiritual beings may not already know all the multifaceted wisdom of God, and his plan is for us—the church—to reveal it to them.In fact, 1 Peter 1:12 says that angels long to peer into the affairs of men. I love Romans 8:19 in the Passion Translation: “The entire universe is standing on tiptoe, yearning to see the unveiling of God's glorious sons and daughters!”Also, keep in mind that angels aren't used to working with us from the heavenly realms because most Christians have not taken their position as “seated in heavenly places with Christ” seriously. From the encounters I've had either personally or with my clients, both angels and the people in white from the cloud of witnesses are very happy and excited to work with us. It's just a new experience on both sides. Fun times we live in!!That said, here are the juicy bits…HIGHLIGHTS:Partnering with Heaven in Business: Your business is a Kingdom venture, and Heaven is ready to co-labor with you. But like any partnership, relationship comes first, and then clear agreements—such as the Declaration of Trade, your covenant with Heaven.Angels Need Clarity Too: Unlike God, angels aren't omniscient. They need clear instructions, just like earthly employees. Although they are awe inspiring and incredibly knowledgeable and resourceful, don't assume they "just know" what you want—lay it all out.Operations Manual in Heaven: Just as businesses have SOPs (Standard Operating Procedures), your business needs one in the spirit realm too. It really helps the angels out when goals and strategies have been documented.Clearly Identify Your Ideal Clients: If you don't define the people you really want to play in the sandbox with and can serve well in your heavenly business plan, angels won't know who to bring. Be specific about your Kingdom assignment and who you're called to serve.Angels Co-Labor with You, Not Instead of You: They won't replace your hustle, but they orchestrate divine connections while you do the footwork. Kingdom business is about faith and action.Time Chunking is a Spiritual Strategy: Time management isn't just practical—it aligns you with Heaven's flow. Writing time-blocking strategies into your heavenly operations manual (and sticking to them in your daily routine) helps your angelic team.Your Business has a Destiny: Before you ever had a business idea, Heaven already had a blueprint for it. You're not just making things up—you're walking out a divine plan. Be sure to receive it and unpack it with Holy Spirit.Scripture is a Business Growth Strategy: Like Psalm 103:20 says, angels move when you speak out God's Word over your business. Use personalized scripture as declarations to activate Heaven.A Cloud of Witnesses Are Cheering You On: You're not just building alone. Saints from generations past are invested in your success because your business is part of God's unfolding redemption plan. Their destinies are not complete without us.Entrepreneurial Anointing is in Your Bloodline: If faithfulness runs through a thousand generations, that means you can call forth entrepreneurial blessings from your spiritual heritage. Padraig O'Connor, Dairy Technician at Teagasc Grange joins Stuart Childs on this week's Dairy Edge to discuss the role of SOPs (Standard Operating Procedures) on farms. Padraig explains that the SOP is a step by step guide to completing a task. They are suitable for many tasks on farms such as preparing for milking, milking itself, treating a cow with mastitis and how to wash the milking machine correctly amongst many others. SOPs are an extremely useful way of communication and can help avoid mistakes being made due to misunderstanding. While often associated with farms that employ people, they have an equally important role to play on owner operator farms to help during holiday periods, during busy periods where help is needed which may be family or externally sourced, but most especially in the event of any incident which renders the farmer unable to do tasks with little or no notice requiring people to jump in to help to keep the show on the road. Padraig says that it is as simple as taking a piece of paper and recording the steps to complete the task in question, then getting someone that is preferably not overly familiar with the task to follow the instructions and ‘road test' them. They may need tweaking and once happy with it, it should be laminated to make it waterproof and robust and placed in a visible location near the point of use. Hi, friends welcome back to another podcast episode. This week we're going to talk about the five things that you should do right away when setting up your REI business. This episode is near and dear to us as we're both guilty of missing a few steps along the way when we were getting started! Even if you've already established an REI business, putting these five things into practice will make a massive difference in your business in the long run. #1 BookkeepingWhether you're choosing to outsource your bookkeeping or do it yourself, make sure you set yourself up for success by starting your bookkeeping processes early. We highly recommend using QuickBooks, but there are so many options on the market if it's not in your budget. When it comes to setting up your QuickBooks or bookkeeping software, we also recommend that you hire a professional to set it up, that way you could choose to self-manage