305: Improving Verbal Communication Skills to Enhance Promotability

Today, I want to give you strategies to improve your verbal communication skills – specifically, with an eye to enhancing your promotability.  Next week's episode will piggyback on this one with ways to improve your written communications skills – also with an eye to enhancing your promotability.  In episode #113, I covered active listening at work; here's the link to that episode:https://exclusivecareercoaching.com/posts/2020-02-05-113-active-listening-at-work/ In episode #114, I talked about effective communication at work, and I've included that link in the show notes. I'm going to include some of that information in today's episode. https://www.exclusivecareercoaching.com/posts/2020-02-12-114-effective-communication-at-work Let's start with an assessment of your verbal communication skills – tell yourself the truth as you answer these questions. I highly recommend journaling your responses. 1.    Do I ask questions when I don't understand something, or do I keep it to myself? 2.    Do people often misunderstand my messages? Am I often surprised that they don't understand what I am saying? 3.    Is it easy for me to understand someone else's point of view during a conversation? 4.    Do I think about how my responses will be perceived by others, or do I speak without thinking?  5.    Do I find it difficult to see and read people's body language? 6.    Do I struggle to find the right words to convey my message? Which one of these is a weak link for you? Develop a 90-day goal to improve that area. Asking for a mentor's help, watching YouTube videos, listening to podcasts, reading books, asking for people's feedback, or taking a course are all ways to improve your area.   There are four steps to the communication process: -The words you speak (articulation, correct word usage) -What you meant by those words (intonation, vocal pauses or emphases) -The words the listener heard (ability to hear what is said, the listener's understanding of the language you are speaking in) -What the listener makes those words mean (experience, cultural differences)  Utilizing both verbal and written communication skills, you want to be able to clearly communicate your achievements and contributions to your manager. You also want to be able to articulate your career aspirations – he or she needs to know that you want to be considered for a promotion at the appropriate time.   Next, let's dig into specific verbal communication issues you may have and ways to improve.  1.    If you find yourself straying mentally when others are speaking, you may have a challenge with active listening. Strategies to improve: -You have to be able to hear the other person. If the space you are in is too noisy for that to happen, suggest moving to someplace quieter.  -Are you possibly dealing with a hearing problem? Is this something you need to get checked out? Or is the problem only when there is a lot of ambient noise? If so, move to someplace quieter.  -Are there visual distractions around you that are interfering with your ability to pay attention? Relocate the conversation to minimize.  -Are you asking questions to make sure you understand what the other person is trying to communicate? The key here is to find the balance between constantly interrupting the speaker and making sure you understand their message. Another tool for understanding is to repeat back what you heard.  -Are you making appropriate eye contact? My rule of thumb is your eye contact should be nearly 100% when the other person is speaking and at least 60% when you are speaking. Also, be sure to nod and make appropriate facial gestures to show you are listening.  -Do you have trouble retaining important information after a conversation? If so, WRITE IT DOWN.  -Are you paying attention to nonverbal cues – and working to reconcile them with what's being said? If not, you're missing more than half of the conversation – the 55/38/7 formula created by Albert Mehrabian states that communication is 55% nonverbal, 38% vocal, and 7% words only. If this is a challenge for you, I recommend you look up some YouTube Videos on nonverbal communication.  -Do you understand what the speaker intends for you to do with the information they are about to give you? If not, ask questions – does the speaker want your advice, do they want you to take action, do they want to just impart information?  -Are you showing the appropriate emotional response to what is being said? If this doesn't come naturally to you, it may be a case of “fake it ‘till you make it.” Excitement, empathy, and understanding are all possible emotional responses.   2.    If your challenge is speaking clearly and concisely, you'll want to work with a coach or find a mentor who can give you real-time feedback on your verbal communication skills. Specific areas for them to help you with include: -Are you clearly stating your message? Can the other person understand the information you are trying to convey? -Are you using unnecessary jargon or fillers? Slang, inappropriate use of words (hone instead of home, irregardless instead of irrespective), fillers like “Um” or “I mean” or “Sort of”), or overusing a word like “literally” or “fantastic.” And, of course – no profanity.  -Are you conveying your message concisely – with an appropriate amount of detail but not too much? Are you staying on point? -Are you using examples or analogies as appropriate to illustrate your points?  3.    If your challenge is speaking up in meetings, this may be a confidence issue, a communication issue – or both.  Either way, set a goal to make at least one significant comment in your next meeting. If possible, ask someone you trust who will be in that meeting to give you feedback afterward.  As you get comfortable with making one comment, set your bar higher. Eventually, ask about running a meeting.   