I love a hot productivity hack, especially when something insanely simple turns my workflow and my team's workflow into a seamless symphony of efficiency. Ha, yeah right! I start out with the best intentions of staying on top of my productivity game and being digitally organized but honestly… I'm hiding an horrendously monstrous downloads folder, an occasionally dishevelled desktop and a chaotic popping inbox that accumulates faster than mogwais turn into gremlins. It's like the downloads folder and inbox are the evil digital spawn of every online entrepreneur. They start out as a perfectly innocent clean slate…but before you know it those daily downloads, screenshots and files end up wreaking disorganized chaos all over your desktop… Taunting you with those best intentions that you never got back to doing anything about. If you'd love a better way to tackle your digital filing you're going to love this episode with Dara Sklar, a Google GSuite expert withdara.com. Dara shared three (3) of her most ‘life-changing' Google hacks with me and they blew me away! I wish I'd known about them before! What I love about the hacks is they're so simple and just make practical sense. As an online entrepreneur herself, Dara understands how to make organizing and maintaining files simple using the power of Google's GSuite features, so you avoid a digital filing nightmare and creating a to-do list you never get back to. The best part is you'll protect that precious time and energy to stay focused on your business. Trust me you need these hacks, head over to listen to this episode of Online Confidential here!

What is the path forward for this podcast? As you may have guessed by the new name - we are going to be covering development and client-delivery across all the latest SaaS product offerings from Citrix (as well as any non-SaaS Citrix products that you should be knowledgeable about). I promised it won’t just be me talking the whole time. As in the past, this podcast is also not a self-promotional one. We are going to be delivering value directly to your ears with technical topics, innovative use cases, and discussion with engaging guests. Our main topics will be centered around all the latest in Citrix SaaS-based offerings. There will be many episodes dedicated to Podio (it still will be a HUGE part of the podcast), Workspace with Intelligence, Wrike, and ShareFile/RightSignature. We’ll also be touching on the most popular integrations that all of our clients desire: Office 365, Google GSuite, SAP, Salesforce, and other popular SaaS software that all of our clients desire to integrate. We are also going to be taking brief glimpses into Citrix’s classic non-SaaS offerings but will stick mostly with virtualization product families. In the category of topics will be CVAD, ADC/SD-WAN, and Citrix Analytics will also making the show at some point. These are wonderful additions to any Citrix Development practice. Technical topics will be around designs in the no-code/low-code interfaces, JavaScript and PHP examples for Podio Workflow Automation use cases, and a little bit on APIs and how to utilize them in several of the Citrix products.Business topics and customer use cases will be sprinkled in throughout the season. The Podio community has been solving our client’s workflow conundrums and also designing the sometimes outrageous automation desire for years. We’ll discuss our journey of how we brought our non-Citrix integrations to the Citrix Ready marketplace and how you can too. We’ll share our process on what it’s like to compete in Citrix Hackathons and why you should rise to the challenge too. You’re going to be hearing from the talent of the Brick Bridge Consulting Team about all these topics and our successes and obstacles, past and present. We’ll be bringing on others from the Citrix Developer community - familiar names and new ones - to talk shop about their overall experiences with delivering Citrix solutions. We also plan to have a few select vendors and ecosystem resources on to give an inside look at how their services can help grow your business without being a total sales pitch. Lastly, we want YOU to be on the podcast - through your messages, issues, topics, or whatever you can throw at us. Support the show (https://www.buymeacoffee.com/brickbridge)

Google, and Head of Workspace, Javier Soltero (former VP of Office Product Group at Microsoft), understand that Google must continue to innovate, integrate their productivity and collaboration tools, and craft new editions in order to have a better chance to take market share from Microsoft and keep Slack out. 17 Years - Think Cloud - Once we were seventeen years old, our story got told......... We celebrate our 17th anniversary of being in business this month. To commemorate this outstanding achievement, co-founding directors Scott Clark, Leon McQuade and Chief of Operations Dean Bulfield have sat down together to record a podcast covering the trials and tribulations Think Cloud has faced during its 17 years in business. Think Clouds success is built on earned knowledge acquired over the past 17 years helping Local Government, Education, Ministry Of Defence Supply Chain, Manufacturing, Engineering, Financial, and Charity sectors, succeed through digital technology. Think Cloud started small as a Hull IT Support company. 'Scott had a desk.' Dean recalls, 'and I think the day I started, I had a laptop, pen and paper.' The room itself they began working in was similarly bare, as the team remembered 'no windows, no nothing'. In today's economic market, being in business for 17 years is no easy feat. In the past 17 years, Think Cloud has successfully navigated the double-dip recession and are now facing the 2020 COVID-19 recession. On their success, Scott confirms that 'Yeah, we always do our best by the customer.' It is this dedication to their customers that have allowed Think Cloud to grow into the company it is today. Scott explains their company ethos in more detail, stating 'we'll always want to be the best, but we also want to be the best for the customer, we want to be their partner, we want to move the customer forward. We want to see a customer grow; we want them to be a success.' Leon describes his and Scott's first encounters, telling the story of what it was like to be a customer of the, then Virtual Networking. Recalling a time he refused to accept Scotts advise when he wanted to use G Suite to digitally transform a company founded way back in the 1940s. Scott adding " he wanted me to migrate him to Google G Suite and Xero and to add he told me a week before Christmas. Back then, we were Microsoft; it was what we know and what everyone was using, not GSuite." Leon Admitting he needed to call upon Scott and Dean to rescue him when he took it upon himself to migrate the business anyway. Admitting "moving to the Cloud, I got it wrong. It was chaos. But what I would say is, you've always had my back, and you sorted everything out in the background, and you got everything I lost back up, and you got it working. The technology-enabled us to communicate quicker, improve on costs and productivity, make decisions quicker. Which resulted in an eight-figure growth and allowed expansion with an international reach that stretched as far as Europe, America and the UAE" It is not just the company ethos that has made the company what it is today, and it is the relationship, dedication and passion of the Think Cloud team. Dean admits that recruitment was of vital importance to Think Cloud. From their early days, revealing 'I think it just takes one bad employee within an organisation to disrupt the full team…and that for me is the culture [of Think Cloud], the team, we're all there to help each other grow, and we want to be winners. That's what I love about working for Think Cloud'. Scott echoes this sentiment on this week's special anniversary podcast, stating 'we always have each other's back as customers and obviously as friends.' This week, Mark Mirchandani and Priyanka Vergadia learn all about Cloud Audit Logging with fellow Googlers Philip O’Toole and Oscar Guerrero. Our guests explain the importance of Cloud Audit Logs to keep track of your GCP resources so you know who, what, where, and when things were done. Our guests explain the types of logs GCP offers and why each is important for security. The interview continues with a discussion the various other benefits of audit logging, including proof of compliance and measuring of risk. Because audit logs have the ability to create more data than some businesses can use, Philip and Oscar help our listeners understand how to choose the correct logging services for their needs, and we learn how Cloud Logging can help users digest their data. Philip describes how audit logs and event driven systems can benefit businesses, explaining how event driven systems can be built and pushed with GCP. Oscar continues the conversation with audit logging in G Suite. The Cloud Logging team is continuing to expand offerings, so be on the lookout! Philip O’Toole Philip O’Toole is an Engineering Manager at Google Pittsburgh, leading development teams working on GCP’s Cloud Logging Platform, including Audit Logging. Prior to Google, he led development teams at InfluxDB, Loggly, and Riverbed Technology. You can find him on the web. In this episode, Gordon dives deep into the systems and processes it takes to run a private practice. No matter what size your practice is, you will want things to run as smoothly as possible. A few ways to ensure your practice is running smoothly is by automating specific administrative tasks. Plus, you'll need to consider where and how you are storing all your documents and information. Later, Gordon dives deep into the benefits of using G-Suite and how to ensure your practice stays HIPAA compliant. Systems and Processes Systems and processes are what happens when you receive a client's call until the time you discharge them. Particularly on the back-end in terms of the clinical documentation and the administrative functions. For example, when you get a new client, you'll probably give them some paperwork or forms. We need to do that, just legally and ethically have them sign forms, understand their HIPAA privacy policy, understand their fees, and the risk involved in doing therapy. Especially with teletherapy, our clients need to understand the risk of doing virtual therapy. In addition, we have that whole moving piece for those of us with insurance-based practices. We are checking benefits for their insurance and then filing the claims. So, when I say systems and processes, it means all of those things that occur outside the therapy room in terms of documentation and administrative functions. When starting in private practice, all of those things can be overwhelming, particularly in the beginning. A lot of people are not sure how to pull all that together. Regardless of the size of your practice, you want those things to run smoothly. Divide Your Tasks So the first thing that I think is helpful is to divide things into what I think of as clinical functions versus administrative functions. So, you've got your progress notes and session notes, your treatment plans, your discharge plans, all of that kind of documentation that we keep for our patients. Those are the clinical functions, and that's the stuff that we really have to focus on keeping protected and confidential. These things are commonly referred to as personal health information. The administrative side includes tracking things like where your money is coming in and coming out from. Plus, it would help if you had a marketing plan and a business plan. Those things are all administrative functions. HIPAA HIPAA comes in around our clinical functions. A lot of times, we can make HIPAA much more complicated than it is. If you want to keep paper records, which there's nothing wrong with that, then HIPAA doesn't apply other than keeping it under a double lock. With analog paper records, you can quickly run out of space. I have moved to pretty much paperless office now and any documents we get, we either scan them and convert them, or we put them into an electronic health record system. Also, we use our Google Drive, which is HIPAA secure. I make it a policy within my practice that the only thing that I'm going to communicate with a client by email is just something around appointment times and changing appointments and sending out initial paperwork. I'm not going to use email to address clinical issues as I would in a session. So in that sense, you're keeping things a little more private. Using G-Suite You cannot make your regular Gmail account HIPAA complaint. Instead, you need a G-Suite account. G-Suite allows you to change the email name from @gmail.com to @yourcounselingpractice.com. Plus, when someone emails you, it is handled through the Gmail app, it's just like using the free Gmail app. Also, you get the benefit of having HIPAA secure emails. G-Suite allows you to create all sorts of cool things with it. Google Drive is one of my favorites because it comes with cloud storage. Cloud storage is much better and more secure than storing stuff on your computer. If you're storing things on your computer, there is always the potential for someone to hack into it. Also, you could lose your computer, or it could crash. However, if stored in the cloud, you will always have access to it, and you will always have a backup. Plus, Google's security will be better than anything you can put on your computer; they depend on it. Most people are familiar with Google Docs and Google Sheets. The biggest nugget for private practice owners is Google Forms. It allows you to track how many sessions you have per week and the average session rate. This dashboard can be done on a Google Form – it will automatically put the information from the form to the sheet. This way, the data can be manipulated. If you get creative, there are lots of different ways you can set up systems and processes using Google G-Suite. Electronic Health Records System An EHR is a way to go! That way, you can file all your claims electronically. Plus, it makes things a lot more automated. Most EHR systems will track the money you make from clients. However, it doesn't necessarily have a function to track business expenses. Instead, you'll want an accounting and bookkeeping system. Keep in mind that QuickBooks is not HIPAA secure. Therefore, do not put any health information or client information in the accounting system. When you have a client, do not write their name in the accounting system, write that you received payment from a client. You can use your client's name in an EHR or on Google G-Suite. Javier Soltero, the General Manager and VP of G Suite at Google, recently reported that Google now has 6 million paying business customers. In February of 2019, Google had 5 million paying users and 4 million the year before. Announcements like this further demonstrate the success Google is having in penetrating businesses and gaining adoption. Microsoft is also well aware of Google’s success and has been approaching their base of customers and doing whatever they can to keep Google out. In this podcast, Adam Mansfield, shares his perspective on what this all means for enterprises and what you should expect from Google and Microsoft moving forward.
