Images of services, classes, and events are very helpful. 2: Digital Calendars Managing your ministry's events and appointments can be a complex task. Digital calendars can be a LIFESAVER. It can help you streamline every department's schedule while giving the freedom to staff and leaders to update events and add important information. I mentioned in the last episode that Google Calendar is my personal favorite. 3. Online File Storage and Sharing Centralized document management is a game-changer for ministries. It is convenient, efficient, and organized. Say goodbye to scattered documents and having to dig through file cabinets! There are many systems to choose from but if you are already using Gmail or Google Calendar then you also have access to Google Drive. 4: Virtual Meetings In 2020, everyone got a crash course in conducting and attending virtual meetings. Zoom quickly became a household function. During this time, ministries realized what an asset this piece of technology is. Especially for ministries that extend beyond one community. It is a great way to have face-to-face meetings without leaving the comfort of your home or office. 5. Social Media This one might be a bit controversial still, however, social media is a powerful tool for ministry outreach. This is much information out there on how to manage social media. You can learn strategies for engaging and growing your ministry's online presence, complete with examples, sample templates, and tips for reaching the demographics in your area. There are even “social media managers” who you can hire to help with this. If your church does not have some type of social media presence, you are missing out on the best free advertisement and marketing strategy. 6. Digital Newsletters and Email Marketing Email marketing remains a key channel for engaging your congregation and supporters. This is a great way to communicate upcoming events, share words of testimony, and encourage the flock. There are several email platforms available and this is something else that a church management software might provide. Two common stand-alone email platforms are MailChimp and Constant Contact. This is a great way to generate a digital newsletter. This is another way to engage with your congregation and help them feel connected. 7: Project Management Software Project and team management are crucial for efficient ministry operation. My favorite tool for this is Trello. I talked about how I personally use Trello in the last episode if you want to jump back and listen to it. Ministries can use this to track visitor follow-up, enlist and train volunteers, and plan the upcoming staff party or Christmas Play. You can share your “Trello Boards” with others on your team so that you can collaborate together. You can assign tasks to people on your team and check off when things get done on the list. You can also assign due dates and set reminders. I have used this method for planning several conferences and women's retreats. There, of course, are a plethora of other systems available that you can check out. Keeping projects and teams on track is a challenging task and I am all for finding ways to do that more efficiently. In fact, several years ago, I created the “Ministry Management Binder”. I have a physical printable version that can be put in a binder and I have a digital version on a Trello Board. Or you can get both at a discounted price. 8: Online Giving It is a fact that churches that had an online giving option during the Covid pandemic saw less of a decline in finances than those who did not. Online giving has become more and more accepted as most of the younger generation pays their bills online and doesn't carry cash or checks. There are many options for receiving offerings online and I am not going to recommend one over another. Choose a platform that is easy to use for individuals and for the church. If it integrates with your accounting software that is a huge plus. This may require a little research to pick the one that fits best. I would start by asking what others in your community and organization have had success with. There is also a feature called text-to-give. You can do a quick search to find out more about that as well. 9: Accounting Software Effective financial management is a cornerstone of ministry success. Using an accounting software can make life so much better. When I first started out as a church secretary (more years ago than I care to admit) it was all on paper! I transitioned to an Excel spreadsheet and eventually switched to QuickBooks. Now there are systems created just for churches and ministries. Let me just