it and do the updating, categorizations, etc. as you go, to give you a hands-on look your finances on a regular basis. Along with hiring a bookkeeper, we also recommend finding a CPA who is well-versed in real estate tax processes. #2 Open A Business Bank Account & Credit CardWe both prefer Capital One because you can generally get approved even without a business credit history and their app is very user-friendly, allowing you to easily see all of your finances in one place. Ideally, we recommend having one account per business entity. #3 Create Business ProfilesOne of the first things you absolutely need is an email address. We also recommend getting a Google Voice number to keep your personal number, personal. You also might consider setting up a PO Box so you don't have to give out your personal address if you don't have an office space, and bonus points if you set up your business social media accounts! #4 Get Setup On A Property Management SoftwareThis is another one of those things we recommend starting early because it will make your life so much easier in the long run. Using a property management tool will allow you to house all of your tenant communication, collect rent, get leases signed, and so much more, and keep everything organized and in one place. Tenantcloud has an excellent free version we recommend checking out. One of the biggest perks of property management tools is that late fees are automatically applied to rent, so you don't even have to think about applying them when rent is past due. #5 Create Your SOPsStart out by creating a checklist of everything you're doing; what happens and when. Document all of your processes: everything you do in your business day to day, month to month, week to week, year to year. These checklists become your SOPs (Standard Operating Procedures) and what allows you to do things like train future employees, hire a property manager, or just keep yourself accountable. It should contain the ins and outs of how you run your business and can be as simple as a Google doc. Having SOPs in place helps to decrease decision-making and make sure that things don't slip through the cracks. As we say: learn from our mistakes. don't do what we did but heed our advice and put these into practice now; you'll thank us later.That's all we have for you this week. Liz Chism is an experienced Business Operations Coach. Her entrepreneurial journey began when she founded and operated an award-winning craft brewery with her husband. Currently, she helps small businesses organize and streamline their business operations. What problem do you solve? Business owners often complain about lack of time, and the best way to combat this is to create processes. Liz can show you how to create these in 10 extra minutes a day. Show Notes: Liz started with the operations mindset and organization as a child of a large family. It gave her a start in organizing. She also put her strengths to use in her and her husband's brewery business. They realized they needed to put SOPs (Standard Operating Procedures) in place to get their business to run well without putting in excessive hours. Liz and her husband's business thrived and they were able to be away from it without worries while they were gone. The challenge is that most business owners are visionaries but they don't enjoy or excel at putting systems and processes in place. It is easier to get a system in place when you start with the end in mind. It's important, when you are building an SOP, that you consider what the end result is every step of the way. There are 2 parts to documenting your SOPs Make them easy to access and use and post them everywhere Have a discussion within your document. Liz uses Google Docs so that it is easy to track the evolution of the SOP. You can also track the history comments. The business owner needs to remove themselves as the bottleneck. Delegate and create leaders. It's also a mindset issue. The business owner needs to learn to lead and let go of their ego. One of the biggest things to start with is the curiosity game. Consider how things would go if you put change in place. Use curiosity instead of judgment. How to put a process in place in 10 minutes. Use 10 minutes every day. Put the 10 minutes on your calendar and then remove all of your distractions Make sure your employees are working on this too. Decide on Monday what one simple process you will work on and what your end vision and goal is for this process. If it is successful, what will happen and what will it look like? On Tuesday, write down all the tools, programs, and software related to this particular process. Wednesday you will write a bird's eye view or a summary of the process. On Thursday, you add any necessary detail. You expand on what you wrote on Wednesday, and you may want to add videos or other details. On Friday you add feedback. On today's episode of the podcast we're diving into how different systems in your business can help you increase your profit and help you achieve your personal business goals. Recently, I've interviewed business owners, like Haley Johnson and Rachel Greiman about their profit reports. Haley shared with me about how she was on a journey to make as much revenue as possible. Then last year, she felt like the script flipped and people were focused on profit. Rachel shared in her episode she