Guest’s Background: Jon Ferrara has been recognized for pioneering innovation in the customer management category. He’s the founder and CEO of Nimble, an award-winning social sales, and marketing CRM for individuals and teams. It’s Ranked #1 in Overall Satisfaction by G2 Crowd and integrates with Microsoft Office 365 and Google G Suite. Learn more at Nimble.com. Ferrara was the creator and co-founder of the award-winning customer management product GoldMine. In 1999, Goldmine got acquired by FrontRange and Ferrara left to pursue other interests. During those years, Ferrara continued to watch the CRM market. He saw that most of the CRM products that were serving small businesses moved upmarket (and became more costly and complex) or fell by the wayside, leaving the market underserved. Description Picture this: it’s the middle of the night and you are thinking about how to make tomorrow’s lesson more engaging. You turn to the internet and search through endless lesson ideas and you find that perfect gem, that perfect idea. All you need to do is download a new application that can be downloaded from the internet or the App store. You download it and start using it with your kids. Kids have to go in and create an account. It took two minutes because they used their Google or Office365 authentication credentials and they are off and running. Awesome, right? Well … today’s episode is all about all those little apps, software downloads and hardware that make your IT department’s blood pressure rise. It is called Shadow IT. Lessons Learned Dennis - I will make the world’s worst Secret Santa Daniel - VLC for Mobile is awesome - Share video files over IP address and create playlists. Chris - Recording feedback is faster than writing feedback, and the kids actually listen! Fun Fact A standard “trick” used by telephone tech support people in the 1990’s was to tell you to defrag your hard drive. This gave them up to an hour of time to stall until they could come up with an actual solution to your problem. Notes & Links Shadow IT is the term for hardware, software and applications acquired by an organization’s users without going through the IT department. Gartner Research says 40% of all IT spending at a company occurs outside the IT department. Make Sure to Vet Educational Apps Teachers don’t think they can get the apps they need through official channels in a timely manner. Strategy: districts can perform their own vetting of in-demand applications. This can be as simple as ensuring the apps come from a reputable source and offer reasonable security and privacy protections for user data. Educate Users on Shadow IT Risks An attacker could create a fake application or add hidden, malicious functionality to a good application. When users install the app, they inadvertently install malware on their device. Now the attacker has full access to the users’ data and devices, and can use that access to attack and compromise other district systems. It’s hard to get buy-in on security and privacy risks There’s no way the district can be responsible for supporting every product and service people find on their own, Enforce Network Access Restrictions One option is to configure network security technologies to prevent the use of selected shadow IT cloud-based services. Solution: It’s also possible to restrict local apps on devices issued by the school district. For example, mobile devices can be set up to download software only from app stores the district has approved. Use Security Controls to Monitor for Threats Monitor web traffic, email and other forms of communication to stop users from accessing malicious websites, domains and other internet-based resources. Implications Besides security risks, some of the implications of Shadow IT are: Wasted time Shadow IT adds hidden costs to organizations, consisting largely of non-IT workers in finance, marketing, HR, etc, who spend a significant amount of time discussing and re-checking the validity of certain data, setting up and managing systems and software without experience. Inconsistent business logic If a ‘shadow IT’ spreadsheet application encapsulates its own definitions and calculations, it is likely that over time inconsistencies will arise from the accumulation of small differences from one version to another and from one group to another, as spreadsheets are often copied and modified. In addition, many errors that occur from either lack of understanding of the concepts or incorrect use of the spreadsheet frequently go undetected due to a lack of rigorous testing and version control. Inconsistent approach Even when the definitions and formulas are correct, the methodology for doing analysis can be distorted by the arrangement and flow of linked spreadsheets, or the process itself can be wrong. Wasted investment Shadow IT applications sometimes prevent full Return on investment (ROI) from investments in systems that are designed to perform the functions now replaced by Shadow IT. This is often seen in Data warehousing (DW) and Business informatics (BI) projects, which are initiated with good intentions, where the broader and consistent usage of DW and BI in the organization never really starts off. This can also be caused by management failure to anticipate deployment, licensing and system capacity costs when attempting to deliver DW & BI solutions. Adopting an internal cost model that forces potential new users of the DW/BI system to choose cheaper (shadow) alternatives, also plays a part in preventing successful enterprise implementation. Inefficiencies Shadow IT can be a barrier to innovation by blocking the establishment of more efficient work processes. Additional performance bottlenecks and new single points of failure may be introduced when Shadow IT systems layer on top of existing systems. Data might be exported from a shared system to a spreadsheet to perform the critical tasks or analysis. Higher risk of data loss or leaks Shadow IT data backup procedures may not be provided or audited. Personnel and contractors in Shadow IT operations may not be put through normal education, procedures or vetting processes. Originators of Shadow IT systems may leave the organization often leaving with proprietary data or leaving behind complicated systems the remainder of staff cannot manage. Barrier to enhancement Shadow IT can act as a brake on the adoption of new technology. Because IT artifacts, e.g., spreadsheets, are deployed to fill critical needs, they must be replaced carefully. But lacking adequate documentation, controls and standards, that process is slow and error-prone. Organizational dysfunction Shadow IT creates a dysfunctional environment leading to animosity between IT and non-IT related groups within an organization. Improper motivations behind Shadow IT efforts such as seeking job-security (i.e., "Bob is the only person with this data," or "What will happen if he leaves?"), data hoarding, self-promotion, favor trading, etc. can lead to significant management issues. A 2015 survey of over 400 global CIOs showed 90% of CIOs worldwide find themselves by-passed by line of business at least sometimes. One third (31%) of CIOs globally are routinely side-lined when it comes to making IT purchasing decisions. Effect on IT Departments According to Gartner, by 2015, 35 percent of enterprise IT expenditures for most organizations will be managed outside the IT department's budget. Examples: Examples of these unofficial data flows include USB flash drives or other portable data storage devices, MSN Messenger or other online messaging software, Gmail or other online e-mail services, Google Docs or other online document sharing and Skype or other online VOIP software—and other less straightforward products: self-developed Access databases and self-developed Excel spreadsheets and macros. Security risks arise when data or applications move outside protected systems, networks, physical location, or security domains. A 2012 French survey [5] of 129 IT managers revealed some examples of shadow IT : Excel macro 19% software 17% cloud solutions 16% ERP 12% BI systems 9% Websites 8% hardware 6% VoIP 5% shadow IT support 5% shadow IT project 3% BYOD 3%. Another form of shadow IT comes by way of OAuth connected applications, where a user authorizes access to a third-party application via a sanctioned application. For example, the user can use their Facebook credentials to log into Spotify or another 3rd party application via their corporate cloud app (Google G Suite or Microsoft Office 365). With this access, the 3rd party app may have excessive access to the sanctioned app, thereby introducing up unintended risk. Happy New Year! In this episode, Gordon talks about setting goals, specifically SMART goals. Plus, Gordon reveals some useful tips when thinking about your annual goals. For instance, make sure to write down your goals, look at them often, and reassess your goals each quarter. In order to accomplish your goals, ensure you have the most helpful resources and tools to set yourself up for success. Writing Down Goals Currently, Gordon writes down his goals using the Full Focus Planner. You do not necessarily need a planner to write down your annual goals. Gordon started thinking about his goal-setting by writing them down in a blank journal. We have a 40% greater chance of reaching our goals just by writing them down. Think about your goals for the year and write some things out. Gordon says even to write them out using longhand. It causes us to think about things differently. Once you write down your goals, you will need to look back at them throughout the year. SMART Goals SMART stands for specific, measurable, attainable, relevant, and time-specific. The goal must state what is to be achieved. When you are setting a goal, make sure it's not too ambiguous. For instance, if you wanted to lose weight, the goal needs to be a specific number. In private practice, owners wish to achieve the goal of getting more clients. Again, you need a particular number of clients you are hoping to bring in. For instance, you can say you want to get ten new clients each month. When we set goals, they need to be realistic and attainable. A goal is much better if you give yourself a deadline. Think about why you are in private practice. Are your goals going to help produce the lifestyle you want to have for yourself? Get the SMART Goals Worksheet. Accomplishing Goals What tools are you going to need to reach your goals? Gordon uses a planner to help him reach his goals. Other tools could be software, automation, or people. Draw on your resources. Gordon switched from contractors to employees – he was able to make that switch by consulting with people. Get feedback from others about your goals. Telling others about your goals will also help keep you accountable. Keep Yourself On Track Gordon uses a planner and Google G-Suite to keep him organized. He tracks the number of phone calls and conversions in G-Suite. The more data you have, the better you can measure your goals. Also, we have the ability to change our goals if we need to. Look at your annual goals once a quarter and think about what needs to be replaced. Have a way to track your goals and hold yourself accountable. Another way to stay on track is by taking small steps. Think about the individual actions that you need to take to reach your goals. In this episode, Gordon describes the inspiration behind his Session Note Helper – it was created to quickly write session and progress notes while using standard phrasing menu items and checkboxes. Gordon also explains the tools on G-Suite and how therapists can use G-mail and still be HIPAA compliant. Later, Gordon discusses the importance of connecting with people and some of his favorite highlights from Killin'It Camp. HIPAA HIPAA stands for Health Insurance Portability and Accountability Act. Most of us forget what this actually means. Typically, we think of it as a big brother force that is always ready to slap us on the wrist. Gordon was looking for a way to send an email that was HIPAA secure. HIPAA requires a BAA (Business Associate Agreement). After doing some research, Gordon realized you could get a BAA from Google. However, you have to get the paid version of Google. At that time, it was called Google for Work – now it's titled G-Suite for Business. The price point is very economical. G-Suite Gordon got the BAA from Google and was able to use the URL for his business as his email address. It costs $6 a month for the basic version and $12 a month for the more advanced version. >>Sign Up Here>Get the FREE Financial Analysis Guide