say that when I started out, it took me DAYS to tally up all the end-of-year contribution statements. Now they can be printed off in minutes! Having an efficient system will allow you so much more time to do more productive work. Now, I mentioned QuickBooks but there are several systems available that you can choose from. 10: All-In-One Solution with Church Management Software Last but definitely not least is an all-in-one Church Management Software. These systems provide a comprehensive solution for ministry administration. Combining several of the aforementioned tools can streamline administrative tasks and enhance member engagement. These can offer a combination of calendars, file storage, email marketing, accounting software, online giving, and project management. Each system is different and usually based on the needs and size of the ministry. Here is a list of the 10 Best Church Management Systems for Small Churches published by theleadpastor.com. We have explored 10 tools that can supercharge your ministry and its effectiveness. Leveraging these tools will enable you to streamline your administrative tasks, leaving you with more time to focus on the most critical aspect of ministry—kingdom building. In such uncertain times, it is imperative that we stay on task and be about the Father's business. Administrative tasks may seem unimportant to many, however, it is like a well-oiled machine. When things don't run smoothly, systems begin to break down. So if you are in an administrative position, I want you to remember that this IS a calling. Not everyone can do what you are doing. It IS important. You ARE needed. If you can get organized and create systems you are helping to keep things running smoothly. Damit du kraftvoll & zuversichtlich, in das neue Jahr 2022 starten kannst. Dafür habe ich dir 7 einfache Schritte zusammengefasst, die dir dabei helfen. 7 Schritte für eine liebevolle Reflektion & NEUAusrichtung SCHRITT 1: Nimm dir etwa eine Stunde Zeit. Wenn du möchtest, mach es dir gemütlich mit einer leckeren Tasse Tee oder Kaffee & lege dir unbedingt etwas zu Schreiben bereit. SCHRITT 2: Bringe dich mit einer Meditation oder deiner Lieblingsmusik in einen entspannten State. SCHRITT 3: Dein Jahr 2021 Revue passieren lassen Was war deine wertvollste Erkenntnis in diesem Jahr? Was ist richtig gut gelaufen für dich? Über welche Erfolge freust du dich am meisten? Was hast du gelernt in diesem Jahr? Wer waren deine intensivsten Lehrer dieses Jahr? Das muss nicht immer eine Ausbildung sein. Auch Menschen in unserem direkten Umfeld, können uns manchmal ganz schön herausfordern. Was hast du gelernt? Wo bist du gelassener geworden? Welches Muster hast du für dich durchbrochen? Welche neue Gewohnheit hast du dir angeeignet? oder: Welche Gewohnheit, die dir nicht mehr dient, hast du endlich losgelassen? z. B. Rauchen, es allen rechtzumachen Welche neue Freundschaft hat sich dieses Jahr ergeben? Weiß dieser Mensch, wie wichtig er für dich ist? Was kannst du loslassen? Mit was oder wem darfst du Frieden schließen? Welche Punkte sind deiner Meinung nach noch offen? Welche Dinge hast du noch nicht erledigt? Frag dich, will ich sie überhaupt erledigen? Was benötige ich, um sie zu erledigen? Braucht es evtl. jemand anderen, der*die dir dabei hilft? Vielleicht möchtest du dir eine Projektübersicht erstellen, um alle offenen Punkte auf einem Blick zu haben? Damit du sie leichter bearbeiten & abschließen kannst. Deine Gedanken & deine Einstellung erschaffen deine Realität. Hast du eine negative Einstellung, weil du die Dinge nicht erledigt hast, dann konzentrierst du dich eher auf die Hindernisse, die deinem Erfolg schaden. Egal, was dieses Jahr passiert ist, es ist vorbei. Lass los, was du nicht mehr möchtest, damit du offen bist, für das was kommen darf. SCHRITT 4: Eine klare Ausrichtung für dein Jahr 2022. Werde dir deiner Ziele, Träume & Wünsche bewusst. Öffne dich, um deine Vision für das kommende Jahr zu empfangen. Wenn du möchtest, nutze dazu gern diese Meditation für dich: Eine Botschaft aus deiner Zukunft. Ich selbst nutze sie auch sehr gern, um Antworten meines zukünftigen ICH's zu erfahren. Wenn das neu für dich ist, was wäre denn, wenn du dich einfach nur mal so darauf einlässt. Ohne Erwartung, ohne Bewertung, einfach neugierig beobachtest, was dich erwartet. Ich kann dir nur eins sagen, es tut so gut zu wissen, dass wir all die Antworten auf unsere Fragen in uns tragen & dies ist eine Möglichkeit, deine Antworten zu erfahren. Viel Freude dir dabei. Beantworte für dich diese Fragen: Was wünschst du dir für das Jahr 2022? Was möchtest du gerne haben? Wer möchtest du gern sein? Wie