4.    If your challenge is presentations, this can either be an issue with public speaking, organizing and conveying information – or both.  This is an excellent one for a speaking coach; Toastmasters is another excellent option. Practice is the key here.  -Seek out low-risk opportunities to speak in public, whether at your work, in a volunteer organization, or some other opportunity. Gradually build up to higher-risk opportunities, as there will also be a higher reward possibility.  -Use appropriate visuals. We've all been subjected to PowerPoint presentations that are so small we can't read the content – or 46 slides in one presentation. Make sure your visuals support your presentation – not hijack it.  -Get feedback on the “compellingness” of your presentation – are you moving people if that is the purpose of the presentation? Are you making factual information interesting? Are you using humor if appropriate?  -Know your audience. What is their current level of understanding of the information? What references will they relate to? What else do you know about them that will help you customize your presentation?  -Look the part. One of the best pieces of advice I ever received from a professor was this: “How you dress lets the audience know what you think of them.” Of course, you want to factor in the environment and other considerations, but in general – dress in a way that shows your audience you respect them and value their time.  -If you find it challenging to answer audience questions, either because you are afraid you won't have an answer or because you aren't great with spontaneity, watch YouTube videos of this portion of people's presentations. Go to live presentations – evaluate how other people are handling this portion and learn from their successes and mistakes.  So let's circle back around to the title of this episode: Improving Verbal Communication Skills to Enhance Promotability. As I said at the outset, a piece of this is to let your boss know of your interest in being promoted. Also, let him or her know that you are working to improve your communication skills – and what, specifically, you are doing to achieve that goal.  Ask your boss for what you need – Is it feedback? Is it suggestions on how to improve? Is it opportunities to use the skills you are working on?  The final word here: Practice. Practice. Practice. Last week, I covered how to teach a pre-verbal child to imitate sounds on request as we build toward teaching them how to talk. Here, we'll cover the motivational aspects of learning a language and how to teach children to ask for things they want in increasingly complex ways. For some children, learning how to talk is a really high hurdle to get over on their own. Many of the traditional approaches to teaching children how to talk fall short. I share the whys and hows of teaching a child to mand, or request something they need. The reason mand training is such an important part of early language development is that it is based on the simple concept of “I want, I do, I get”. This concept is powerful because a successful mand always leads to the acquisition of reinforcement. Anything that's reliably reinforced will ultimately result in a higher frequency of the desired behavior.  I discuss the three augmentative communication systems and how to choose which one to use.  I also walk through each system's pros and cons, how to choose which words to start with, the steps of teaching mands, and how to transition to words. According to the CDC, an estimated 40% of children with autism spectrum disorder are non-verbal. That means as many as 40% of children working through potential challenges related to autism are trying to do so without the full use of vocal language to help them. As many as 70% of childhood behavior problems come from a child not being able to adequately express their needs or desires. I've worked directly with many of these pre-verbal children who were unable to learn how to communicate through spoken word for many years, but we have found a way to guide them towards increased language ability using the verbal behavior approach to the science of behavioral analysis.Over the next two weeks, I'm taking you on a deep dive into the way I've been helping children both with and without a diagnosis of autism who struggle with language learn how to talk. Today, Matt & Niki delve into verbal communication - our primary means of communication as a coach, both in-person & online. While this may seem straightforward, many steps occur to correctly communicate to our clients & get them to move correctly. This begins & 3-part series of sorts where Matt & Niki will explore communication, beginning with verbal & touching on tactile & visual (and the differences between in-person and online). No video this week for YouTube viewers. We tried a new recording platform & lost the video. Bear with us while we try to improve our logistical & technological systems. Thanks! Verbal Communication on the Platform What has to occur for effective communication to occur on the platform? The coach must first see the lift, process that information, and compare what he sees to the model in his head (which may be imperfect). Following this, he must understand any deviations from the model, prioritize them, understand how to correct them, and deliver information to the lifter in the form of a cue (e.g. "knees out"). That's a lot. But communication involves two people and is a two-way street. Hearing the cue, the lifter must then understand it (each word and the words together). The lifter takes that information and use it to attempt to change her movement in light of that new information. Then the lifter moves. The coach returns to the picture, and the process is repeated. Did the lifter fix the error (and potentially additional errors)? Was there an