Zero Trust Security - the concept of "never trust, always verify" - was a term coined by Forrester back in 2010. However, with the prevalence of data breaches today, this concept has taken on a larger role and interest among companies when it comes to security. Furthermore, most data breaches are found to be caused by internal threats and human error. This means companies must not only be monitoring for threats outside of their organization, but also internally. A couple of Gartner's Top Security Projects for 2019 include detection & response, and cloud access security broker (CASB). This should come as no surprise as companies continue to adopt SaaS applications and need AI/machine learning to keep up with the monitoring of all their users and data. A recent Capgemini report also found that 61 percent of enterprises can't detect breach attempts without AI. Machine learning helps companies protect against hackers and account takeovers by knowing locations, devices, IP addresses and times of a typical employee logging into a company's SaaS application, which provides valuable insight regarding unusual account behavior and can be a sign that a user account has been compromised. Machine learning can also help companies understand who exactly is accessing company documents, who the documents are being shared with, where the documents were downloaded from, who is modifying the documents and more. I invited ManagedMethods CEO Charlie Sander onto my daily tech podcast to discuss this topic further. ManagedMethods, is a leading provider of cloud application security solutions for mid-market companies, K-12 school districts and local governments. ManagedMethods provides an award-winning solution that empowers organizations with full and continuous control of cloud application data, including Google G Suite and Microsoft Office 365. ManagedMethods' API-based cloud security solution helps organizations gain data security against internal and external breaches by leveraging AI and machine learning-powered threat detection.

Alphabet, Google’s parent company, recently reported Q2 FY19 earnings and shared a very interesting bit of information; Google Cloud’s annual run rate is now $8B. The last and only time Alphabet shared Google Cloud’s annual run rate was in February of 2018 when it was $4B. In this podcast, Practice Leader, Adam Mansfield, discusses how they achieved this impressive growth in such a short period of time and covers what enterprise customers should know (and expect) if they are considering Google Cloud Platform (GCP) or contemplating a move from Microsoft Office 365 to Google G Suite.
Business Owners, IT Professionals and Entrepreneurs - what is Gmail Confidential Mode? You may have received an email from Google / GSuite lately regarding Confidential Mode. The subject is - [Action Required] Gmail Confidential Mode launching default ON for your domain The body reads: What do I need to know? When Gmail messages are sent in confidential mode, it helps protect from unauthorized access and recipients don’t have the option to forward, copy, print, or download their content or attachments. Senders can also set an expiration date for messages sent with confidential mode and revoke access to them at any time. What does this mean for my organization? From June 25, your users will have the option to send emails with confidential mode, unless you disable this feature. As an administrator, you can determine whether your users can use confidential mode by selecting from the following setting options: Disable: This option prevents users in your domain from sending emails with confidential mode. Enable now (beta): This option will enable confidential mode, which is currently in beta. However, the feature will remain enabled when it enters into general availability on June 25, 2019. Enable when the feature is in general availability: This is the default option and will enable confidential mode when this feature becomes generally available on June 25, 2019. What do I need to do? Please ensure that you select the appropriate option in the Admin console for your organization before June 25, 2019. You can find this setting in the Admin console by navigating to Apps - G Suite - Settings for Gmail - User settings If you do not take action before June 25, your domain will automatically have confidential mode turned on for your users, meaning that users will have the option to send emails with confidential mode. My contacts and our clients at Data Driven Design have a history of getting confused by messages like this from Google / GSuite - and rightfully so. The most recent example is what happened with Google Groups. Well, I try to stay ahead of these things and help you, answering your questions before you even have them, so here goes. Please watch the video / listen and let me know if this helps! --- Support this podcast: https://anchor.fm/paulhickey/support
In this episode, Gordon talks with Dr. Tara Vossenkemper about how to know what you are doing as a clinician is working. Tara recently started a group practice and looks at lots of different numbers to determine how the business is operating. Also, Tara and her clinicians use multiple different methods to determine if their clients have valuable experiences during therapy. Stay tuned to hear about anonymous feedback surveys, DAS screening, Outcome Rating Scales, and Session Rating Scales. Meet Tara Vossenkemper Tara Vossenkemper is the owner of The Counseling Hub, a group practice in Columbia Missouri, a clinician within her practice, and a burgeoning private practice consultant under her own name [www.taravossenkemper.com]. Clinically, she is heavily invested in working with couples and relationships, as well as existential crises. She's also really into the business logistics of running a group counseling practice and constantly strives for improvement. Tara takes very few things seriously in life, with the exception of her clinical work, the health of her practice, the growth of her clinicians, and helping other practices flourish. Measuring the Group Practice Tara has seven clinicians and uses the 1099 (contractor) model of hiring people, although she would like to switch to a W-2 (employee) model. She specializes in couples work, marriage counseling, and existential crises. Tara does not have KPI's (key performance indicators) in mind. Some things that she does pay attention to are conversion rates, number of sessions, number of cancellations, attendance rates, retention per clinician, gross revenue per clinician, and profit per clinician. Dashboard Tara started with an Excel spreadsheet and would track on her KPI's. Her Excel sheets automatically do the calculations on their own like averages, running totals, and quarterly totals, whereas initially, she was counting everything up. Now she is using Google Sheets because they allow you to import cells from other sheets. Tara can spend hours working on the dashboard, it's fun! Gordon says you can create a Google form that will automatically populate to a Google sheet. The Google sheet will then do the calculations for you. These are some of the favorite tools that come with Google G-Suite. Measuring Efficiency Tara assesses whether or not her clinical work is effective by doing check-ins with her clients. She asks questions such as: How is it working for you? How are we doing? Are we a good fit for each other? She has these obvious and essential conversations with her clients to ensure they are working well together. Anonymous Feedback Surveys Tara has also started implementing anonymous feedback surveys. They send out surveys after the intake sessions and after the termination of sessions. The first leg is focused on the clinician and asking questions like if they are safe and heard. The termination survey is about the clinician and also the effectiveness of the therapy. Did the client get what they came for? DAS Screening Giving clients a DAS (depression, anxiety, and stress) screening is part of their intake. It is not a diagnostic measure, it just a screening tool. Not only do they use the screening at intake, but they use it for follow-ups at three and six months. Ideally, in therapy, the depression, anxiety, and stress numbers should be decreasing. ORS and SRS In addition, Tara and her clinicians use an Outcome Rating Scale (ORS). It helps them determine how the client has been feeling and how well they have been doing in certain areas of their life. For instance, the client determines how they are doing individually, interpersonally, socially, and overall. They will also use a Session Rating Scale (SRS) that determines how well they related with the clinician. The sheets were created by Barry L. Duncan, Scott D. Miller, and Jacqueline A. Sparks. Low Scores Tara is pretty particular about what people they bring on as clinicians. Very rarely do they have concerns on session rating scales. If they get a low score, you can help that person develop as a clinician and deepen their interactions with clients. You also want to be thinking about if the person is working with the right clientele. Perhaps you are setting them up with someone who has other needs than what the clinician provides. Avanan is an enterprise cloud-native security firm that earlier this year raised $25 million in Series B funding from existing investors StageOne Ventures. But, recently the company also released its Global Phish Report. The report analyzed 55.5 million emails sent to organizations using Microsoft Office 365 and Google G Suite. The study reveals that 25% of phishing emails bypass Office 365 security, using malicious links and attachments as the main vectors. Other concerning findings include that 33% of emails containing a link to a site hosted on WordPress and 98% of emails containing a crypto wallet address are phishing attacks. These numbers are likely to increase as hackers design new obfuscation methods that take advantage of zero-day vulnerabilities on platforms such as Office 365 and G Suite. Over the past decade, phishing attacks have become the most widespread digital threat to organizations around the globe. For most organizations, phishing is the number one email security threat, outranking both malware and ransomware. These attacks are becoming increasingly sophisticated and difficult to detect, even with the aid of artificial intelligence to support the effort. Employees are bombarded with spear phishing, extortion, credential harvesting, and malware attacks. The cloud email platforms by themselves cannot reliably block emails containing malicious language, links, or attachments. Gil Friedrich, CEO at Avanan joins me on my daily tech podcast to talk about everything else the report uncovered.