sieht deine Zukunft aus? Wie fühlt sie sich an? Wer bist du dann? Wenn Geld & Zeit keine Rolle spielen, was würdest du dann machen? Welche Fähigkeiten bräuchtest du, um nicht nur zu überleben, sondern dein Leben würdevoll & voller Freude zu erleben? Wie oft hast du dir schon Sorgen gemacht, die nicht eingetroffen sind? Was ist dein Ziel für das Jahr 2022? Woran erkennst du, dass du dein Ziel erreicht hast? Kannst du direkt starten oder gibt es noch Hindernisse? Wenn ja, welche? Kann dich jemand dabei unterstützen? Wenn ja, wer? Wie viel Prozent deines Denkens beschäftigt sich mit dem, was du nicht willst & wie viel mit dem, was du willst? Was macht dich glücklich? Wofür bist du dankbar? Was ist deine größte Sehnsucht? Wenn du keine Angst vor Fehlern hättest, was würdest du dann tun? Was sind deine fünf Gründe, warum dir dieses Ziel so wichtig ist? Hast du eine klare Vorstellung davon, was du ab jetzt täglich tun darfst, um dein Ziel zu erreichen? Welche offenen Punkte gibt es noch aus diesem Jahr, die du unbedingt erledigen möchtest? Mir hat dabei eine Übersicht geholfen, worin ich alle meine offenen Projekte aufgelistet & Termine eingetragen habe, bis wann sie abgeschlossen sind. Du kannst dafür z. B. eine Exel-Tabelle, ein Trello Board oder Meistertask nutzen oder was auch immer am besten zu dir passt. SCHRITT 5: Damit deine Antworten nicht nur auf dem Papier stehen & später in die Schublade wandern, nutze sie & erstelle dir aus deinen Visionen, Träumen & Zielen ein Visionboard oder wenn du lieber Videos magst, ein MindMovie. SCHRITT 6: Wähle intuitiv deine Bilder aus, die dich an deinem Ziel sehen, die dich glücklich machen, wo du Dankbarkeit spürst & setze alles zusammen. SCHRITT 7: Hänge dein fertiges Visionboard mit deinem*en Ziel*en an einen Ort, wo du es jeden Tag siehst bzw. lade dir dein Video auf dein Handy oder PC, wo du es dir jeden Tag anschauen kannst. Dann nimm dir JEDEN Tag ein paar Minuten Zeit, um dich mit deinem*en Ziel*en zu verbinden. That's it. So bleibt dir deine Jahresausrichtung nicht nur mal kurz zu Jahresanfang erhalten, sondern gleich für dein gesamtes Jahr. Ich wünsche dir ganz viel Freude damit. Sieh es als Geschenk für dich, was du dir selbst machst, um dir selbst die Sicherheit zu geben, dein neues Jahr so wundervoll zu gestalten, wie du es dir wünschst. One way I know that I can help designers, copywriters, creatives, and expert entrepreneurs get more conversions on their launches. A launch is simply a word used to plan a promo where a product or service is for sale over a certain period of time. The benefits of launching: You get to add a new stream of income to your revenue. By launching, I've added around $40K in extra revenue to my business. I said the actual number - and please know that $40K could be super high or super low for you. Some people make more, some people make less. The number is just mine, and it's a result of me doing the work to test out a dozen or so offers in the last 3 years. This number does not include the amount of money I make from consulting or sales pages. It's simply when I open and close the cart for an offer. As of right now, my signature sales page design service is still my most profitable offer and the easiest one to sell. I've also been doing it for 7 years, so it's gotten easier every time and doesn't even feel like I have to sell it when I'm on a sales call. It takes practice to get to that level of confidence - and you learn more every time to sell a service or launch. I've never actually launched my sales page service, since most of my leads come via Google or referrals. When you launch a course, product or even a new service, it's fun and exciting because, you get to try something new. You get to position yourself as an expert – and serve a bigger group of people instead of just 1:1 work. The industry is shifting, and I have to stay on top of my game if I want to become known as the conversion design expert in a bigger way. The downside of launching: You don't technically get paid until someone buys. It requires you to step out of your head and show up as an expert in your field, and consistently help your clients for free. People may not buy until a few years after they hear about you, or at all. Reality: Launching is a big-picture game. You don't score a touchdown the first time you step on the football field. You'll have lots of wins. Lots of losses. Lots of lessons. I gave the actual breakdown from my first launch debrief in 2017 on http://thedesignbusinessshow.com/064 if you want to check it out. Now the next time you launch, it's important that you're able to tell me the following 7 things