overcorrection? Did nothing change at all? Don't worry, though, while much is involved, we can simplify this process and accelerate your effectiveness as a coach. Teaching Versus Cueing Typically, a coach takes in information regarding new lifters, to understand those lifters' backgrounds. This helps the coach determine his approach with their first interaction. Coaches may perform a teaching progression, which both gets the lifter moving correctly while including certain words & phrases that will likely inform cues that the coach may use during the lifter's sets. It can be a good idea to walk lifters through the teaching progression, especially if you're a newer coach. For online coaching, teaching may involve some how to videos demonstrating proper form. Articles and podcasts that address lifting basics may begin to deepen the lifter's understanding. Understand that in order for a cue to be effective, it must be understood. Teaching should first focus on the "how"s. Teaching enables better understanding of cueing and coaching during the sets. As teaching progresses - as the lifter & coaching relationship lengthens and deepens - the focus of teaching moves from the "how"s to the "why"s, and this is often why good coaches are born as clients, because as they improve as lifters and learn the "why"s from a good coach, they consider coaching themselves. Practical & Effective Verbal Cues Let's move past the theoretical and come to the practical. What should you do on the platform? Some basic principles of good cueing can help steer you in the right direction. Cues should be: Brief - keep cues short *Confident - don't portray doubt *Loud - cues must be heard Clear - avoid big words Positive when appropriate - a "good" communicates that the lifter is correctly performing the movement *Note: loud & confident does not mean yelling (necessarily) - deliver appropriate cue for environment & lifter Cues must be understood, and more words means more words that can misunderstood or not heard. Keep cues short and use short words. If you're a new coach and not 100% sure about the cue, act like you are. Don't deliver a cue with doubt or like it's a question. Give the cue and evaluate and re-evaluate based on the lifter's movement. Lastly, seminars and powerlifting meets can skew cue volume. Cues must be heard, but they don't have to be yelled. Furthermore, increasing the volume tends to increase the confusion. If you deliver a cue, nothing changes, and deliver it again more loudly, okay. But it needs to end there. A typical bad interaction goes something like this: lifter lifts incorrectly, coach delivers cue, lifter repeats the error, coach gets louder, lifter repeats error, coach delivers the cue again, this time yelling and getting frustrated and angry, lifter is beginning to tune the coach out. If you find yourself in this situation, stop. Shift your angle. Think about a different cue. Don't get frustrated. It's possible that this set gets away from you. That's okay. Keep observing, thinking, and coaching as best you can. Control the Platform, Control the Emotions Controlling the platform doesn't mean channeling your inner drill sergeant. You might feel frustrated and be terrified that Matt Reynolds is 5 feet behind you observing the lifter (which, if he's 5 feet behind you, you might take that as a suggestion to move 5 feet back, FWIW). Pay attention to how your lifter is responding to you and your cues on the platform. If you're frustrated, the lifter is likely frustrated and confused. Breathe. Slow things down. Encourage. Since we have the same spirit of faith according to what has been written, “I believed, and so I spoke,” we also believe, and so we also speak,"  (2 Corinthians 4:7-13) How effective leaders most often communicate Leaders develop effective oral communication. American's are Oral Learners If Americans are mostly oral learners what about the rest of the world? The developing world? About SOM SOM International priority is distributing the Word of God. And the first line of offense is Orally. This is why our Church Planting Schools and Lighthouse schools around the world focus on the Oral Word of God. In Latin America we are harnessing radio as a way to communicate God's Word.

This is the difference between Autism and Aspergers: 1. IQ Score. People with Aspergers tend to have average to above average IQs, compared to that of a person with ‘classic autism’ who would typically have a below average IQ. 2. Verbal Communication. People with Autism tend to have little to no verbal communication skills and have difficulty talking. Children with Asperger’s syndrome tend to have a very good verbal skill set and can communicate verbal. 3. Vocabulary. People with Aspergers syndrome have a large vocabulary and have a strong use of words, compared to that of a person with ‘classic autism’ who typically have very limited vocabulary. 4. Day To Day Life Skills. A person with Asperger’s syndrome can learn day to day skills, like how to put on clothes and the importance of eating food. Learning how to go shopping for goods etc. Compared to a person who displays ‘classic autism’ typically they cannot learn these day to day life skills as easy and require additional life long support for these skills. 5. Speech Delay. Typically a person growing up with Aspergers Syndrome will not display any speech delay in early life. However a person with ‘classic autism’ will display large delay in learning speech. — Autism and Aspergers have distinct differences despite both being called as an autism spectrum disorder or condition. The autism and Aspergers test is basically the same, so what’s the difference between autism and Aspergers Both conditions have similarities like autism and anxiety as they both part of the autism spectrum, but they can display differently due to some factors you will learn about here.