In this epic episode, Shane and Todd talk about "kids these days" and the effect they are having on everything from how SharePoint is organized to break new cell phones. Do you know what data they share? It may surprise you. For all this and more tech tips, news, and updates visit - CraigPeterson.com --- Transcript: Below is a rush transcript of this segment; it might contain errors. Airing date: 04/27/2019 Driving A Tesla Increases CO2 Emissions - Sen Hassan Aid Stole Gigabytes Of Data Craig Peterson 0:03 Hi everybody. Craig Peterson here. We're about to get started with another one of our Saturday shows heard every Saturday morning here on these iHeart Radio broadcast channels. Yes, terrestrial radio. And I also have it out online. You can find it all at http://Craig Peterson.com. Well, today we are going to be covering a couple of articles that I think might be a bit of a surprise to you. One of them has to do with green cars. Now, if you've known me for a long time, you know that green cars aren't green. But but there's a study out we're going to talk about that yet another study, remember the one that said that the Hummer H2 was actually, no it was the H1 was actually greener than the Toyota Prius, while the new study up right here in New Hampshire, that's where I'm located Senator Hassan, her aid, stole gigabytes of high-value data. So we'll talk about that. And what happens when a business or in this case a government agency, has one of their employees go rogue? The FBI facial recognition program is under fire. WiFi? Is it bad for your health? A new study out and a very interesting article from the Czech Republic on that. If you think that by going to the cloud, your business is going to be safe. You have another thing coming to you. New research out on that. Amazon? Wow, I can't believe they're doing this with books. You might have heard about this with 1984 that George Orwell book a little while ago. Well, there's a whole lot here we're going to talk about. And mental health apps, and what data are they actually sharing. So here we go with all of our news that's fit for today. Craig 2:02 So first up today, let's talk about driving your Tesla. Now they are cool. And I had a really interesting discussion with one of my daughters. She lives in Norway right now. She's running a huge project, autonomous ships for Kongsberg, which is just a huge shipping company. They well they make the controls and stuff for shipping. They just bought Rolls Royce marine here a few months back. And I was talking to her about Teslas because electric cars get a special subsidy in Norway. Now, here in the US, Tesla has already reached the 200,000 car mark. And the idea behind this was that they would provide, the federal government would provide extra money to help subsidize the purchase of electric cars, not just Teslas. But once they hit the 200,000 car mark, that subsidy would go away. And some of the Democrats in Congress are pretty busy right now trying to figure out how can they re-establish that deal, get that deal going again. And they may end up doing that. Well in Norway, they have similar things where the government is subsidizing electric vehicles, and to a very large point, because in Norway, right away, you don't have to pay the sales tax, which is 25% sales tax. Imagine that. And then it's a VAT, too. So it's not just the sales tax when you buy it, but there's sales tax every time a product changes hands, from manufacturing parts through distribution through the final retailer, and then you. So things are just crazy expensive there. And they have a great free market economy. Don't get me wrong, they are not a socialist country. None of the Scandinavian countries are socialist, but they are very heavily taxed and they do have a lot of government programs. So they were talking about getting rid of this subsidy, effectively a subsidy for electric cars, Tesla stock went down. And there's a lot of reasons it goes up and down, right? Well, here in the US what's the reason everybody seems to be giving for an electric car. Why do they want these electric vehicles? What's the big deal? Why does it matter? Well, here in the US, they're telling us this story that while it's more green, there's less carbon that goes into the atmosphere. And it's just it's a wonderful thing. And every Friday night, we get together all of us electric car owners, and we lock arms and we sing Kumbaya, right? And it's all because it's green. They're just wonderful vehicles. And you know that there's obviously some miss truths to that, let me put it that way. And in fact, there are there, it's just not true. And that's what the studies showing. In Norway, they're much more saying about this. And Norway, they're saying, hey, yeah, that these electric cars are not more green. But what we're trying to do is prevent the pollution in our environment, in our environment here in Norway. So we don't want these cars to, to be emitting all of this nastiness and trucks and things. We just want electric vehicles, we don't care that they're made in China and Japan, and that shipped all over, we don't care about the pollution they're causing worldwide and the fact that the recycling this stuff. It's just it's hazardous, right. But what we care about is we have clean air. Now, that to me, is a legitimate argument. I think there are legitimate arguments might be its cool technology. And the other argument might well be that you know, the air here tends to be a little bit cleaner. Now, of course, they're dumping all of the crap that there, their byproducts making these batteries in these cars. They're dumping them in the ocean in China and into the air and eventually gets here, all of this plastic in the ocean that's coming from these third world countries and communist countries that just don't care about it. Right. So this article is absolutely fascinating. And it's saying that driving a Tesla results in more CO2 than our Mercedes diesel does. So think about that for a minute. Diesel's have gotten a really bad name lately, because of some cheating that was done on an emissions test. Now, I put that cheating in air quotes, you saw that, right? If you're watching this http://CraigPeterson.com/YouTube. You saw me do that? Well, the reason I do that is the diesel's are it's a different type of emission. And when the engine is cold, they run different currently, then when the engine is warm, or when it's hot. And some of these tests that were being done by our EPA and the European Union, don't really give the diesel vehicles credit. And you know, Europe, if you've been there, if you've rented a car, even if you were driven around, you notice most of the cars were diesel, because, in fact, a lot of the gases that are emitted by the vehicles, it's better if it's diesel, it washes down more quickly out of the atmosphere. But they're worried about the nitrous oxide and some other things that can cause problems for some people. So you know, hey, I get that. So hydrogen methane technology that is being used right now in the new diesel's has made a huge, huge difference. So if you look at this a little bit closer here, I'm going to pull this article right up on the desk area go see now you can see it on YouTube on http://CraigPeterson.com/YouTube. Craig 8:02 It's touted as a zero-emission vehicle. Now we're talking about the Tesla Model 3, but in actuality, it creates more carbon dioxide dumped more into the air than a comparable diesel-powered car. And it's I love this article, when the CO2 emissions from the battery productions included, electric cars like Teslas are, in the best case slightly higher. We're talking about CO2 emissions here, in the best case, Teslas have slightly higher emissions of CO2 then a diesel engine, and our otherwise much higher and this is from a German Think Tank. And it's just absolutely fascinating here Daily Caller article that we're quoting from, and I love this picture they have of the Model 3 in the car show here in Toronto. So they looked electric car production in Germany, it's heavily reliant on coal power, we're in the US, of course, we burn coal, we burn wood, we have things that the left really hates, like, heaven forbid, we have nuclear power, which is course, frankly, the cleanest of all. And if the Nuclear Regulatory Commission, we get off of their hands, and use some of this new nuclear technology that was invented here, 30 years ago, we would be in incredible shape, there'd be almost no nuclear waste at all, because we can re-burn it and certain types of reactors and things but people just got completely scared about it. California is requiring automakers to cut greenhouse gas emissions in cars, producing lower emission vehicles buying credits, which is making people like Al Gore very rich right? At the federal level, the US government's giving you a $7500 per electric vehicle tax break. It's it just goes on and on. A study here from the University of Cologne, talking about what they found in responsible energy, which forgets it, right, and who wants responsible energy policies, it's just not out there right now. But a study released to 2018 also found that driving electric cars might come with higher emissions of diesel vehicles, largely because of the lithium-ion production. For those that are unaware. This lithium most of its harvested in Quebec, NASA uses the area for miles, hundreds of square miles around the lithium battery mine, if you will. NASA uses it for testing lunar landings because there is no life at all. And then that is shipped off over to China for pre-processing and shipped to Japan, to turn it into a type of foam, is shipped back to China to finalize the battery components, shipped back to the US to be installed in the Tesla. Think about all of the carbon dioxides from that. A Manhattan Institute study from Tony teen found that putting more electric cars on the road would likely increase emissions compared to internal combustion engine vehicles. Now, you know that I have a libertarian band. So part of my dislike of this whole thing is that you know, come on people bottom line. Why should the government be the one that's deciding that's what the next best technology is going to be? Does that make any sense to you really doesn't make any sense that the government should be deciding, hey, listen, we're going to bet your tax money on electric vehicles rather than hydrogen fuel cells or some of these other technologies that might win. Again, let the private sector decide. And this is yet another area that our government has become socialist with a government trying to control the means production, the types of production, trying to incentivize it, etc, etc, right? Stuff that I obviously just don't agree with. But I guess you guys already know that. Right? Okay. Craig 12:12 So next up, let's see if I can make this work here for YouTube. That's http://CraigPeterson.com/YouTube, I think it was this key combination. That didn't work. Yeah, I'm doing something wrong. So what I'm going to do is this, because I'm pretty sure that will work. Yes, there you go. Okay, so now you can see the article. This is from the Daily Caller, this is former senator has a son from New Hampshire, you know who she is what her one of her former aides now is in very, very much trouble. Now we know the Democrats have been, I'm going to say it, I'm going to say it out. Because this is true. They have been stupid when it comes to their IT people, they have not hired, in most cases, the people they should have hired, and we got a listener out there. So hat tip to Guy if you're listening, who have decided that because I keep talking about these problems with security, that he's going to take up a career in security. So he signed up for this six-month course, kind of getting started in cybersecurity. Once he's done with that, it'll take a year or so of him having real-life experience in it, and then he'll be really quite good. But man alive here, they missed all kinds of red flags about what this guy was doing. But here's the bottom line. This is a plea agreement that he did sign apparently extraordinary, extensive data theft scheme is what it was called. He installed keylogging devices that picked up every keystroke on these machines. So a