about your offer: 1. Identity, Interest + Benefit Bullets The Problem You Solve. The Offer Introduction & The Offer Promise. Who is your course, product or service for? Testimonials from current and previous students. What's included in the investment? The Guarantee & Buy Now Buttons. These 7 things are the foundation of your offer, your sales page, your strategy and more. Before you stress about creating a sales page, or doing a big launch, make sure your offer is solid. If you don't know those 7 things, then it's not time to launch. It's time to focus on direct sales. You don't have to create a big marketing campaign to sell your offers. You need a way to sell it, a way for people to buy it, and a way to deliver it. Here's a process for you to get started with your new offers. Create a beta offer. Sell it the old-fashioned way. Test it. Get your clients results. Improve your process. Offer it again until it's solid. When I first launched my mastermind for designers (this is not a secret “pitch” for my mastermind, it's not for sale right now, and I'm not sure if I'm bringing it back again), I got conversions from doing webinars. So I've done probably over 200 free webinars over the last 3 years, most of them pitch-free. Every single person who has bought from me has been on a webinar with me, so that's why I do them. I'm really into finding a thing that works, and re-implementing that strategy over and over again. Facebook ads convert? Cool. Let them run and work on other things. People who experience a live webinar with me are more likely to buy? Awesome. Do a lot of them. The world is at home because of COVID-19? People are craving connection and tools. I ran ads to grow my FB group, and to a sales page Trello board I made. I've never had ads convert for $2-$3 per lead. The only other ads I've really ran are for webinars, and they're still converting at $11-$30 a person, so I'm not really planning to run ads to webinars anytime soon. I like to measure my launch data on 3 different things: data, energy, and sales. Data is things like opt-in page conversion rates, FB lead costs, webinar sign up & attendance rate. Yes, energy. What fears are coming up? What isn't working? Did you plan a realistic amount of time to do this? Are you creating space in your business for more customers? For sales, you can look at things like Sales Booked on Sales Calls, Sales on Cart Open Day, Sales on Cart Close Day & Sales for each offer level. Launching is a big-picture game. You don't score a touchdown the first time you step on the football field. You'll have lots of wins. Lots of losses. Lots of lessons. It's a part of the game. I want to help you win! Ich verspreche mir: weniger Zeitinvest, weniger Stress, weil ich nicht dauernd daran denken muss, geringeren Aufwand, weil feste Termine und Verbindlichkeit die Arbeit erleichtern und Kreativität fördern. I used to marvel at Star Trek episodes where the captain would talk to an-present computer, ask it questions and get answers in return. If only I could bring this technology in to my business. Well… turns out I can! This is Clickstarter, I’m Dante St James. This is episode 41, and Day 7 of my daily series, April Foolproof Your Business where this month, I’ll cover a bunch of quick, useful tools, strategies, marketing methods and ideas to give your small business a shot in the arm. Today… create Trello cards using your voice and Google Assistant. Google’s Assistant is available on almost every phone on the planet. It comes packaged with Android phones, and has, since around mid 2017, also been available on the iPhone. And while most of the time we use it to get the Big G to set timers, reminders and alarms to wake us up in the morning, thanks to the power of tools like If This Then That (or IFTTT) you can take it a whole lot further. You can log notes in a Google Drive spreadsheet, add songs to Spotify playlists, start playing podcasts, send a Tweet and even dictate notes to a document on your phone, computer or via a home device. And now, you can also get it to create you a new task in your Trello board with your voice. All thanks to the power of If This Then That and it’s access to the Google Assistant platform. If you have a Google account as well as a Trello account with an active board, you can use a free applet on IFTTT to hook the two up. In fact, go to https://ifttt.com/trello and you’ll see a range of actions you can take by voice on Trello to free up your hands and take the druge work out of constantly having to note things down in Trello - or even some other systems. The applet I am using all the time is Quickly Add A New Card to a