didn't mind making lower profit as long as she was paying herself the money she needs to sustain her life and after that she is willing to spend whatever she needs to hire more and work less in her business to spend time with her family. These conversations got me thinking about something that's been on my mind. When I'm talking about profit-driven anything, I'm talking about it in the context of you. What are your goals and what profit do you need to support them? It's about optimizing your margins in relationship to how hard you want to work and it looks different for everyone. You have to ask yourself, for example, is a task worth saving time on by having a VA do it, or is it more worth them spending that same amount of time on a sales-generating task. Sometimes we sacrifice profit in order to have more free time. I teach this concept in Module 4 of Profit Rx (Your Profit Recipe) where I talk about finding your profit sweet spot where we compare hours worked to profit and revenue. Speed, cost, and quality - typically you can only get two of the three and I think the same applies to sacrificing hours worked for profit. What do profit-driven systems look like? 1. They can look like keeping track of your numbers (reflect back on episode 251) so you know what your target for expenses is per month. You can also look at your list to decide what expenses are saving you time and which you aren't using (or using enough) for them to help save you time and money. 2. Managing your time and spending it on what's going to make the biggest waves in your business. This can look like off-loading lower value tasks (tasks that will make you less money than other tasks). 3. Clear communication with your clients and team. A lot of profit falls through the cracks if you aren't clearly communicating expectations. 4. SOPs - Standard Operating Procedures make it easier to outsource and save a ton of time. When your team saves time, you save contractor expenses. 5. Tracking KPIs - Key Performance Indicators. These are your metrics and these numbers supplement your bookkeeping. Your books tell you what's happened and your KPIs tell you where there may be issues so you can anticipate your numbers next month. This might look like sign-ups, email opens, conversation rates, etc. Inside Profit Rx I teach this system to streamline your business. When you're working with others, especially if it's remote, a project management system really helps create cohesion and consistency as you're working together virtually. ⭐️What's a virtual assistant, and do I need one? If you're someone who doesn't necessarily need a full-time employee, but are seeking some help in managing your calendar and other tasks, an executive virtual assistant can work for you. Your company can either be in person or remote, it doesn't matter - a virtual assistant can help both! A couple of years into wedding photography, there was a big buzz around pre-wedding gifts and fluffing up the client experience. The problem was that I ended up spending a lot of time figuring out what to put in the gifts, shopping, and packaging everything up. Then, remembering to send them. It all added up to making way too many low-impact decisions, which limited the high-impact decisions I could make that day. The solution to decision fatigue is SOPs - Standard Operating Procedures. By establishing a procedure for your repeatable processes, you minimize your decision making because the small decisions are all made ahead of time. There are only a handful of tasks that only you can handle. The rest could be automated or delegated. The 6 most impactful SOPs in a business are: Overall project workflow so you don't have to try to remember what comes next Sales process - questionnaires, scheduling links, welcome kits, consult checklist Getting paid - contracts, invoices, and following up if someone doesn't sign Keeping track of tasks - sticky notes won't cut it! Yearly planning workflow - set goals for the year and each quarter, review previous goals, and dissect why they were or weren't met Keeping track of finances - at the very least, a profit and loss spreadsheet This is all part of putting your big kid pants on. Much has been written and available about the necessity for position descriptions and what is the right format. Here is the difference we bring to the feast - the most important element of position descriptions is it must be process based. Show Objective Given a complete set of process maps and standard operating procedures, you will create a position description that is challenging, accurate, and enables job fit - right person in right role. EPISODE 53: Summary Most businesses create organizational charts and write descriptions based on the function. You work in finance or service and describe the job within a silo; we know different. All businesses are processed based, which leads to a different orientation to work. Instead of fumbled handoffs between departments, everyone is focused on making things better and faster than the competition, which leads to higher quality and better margins. Based on your work building value maps of each process and then creating SOPs (Standard Operating Procedures) each position is nothing more than a list of those responsibilities. This is essential in smaller businesses that cannot afford over staffing, defects, and poor margins.