keylogger, in case you're not aware, if you're using a keyboard, with a USB cable, and then that USB cable plugs into the back of your computer, as someone can insert on the back of that computer, one of these keyloggers and the way this keylogger ends up working is that you're typing your keys, and they're all being intercepted by this little USB device. So you might want to right away, especially if you are democrat senator, apparently, you might want to right away go and check the back of your computer and see if there if your keyboard is plugged in directly. Now, you know, if you watch for a while I use Macs, right? So here's an example of the mouse I use. And on the Mac, it's Bluetooth wireless, but it also has available here, a USB port, right? It's actually one of Apple's proprietary port. And I have the also the keyboard here. This is what I'm using on my iMac, in fact, to control the video that we're creating for YouTube on that iMac. So that's what that's all about right there. Okay, and that was really nice. It's really handy. But what Apple does is everything is super-encrypted. In fact, in order for me to configure this trackpad to my Mac, I have to plug it in via cable. It does some handshaking it automatically configured the iMac for this trackpad or this keyboard. Same things true for laptops of using external devices. So Apple has gone the extra extra mile. Craig 15:39 If you're using a regular Bluetooth keyboard like here's my other computer here. This is a standard older Mac, keyboard, and mouse I have it in the mount. So it's all together. But this uses regular Bluetooth and regular Bluetooth has encryption as well. So typically, generally speaking, your Bluetooth is going to be safer than using a wired keyboard or wired mouse because you can install these keyloggers right so that's kind of what I was getting at here. Craig 16:16 So back to our friend here at senator Hassan's office. What she did is or he did I should say is he installed these keyloggers so they usually have to come back to get back keylogger in order to read it. But remember, if you're typing on your computer, what are you typing? Oh, a username and a password. And usually, those are pretty well identifiable pretty easily identifiable. So apparently, Jackson Cosko worked with an unnamed accomplice and other Hassan employee who reportedly lent him a key that he used to enter the office at night and who allegedly tried to destroy evidence for him after the fact. So Cosko accepted responsibility for the events revealed by federal prosecutors in court last Friday. Apparently was doing it from July and October. But he really did a lot more than that. It kind of goes on here in this article from the Daily Caller, he sneaked into her office, reportedly multiple times at night gathered dozens of gigabytes of data, including usernames and passwords belonging to Senate employees, okay, like really come on guys. Tens of thousands of emails, internal documents, credit card information blog, the Senate employee social security numbers, blah, blah, blah. So be careful out there. These IT people are not what they appear to be in many cases. And of course, the huge thing with the Democrats. And I couldn't believe how they responded when it was disclosed that Wasserman Schultz's IT people had had just committed me incredible crimes all the way across the board. And she was throwing the tantrum or when they tried to investigate. In fact, I don't think the FBI ever got to fully investigate this thing. Craig 18:10 So anyhow, keep an eye on your IT people. Make sure you know who they are. Make sure they're of good character. It's easy enough to do basic background check nowadays, you can get them done for 20, 30 bucks online, just check in public record and make sure they look okay. Okay. And it's difficult. I get it. It's difficult to hire the right person. because, frankly, how do you know who the right person is? What do you know about IT? What do you know about security, it's difficult, you got to find somebody that's been in a long time. Craig 18:43 Alright, so next up, let's talk about this FBI problem here. This is from NextGov.com. I'll put it up on my screen here http://CraigPeterson.com/YouTube. Of course, you guys the audio guys listen to the podcast. And here on iHeart Radio as well. You guys are my primary audience. Okay. But if you want to see some of these articles, I put them up here on the screen. But this is huge. The FBI reportedly has ignored, for the most part, the GAO, the Government Accountability Offices concerned over its use of facial recognition technology, in criminal investigations, its new technology, its kinda neat. They can scan all kinds of public cameras and photos as well as records, the FBI has to try and find suspects and close cases. That part's fine. But apparently, what they've been doing is they're pulling from a database of more than 30 million mug shots and other photos. And while they're doing this, they're looking for matches, right? Doesn't that make sense? And they're trying to find the matches, they're trying to get the right people, but they get bad matches, they get mismatches with people who were nowhere in the area. Okay, I get that. You figure it out, right, and you take care of it. But apparently what they've been doing is they have been going after them and prosecuting and trying to get convictions. The auditors and the GAO recommended that the FBI tests the accuracy of these things at least once a year, make improvements, etc, that are very interesting. So if you're charged nowadays by the FBI or local prosecutor, what's the right thing to do? Because you weren't in the area. You didn't do it. Are they going to convict you on bad evidence now because they trust the computer so much? I don't know. Craig 20:49 Okay, so next up from the TechRepublic, we got an article about WiFi, how many people complain about WiFi saying it's bad for our health? Well, another study out and I've been saying this for a long time. And man that I feel bad one time I was keynoting at an annual event for it was for a bank. And I was their keynote speaker for their annual shareholder's meeting and talked about the future of technology. Where it's going? What's happening? And a lady came up to me and said, so what do you think about radiation from phones, from cell phones? And I said, well, you know, I've been an advanced class amateur radio operator for many, many decades. I have had a lot of radiation from these radios exposed to me, I've never had anything happen. And most of the studies that have been done about ham radio operators have said, hey, there's nothing definitive about a problem. So bottom line, you know, doesn't really matter. It's not a big deal, that you have this happening. And then she said, you know, you can see the tears welling up in her eyes. And she says, Well, I think it was her husband had been diagnosed with cancer. And they said that it was because he had the phone up to his head all the time using it at work. And that work should be paying for all this medical treatment and, and pain and suffering and stuff. And man made me feel really bad. But the truth is, there are no strong ties between these various types of radiation. And the biggest problem I think people have is a misunderstanding. We call it radiation. But this isn't x rays. This isn't, you know, the radiation you get from outer space, it is non-ionizing radiation. And radiation from a scientific definition is just energy moving through space, it's not a big deal. So these new WiFi devices that are going to be rolled out all over the country for 5G, they're going to be everywhere. And that's one of the reasons you can get such high data rates. They are everywhere. And so you're going to be close to them. Even mount them on our houses, on telephone poles are going to be just everywhere. But the RF signals, these radio frequency signals that are generated by WiFi, by Bluetooth, by your phones, in any device that's sold legally in the US is tested. And you know, I'm not one for trusting government testing necessarily, right. But in reality, the safety limits are just incredible. You know, you're talking about 500 milliwatts, and I have routinely been transmitting at 50 watts, which is a lot more power, and I haven't experienced any problems and, and 100 watts on some of the HF bands and even higher. So studies just, there was one of University of Barcelona, looking at RF exposure of children, ages 8 to 18 in Europe over three day period, WiFi represented 4% of total RF exposure. 62% of the RF exposure came from cellular base stations. 23% from broadcast TV and radio. And 10% from a nearby cell phone. So the exposure is approximate point .001% of that of the safety limits imposed by the European Commission, which is even tighter than here in the US. So back to this article, again, TechRepublican on http://CraigPeterson.com. You'll see it. WiFi is just not bad for your health. Craig 24:45 So we're going to whip through a couple more here pretty quickly because we only have a couple of minutes left. If you think that switching over to cloud services is going to make you safe. I'm afraid there's another thing coming for you. Because right now cloud services are the Wild West. And various cloud services have various amounts of safety with them, if you will, they have really kind of an abysmal record. You think about all of these huge data breaches that have happened on the cloud recently. And it's incredible, like 2 billion records found on the cloud from one of these cloud services providers just in the last couple of months. So just because you're using Office 365, or you're using some other type of cloud services, Salesforce.com, etc, does not mean it's safe. Now, I'm not saying that they aren't relatively safe, but there's a new study out. And this is from the global phish report from Avanan. And they looked at 55 million emails sent to Microsoft Office 365 and Google G Suite account. Those are the big guys. If you have an email for your business, you're probably either with Office 365, or Google G Suite. And they found roughly 1% of all messages or phishing threats that use malicious attachments or links. And of those, 25% that were marked safe by the Exchange Online protection built into Office 365. And delivered to us. So just a little word of warning there. Just because you're using the cloud service does not mean that your emails are safe. Craig 26:31 I've got to bring this one up too. Amazon, they are burning books. And I don't know what to do about this. You know, remember Jeff Bezos said that he was going to be you know, open, they sell any books, he wanted the exchange of ideas, which is, of course, a very libertarian classic liberal way of doing things. But now apparently he is removing books from the store. We know already that he has removed books from people's iPads etc. So in February this year, they banned a number of books from white identitarian Jared Taylor, a book called The White Nationalist Manifesto by Greg Johnson. You may completely disagree with these guys. Right. But again, they need to have their voices out there as part of the public debate. They also banned, had bans on Holocaust revisionists books in 2017, a purge of all books by the controversial pickup blogger and author Daryush Valizadeh, I guess it is. Many others, many others. Amazon's refused, by the way, to take down a book defending pedophilia on first amendment grounds. They have not removed certain books that are up there that are anti-christian, even though there have been complaints about them. So they got to get their act together. Craig 27:57 And if you're using a mental health app, you can see it on my screen here http://CraigPeterson.com/YouTube, be careful out there because of the data they're sharing. Alright, have a great week. I am out of time. We will chat next week and of course during the week as well on my podcasts. http://CraigPeterson.com/iTunes. Take care, everybody. Hier. Even kijken... Serieus? Nou, dan gaan we even kijken. Mooi. Terug even naar video's. Juist. Klikfrequentie, 100%. F7, spellingscontrole. Love it. Top follower. Dag Henry! Bedankt, leuk, tot de volgende keer! Dan even kijken; altijdveiliginbedrijf.nl.