Trello Board. And as it says, I can very quickly talk to Google Assistant and tell it to create a new card on my Trello board of choice, and tell it what to write on the card. I don’t need to set any advanced options on the card yet. I just need to tell it to put that card on my board to the To Do column and there it is. A task is there waiting for me when I log in and action my tasks online in Trello. I also have automated tasks using IFTTT that fill out a line in a spreadsheet every time that I finish a task on Trello, so I have a monthly report ready to go with the tasks that were completed for specific clients that need them. And if you have a task that happens every week that needs to be on your Trello board to remind you to do it each week, then you can set a recurring Trello card through IFTTT so that, say, that task each week you have to create a backup of your podcasts, gets put back in your To Do list each and every Monday even if you’ve completed it previously. Handy huh? But hands-down, the ability to talk to my home, my phone or my computer and put in a to-do task, has to be my favourite little trick to save a lot of typing and time. Never got it going. After that I wanted to do a MUD but not good enough in C and couldn’t get it working in Ruby neither. But one faithful day (a year ago) I got an echo and chat server and now we have a MUD. 5:02 – Panel: Why should you be interested? I will tell you why. ExVenture is an open source... I encourage everyone to dig into and play with it! It is a game (so that makes it more fun) but you are dealing with game mechanics. I am also curious where you wanted this to go? What made you say: I want to create this and make it open source? 6:37 – Eric: I like it and work has mostly played for it. It’s MIT because of that. Early in the project (between client work) it was a common thread and that’s why it’s open source. 7:27 – Panel: I ran into you at the conference and you were showing me... For the foreseeable future I will be in one of my most busiest seasons. My wife and I have a third child joining the family, I’m tripling my efforts at work to make a positive impact on what I have influence over, and at the same time I am also doubling down on my maker efforts outside of work. Now, Maker, is a choice word here, because: It encompasses anything I make; the podcast, art, making a better self, making a safe home, making lasting relationships, making better choices, etc. A Maker is first and foremost, a maker, and then a sharer. We live in a society that is great at sharing and re-posting. I guess we can call ourselves the re-post society?! I simply want to make, more than I share. So, in summation, I am busy person. and recently I have become a busier person, only this time I wasn’t prepared, and it was scary. I wasn’t prepared because, although you can foresee an arbitrary amount of it, the other, is unplanned, unexpected, and overwhelming. This episode, is dedicated to all of you who are overwhelmingly experiencing a deficit in attention; whose root cause, is, being busy. Some thoughts on busy-ness. Being busy is ok. In fact, I don’t think I will ever “not” be busy. So how do we best manage busy-ness, such that, we are successful with our endeavours and focus? That’s what I want to talk about today. Overwhelmed Let me first tell you that, for the last couple of weeks, I feel like I’ve been walking in circles, not knowing what to focus on, or what to do next. I’ve had my moments of success, focus, and productivity, yet those moments were mostly fleeting. Here is a small list of the feelings that have been overwhelmingly present: discouragement disappointment confusion frustration lack of control lack of focus feeling like a waste of time etc. So, What did I do? I took some time to ponder the following question: %%What are the moments in my life when I feel in control, productive, successful, focused, happy, eager, and motivated? and %%What is the common denominator for those moments? Here is the answer: I was set up for success in all of those moments. The interesting thing to note here, is that, I took the time to set myself up for success. So how do you set yourself up for success? I compiled a list of my greatest hits. This is a list of the moments in my life where I was successful in maximising productivity. This is a list of habits to protect as I take another stab at developing and nourishing them. I want to share this list with you. Want to know something they all have in common? They are all habits that you can and should exercise daily. 