Right off the start of this Podcast, I want to point out something I've said on many previous ones before it - and that's that talking about current topics goes against maintaining an evergreen framework. The non evergreen elephant in the room is the Coronavirus Pandemic that's occurring in the world right now. If someone is listening to this Podcast in the future - hopefully the Coronavirus will have had a vaccine developed that keeps it at bay and/or it's been eradicated altogether - and it will no longer be a timely subject. What WILL be timely, and the reason I continually bring it up - is how we choose (Or chose) to react to it. In the first part of this Podcast I mentioned how our country is still in the grips of the Coronavirus Pandemic - and brought up a couple quotes of how notable people in history dealt with adversity. The question is, will Safety Teams and facilities focus on the downsides of this this situation - or will they use it as a learning experience of how to make things better going forward? Whether you were fortunate enough to be considered essential and allowed to remain in operation - or when you return from the shutdown you've been in - take the time to implement 6S Methodology. Sort, Set In Order / Straighten, Shine, Standardize, and Sustain for Safety. Of course you'll be implementing and training on proper and heightened hygiene and social distancing - but don't stop there. Play chess instead of checkers. What I mean by that is thinking several moves ahead. Look for potential hazards before they occur. Think about how your facility would react to a fire, tornado or storm, gas leak, or shooting. Put yourself in team member or staff's work area and see if they have everything they need - and/or things they don't. And anything else you can think of doing that will improve your facility. If you're an entrepreneur, hiring a virtual assistant is a great path to freedom but you have to do it the right way. It's about having constant communication, clear expectations, and many more. That's why in this episode, I have my own VA, Bobbie Clark, to be on the show to share how to have a successful working relationship with your virtual assistant. We share our method on how we document our business processes or SOPs (Standard Operating Procedures) properly and how to properly hand off these tasks to a VA to ensure the tasks are done successfully so you can focus on the "$10,000 per hour tasks" in your business. Show notes: [03:10] How Bobbie got into becoming a VA Prior to becoming a VA, Bobbie has been working as an Executive Assistant while her husband is in the army and they move around every 3 years. She decided to step back and settled with her kids. She searched for some virtual work and worked at ChatterBoss for 2 years where she can still do what she loves while working virtually. [05:46] If someone has never worked with a VA before, what should they be prepared for? Communication is the key point in building a relationship with your VA. Expect to chat with your VA every day It may be hard to let tasks go if you've never worked with a VA before. Let the VAs know what's in your head so they can identify the tasks, and bottlenecks that are holding you back. [09:25] What kind of guidance should an entrepreneur give to a VA? It's really important to give a pitch of your business for them to know how they can support you. Get the processes out of your brain and share it with your VA. Start with one task and use it as a practice run with your VA to make sure all the necessary steps and resources are given and to see what a true given successful task looks like. [13:50] How to start documenting Standard Operating Procedures Start with basic tasks (making payments, sending invoices, etc) and write it exactly how you do it step by step. Do a screen-record of how you do a specific task or process because it will show the intricacies that might not be able to be properly conveyed if the tasks will just be written. Give your VA time to master the first tasks and they'll eventually match the time and quality of how you do those tasks. In my experience, I record a screencast of a specific task and I'll have Bobbie create an SOP based on it. [24:50] The difference between a good and bad VA It's very important that a VA should adjust to how you work. Set the expectations that you have for the VA to accomplish. If you're seeing errors with tasks, take the time to let your VA know and address the issue. If you're still seeing issues, look for other options. [32:26] What are the indications that an entrepreneur might need to hire a VA If you want to focus on expanding the business while not sacrificing the quality of communication that you have with your current clients. If you have an expanding to-do list in your business where it's already taking your personal time. [43:30] What do you wish that entrepreneurs knew about working with a VA VAs are here to make our lives easier and they want to take things off your plate. It takes time for a VA to master every process that you want to handoff. Set time-bound goals with your VA so you can both identify where you want to be at a specific date.

Freiheit heißt sich selbst zu organisieren Ein Digitaler Nomade sein heißt nicht nur Morgens in der Hängematte seinen Laptop aufklappen, sondern Selbstorganisation wird immer wichtiger. Und viele Prozesse und Arbeitsabläufe werden in SOPs Standard Operating Procedures dokumentiert. Virtuelle Assistenten Dann kommt auch gleich der nächste Hebel, eine Virtuelle Assistentin. Marcus setzt auf deutsche VAs (Virtuelle Assistenten), die sind zwar deutlich teurer als Inder, können aber deutsch und sind zuverlässiger. Personal Branding Dann ging es noch kurz um das Thema Personal Brand und braucht man sowas als Freelancer und Digitaler Nomade? Die Antwort kam schnell: nein, nicht unbedingt, es kommt immer drauf an, was man machen möchte. Alex wants to stress the importance of creating systems in your business. When you have good systems in place, anybody can take a look at your business and fit right in. Alex talks on how you can put effective systems in your business and why you should always document the process and make sure it is still up-to-date three months later. Systems help make sure you're on the same page with your team and it also gives you a way to take yourself out of the picture.