Is eigenlijk heel erg simpel. Was 2015. Is allemaal veilig. Even beginnen met Facebook. IT-Secrets, statistieken. Even kijken hoe dat zit. Alles weergeven. Even kijken. 452 man. Even kijken. Ga naar stap 2. Komt 'ie, jongens. Forbidden, wat is dit? Neee! M - IT Services, 106, niet heel bijzonder veel. Gaan we dus mee verder. Fijne avond, groetjes, Marcel IT Secrets Radio

In this episode, we sit down with Justin Hunter, founder of Graphite. Built on Blockstack, Graphite is an open source, decentralized and encrypted replacement for Google G-Suite and Microsoft Office. We explore Justin’s interesting path to blockchain, what problems Graphite is solving, why he chose to build Graphite on Blockstack and much more. Justin has a somewhat atypical background and path to crypto compared to others in the space. Up until a year and a half ago, Justin had only dabbled with HTML and CSS. After several unsuccessful attempts over the years to learn how to code, he mixed up his approach to learning and it finally stuck. That led him down the path of developing a token portfolio app called Coinicle and now Graphite – both on Blockstack. His passion for solving real problems is evident and refreshing. Despite keeping the team very lean and working on this outside of his full-time job, Justin has developed Graphite into one of the few truly usable and functional decentralized apps out there. Hearing about his experience developing on Blockstack and interacting with the Blockstack community is incredibly interesting and exciting. Enjoy! What can you learn from the guy who has been recognized for pioneering innovation in the customer management category? A TON! Join me as I talk to Jon Ferrara. He's the founder and CEO of Nimble, an award-winning social sales, and marketing CRM for individuals and teams. It's Ranked #1 in Overall Satisfaction by G2 Crowd and integrates with Microsoft Office 365 and Google G Suite.

In this episode of the Practice of Therapy Podcast, Gordon talks with Alison Pidgeon, LPC about growing your private practice by diversifying your income. Alison and Gordon talk about what they have learned about growing private practices and then getting to the place where they both bought their own buildings. They also talk about some of the ways in which group practices can be formed and why they have chosen the business models they are using in their practices. Alison and Gordon talk about some of the things they have learned “the hard way” and what how they might have done differently in those beginning stages of their private practices. Meet Alison Pidgeon Alison Pidgeon, MA, LPC, is a licensed professional counselor and the owner of Move Forward Counseling (www.moveforwardlancaster.com) in Lancaster, PA. Her private practice, which focuses on women's issues, currently consists of six other therapists and two assistants. Alison has recently purchased an office building to house her private practice and will be expanding to a total of 12 therapists in the fall of 2018. In addition, for the past two years, Alison has been working as a business consultant along with Joe Sanok, from Practice of the Practice, (http://www.practiceofthepractice.com/our-services/consulting-with-alison/) for other private practice owners. She loves being an entrepreneur and helping others achieve their dream of being their own boss. Alison's specialty as a consultant is how to have an insurance-based practice, helping those who are just starting out and how to grow from a solo to a group practice. Alison has garnered local media attention for her private practice on TV, radio and in print. She has been a featured guest on the Practice of the Practice podcast, Selling the Couch podcast, and The Therapist Experience podcast. In 2017 Move Forward Counseling won the “Emerging Business of the Year” Award from the Central Penn Business Journal. Buying a Building One of the big steps that Alison and Gordon talked about was the step they both took in buying an office space. For many therapists and counselors, this step seems very intimidating. But if you think about it, it is really not that much different from buying a house and there are usually more financing options for commercial property. Especially if you are willing to work with private investors. It's all a matter of doing the research and looking at options. Owning your private practice space, many times actually ends up being much more cost effective when you run the numbers. Alison gave the example of a non-profit she is involved with. When they ran the numbers, they realized they had paid double what the building was worth through leasing it. Passive Income and Diversifying Income Streams One of the things that helps solidify growth in your practice comes from diversifying your streams of income. There are a lot of ways to do this. One is to create other less traditional products or services to offer clients. Groups, workbooks, seminars, and supervision are just a few. Another great way to create “passive income” is to add other counselors and therapists to form a group practice. What this does, of course, is allow the practice owner to reap the benefits and income from the efforts of others in exchange for providing a place for them to practice. Thinking Long-Term One of the “wish I had known…” issues that Alison mentioned, was she wish she had thought more long-term when she first started her private practice. She would have spent more time thinking about growth and what that would look like. Especially in terms of adding other counselors. She also realized that she should have thought about what her practice would look like 3-5 years down the road. Insurance vs. Self-Pay One of the ongoing debates in the private practice space is if a practice should get on insurance panels or be strictly private pay. For Alison and Gordon, they do a combination of the two. Alison talked about really understanding your “break even” point in terms of how much you need to be reimbursed to cover your practice's overhead and expenses. She only stays on the panels that meet or exceed this criteria. The other factor to consider when thinking about being on insurance panels or not, is knowing the demographics of your area and what people can generally afford. Typically, rural areas are more insurance dependent and a clinician needs to accept insurance in order to get the volume of clients they need to sustain their practice. Group Practices and Their Structure Alison and Gordon talk about some of the ongoing discussions they have had in their mastermind groups around having group practices. In particular, whether to follow a “1099 Contractor” model or a “W2 Employee” model. Ultimately, it is an individual decision based on the practice owner's preferences and how much oversight they want to have with their therapists. Other factors around this issue depend on state laws and what sort of corporate structure the practice has. In addition, the benefits and “perks” the practice owner wants to provide their employees. There are any number of ways to set this up, from doing a “fee split” to a flat rate per case or giving a salary or hourly wage. Again, how it is set up depends solely on individual preferences and business structure. Starting a Group vs. Working in a Group For many clinicians, the idea of being in private practice is very intriguing. But for some, the idea of running a business is not that appealing. For these folks, joining a group practice really makes more sense. But for those people that have a bit of an “entrepreneurial spirit” and enjoy the logistics of running a business, becoming a group owner makes more sense. Systems and Processes to Help You Grow One important piece of being able to have sustainable growth in a private practice is to have the systems and processes in place to support this. Alison talks about the importance of documenting your processes and having set systems that help you operate more on “auto-pilot” with your practice. Alison talks about the importance of being able to also collect data about your systems and processes. For example, knowing how well your intake processes are working and the ability to retain clients and get new clients to actually book appointments. Other processes to focus on are with your onboarding processes for new therapists and making that as seamless as possible. The other very integral part of private practice systems and processes are having a reliable EHR system or other system (like Google G-Suite) that works well for you in your practice. Most EHR's are able to track data and give the reports you need to see how your practice is growing. Getting the Help You Need Finally, one of the things that always is a great ROI (return on investment) for most people in private practice is in doing some consulting and/or coaching with someone. Alison and Gordon talk about the benefits and huge return they have gotten by being part of and also leading mastermind groups. It is a way to be with like-minded people that all have common goals for their practices. It's usually the boost people need to take their practices to the next level. In this episode of the Practice of Therapy Podcast, Gordon does a “reverse interview” with Joe Sanok about why using G-Suite in your private practice might be a good idea. The original interview was first released as Episode 309 of the Practice of the Practice podcast with Joe Sanok. Gordon and Joe talk about why they started using G-Suite and some of the hacks and tips therapists and counselors can use in their practices to work more efficiently and make it HIPAA compliant. Meet Joe Sanok Joe is no stranger to the Practice of Therapy. Joe is the person behind the Practice Of The Practice Podcast which is the #1 podcast for counselors and therapists learning about private practice and what to do to grow and scale. It is one of the top resources out there in this private practice building space. Joe has been a previous guest on the Practice of Therapy Podcast, Episode 011, How To Level Up And Grow Your Private Practice. Joe, his wife Christina and their two daughters live in Traverse City, MI where Joe owns Mental Wellness Counseling, a private group practice. Joe is nationally known and has been a guest on numerous podcasts and most recently a TEDx talk in Traverse City. Joe a true entrepreneur with big heart and genuineness for helping people. Why Use G-Suite? Google G-Suite is the set of applications and tools that comes with every Google account. Most of the tools, like GMail, Google Calendar, Google Docs and Google Sheets are familiar to most. But the big game changer for most clinicians is being able to use the paid version of G-Suite in order to make it HIPAA secure. In particular, by using the paid version of G-Suite, you can get the BAA (business associate agreement) from Google which is a HIPAA requirement. GMail Using Your Own Domain One of the big game changers in using G-Suite, is that it allows you to use your own domain name for your email. So for example, if you can have you email address be @yourdomainname.com vs. @gmail.com or yahoo.com, etc. Also, when using the paid version of G-Suite, you get the functionality of GMail that is HIPAA secure. G-Suite Tools Can Boost Your Productivity Another, “selling point” of the tools of G-Suite, is that you can customize them and make use of templates to streamline repeated tasks. For example, using the “canned responses” feature of GMail for those emails that you respond to repeatedly; like requests for information, etc. You can also use the