14 daily tips to follow Doing it now Do it now, decide it now, delegate it now, enjoy it now, finish it now, start it now. Whatever it is, get it done now. Getting it done now, rather than, later, has brought me the most success. Monthly, weekly, and daily planning I have a Trello Board that I call the productivity planner in which I have monthly, weekly, and daily planning. Relentless focus on one task at a time Multitasking is a lie, it is not possible. Sure, one needs to be flexible and able to shift one’s own attention from one thing to another, but the moments where I have been most successful, are the moments when I am able to block out distractions and temptations and focus on one thing at at time, and follow this most importing thing until it is done, handed off, socialised, published, shared, hung on a wall, etc. I use a technique called Pomodoro. I’ll link the technique in the show notes. In a nutshell, the idea is simple. You focus for 25-35 minutes on a task, take a 5 minute break, and then re-focus on the same task until it is done. Starting with a task that will free up the most energy You have to start your day off with something. What is the task that will free up the most mental energy. That might be the scariest thing, the hardest thing, the easiest thing, etc. For me, this is how I measure what I work on first. “If this was the only thing you did today you’d be satisfied.” Doing this will free up the most mental energy to move onto your next task Manage distractions and delay them When I am on my game, I have a running list of distractions on a piece of paper on my desk. At any point, when I am distracted, tempted towards distraction, or feeling a lack of energy, I jot them down. I let the list get to the point, where I think it’ll take about 25 minutes to manage the distractions. I’ll then focus on the distractions for 25 minutes and clear my list :) Say no to the things that create little value and do not get you closer to your goals When things are going well, I am focused on the things that bring me the most value. When things are not going well, I am focused on the things that bring me the least amount of value. The goal is to create more value, you do this by growing your ability to say no to everything in your life that doesn’t move you towards your goals. Don’t say yes to low-value people and activities. Fanatically guard your time so you can exponentially advance towards your goals Do one extra Make one extra call, send out one more email, design one more component, write one more line of code, one more sentence, etc. When you add up all these one-extras, they just might make the difference. It usually does for me. Learn when to cut your losses If you are not getting what you need from a person, a strategy, a partnership, or a hobby, make the hard decision early so you free up your time to find something that will give you what you need. A relentless dedication to your goals When things get tough, work through it, have grit, and persevere. The end result is always worth it. Double down on what is working I have heard this before, if it aint broke, then why fix it? I’m telling you to do this, if it’s working, then double down your efforts on what is working. The outcome is better than if you let it alone. Have integrity This one is simple, say what you say you are going to do. Be on time, finish what you said you would do. Do it all without excuses and even when you don’t feel like it because the more you practice it the better you get at it. Integrity attracts the best people. Maximise your learning from your own life After a project, event, meeting, thought, interaction, ask yourself the following questions: What went well? What would I do different next time? What are the most important lessons for me to take from this experience? Doing this will help you get better each day. End your day by identifying the MIT for tomorrow At the end of the day, make notes for how the day went, measure your productivity, and note what happened that caused your level of productivity for the day. Plan your day for tomorrow and set yourself up for success. Wherever you are, be there Lastly, when I am maximising my productivity I am feeling successful. What usually accompanies this feeling is joy, growth, and peace of mind. As such, this is an outcome of intensely being present on your goals. So to follow that thought, I try to be 100% present wherever I am a meeting a project family spouse children This last habit gets harder every day, attention seekers are everywhere, so when you are distracted, or your mind wanders and you are feeling a deficit, notice it, and bring your attention back to where you are and what matters most in the moment.