tools of G-Suite to automate a lot of administrative functions. For example, setting up a Google Form that can be embedded on your website for people to request services or do intakes. Another automated task is to set up a Google Calendar to use for people to self-schedule appointments using the appointments feature that is built in. The calendar then can be embedded on your website. G-Suite Is A Great Choice For Bootstrapping Because G-Suite is so adaptable and cost-effective, it's a great choice for counselors and therapists during those “bootstrapping” phases of private practice growth. The applications and tools have pretty much everything you need to do all of your administrative functions. Small Biz Matters – a half hour program each week where you can work ON your business rather than IN it.with Alexi Boyd from Boyd Office Management ServicesDate: 5 June 2018 The Cloud. We get it, we use it. We count on it. Every day when operating as a small businesses we rely heavily on the cloud and internet storage. We assume it's safe, secure and backed up SOMEWHERE. We assume it's available anytime and reliable and we assume the content we produce is ours to do with what we wish. But we’re not careful enough. But like all things (except death and taxes as they say) you can’t be sure of it. You need to be in control with this extremely important tool of your trade. What if you can’t find an important document? What if the storage you relied on suddenly wasn’t there? What if you never backed up? Well today we have on the show another great expert; Gunnar Habitz to help us navigate through the complexities of Cloud storage but like always on Small Biz we’ll make sure you have practical strategies to ensure you take control. Welcome to the show Gunnar. Topics covered in part two: Cloud in general Cloud storage vs. cloud backup comparing different tools How does a typical IT setup of Small Biz Owners looks like and who helps with IT tasks What does RPO and RTO mean and why is it important Business Continuity and Risk Management instead of just backup Cyber insurance Ransomware attacks Cyber security issues What about the new “Notifiable Data Breach” law in Australia Impact of the new “Notifiable Data Breach” law in Australia How to get attention for the topic Cloud in general Benefits for customers: agility, flexibility, choice, PAYG Cloud is a journey instead of destination Public, Private, Hybrid cloud On-premise, IaaS, PaaS, SaaS - see the Pizza-as-a-Service example below What’s in the cloud, stays in the cloud - but getting it back is another topic Cloud storage vs. cloud backup comparing different tools Cloud synchronisation services: Dropbox, Box, Google Drive, Microsoft OneDrive Many of them don’t have versioning (Dropbox EVH has at least 120 days) What’s deleted on one device gets deleted on another as well upon connection Hard to get anything back from the cloud sync providers Proper cloud backup provides versioning in all possible local retention possibilities and clients can get back their data as part of the service by themselves of their partner Example Office 365 can be added by a backup solution (e.g. SkyKick) which is designed for one-click restoring data straight into the mailbox without an PST file export by maintaining the initial structure How does a typical IT setup of Small Biz Owners looks like and who helps with IT tasks On-premises: notebook(s), printing, potentially a server for files or databases Cloud services like Office 365, Google G Suite, AWS, Xero/MYOB, CRM, specific apps Managed Service Providers (MSPs) deliver IT as a service based on SMB demands including backup, but also on-premise infrastructure from capex to opex Small Businesses should focus on the business outcome for their clients, not on technology What does RPO and RTO mean and why is it important Two most important numbers in backup and DR before and after a disaster point Recovery Point Objective: maximum targeted period in which data might be lost Recovery Time Objective: targeted duration of time after a disaster to be fully restored back on track The requirements are included in a Business Continuity Plan and have significant effect on the IT design Every company - small or large - need to specify its risk appetite Business Continuity and Risk Management instead of just backup Provides principles and generic guidelines on risk management Worldwide standard ISO 31000 has been created by Australia/NZ initially (2004) Example: 6% of data restored * cost of getting it back (but how to estimate?) Business Continuity and Disaster Recovery include more than IT, in the first place care about people Cyber Insurance Some see backup like an insurance, but the reality is different The cyber insurance covers for lost revenue in a data loss, but doesn’t get the data back The backup provider gets the data back, but doesn’t cover lost revenue It is a complementing solution usually not offered together No cyber insurance without proper backup and DR solution in place Ransomware attacks Talking about a concrete example Can arrive per email or even inside an internet connected printer or scanner Attacks not only local infrastructure, but also the cloud if not well protected 60% of SMEs went out of businesses in the next six month after a significant breach (Australian SME numbers), 80% don’t survive the second year A victim shared his story at the Australian Information Security Association (AISA): the company had a plan to be listed on the ASX within three years, instead they got a severe hack with data breach and it took the owner more than a year to consider working again due to the psychological damage Cyber Security 46% of the world population is already connected IoT sensors and devices are expected to overtake smartphones still in 2018 Australian numbers The Government estimated the average cost of a cybercrime attack to a business is A$276,323 43% of cybercrimes attack small businesses as they can’t simply prevent it easily Largest cost factor of cybercrime are information loss (39%) and business disruption (36%) Australian Computer Society (ACS) published worldwide data from the Verizon 2016 Data Breach report 63% of breaches are caused by weak, default of stolen passwords In 93% of cases hackers took minutes to break and companies weeks or months to discover 95% of attacks are financially motivated Nearly 30% open phishing emails, 12% clink on the links or open the files (attention on smartphones) Every minute half a million attacks happening in cyberspace Cyber industry estimated US$639B spending in 2023 So what can we do? The security strategies with biggest return are adding security intelligence systems (67%) and advanced identity and access governance (63%) Top tips the Optus “Small Business Guide to effective Cyber Security”: regular backup, secure passwords and multi-factor authentication, security updates, administrative accounts control Leadership must provide a cyber-aware culture educating staff and clients ACS considers 5 pillars of cybersecurity readiness: education & awareness, planning & preparation, detection & recovery, sharing & collaboration, ethics & certification Managed Service Providers and specialists like Witz Cybersecurity (www.witzcybersecurity.com) consult Small Businesses impact of the new “Notifiable Data Breach” law in Australia In place since 22 February 2018 to report data breaches within 30 days Most often data breaches haven’t been made public not to destroy brand reputation Australian Cyber Security Centre (ACSC) reported that 51% of Australian SMEs found out about a data breach when alerted by customers Fines: $360K for individual and $1.8M for companies above $3M turnover if not reported in 30 days View of the Ransomware programmers: “if you don’t pay me in Bitcoin, then I will breach your data and force you to pay the fines” First quarterly report shows 63 published data breaches within six weeks, mostly health service providers, legal, finance, education and charities Half of the breaches occurred due to human errors The reality might be higher as many companies don’t report or don’t even know Impact of the new “Notifiable Data Breach” law in Australia Most companies recently sent newsletters with updated privacy policies or partially new opt-in requests Background is the European General Data Protection Regulation binding those who are physically in the EU, not just official residents or citizens Barrister Talitha Fishburn of Wardell Chambers shows the Australian impact (https://www.linkedin.com/pulse/big-data-so-what-australian-businesses-impacted-new-eu-fishburn/) GDPR covers data processing to raise more awareness Backup providers don’t see into the encrypted data about any European personal data insight, so better to be compliant Consent: continue marketing to B2C with an active opt-in for newsletters and to B2B if business customers didn’t provide a subsequent opt-out Many software vendors updated their processes, Marketo as a leader in marketing automation sees GDPR as a worldwide activity Portability: users have the right to obtain the transactional history of personal data Right to be forgotten: consumers have the right to have their information deleted (how do you know where exactly you stored their data?) Data breaches: must be reported within 48h, otherwise fines in two steps up to €20M or 4% of global annual turnover whatever is greater How to get attention for the topic Don’t think just backup as nice to have (like regular dentist visit fixing one tooth), rather think comprehensive availability (like the winning smile when all teeth are in order) Business consultants and MSPs convince owners better than box moving IT resellers KeepItSafe helps Small Businesses in Australia and New Zealand to protect from data loss because downtime is not an option. This is part 3, of this four-part series of the Practice of Therapy Podcast, “Love the Work, But Hate The Job”. In this session, Gordon explores some of the logistics around setting up an office and getting started with your private practice. This four-part series discusses the various steps and things a clinician might want to think about as they move into private practice. The series discusses: 1.) Knowing your “WHY”, 2.) Making a Plan, 3.) Setting-up an Office, and 4.) Marketing & Getting Referrals. Check out the mini-course: “Love the Work, But Hate The Job” In this course, you will be emailed 4 lessons, one each day, that will walk you through a way to think about making the transition from agency work into private practice. (Get the discount here!) Setting Up The Office One of the very first things you have to figure out, logistically, about going into private practice is where and how you will see clients. The good news about doing talk therapy is all you really need is a couple of chairs and place to meet that is private and has very few distractions. The truth is, that could be just about anywhere. But, we need a little more than that for ourselves and for our clients. For example, a waiting and reception area is nice to have. Also, a comfy, warm and inviting therapy room makes a big difference too. We want our clients to feel at ease and safe when they come to us. Finding the right place to meet with clients sometimes takes some creativity and willingness to “think outside the box”. For most people getting started in private practice, there needs to be some flexibility in order be a bit more frugal. You really can't afford a huge office with all the “bells and whistles” in those beginning stages. Finding an Office Space There are a lot of things you want to take into consideration in getting an office to see clients. Location is important. Also thinking about how clients get in and out of the space. It's better to not have a lot of stairs (I did that and it was a barrier for some clients). Also thinking long-term as you grow; will the space support your growth? A good place to start is just looking online and in directories like Craigslist. Keep an eye out for places as your drive around town or begin to look. Sometimes people will only advertise by having a sign out in front of an office space. I know too, letting friends and other folks know you are looking for an office space can bring some results. Use social media to help let people know you are looking. Also maybe consider talking to a realtor who specializes in office space. Bootstrapping and Sharing Office Space The normal progression of being in private practice is that you will want to do a lot of “bootstrapping” in those beginning stages. In other words, you leverage your time while you have a lot of it. You also want to be able to save as much money as possible as you build your financial assets in the practice. Depending on where you are located, office space may be easy to come by or not. Usually, if there is a lot of spaces available, the prices will be more competitive. Needless to say, it makes sense, in those beginning stages, not to overextend yourself financially by spending a lot on office space. After all, office space will be one of your bigger, if not the biggest, expense you will have with running a private practice. For this reason, subleasing or sharing office space just makes sense. And it doesn't need to be another therapist's office either. You could rent or sublease space from any other professional (lawyers, doctors, chiropractors, etc.). Also, look into churches, synagogues or other civic organizations that might have the extra space. Group Practices One thing to not overlook is considering joining a group private practice as an independent contractor. Depending on their business model, many group practices do a “fee-split” with the clinicians they contract with. The advantage is that your “overhead” is already taken care of by the fee split. Depending on how it is structured, you might do better, in the long run, to work within a group practice than trying to go out on your own and build the referrals and client base you need. Also, it might be that you would come out better financially by not having to worry as much about the cost of being in practice. Non-Traditional Services Another thing to consider when getting started in private practice is to look into teletherapy or online therapy. It is something that is certainly growing and lucrative for a lot of people. In fact, some people have built their whole practice around this model of delivery. Another delivery method is to go to the clients, rather than them coming to you. In-home therapy is offered by a lot of agencies. The same model can be used by people in private practice. Phones, Email and Such Another part of running a private practice is having systems in place for people to contact you and make appointments. There are any number of phone systems available, but a simple/easy solution is to simply get a separate cell phone to use for your practice. Then as you grow you can look a dedicated phone system that is HIPAA compliant and all that. As far as email goes, Google G-Suite is one of the best options for many reasons. You can set it up to use your own domain name (it's more professional that way). Also, it is HIPAA secure if you use the business (paid) version of G-Suite. The other thing is the whole suite of applications that it comes with. These tools are very adaptable to small business and being able to manage a private practice. (Check out the full G-Suite for Therapists Course here) For some practices, they will need a FAX service. More and more, email is replacing FAXes, but might be something you will need. S-Fax is one service I can recommend and also the one I use in my practice. Other Office Equipment Besides phones and FAXes, it is helpful to have a copier and printer. Again depending on where and how you are set up. It might be that the office space you are using will provide those things. Finding and setting up an office is really not all that hard. It just takes a bit of perseverance and willingness to do some searching. Ultimately the office and equipment you pick will help you sustain and grow, Resources Mentioned: G-Suite for Business (This is an affiliate link to get 20% off your first year. Other revenues for Google, which includes Google Cloud, were $4.4B -- up 36% year-over year. Impressive revenue growth was driven by Google's ability to sign significantly larger and more strategic deals for Cloud within the quarter. G-Suite revenue growth acceleration is attributed to Google's perceived ability to now serve all the needs of a large enterprise. Expect Google to aggressively attempt to displace Microsoft customers, especially those that are just now considering adopting Office 365.
Small Biz Matters – a half hour program each week where you can work ON your business rather than IN it.with Alexi Boyd from Boyd Office Management ServicesDate: 17 April 2018 The Cloud. Topics we’ll be covering: Cloud overall Cloud storage vs. cloud backup comparing different tools How does a typical IT setup of Small Biz Owners look like Who should provide help How long to keep data How and how often to get data back Why isn’t all safe in the cloud Why storing in Australia is important (Dropbox stores in the US) The CEO view: Business Continuity and Risk Management instead of just backup Cyber insurance Ransomware attacks Example case of a disaster that really happened What about the new “Notifiable Data Breach” law in Australia What to backup how Practical tips How to get attention for the topic Cloud overall (see graphs at the bottom of this document) Benefits for customers: agility, flexibility, choice, PAYG Public, Private, Hybrid cloud Cloud is a journey instead of destination Fear, trust, proof, procedures, risk management Cloud storage vs. cloud backup comparing different tools Cloud synchronisation services: Dropbox, Box, Google Drive, Microsoft OneDrive Many of them don’t have versioning (Dropbox EVH has 120 days) What’s deleted on one device gets deleted on another as well upon connection Hard to get anything back from the cloud sync providers Proper cloud backup provides versioning in all possible local retention possibilities and clients can get back their data as part of the service by themselves of their partner How does a typical IT setup of Small Biz Owners look like On-premises: notebook(s), printing, potentially a server for files or databases Cloud services like Office 365, Google G Suite, AWS, Xero/MYOB, CRM, specific apps Who should provide help Managed Service Providers (MSPs) deliver IT as a service based on SMB demands including backup, but also on-premise infrastructure from capex to opex The Small Biz owner should focus on the business outcome, not on technology How long to keep data? Legal companies often require 7 years, some even longer That makes moving between different backup technologies rather difficult How and how often to get data back? User can retrieve data by themselves or via partner Restoring should be free as part of the backup pricing, not to pay extra for every restore According to a worldwide study of 2016, about 6% of restored data comes from accidently deleted files Database operation restoration is slightly less Why isn’t all safe in the cloud Tricky balance: hard to get anything deleted when needed (e.g. wrong posting) while on the other side hard to find what has been there when needed Cloud sync providers run their own backups to provide their service with best possible availability rather than helping clients getting it back (even against $) Why storing in Australia is important Many industries require data to be stored in Oz like healthcare for legal reasons Even NZ companies often cannot store their data in Australia The marketing departments of those companies often store data on Dropbox (no-go!) Storing data encrypted in the US is possible, but NSA might want to see on the way back Dropbox stores in the US for the premium experience vs. local law, but how to proof? Microsoft runs Azure in Australia and not in New Zealand (yet) The CEO view: Business Continuity and Risk Management instead of just backup Worldwide standard ISO 31000 has been created by Australia/NZ initially (2004) Provides principles and generic guidelines on risk management Example: 6% of data restored * cost of getting it back (but how to estimate?) Cyber Insurance Some see backup like an insurance, but the reality is different The cyber insurance covers for lost revenue in a data loss, but doesn’t get the data back The backup providers gets the data back, but doesn’t cover lost revenue It is a complementing solution usually not offered together Ransomware attacks Talking about a concrete example Can arrive per email or even inside an internet connected printer or scanner Example case of a disaster that really happened Usually we talk about statistics that 60% of SMB companies go out of businesses after a severe disaster within a year, 80% don’t survive the second year Spoken to a victim of a real story at the Australian Information Security Association (AISA) What about the new “Notifiable Data Breach” law in Australia In place since 22 February 2018 to report data breaches within 30 days Most often data breaches haven’t been made public not to destroy brand value Fines now official: $360K for individual and $1.8M for companies if not reported on time Many IT resellers told at an ARN event that their customers are not ready yet European General Data Protection Regulation (GDPR) from 25 May goes even beyond, it aims primarily to give control back to citizens and residents over their personal data View of the Ransomware programmers: “if you don’t pay me in Bitcoin, then I will breach your data and force you to pay the fines” What to backup how Different areas: Cloud Backup, Cloud DR, Endpoint Backup, Cloud to Cloud On-premise server into the cloud using leading software such as Veeam Some services are already in the cloud such as Exchange into Office 365 Even Office 365 is not covered by backup, therefore it needs e.g. SkyKick Practical tips Forget about the rotating external HDDs which often have unencrypted, easily visible files in it Most important is redundancy, even use RAID 1 in a NAS to ensure availability Guidance rule of 3-2-1: 3 copies of the data, 2 kind of media, 1 offsite location Think to fail: what happens if building gone, NAS drive stolen, computer hacked Think to be back fast not to lose revenue and keep serving customers: use Disaster-Recovery-as-a-Service Use risk management to calculate the probability with the options Making sure you can not only save but extract the data How to get attention for the topic Turning from backup (like dentist) into business continuity (winning smile) Business consultants often convince owners better than box moving IT resellers “World Backup Day” every 31 March (even backward) to raise attention to the topic Software vendor Veeam has even taken the 30 March as “Availability Day” to make the point not “you don’t have backup” but rather “you want to aim for availability” To find out more, go to their website: www.keepitsafe.com or contact sales@cloudrecover.com.au
